Introduction

This document is intended for the use with IBM® Cognos® Incentive CompensationManagement Version 8.0.2.

IBM Cognos Incentive Compensation Management enables organizations toautomate the process of administering, calculating, reporting, and analyzingvariable-based pay programs. The solution simplifies incentive compensationmanagement for organizations by increasing accuracy, reducing costs, andimproving visibility into sales performance and compensation plans.

Audience

This guide is intended for users who will be working in the IBM Cognos IncentiveCompensation Management web client.

Chapter 1. IBM Cognos Incentive Compensation ManagementWeb Client

The web client is highly configurable and has security-aware tabs that are createdby administrators in the Portal Access module.

At the end of each pay period, the compensation administrator will postcommission results. After transactions have been posted, web users with sign off oradjusting permissions will be able to view, approve, or inquire about compensationresults. Users can also post comments and submit them directly to thecompensation administrator.

Logging in to the web clientAfter web users have been enabled for web access and emailed their passwords,they can log in to the web client and view information that an administrator hasgranted them access to.

Procedure1. Type the address for the web client into your web browser’s address bar.2. In the Login window, type your User ID. This is your email address.3. Type your Password. Upon first login, this is the password sent to you by an

administrator.4. Click Login.

Resetting a password from the login pageIn IBM Cognos Incentive Compensation Management (ICM), you can change yourpassword after you log in to the web client.

This feature can only be used by web users if an administrator has enabled thereset password feature in the admin client.

Procedure1. On the web client login page, click the Forgot your Password link.2. Type the email address you use to sign in to the web client.3. Click Submit. An email will be sent to you containing a URL with a key to

reset the account.4. Open the email and click the link. You will be prompted to type a new

password.

Important: The administrator determines how long web users have to resettheir passwords from the time the email is sent to them. Typically, there is a 30minute time frame.

Chapter 2. Home screen

When users log in to the web client, they have the option to access the messagecenter, change their password, request assistance, and logout.

The request assistance link will send an email to the administrator user with adefined email address in the Manage Users window in the admin client.

The home screen displays the first web tab that the user has access to.Administrators can customize what the home screen will look like for each PortalAccess group in the Portal Access module.

Resetting a password from the home screenIn IBM Cognos Incentive Compensation Management (ICM), you can change yourpassword after you have logged in to the web client.

Procedure1. On the web client home screen, select the dropdown arrow beside your user

name.2. Select Change Password.3. Type your Current password.4. Type your New password.5. Type your new password again in the Confirm new password field.6. Click Submit.

Chapter 3. Message center

The message center shows all of the user’s web notifications.

This includes web messages, inquiries, documents, sign off messages, andWorkflow Manager notifications.

InboxWhen new messages exist in the web user’s inbox, a number corresponding to thenumber of new messages will be displayed beside the message center icon.

The following messages will be displayed in the user’s inbox:v Admin messages that have been posted through the admin clientv Documents that have been posted for a payee group or for members of a Portal

Access groupv Sign off tasksv Inquiries that require action by the current userv Inquiries created or assigned to the user that have been updated with a

commentv Inquiries created by the user that have been closedv Inquiries that have been assigned to the user and have been resubmittedv Inquiries that haven been returned to the userv Notifications sent as part of a workflow in Workflow Manager

Admin messagesAdmin messages, created in the Web Messages window in the admin client, will bedisplayed in the message center of all web users.

It is not possible to send admin messages to specific groups of payees. Once anadmin message has been added via the admin client, it will remain in the webuser’s message center until it is removed by the administrator. Admin messagescannot be deleted by web users. If the administrator selects the Notify option whenadding the admin message through the admin client, all web users will receive anemail notifying them of the message.

InquiriesThe Inquiries section allows web users to view any inquiries they have launchedor inquiries that have been assigned to them.

Any pending inquiries that need to be handled or resolved by the user will bevisible on the Inquiries screen. Users can view the status of their inquiries, whocreated the inquiry and when, as well as when the inquiry was last updated. Userscan also view the object the inquiry was made about and open the inquiry itselffrom the Inquiries page.

Unassigned and assigned inquiriesOn the Inquiries screen, you can view inquiries that have been assigned to you, aswell as inquiries that have been sent to you but not assigned to anyone yet.

