EXAM ASSISTANT The Canadian Alliance of Physiotherapy Regulators (CAPR) is the pan-Canadian federation of provincial/territorial physiotherapy regulators committed to the development and improvement of regulatory standards of practice for physiotherapists. CAPR, on behalf of most physiotherapy regulators, establishes whether the education and qualifications of internationally educated applicants are not substantially different from those of Canadian educated physiotherapists. For both Canadian and internationally educated physiotherapists, CAPR administers the Physiotherapy Competency Examination to determine a candidate's readiness for safe, effective, and independent physiotherapy practice. POSITION SUMMARY:

The Exam Assistant provides administrative support to the Exam Program. The position supports the development, maintenance and delivery of the Physiotherapy Competency Examination (PCE). The Exam Assistant maintains accurate records pertinent to all services required. The position maintains a current understanding and in-depth knowledge of CAPR operations and materials including processes, procedures, rules, policies, documentation and website contents. This position may provide coverage to the reception area on an as needed basis, and in this capacity provides polite, timely and knowledgeable customer service.

KEY RESPONSIBILITIES:The Exam Assistant:• Supports the whole candidate intake process with respect to candidate applications, registration

notices and candidate files. Triages appropriately with Corporate Services in processing of application fees and updates.

• Supports the Supervisor of Exam Delivery and Examination Officers in the management of exam development, preparation and delivery activities including processing of examiner applications, and exam centre materials preparation, exam video preparation and exam committee support.

• Provides administrative support to exam program operations by:- Preparing photocopies and mail outs, scanning sorting and preparing outgoing

correspondence as required;- Maintaining filing systems, tracking systems and databases as required; and,

- Prepares and processes exam inventory and supplies- Advising on process improvements, communications, website contents and technology

requirements, and providing assistance in development as required.- Maintains accurate records of client document processing.- Supports covering of reception as required

• Adheres to The Alliance Policies and Procedures and escalates issues and complaints to the Supervisor, Examination Services, Examinations Officer and/or Manager of Operations - -Examinations as appropriate.

• Participates in CAPR’s quality improvement initiatives. • Attends professional development and training sessions as appropriate. • Performs other duties as assigned by the Supervisor, Examination Services or other members of the

management team.

TECHNICAL COMPETENCIESThe Exam Assistant consistently demonstrates:

Proficiency in word processing, spreadsheet, database, email and internet applications with the ability to research, retrieve and analyze information with a high degree of accuracy and attention to detail.

Provides an optimum level of customer service to all examination candidates and demonstrates exceptional interpersonal skills during all interactions, including active listening, empathy, sensitivity and patience to remain composed, convey understanding, and effectively manage applicants in a respectful manner when resolving difficult situations.

Demonstrates the ability to plan, organize and prioritize workload in response to demands. Demonstrates effective problem solving skills implementing solutions within the scope of duties. Demonstrates consistent attention to detail to ensure that application documentation is complete and

accurate; effectively analyzing examination candidate information and promptly identify exceptions and/or special needs requirements for review by the Manager.

Demonstrates the ability to adapt approach to individual situations and to effectively resolve problems and concerns.

Weighs the importance of data, experience, perspective and program goals when making decisions.

EDUCATION AND EXPERIENCE: Post-secondary education – university degree in related area required 2 years’ work experience in customer service 2 years’ work experience in administrative support Experience in related fields such as professional associations and colleges, university/college

admissions and international relations preferred French language an asset
