Uploading Files and Images

It is best that images are .jpg. This is a very common format that even Internet Explorer can understand. In 99% of cases, documents are .pdf. This allows for documents that can’t be edited, such as flyers, manuals, informational posters, etc. However, rarely a document will need to be uploaded that can be edited, such as a Word or Excel file. These are uploaded and linked to the same way as pdf documents.

1. From the Dashboard (or anywhere in Gearbox, for that matter), click on “File Library”.

It is preferred to use a folder that already exists, but in some cases it is necessary to make a new folder for storing files that relate to one project. Creating a Folder:

1. Click on “Add a Folder”

2. You have to name your folder. It is best to name it something logical, such as “LID Trainings” or “Chocolate Chip Cookie Recipes”.

3. While not required, it is strongly advised to select a parent folder. When in doubt, make the Parent Folder “Documents”.

4. Click on “Save Changes” and you now have a new folder.

Every so often, a folder is created that doesn’t need to exist anymore.

1. From the File Tree, click on the folder that needs to be deleted.

Notice how its icon is a bit different. That means that there are no files associated with that folder.

2. Click on “Delete Folder”.

1. This works the same for images and documents. From the File Library, click on “Add Files”.

2. Click on “Browse” and navigate to where the file is stored. This is the same process for images as it is for Word, Excel, pdf and any other document uploaded into the WSC.

3. Double click on your file, or click open.

3.1 Notice how the “File Name(s)” field filled in all on its own. You can change that name if you wish, but it is a better practice to just name it what you want from save one.

4. Ignore “Program Groups”—that is a holdover from an earlier version of Gearbox, a so-called “Legacy” feature. Same thing with “File Type”.

5. Click on the drop-down arrow of Folder, and choose the folder you want the file to be in.

Note how the “Folder” is still filled in. This nice little feature assumes that a folder could have more than one file uploaded into it.

Deleting files:

But, I do not need the file that I just added, so, time to delete it.

1. Click on “View File Tree” or “File Library” to view the file tree.

2. Navigate to the file that needs to be deleted.