The inquiries listed here are pending inquiries that web users can handle orresolve in the following ways:v View - view the inquiry message.v Assign - assign an inquiry to yourself. This will indicate to other inquiry

handlers that you are handling the issue.v Unassign - unassign yourself from the inquiry.v Escalate - escalate the inquiry to the next person in the inquiry handling chain

that has been assigned in the Portal Access module in the admin client.v Return - dismiss an inquiry without resolution.v Resubmit - resends the inquiry to the user who returned the inquiry to you.

This option is only available if Resubmit To Returner is enabled in the adminclient.

Only two inquiries at a time will be displayed under each heading on the Inquirydashboard. To view all your unassigned or assigned inquiries, you can click on theUnassigned Inquiries or Assigned Inquiries heading.

Viewing your inquiriesAny inquiries that web users have posted themselves will be visible in the MyInquiries section.

Procedure1. Click View to see the details of the inquiry, post comments, or add

attachments.2. Click Close to close a resolved inquiry.

Only the person who launched the inquiry has the power to close it.3. To view all your inquiries, click the My Inquiries section heading.

Inquiry logThe inquiry log contains inquiries made by web users below you on the PortalAccess Inquiry tree.

You can view all the inquiries in the inquiry log by clicking on the Inquiry Logsection heading.

Viewing documentsAny files that have been posted and assigned an access tree in Portal Access willbe available in the Documents section for review.

If a sign off has been started for the document, it will be available in the Sign Offsection for approval. Once web users have approved a document, it will remainavailable for review until the plan administrator removes it.

Procedure1. To view a document, click on Documents.2. Click the document link to open the file.

Portal Access documentsAccess for documents added through the Manage Documents window in theadmin client is defined by the Portal Access assignment access tree.

After assigning a Portal Access tree to the document, admin users can highlight thedocument and select the Notify Portal Access Tree icon. This will send an email toall members in the Portal Access tree, telling them that the document is availablein the web client.

Signing off on pending approvalsIf web users are required to sign off on compensation plans, reports, web forms, ordocuments, they can view their pending approvals in the Sign Off section of theweb client.

Procedure1. In the Message Center, click Sign Off.2. Click Approve to sign off on results.3. Click on the link in the object column to view details of a compensation plan,

report, document, or web form.4. Click Inquire to dispute the compensation results or send comments.

Important: If the compensation plan administrator has enabled emailnotification, the web user will receive an email informing them when they needto sign off on results. Compensation plan administrators will also determinewhich items are available for review only, and which items require sign off.

Viewing Workflow Manager workflowsIf web users need to view completed workflows or initiate or perform an action aspart of a workflow, they can view the completed, available, and pendingworkflows in the Workflow Manager section.

Procedure1. In the message center, click Workflow Manager.2. To start a workflow, click the link to the Presenter report on the Available

Workflows tab.3. Fill out the form then click the Start button.4. Click Confirm.5. To perform an action as part of a workflow, click the Pending Workflows tab.6. Click the link to the Presenter report to open the report.7. To view the history of the workflow, click the View Workflow History button.8. Click the button corresponding to the action you want to perform.9. Click Confirm.

10. To view any workflow that has been completed, click the CompletedWorkflows tab.

11. Click the link to the workflow to view the workflow history.

Chapter 4. Web tabs

Administrators can customize the order, names, and content of web tabs the webusers see when they log in to the web client.

Each web tab may contain additional sub-tabs. Web tabs are created in the PortalAccess module and allow web users to view results, sign off on results, launchinquiries, and/or submit data.

Administrators can create the following individual tabs for various Portal Accessgroups:v Compensation Planv Draw Assignmentv Draw Reportv External URLv Presenter Reportv Tailored Reportv Web Form

Administrators can create the following module tabs for various Portal Accessgroups:v Data Editv Inquiriesv Payee Ledgerv Reportingv Web Forms

Submitting data on the data edit tabWeb users can edit table data that has been made accessible and editable to themby compensation plan administrators in the admin client.

Any data that is displayed in a white box can be changed, and the updated resultswill be submitted to the administrator. The administrator can choose to eitheraccept or decline the change.

