Purchasing Standards

Treat America buys only from suppliers who get their products from licensed, reputable sources and manufacturers who inspect goods and adhere to all applicable health regulations. Our Corporate Purchasing Department will establish standards to meet your expectations and issue RFP’s to suppliers of food and other products, select purveyors and monitor prices. We establish long term contracts for meats, groceries and staples. Our on-site management is provided with a policy and procedures manual which spells out guidelines and provides detailed information along with updated pricing to assist in evaluating purveyor service.

In order to meet our purchasing objectives, Treat America uses the following purchasing programs:

National and Contract Programs Master Distributor (meat, groceries, frozen,

produce, paper, janitorial supplies) Local Purchasing Programs

Treat's main purchasing vehicle is the use of the "Master Distributor" program through Sysco. The advantages of this program are:

Products distributed at an agreed upon mark-up by product category. Makes one purveyor accountable for most of our purchasing needs. Provides a consistent pricing formula that can be audited. Maintains consistent product standards.

We purchase only high grade products, and creatively incorporate all available commodities into your dining program.

Foods that contain potentially life-threatening substances sensitive to individuals (allergies) will be clearly identified to the consuming public: gluten-free, etc.

All drug-testing information will be maintained in separate confidential records. Background Verification Pre-Employment Policy

Employment offers are contingent upon acceptable results from pre-employment background checks. While emphasis will be placed on acceptable results of the background check, other qualifications will be considered when making offers of employment. Some convictions that may be disclosed as a part of a routine background investigation do not necessarily disqualify an applicant from gaining or maintaining his/her employment. If at any time, during the pre-employment or post-employment process, a candidate is found to have intentionally falsified information requested on their application or other essential data considered for employment purposes, the candidate will no longer be eligible for employment with Treat America.

During the application and interview process, should a candidate prove to be a viable one, the candidate will be required to sign a waiver or disclosure allowing the said Corporation to engage a third party, Consumer Reporting Agency to conduct a background check. This background check will be used for employment purposes only and will be conducted according to the federal mandate of the Fair Credit Reporting Act, (Consumer Credit Reporting Reform Act of 1996; Section 603.)

TAFS | 8

Page 9:  · Web viewWe understand your desire to put forth a quality dining program for the scouts and staff each year. To that end, we are proposing a program featuring the freshest chef

The background check may include, but may not be limited to:

Social Security Check Employment Verification Education and/or Certification Verification County, State and Federal Criminal Record Searches Driving Records Credit Checks Sex Offender Registry Check Appropriate License Verifications

Additional verifications may be required based upon availability, individual circumstances and/or position requirements.

The Social Security trace, education verification, and employment verification will be required for each potential employee and will be conducted to confirm validity of information and accuracy of data provided by the applicant.

A County, State and Federal record check will be conducted on each candidate. It should be noted that having a criminal record, will not automatically exclude a candidate from employment. Each and every record will be reviewed on an individual basis. However, it is the standard practice of the company to:

Accept no felony convictions (see below) Review all convictions Accept no convictions involving violence against persons Accept no convictions involving theft or embezzlement Require a copy of any probation or parole orders Disqualify applicants with three (3) or more criminal convictions within a five (5) year

period. Applicants who have been convicted of a felony may not be considered for employment if the nature of the conviction indicates a potential risk to our Team Members, customers, clients, company equipment, proprietary or confidential information, business integrity or our drug-free workplace. Conviction of such a felony by an existing Team Member may result in the termination of their employment.

Driving records checks will be conducted for all candidates that will have driving responsibilities as a part of their employment. Candidates, who are applying for positions that do not have driving responsibilities, will not have a driver’s license check conducted. However the Company reserves the right to check driving records of employee’s who become eligible for positions that include driving responsibilities at that time, and for other employees and candidates as deemed necessary by a member of the Human Resources. These records will be reviewed and evaluated on an individual basis.

Individuals, who have driving requirements as a part of their position, will be subject to a semi-annual review of their driver license; these checks will be conducted at the company’s discretion as a mandatory insurance requirement. In order to maintain employment, drivers must maintain an acceptable level of driver’s license status as allowed by state regulations, company policy and insurance mandates. This includes:

The driver’s license is valid, not revoked or suspended There are no more than three (3) moving violations within a one (1) year period No alcohol or drug-related convictions within a one (1) year period

If employment is denied based whole or in part on the information found in a candidate’s background report, including the credit report, the candidate will be notified in writing, as required by the Fair Credit Reporting Act (Adverse Action Letter). The notification will contain instructions on how to proceed if the candidate feels that the report has been made in error. The Consumer Reporting Agency, which provides the report to the Company, may also be contacted. As noted in the preceding information, each case will be reviewed on an individual basis. Specific facts and circumstances will be considered, along with company policies when reviewing information obtained in a background report.

Employee Retention

We are extremely successful at retaining quality employees. The national average of turnover in the Restaurants and Accommodations sector of the Hospitality industry is over 72% and ours is less than half that rate. Our success in this area is a result of our careful screening practices, as well as our ability to foster supportive working environments. We also provide comprehensive training, competitive wages and a full benefit package. Additionally, we instill loyalty and promote employee satisfaction with our corporate policy of promoting from within the company.

