ESS Configuration Assessment

Before configuring your site, let’s look at what to configure. This following section will guide you through the different areas of your new site, and allow you to dictate what you need. First, you will see a topic which covers one aspect of the SP Marketplace site you have purchased, and includes a little information on the SP Marketplace system / business process in place for managing this topic.

I. Employee Directory Data (non-HR Specific) – Employee Data is managed in the Employees Directory list and contains the general contact information and other info that is useful for other employees to see. This list can be periodically sync’ed from the SharePoint Profiles users list – including any fields that you want to bring over into the Employee directory in a customized map (from-to field names).

a. How are you managing employee phone number and location lists now?

b. How many employees will be added into the system?

c. Do they all have SharePoint ID’s?

d. Do you want employees to edit their own profile data?

II. Time Sheet - Time sheet submissions can be submitted from the ESS Portal. These requests can then be assigned, managed, and reported on easily.

a. How are you managing time sheets now? And on what time cycle (weekly, bi-weekly, etc)?

b. Will you keep this system or use another system for time-sheet submissions?

c. Does it need to tie in with a payroll system?

d. How do you want users to submit time-sheets into the system?

III. Time off Requests – Time off requests can be submitted from the ESS Portal. These requests can then be assigned, managed, and reported on easily.

a. How are you managing time off now?

b. How do you want users to submit requests into the system?

c. How many users will be approving time-off requests? And what roles/job-titles are they?

d. Will you keep this system or use another system for requests?

IV. Purchase Requests – Purchase requests can be submitted from the ESS Portal. These requests can then be assigned, managed, and reported on easily.

a. How are you managing purchase requests now?

b. How do you want users to submit purchase requests into the system?

c. How many users will be approving purchase requests? And what roles/job-titles are they?

d. Do you need to pass these requests on to Finance or HR or some other department?

V. Expense Reports – Expense reports can be submitted from the ESS Portal. These requests can then be assigned, managed, and reported on easily.

a. How are you managing expense reports now?

b. How do you want users to submit expense reports into the system?

c. How many users will be approving expense reports? And what roles/job-titles are they?
