What is the difference between staff-side searching in the Cataloging or Acquisitions modules and the OPAC?

Some records are suppressed in the OPAC and are only visible in the staff client (the Technical module, such as Cataloging or Acquisitions)

Searching in the staff client has more options

Records in the staff client display more information including the history of the record which can be helpful in tracing an item

Edits or corrections can only be made in the staff client, not the OPAC. During the course of searching, you may stumble across records needing work.

The OPAC gives a clear view of what the public sees. An excellent way to check work done in the staff client.

Toolbars in the Cataloging Module: buttons vs. pull-down menus

As with all Windows applications, there are toolbar buttons which serve the same purposes as choosing from a pull-down menu

Certain buttons will be colored or grayed-out depending on what type of record you are viewing and your authority level

Shortcut keys can be of great use in minimizing mousing or key strokes

To turn on “View Line Items in Acquisitions (i.e., purchase order information) Menu option in the GIL Cataloging Module, you will need authorization to view Acquisitions and then login to the Acquisitions Module.

We will see the various menus and buttons in action.

There are 4 tabs to choose from in the search box:

Keyword (Boolean searching) Index (Non-Keyword), Builder, and History.

To move between tabs, simply click on the tab you wish to go to. We will see a demo of searching in a moment.

Let’s start with a simple Index search.

Index Search is also known as “Title/Author/Subject heading” in the OPAC

More indexes to choose from in staff-side than in OPAC via a drop down list.

Searches are not automatically truncated. Use ? or set preferences to “Automatic truncation for non-keyword searches.”

Ability to limit by location or headings type (e.g., LC call number, local call numbers, etc.)

We will explore this search a little more.

Index or Non-Keyword Searching

Choose between “find” or “browse” and use the pull-down menu and scroll bar to specify the search

You can use Builder with Keyword Anywhere to search for just about anything in the MARC record.

Use operators and (to include), or (to expand the search), not (to exclude)

Special symbols ? + * work the same as they do in the OPAC

Use quotation marks for phrase searching

Free Text is the equivalent to the OPAC Relevance Ranked Keyword search.

Finally, the search History tab displays a history list of previous searches. Selecting a previous search and click “Do Search” will repeat it; additionally limits can be added to a previous search. Clicking on EDIT allows the search to be refined or revised.