Performance Evaluations

Employees are routinely evaluated to assess the quality of their efforts and determine the need for further training and development. Our Director of Operations will complete these evaluations for all on-site staff members on a periodic basis. Regular facility visits and feedback from you and your employees are critical components in the evaluation process. It is our pledge that the Treat America employees who staff your food service facilities will be competent and capable in all aspects of their daily responsibilities.

Labor Practices

Treat America maintains compliance with all local, state, and federal laws including but not limited to fair employment practices, lawful wage and hour practices and occupational safety and health requirements. These polices are stated in our Team Member Handbook which is reviewed by outside counsel and monitored for compliance by Regional HR Managers. All Treat America managers have been trained on these policies.

Policies

We have a comprehensive Policy & Procedures Manual which establishes standard operating procedures in our food service locations. All employees are required to familiarize themselves with the policies in place and are expected to abide by established procedural guidelines at all times. A copy is available for review at your request.Uniforms

Treat America emphasizes neatness and cleanliness for all our employees. We provide our dining service staff members with contemporary styled, logo uniform shirts. In some cases we customize the uniform to compliment the décor at specific locations. Our chefs wear white cooking coats and our catering staff wears black logo shirts. All Treat America food service associates wear clean slacks and black Shoes for Crews footwear with slip resistant soles.

Performance Tracking

We employ a standardized managerial/reporting model in all our food service locations. This includes weekly and monthly written reports detailing sales, average ticket totals, inventory levels, staffing, payroll, new issues and ongoing concerns. We remain willing to customize this model to meet any of your additional requirements. Typically, our reporting schedule is structured this way:

Site manager and client contact(s) meet daily.

Site manager, client contact(s) and district manager meet monthly.

Site manager, client contact(s), district manager and regional director meet quarterly.

We feel this system allows all parties to stay abreast of issues and facilitates problem resolution. Internally, communication is maintained at all times among members of our management team through the use of email and smart phones, which allow our team members to quickly consult with each other at any time. This provides rapid response to any and all procedural issues.

Automated Tracking and Reporting

Treat America’s ordering, reporting and billing processes are all done through a customized web based application called BusinessTrack, which allows us to access an up-to-date ledger of all account activity at any time. This system provides real time tracking of all accounting information for each unit, allows for up to the minute reporting, and can quickly detail nearly any KPI (Key Performance Indicator) requested including gross sales and sales by item.

BusinessTrack allows for weekly P&L statements with complete inventory adjustment to make available the most up to the minute information. For example in our dining facilities, we track participation rates and check average on a daily basis. BusinessTrack also allows our clients direct access to online menus, nutritional analysis and catering orders.

Food Safety and Sanitation

Ongoing employee training fosters professional growth, job tenure and, ultimately, the success of our food service operations. Each Treat America employee undergoes comprehensive training to ensure success in meeting our exacting service and sanitation standards.

Your food service program will have the highest degree of safe food handling procedures available in the food industry today. Treat America managers complete extensive food safety training that includes the concepts of HACCP (Hazard Analysis Critical Control Point), a step-by-step, quality control based food handling system.

TAFS | 12

HACCP Policy

For our clients and customers, safe food and cleanliness rank in importance with quality and price value. Frequent news articles about investigated food borne illness has heightened everyone's awareness of the importance of the proper methods and practices in safe food handling. Food safety certification for all management, food safety training for employees, food safety audits and a "clean as you go" approach to sanitation is not optional; it is required for our success and business growth. Knowledge of the state, and/or local health department regulations is also necessary. Where those regulations may be less strict or detailed, HACCP guidelines will apply.

Food Safety: Manager Training

Treat America managers must complete food safety training in the ServSafe program developed by the Education Foundation of the National Restaurant Association. The program includes:

Introduction to Food Safety: Employee Health and Hygiene Causes and effects of food borne illness Identifying potential problems Proper hand washing techniques Sanitary personnel habits

Compliance Procedures

We develop in our employees an attitude of caring and pride, which is paramount to quality assurance at every level. These are some ways we manage for sanitation and safety compliance:

TEACHING – every day, through telling, demonstrating and following up.

DAILY PRODUCTION MEETINGS – address the day's requirements and emphasize quality and safety.

FOOD SERVICE OPERATORS SANITATION CHECKLIST – a daily checklist that addresses the following areas for routine maintenance: dining areas, kitchen food prep areas, storage areas, dish room areas – bussing, machine and dish handling.

MONTHLY SAFETY INSPECTION – conducted by the Food Service Director and periodically rotated to the current Safety Coordinator, who is appointed monthly from the ranks of the unit staff employees. This helps us further emphasize that safety and sanitation are everyone's responsibility.

SANITATION SCHEDULE (daily, weekly and monthly by position) – sanitation and cleaning are an integral part of each employee's job description. This is emphasized in the Sanitation and Cleaning Manual provided to all accounts through our affiliation with Eco-Lab, the industry leader in food service sanitation. This manual details proper schedules, procedures and chemicals for thorough sanitation standards.

PERFORMANCE APPRAISALS – employees are evaluated twice a year on their respective role in the overall cleanliness of the entire unit. Managers, in particular, are compensated based on sanitation barometers, such as Health Department Inspections.

Allergy Labeling

Treat America provides complete nutritional information on all menu items complete with the recipe so students can be aware of any potential allergens. Customers can also access this information online.

Audits

We conduct formal, scored audits of all food service units. A sample of our Quality Audit form is shown on the following page.
