President s Message

Since my involvement in GLA ARMA, Ihave heard talk about transitioning thenewsletter to an electronic format. Thecurrent state of the website and certain-ty that we will make a smooth transitionwhen beloved Technology Director stepsdown the year after next, has brought usclose to making a commitment to elimi-nate newsletter as a mailing. We wouldlike to transition the newsletter to onethat is electronic and accessible via ourwebsite. Meanwhile, our intention is tooffer those members without Internetaccess the option of receiving thenewsletter via email. Chapter meetingnotices would still be mailed eachmonth.

In the last month I have witnessed aresurgence of interest in participating onThe GLA Board of Directors. Unlike myyear as Vice President & PresidentElect, we have already filled the majorityof the board positions. The exceptionsto that are the C.R.M. Liaison, TheHistorian, Content Providers for theNews & Views and most importantly TheDirector of Education. For those mem-bers who are willing to commit to attend-ing the BOD meetings regularly andsharing their ideas; we welcome you tocontact me. We are also always lookingfor volunteers to occasionally help TheDirectors. Volunteers are invited to theBOD meetings and expected to sharetheir ideas just as The Directors areexpected. If you fall into any of thesecategories, please contact me at([email protected]).

It has been our intention to direct themembership more and more to the web-site. For those of you who check ourwebsite regularly (ARMA-GLA.ORG),you have probably noticed that the infor-mation residing there is current and reg-ularly updated. Next year we will evenoffer the membership the ability to payvia credit card while registering for theevents.

I was one of several GLA members whospoke at the CRM Workshop put on by theOrange County Chapter of ARMA on April5-6 at the Orange County SanitationDistrict. The 2-day workshop attractedinformation management professionalsfrom near and far interested in becomingCertified Records Managers.

The purpose of the workshop was to helpthose interested in and/or working towardtheir certification as a Certified RecordsManager. With the workshop split into aBasic Track and an Advanced Track, therewas something for everyone. Attendeesgained a wealth of knowledge about thecertification process in the Basic Track asspeakers talked about test taking strate-gies, de-mystified the application process,provided individual assistance with theapplication, and thoroughly covered PartsI-V of the exam. Those in the AdvancedTrack actually wrote a Part VI case studysample test that was graded overnightand reviewed the next day with the group.The workshop wrapped up with a presen-tation on "RM, RIM, SIM: What’s Next?"

It was heartening to be a part of thisenthusiastic group as they take the nextsteps in their professional development.

"To CRM or Not to CRM"

Speaking of becoming a certified recordsmanager A recent discussion on therecords management listserve talkedabout the importance of certifications andwhich ones are beneficial to records andinformation management professionals.John J. O’Brien, CRM, MLT, and currentPresident of the Institute of CertifiedRecords Managers wrote a personal testi-mony to the value of the CRM designation.He graciously agreed to allow GLA ARMAto reprint his comments

"Quick two cents on this between meet-ings. My certification directly contributed towinning my first managerial position yearsago. It has been a positive factor in secur-ing contracts, though I tend to work inorganizational change grounded on RMpractices and leadership coaching. I haveyet to find a RM program that employseither service - and that means my CRM isbeing appreciated by non-RM clients. TheCRM has added credibility in my educa-tional work and has been directly related

to teaching opportunities (college and uni-versity level, core curriculum as well ascontinuing ed. courses)."

"As Steve (Whitaker, member of the ICRMBoard of Regents) notes, a distinction ofthe CRM is that it is not a certificateearned through passing an ICRM spon-sored course. The inherent conflict ofinterest in generating revenue throughcertifying does not exist. The ICRM is anaccredited organization testing a body ofknowledge that represents some depth ofa broad range of RM fundamentals andincludes testing of management compe-tencies so that CRMs’ can integrate RMinto leadership contexts."

