Incentive Tour Group Visa Procedure

!Where to apply?

Visa applications of the tour group can be submitted at the Visa Section of the Embassy of Hungary in New Delhi at Tenejing Nargay Marg (adjacent to Niti Marg) Chanakyapuri, New Delhi – 110021 by prior appointment granted for the tour group by the Visa Section. Appointment can only be requested in e-mail sent to consulate.del@mfa.gov.hu.

Travel agents may wish to consider to lodge visa applications of the incentive tour group at the Hungarian Visa Application Centre of VFS Global at No 15-26 Block E 2nd Floor, International Trade Tower, Nehru Place, New Delhi – 110019 as well. How to apply?

!Visa applications can be lodged by travel agents for the whole incentive tour group presenting authorizations from each of the visa applicants certified by public notary (affidavit). Kindly be advised that failure to provide such an authorization results in automatic refusal of taking the applications at the teller of the Visa Section or the VFS Global visa counter.

!When lodging the applications travel agents are expected to prepare the visa applications of the tour group in the following fashion: !

1. Supporting documents for the whole incentive tour group in hard copy originals

!• Itinerary of the incentive tour group including names and passport numbers of the group members

stamped and signed by the representative of the travel agency. • Cover letter for the tour group referring to the commitments of the sponsor for underwriting the

expenses of the tour. Moreover, the cover letter must include names, and passport numbers of the group members and their relations to the sponsor stamped and signed by the representative of the company which sponsors the trip.

• Bank account statement of the sponsoring company of the last 3 months stamped and signed by the authorized person of the bank.

• Airline PNR of airplane ticket booking for the whole tour group including names and passport numbers of the group members stamped and signed by the airline’s representative.

• Hotel booking confirmation for the whole tour group including names and passport numbers of the group members stamped and signed by the hotel reservation management.

• Group travel medical insurance policy for the whole tour group under which individual group members’ policies can be verified. 2. Visa application files for individual members of the tour group

!• Application form duly filled and signed. Minors must submit an application form signed by both

parents exercising permanent or temporary parental authority or legal guardianship. Present a declaration of permission by the parent exercising permanent or temporary parental authority or legal guardianship in the case the minor is traveling only with the other parent. The declaration has to be hard copy original and certified by public notary.

• Passport which validity shall extend at least three months after the intended date of departure from the territory of the Schengen States. Please check out before applying whether the tour group members’ passports contain at least two blank pages and they have been issued within the previous 10 years. Please note that as informed by the Indian Authorities, the Schengen States’ consulates do not accept handwritten or not machine readable Indian passports issued after 01/04/2010 and

Indian passports that contain a manual entry (observation) made after 01/04/2010 if the biographical data page of the passport holder were changed.

• 2 passport-size photos no older than 6 months. Please note that the photo has to be color one; head-dress is permitted provided that all facial details are clearly visible.

• Visa fee of Rs. 5126 (EUR 60). Travel agents can pay the visa fee in cash when lodging the applications. !

The incentive tour group visa procedure applies only to those members of the group who travel together to and from Hungary. Those group members who travel separately or stay longer in Schengen Area then the incentive tour ends shall apply separately for individual tourist visa. Once the visa applications of the tour group are submitted for the visa procedure the Embassy of Hungary in New Delhi is not accepting adding on new members to the tour group or replacing tour group members. !
