Production Coordinator – Geelong After Dark 2020

The City of Greater Geelong is seeking an experienced Production Coordinator for Geelong After Dark 2020 (GAD) to work in partnership with the City of Greater Geelong Arts & Culture Department in the design, development and delivery of the production aspects of GAD2020. The Production Coordinator will provide services to support the delivery of an exciting and innovative programme that embraces creative risk and showcases excellence in arts activation.

Production Coordinator Role

In its seventh year, GAD has consolidated its place on the arts and cultural calendar. With increasing attendance, this event showcases the Geelong region’s creativity and contributes to its economic benefit.

GAD2020 will be held from 6pm - 10pm on Friday 1 May 2020.

Responsibilities

The Production Coordinator will have overall responsibility for event operations across the whole footprint and event of GAD2020.

Roles and Responsibilities of Geelong After Dark 2019 Event Operations Coordinator. include but are not limited to:

Event Operations development

Event Operations Budget Management

Meetings as required, including post event debriefings

Post event evaluation, reporting and budget reconciliation

Management of event operations and logistics, in coordination with COGG procedures and protocols, collaborating with COGG Events Unit when required.

Procurement and management of event service and equipment contractors including safety/ambulance/emergency services, production, lighting, site catering vendors, signage and power;

Review and development of the Event Management Plan (EMP); presentation of EMP to the Events Multi-Agency Working Group (EMAWG);

Coordination of event risk and emergency response plan, public safety protocol and event-day implementation, in coordination with COGG procedures and protocol;

Approvals and permits documentation and compliance (Council’s Events Application, Indemnity Application, APRA Licence, Road Closure requests, Filming etc)

Coordination of all the artist specific event operation information and risk assessment information;

Coordination of event delivery staff and volunteers, including briefing notes and pre-event briefings;

Development of key event operations documents such as the Event Management Plan, production schedule, site plans, event staff and volunteer briefing notes, work in progress reports, post event planning recommendations and general advisory support.

Coordinate the Event Operations Centre, including Bump in and Out.

Support the Artistic Director in identification and mitigation of risks during development of artwork concepts.

The above list of responsibilities is provided to give applicants insight into key tasks associated with this role and an ability to respond to the expression of interest requirements.

Clarification of the role and the responsibilities inherent within will be negotiated prior to commencement and articulated in the Production Coordinator’s contract.

Knowledge and Skills

Practical and creative experience in developing, and presentation of, professional, contemporary artistic works in an urban setting.

A genuine interest and passion for the process of delivering high quality arts events that engage broadly and facilitate and enable community participation.

Knowledge and understanding of occupational health and safety in event delivery including risk mitigation.

Ability to manage the event as outlined in the event brief.

Develop and adhere to detailed budget and timelines.

Direct and manage assistant personnel in conjunction with the Project Manager including volunteers.

Excellent communication skills, both written and verbal.

EVENT BRIEF GEELONG AFTER DARK

Geelong After Dark - Background

Geelong After Dark (GAD) is an annual event conducted in central Geelong; a night of discovery, of short, sharp art transforming ordinary spaces into something exciting, unexpected and very much alive.

GAD is modelled on the broad reaching arts events of Leeds and Cardiff, in the United Kingdom. It animates Central Geelong with pop-up installations, performances and arts interventions across a broad range of cultural venues and unexpected spaces in the city centre.

GAD transforms Central Geelong with interactive performances, spoken word, projections, illuminations, live music, soundscapes and exhibitions. The city’s laneways, streets and venues come alive for the duration (4hrs) of the event with unexpected surprises around every corner.

The inaugural GAD in 2014 attracted over 6,000 people to central Geelong. Now in its seventh year, this free, accessible event is growing strongly each year. Attendances have quickly swelled to in excess of 32,000 visitors with more than 70 activities and 270 artists participating.

GAD is a now a multi-award winning event produced by the City of Greater Geelong, Arts & Culture Department annually on the first Friday in May.

SCOPE OF BRIEF

GAD is an annual city centre, night arts event that activates venues and unexpected spaces in Central Geelong with a range of pop-up installations, performances, projections and experimental art interventions, featuring hundreds of local artists. Its central focus is exploration and discovery.

The GAD programme is curated through an Expression of Interest process. The programme has previously included lighting/film projections, strolling brass quartets and street bands, rooftop cinema, spoken word and opera, pop up visual art exhibitions, live music performances, puppetry, immersive and hi-tech art installations, street art demonstrations and much more. Major cultural venues contribute collaboratively to the programme, and restaurants and cafes are encouraged to stay open and participate.

Activities are positioned across four zones, which identify key areas of activity all presenting their own unique opportunity for activation.

For example in 2019: Zone 1 included City Hall projections, ACT Natimuk aerial ballet, installations as well as

Cultural Venue programming in the Arts Precinct and Johnstone Park which hosted the newly constructed Sensory Portals and the sublime M~M performance in the rotunda.

Zone 2 included live music, film, projections, spoken word, and innovative and interactive artwork.

Zone 3 presented hidden treasures in laneways, and installations in the National Wool Museum.

GAD Relationship with Mountain to Mouth Extreme Arts Walk (M~M)

Components of the M~M arts programme are integrated into the GAD programme under the title “M~M@Geelong After Dark”. M~M is embedded firmly in the practices and programs of local arts and non-arts organisations and is well positioned to align with key aims of the GAD programme. In 2019 (a “non M~M year”), four art interventions were created by M~M artists as part of M~M@GAD2019:

M~M: Connecting Song - an inspiring place-based song writing opportunity which resulted in creation of three songs and film clips which were debuted at GAD.

ACT Natimuk – Barwon Water’s forecourt wall was transformed by projections, puppetry and aerial ballet creating a story of the Barwon River estuary involving local artists and schools such as Barwon Valley School and Barwon Heads Primary.

A partnership with cutting edge ARS electronica saw the City Hall’s foyer transformed with a Beehive capturing the thoughts and aspirations of the people of the City of Greater Geelong.

In the Johnstone Park Rotunda was a performance piece featuring the choral music by Jonathon Welch sung in Wadawurrung language and featured other key M~M elements of ceremony, spirit birds, song, and magic.

M~M has its own budget, Artistic Director and Production Team, with whom the GAD Artistic Director will work collaboratively to align the strategic objectives, themes and processes of these two events