Procedure1. From the Available Tables dropdown menu, select a table. In order for a table

to show up, you have to set the Web Data Edit permissions in the admin client.2. Edit any data in a white box.3. Click Submit to communicate your change request.

Toggle table filter formOnce web users open a table for data edit, they will see a form icon beside thetable dropdown menu.

The toggle table filter form allows web users to add a row of data to the table andto filter the data.

Adding a new row of data to a tableWeb users can submit new data to a table they have been granted access tothrough the web client.

Procedure1. Click on the Toggle Table Filter Form icon.2. Complete all of the columns making sure the information is exactly how it

appears in the table (for example, decimal places and date format).3. Click Add. You will see the row under Pending Rows. In Composer, the

administrator will see the table name is bold.4. To approve or reject the pending row, the administrator can right-click on the

table in the admin client and select Web Data Edit > Approve/Reject Edits.

Filtering dataWeb users can specify the data they want to view in the table on the Data Edit tab.

Procedure1. Click on the Toggle Table Filter Form icon.2. Type in or select a value in the column that you want to use as the filter. For

example, type in a date in the date column.3. Click Filter. You will now see only the rows with the value you entered in Step

2.

Clearing a filterWeb users can remove a filter from the table on the Data Edit tab.

Procedure1. Click on the Toggle Table Filter Form icon.2. Click on Clear.

Inquiries tabThe Inquiries tab shows web users any inquires they have launched or that havebeen assigned to them.

Details regarding any inquiries that a web user has submitted will be visible fromthe Inquiries screen under My Inquiries.

Web users have the option to assign, escalate, return, or close an inquiry that hasbeen sent to them.

Adding an attachment to an inquiryWeb users can submit a file along with their inquiries.

Procedure1. Click View to view the details for an inquiry.2. Click Attach to find an attachment.3. Click Submit.

Important: You will not be able to attach files with the following fileextensions; "ade", "adp", "bas", "bat", "chm", "cmd", "com", "cpl", "crt", "exe","hlp", "hta", "htm", "html", "inf", "ins", "isp", "js", "jse", "jsp", "lnk", "lib", "mdb",

"mde", "msc", "msi", "msg", "msp", "mst", "pcd", "pif", "reg", "scr", "sct", "shb","shs", "sys", "url", "vb", "vbe", "vbs", "vxd", "wsc", "wsf", "wsh". If you need toattach a file with one of these extensions, compress the file into a .zip formatbefore attaching.

Adding additional comments to an inquiryWeb users can choose to add more comments to an inquiry.

If a comment is added by the submitter of the inquiry, the user assigned to theinquiry will be notified. If a comment was added by the assignee, the submitter ofthe inquiry will be notified.

Procedure1. Click View to view the details for an inquiry.2. Type in your comment in the text box.3. Click Add Comment.

Payee Ledger tabThe Payee Ledger tab allows users to view both Detail and Summary levelcompensation results for compensation plans and tailored reports.

Detail screenThe Detail screen allows web users to trace each record that contributed toearnings for each period by providing the link between calculated results andtransactional data.

This screen will show a list of transactions that correspond to each calculation,their value, and the result of the calculation.

If the compensation plan that you are a part of has more than one component, thedetail screen will show results for each calculation. For example, consider acompensation plan that does the following:v Calculates year-to-date sales for each sales representativev Calculates the difference between year-to-date sales and quotav Pays a commission on the difference

This would be displayed as three separate calculations, one after the other, eachincluding results for all periods.

Viewing source detailYou can display the underlying details of an individual transaction, that is the rowinformation, from the primary data source of the calculation in a compensationplan or tailored report on the Payee Ledger tab.

Procedure1. On the Payee Ledger tab, open the compensation plan or tailored report on the

Detail screen.2. Click on the Show source information icon on a row of data.

Exporting results to Microsoft ExcelPayee Ledger results can be exported from the web client to Microsoft Excel.

Procedure1. On the Payee Ledger tab, open the compensation plan or tailored report.2. Click To Excel (.xls) or To Excel (.xlsx).3. Either Open or Save the file.

InquiryIf web users have concerns about the accuracy of their results on the Payee Ledgertab, the Inquire button will allow them to launch an inquiry and their concernswill be reviewed by their managers or a compensation plan administrator.

