COVID-19 CleaningsDISCUSSION

How long does the virus survive and do we still need to clean if our locations have been closed? There are varying reports on how long this virus lives on which surfaces. The WHO states “It is not certain how long the virus that causes COVID-19 survives on surfaces…”

Manage Perception / Optics are Important. Best Practice is to go ahead and clean. Not only for safety and peace of mind, but for perception for both Employees and Customers. Facility can always be re-infected after locations were closed.

The New NormalWhat are Best Practices?§ Bring in the experts with SOP & defined SOW

§ Increased Frequencies for Daytime & After-Hours Service (depending on foot traffic)

§ Disposable cloths / wipes (virus can live on reusable towels/rags)

§ Social Distancing (schedule staggering, Customer allowances)

§ Entry precautions for Employees & Technicians (temperature

checks, hand-washing, not allowing if exhibiting symptoms, exposed to virus

or traveled internationally in last 14 days)

§ Transparent Communication for Staff & Customers (Safety

Guidelines, Posts)

Cleaning Frequency:• Additional day porter at HQ to hit touch points• Store cleanings - in house or outsourced, hitting high-touch

surfaces• Drivers/Forklift Operators - Sanitizing equipment when done

Social Distancing:• Stores allowing 10 customer at a time• HQ closed to visitors• Rotating staff out in 2-week increments & high-risk folks to

work remote• Promoting e-commerce & delivery service / Commercial &

Consumer pickup orders• Tech procedures - Don’t check in, need to call or not be in

contact; social distancing with suppliers• Fleet vendors not allowed to enter store, calling to check in;

noting assets and then sanitizing equipment after repair• Refused to sign any service tickets (OK to complete and

invoice w/o signature)

The New NormalDISCUSSION

Safety • PPE for drivers - wearing gloves, frequent

sanitation

Fexa• Communication template, banner to reference

procedures• Attachment going out with every work order

in Fexa• Able to distribute cleaning supplies from a

central point internally versus shipping to individual locations

Arm YourselfWhat Tools Are Needed?§ Chemicals / Supplies

§ CDC has held some types of disinfecting wipes and supplies for medical only.

§ Ok on Toilet Paper and Paper Towel Commercially; watching it closely

§ Use Bleach for Emergency: 5 Tablespoons of Bleach for 1 Gallon of Water)

§ Personal Protection Equipment (PPE) (Gloves, Face protection)

§ Sanitization Stations

§ Quality Assurance Inspection Checklists

§ Fexa: Quick Configurations (Banners and Bulletins on Dashboard, Add

Category Levels “COVID-19”, Allow Vendor to bill for Incurred, Update Templates for

Instructions, Communication Rules Adjustments, Reporting for COVID-19 Spend, etc.)

The FuturePlanning & Reopening

§ Preserve Cash Flows (Bill for Incurred, Deferred)

§ Supplies, PM Adjustments, SOW Reviews

§ Staff Adjustments (Ill employees should remain home for an

additional 72 hours after they are symptom-free)

§ Task Force for Decision-Making and Accountability

§ Reopening Adjustments

Created an Internal task force with Key Stakeholders meeting every other day (HR, Legal, Supply Chain, Technology, ECommerce, Facilities, Store Ops, Finance, etc.).

How can we be best positioned when coming out of this?Preservation of cash flow• Reviewing elective PMs (painting program, high dustings, exterior power

washing)• Necessary PMs (HVAC, vertical transportation) - Possible frequency adjustments• Removing/reviewing elective repairs - deferring for future• Discussing extended payment terms with larger vendorsClosed Stores• Remote monitoring (adjusted HVAC set points, lighting, etc.)Reopening Stores• Working close w/store ops (curbside pickups, reduced hours, etc.)• Advanced notice to facilities • Engage with EMS and HVAC to readjust setpoints• Pre-opening cleaning