"FYI, the ICRM may well move into someeducational activity in the future, but if so,it will be as a means to provide develop-ment to the membership, not as a meansto educate towards the certification itself.This maintains a historical integrity that isimportant to our members."

"As a last thought, when going for a man-agement position, the HR departmentknew nothing of the CRM and did aninvestigation including review of the exam-ination outlines (see www.icrm.org) todecide how to rate the CRM. It was deter-mined that the testing of broad learningacquired over five years (max.) of com-bined formal and informal study, could be

equivalent to a graduate degree. It wasacknowledged that this would differdepending on the learner’s approach, aca-demic experience and competencies. (Ilucked out ;-)"

"The CRM examinations test a body ofknowledge. Because there is no onecourse that results in a CRM, most candi-dates study, experience, and learn far inexcess of any minimal requirement inorder to achieve the certification. That isalso why you will find CRMs who excel inspecial media management, others inarchival interests, others in leadership andmanagement, others in records facilityservices, others financial or HR manage-ment, in taxonomy design, etc. The learn-ing toward achieving the CRM is wherethe focus should be...it is empowering andsuccess enabling. The certification is icingon a cake of your own baking."

"In my view, the strength of the CRM liesas a foundation for excellence in RM prac-tice, and more, in grounding a variety ofbusiness and organizational practiceareas that are not deemed RM butinevitably rely on it. (What doesn’t?) Thisenables a CRM to pursue specializationsof personal interest, without abandoningthe field. It is the only certification of whichI am aware that offers potential to linkpractical RM concerns to conceptualissues of knowledge building for quality

outcomes, the purview ofleadership."

In an open society, there is no way toabsolutely protect yourself from identitytheft. However, there are some simplesteps you can take to minimize the riskof having your identity stolen. These 10rules of personal identity protection arebased on the best advice from theFederal Trade Commission (FTC) andcredit bureaus, and will help make youless vulnerable to identity theft:

1. Before providing personal identifyinginformation, make sure you knowwho is gathering the information, whyit is being requested, and how it willbe used. In the case of telemarketersis, if they called you and you don’tknow the caller, don’t share any per-sonal financial information, especiallybank account numbers or socialsecurity numbers. Even if their prod-uct or service interests you, ask themfor a number so you can call themback. Most telephone con artistswon’t give you a number, in whichcase, hang up.

2. Minimize credit card use and noteyour billing cycles. If the bills don’tarrive on time, contact the creditors.A missing credit card bill could meana thief has stolen either an incomingbill or outgoing payment. Keep yourcredit card account information in asecure place so that you can cancelall accounts if your wallet is stolen.

3. Check your bank account regularlyeither online or by phone to detectany unusual activity rather than waitfor your monthly statement.

4. Guard your mail from theft: don’tleave mail overnight in your box anddon’t put checks in your box to bepicked up. This is like leaving yourfront door open to an identity thief.

5. Never carry your social security cardin your wallet and don’t write thenumber down on a piece of paperand carry it. The result is the same.Never share that number unless it isrequired. There is no law requiringyou to provide your social securitynumber with a retail store. If a clerkwon’t take your check without yoursocial security number, ask for asupervisor or walk away without buy-ing.

6. Never order checks preprinted withyour driver’s license number or socialsecurity number on them.

7. Request a copy of your credit reportfrom each of the three major creditreporting agencies every year. If it isnot accurate, bring it to their attentionASAP. Pay particular attention to anyoutstanding accounts that are notfamiliar to you.

8. When shopping on-line make surethat you know with whom you aredealing. Identity thieves have high-jacked Web sites such as Ebay andPayPal and directed customermonies to their own accounts.

9. Destroy credit card receipts, creditcard offers, and any other recordsthat contain personally identifiableinformation. Buy an inexpensiveshredder or find another way to total-ly destroy old records no longerrequired. One of the favorite ways foridentity thieves to steal information isto go through your trash.

10. Password protect your bankaccounts and credit cards to add anadditional layer of security.