The inquiry launch will begin an email dialogue between the web user and theindividual responsible for handling inquiries. Once a resolution has beendetermined, any necessary changes will be made to the compensation results.

Making an inquiryWeb users can send a message to their managers to inquire about results they haveviewed on the Payee Ledger tab.

Procedure1. On the Payee Ledger tab, open the compensation plan or tailored report.2. Click the Inquire button.3. Alternatively, you can click on the Copy row to inquiry comment icon on each

row of data to open the inquiry screen and attach the data to the text box.4. Select a Category using the dropdown menu. Categories are set up by

compensation plan administrators in the admin client to facilitate the inquiryreview process. If no categories are available in the dropdown menu, simplyselect None.

5. Attach any documentation to support your inquiry.

6. Explain the reason for your inquiry in the text box.7. Click Submit.

Summary screenFrom the Summary link on the Payee Ledger tab, you can view your owncompensation results, as well as the results for all payees whose results you arerequired to review.

Generating resultsWeb users can view the results of a selected plan or report.

Procedure1. On the Payee Ledger tab, select the Summary link.2. Select a plan or report.3. Select a payee. The compensation report will now appear on the screen.

Exporting results to Microsoft ExcelThe data in a compensation plan or report can be opened and/or saved as aMicrosoft Excel file.

Procedure1. On the Summary screen of the Payee Ledger tab, open a compensation plan or

tailored report.2. Click To Excel (.xls) or To Excel (.xlsx).3. Either Open or Save the file.

Making an inquiryFrom the Summary screen on the Payee Ledger tab, web users can send a messageto their managers to inquire about results.

Procedure1. On the Summary screen of the Payee Ledger tab, open a compensation plan or

tailored report.2. Click Inquire.3. Select a Category. Categories are set up by compensation plan administrators in

the admin client to facilitate the inquiry review process. If no categories areavailable in the dropdown menu, simply select None.

4. Attach any documentation to support your inquiry.5. Explain the reason for your inquiry in the text box and click Submit.

Reporting tabThe Reporting tab allows users to view reports created and posted byadministrators.

Reports are highly configurable and can be created for a wide variety of purposes.For example, this section may include personal statements, top performers,dashboards, or quota attainment information. These reports, unlike Payee Ledgerreports, can also contain charts, graphs, and maps, so information can be displayedin numerous ways.

Generating a PDF fileYou can create PDF files of any reports that have been enabled for PDF export inthe admin client.

Procedure1. Open the report you want to generate a PDF file of.2. Click the Generate PDF or Generate PDF for All Payees icon located in the

right-hand corner of the report.When you select Generate PDF for All Payees, a zip file is created with a PDFfor each payee in the pick list.

Important: If the report has a pick list for Payee ID, then the multiple PDFgeneration option will be displayed. If you are viewing a data grid in aPresenter report that has pagination enabled, the whole data grid will bedisplayed in the PDF file not just the current page.

Launching an inquiryYou can submit an inquiry from a report.

Procedure1. From the Reporting tab, open the Presenter report.2. Click Inquire.3. Select a Category for the inquiry.4. Type your inquiry into the comment field.5. You can attach a file to your inquiry.6. Click Submit.

Web Forms tabThe Web Forms tab allows you to view and submit changes via web forms postedby your compensation plan administrator.

Any forms that you are authorized to review and/or edit can be selected from theAvailable Forms dropdown menu.

Web forms have been customized by your plan administrator and can contain awide variety of data. Sometimes web forms are used to distribute commissionstatements or reports, or they may contain editable columns that allow you toenter metrics in the commission calculation process. Web forms are time stampedand report when the last calculation was run in the Admin Client. A “Results lastupdated” stamp appears at the bottom of web forms.

The plan administrator determines what data you have access to. You may only beable to see information that pertains to you, or you may be able to see informationfor all payees that report to you.

Submitting data through Web FormsYou can send data to the admin client via web forms.

Procedure1. On the Web Forms tab, select an available form from the dropdown menu.2. You may need to select a parameter or multiple parameters to display the web

form.3. Complete the form. Any data that appears in a white box can be changed and

the updated results will be submitted directly to the database.4. Click Submit to communicate your change request.5. Click To Excel to send the data for the selected parameters to Excel.6. Click All To Excel to send the data for all parameters to Excel.
