1 Vigil Cloud Web Overview & Initial Setup

This quick overview will provide additional support during training that will be conducted. Should you require any further support, feel free to utilise the online help provided to you in the Vigil Cloud Web System or contact our support desk anytime on 011 207 5513.

To start using the Vigil Cloud Web system, you will need the admin user name and password provided by Altech Netstar. In order to use the system you will be required to complete the initial set ups listed in this user guide.

2 Accessing Vigil Cloud Web

The Vigil Cloud website can be accessed by navigating to the Pinpoint Communications website at https://vigilcloud.netstaronline.net/vigilcloud/main.aspx, and click on the Customer Login link.

A window will appear as seen below, you will be required to log in with the selected username and password.

3 IMPORTANT: Do you have Microsoft Silverlight Installed?

In order to use Vigil Cloud Web you will be required to install Microsoft Silverlight.

You can install Microsoft Silverlight by accessing the following Web Link: http://www.microsoft.com/silverlight - you will only be required to install Silverlight the first time you access Vigil Cloud Web.

4 Vigil Cloud Web System Setup Required

Departments – To access Departments from the main menu click Manage > Departments as seen in the below image.

To create a New Department select “New” as seen below.

The Code field is used when integrating to third party applications and is not required for all customers. Click “Save” once the department has been created.

Contacts - to access contacts from the main menu select Manage > Contacts as seen in the below image.

The below screen will be displayed, with the existing contact groups. To Add a New Contact select “New” as seen in the below image.

NOTE

Contacts are how you setup external notification of alerts and reports via SMS and Email. You can have as many Contact groups as you like and up to 15 persons in each contact group

For an SMS, only 5 contacts per group can have the SMS option added.

Alert Types: there are 4 Alerts Types available in the Vigil Cloud Web system, i.e. Vehicle Alerts, Place Alerts, Zone Alerts and Emergency Alerts. These alerts are triggered by an event on the unit.

Enter the Contact, name, description, contact number for the SMS alerts, contact email for email alerts, and check the required boxes. Once complete Click > Add as seen in the above image.

You will then see the below screen, displaying the new contact details, if the details are correct.

Click > Save

Global Settings - Enable customers to cascade settings from an organisational, departmental or group level for password security, vehicle alert and driver alerts.

This is particularly useful for customers with large number of fleets or users that may need to be organised in departments or groups with common characteristics or requirements.

To access Global Settings, Click Manage > Global Settings as shown below.

You will then see the Password Security, Vehicle Alerts, and Driver Alerts Tabs as shown below.

5 Vehicles

This menu allows users to manage various vehicle attributes including vehicle details, groups, permissions, operating hours and classes.

Vehicle Details - To access Vehicle details, select Manage > Vehicles > Details as seen below:

Operating Hours - as seen below: operating hours allows customers to associate a vehicle with the typical operating hours of the vehicle. Operating Hours are used for reports and alerts. This is typically used to show vehicles operating outside of the standard work hours.

To set vehicle Operating Hours, from the main menu, select Manage > Vehicles> Operating Hours. Click > New> enter the required daily operating hours and Click > Save.

NOTE

You don’t have to setup vehicle operating hours if it is not required

The effect of the operating hours is to provide various reports, privacy function and alerts of vehicles.

Vehicle Groups - The vehicle group feature allows customers to put vehicles belonging to a particular team/section in one group. Members of the same group are able to see all vehicles within the group.

To manage groups, select from the main menu Manage > Vehicles > Groups, as seen below.

The below window will appear. From this window you can edit or create a new vehicle group and have vehicles assigned to or removed from a group. Select “New” to create a new Vehicle Group.

Operating Hours - Operating hours allows customers to associate a vehicle with typical operating hours of the vehicle.

Operating Hours are used for reports and alerts. This is typically used to show vehicles operating after normal working hours.

To set vehicle Operating Hours, from the main menu, select Manage > Vehicles > Operating Hours.

Click “New”, then enter the details as desired and click “Save”.

6 Drivers

Driver Details – this tab will allow the customer to manage driver details, to access the driver details tab, select Manage > Drivers > Details as seen in the image below.

This screen enables you to record driver name, address and assign a Driver RFID number or Mobile Data pin number if purchased as part of the solution.

Once a Driver ID is created you can then assign drivers manually in two ways; i.e. pick from list in the ‘Vehicle Details’ screen or if managing a large number of vehicles and drivers use the ‘Assign Drivers’ screen.

To create a new driver select “New” as seen in the above image and enter the driver details as required.

To edit existing driver details, “Select” the required driver > click on the Details Tab > enter new details required > when complete click “update” to save your edits.

Driver Groups - Driver groups is a feature that makes it easier for administrators to manger driver permissions, etc.

For example if you want several drivers to have access to a particular vehicle/s, you can create a driver group and give that group permission to see that vehicle/s rather than assigning the vehicles to drivers individually.

To manage driver groups, from the main menu select Manage > Driver > Groups as seen in the below image.

You can create a new driver group or edit an existing driver group.

7 Reports

NOTE

Before running reports, ensure your internet browser screen is set to 100%

Running Reports - To run a report, from the main menu click Reports > Report.

The below report detail form will be displayed, follow the steps below to run a report.

Steps to running a report are as follows:

1 Select a vehicle to run a report on

2 Select the required report type from the drop down list, by selecting the arrow

3 Select the start and end time & date click on the to select the date

4 Tick “Map” to plot the report and include a map in the output

5 Select the report time zone

6 Click “Generate” for the report to be generated once complete

Scheduling Reports - Reports can also be scheduled to run at a set time, and can be sent by email to selected contacts.

To Schedule a report, from the main menu select Report > Scheduler.

1 Select the vehicle you wish to schedule a report for

2 Select the report type

3 Set the start and end time

4 Set the report options

5 Select the report time zone

6 Set the required parameters for the selected report (note these settings are different for each report)

7 Enter the report description (if required), select the report schedule daily, weekly or monthly, complete the setting listed in box 7 below.

NOTE

Run time should be set at least 30 minutes after the report end time, preferably 4.00am

Once complete select Save.
