INTRODUCTION

Co-curricular activities in the Eldred Central School District are an extension of the academic environment. It is expected that all students involved in all co-curricular activities will follow rules and regulations which will insure academic as well as co-curricular success. Co-curricular participation is a privilege that carries with it responsibilities to the school, to the team, to the student body, and to the community. When a participant accepts this privilege, he/she must also live up to a code of conduct beyond that of the general student body, on and off school property, during the season and the off season.

OBJECTIVESBy agreeing to coach, you have accepted the responsibility to familiarize

yourself with the contents of this manual and to comply with all policies and procedures of the Eldred Central School District, as well as the Section IX Athletic Council and the NYSPHSAA. You are obligated to uphold them, regardless of personal feelings or differences of opinion. The Athletic Coordinator shall distribute this handbook. The coaches, in turn, will be expected to know all of the duties, responsibilities, rules and regulations pertaining to their sport and to conduct their programs.

The coaching handbook should answer many of the questions you may have, but by no means should it be the final word. No matter how trivial you might feel some issue may be, if you are unsure you should always contact the Athletic Coordinator if you need clarification.

Expectations for Coaches

There are seven areas of primary responsibility for coaches in this District. They are as follows:

1. Adequate Supervision: Supervision means closely monitoring the action of your players at all times. We expect you to never leave a practice or game unattended. Be sure that athletes are properly supervised from the time they report to practice until they leave for home. You are the person responsible for the safety and well-being of each and every athlete on your team. That responsibility only ends after you have seen them safely off premises or into their parent’s custody.

2. Sound Planning: Proper planning should precede everything you do as a coach. It is especially important when teaching sport skills to athletes. Progression in your teaching sports skills is essential. You must plan your skill instruction so that athletes do not move to rapidly into advanced skills that perhaps are beyond their level of readiness. Plans should be recorded and documented. Each coach is expected to be knowledgeable in the fundamentals of the sport he/she is coaching.

3. Inherent Risk: Though it is already spelled out in the Athletic Handbook for Athletes and Parents, you have a legal duty to warn your athletes of the inherent risks of their sport. Inherent risk is defined as one incurred in a normal game played within the rules on a safe facility by trained players who have had qualified instruction and who know, understand, and appreciate the risks of the game. It is a good idea to remind your athletes frequently and regularly of the risks of the game.

4. A Safe Environment: It is your responsibility to provide your athletes with a safe facility and with good equipment in proper condition. You are responsible for recognizing potential hazards that could cause injury and eliminating, repairing and or reporting them. You must inspect the playing, practice areas often and warn your players of any potential hazards. You also should constantly check the condition of your equipment.

5. Evaluating Injured Players: You are required to make sure your athletes are physically ready to perform safely. Us the advice of physicians, athletic trainers, nurses, and parents to help you decide on a player’s condition. You must also consider the mental state of your athletes; never force players to participate if they do not wish to. Players must have a physical examination before being allowed to participate and must be cleared by their/the district’s doctor before returning after an injury. You also are required to follow the District’s concussion protocol.

6. Matching Participants: You have a responsibility not to mismatch athletes in your sport. You must be absolutely certain that your players are not put at a serious disadvantage by the manner in which you have matched or equated them for competition. When matching your athletes you should consider such facts as skill level, years of experience, maturity, height, weight, and age.

7. First Aid and Emergency Medical Procedures: You must provide proper first aid. Follow the medical procedures as listed on pages 7 & 8. Notify

the Athletic Coordinator and Nurse within 24 hours of an injury. You must be familiar with and follow the concussion protocol.

INTERSCHOLASTIC ATHLETIC COACHJob Description: All interscholastic athletic coaches are directly responsible to the Athletic Coordinator. In fulfilling their duties and responsibilities, all coaches are expected to:

The coach will report all complaints from other schools, teams, parents, and observers to the Athletic Coordinator and will bring such complaints about other schools to the Athletic Coordinator.

Assume complete responsibility for the conduct of their team. Establish training rules above and beyond the student and sports

handbooks rules and ensure that these rules are fully explained to all athletes and that they are distributed to and signed by each athlete’s parents and returned and a copy is on file with the Athletic Coordinator.

Establish positive relationships with coaches, athletes, parents and community members.

Supervise the use, issuance, return, cleaning, inventory and storage of equipment, uniforms and supplies.

Submit equipment and supply requests to the Head Coach or Athletic Coordinator.

Make recommendations for use and improvement of school facilities. Attend meetings called by the Athletic Coordinator. Attend league, section

and coaches association meetings, and end of the school year banquet. Prior to the start of each season, conduct a meeting with athletes to explain

try-outs, method of selection, cutting procedures, Sports Handbook, hand out required paperwork and other key matters.

Submit a team roster to the Athletic Coordinator within one week of the start of the season and update as necessary.

Administer first aid as required and report all serious injuries to the Nurse and Athletic Coordinator. Accident Reports must be filled out within 24 hours of injury.

Report scores to the news media as necessary. Secure the assistance of student managers to aid in conduction games; for

example, chain crews, statistician, ball runners boys/girls these positions are not paid by the district.

Schedule and conduct practices on a regularly scheduled basis and coordinate these with other coaches utilizing the same facilities.

Complete end of season reports (see appendix). Conduct themselves in a professional manner during all practices and

games, and notify the Athletic Coordinator of any incident that occurs, including but not limited to, a coach or athlete being ejected from the competition and or any other unsportsmanlike conduct on the behalf of the Eldred players or staff or the opposing team, within 24 hours of occurrence.

Keep abreast of the latest development, changes and modifications in their sport.

Make decisions regarding his/her particular team, in keeping with established policies and procedures. However, when decisions are of a broader scope and affect other coaches and other teams or when the problem clearly falls with the jurisdiction of the Athletic Coordinator, action should be reserved for the Athletic Coordinator to review and discuss the matter more fully.

Keep current certifications including CPR/AED, First Aid, Concussion and all coaching licenses as required by NYSPHSAA.

COACHING CODE OF CONDUCTForm of Address: Require that athletes call you “Coach” or Mr./Mrs. Miss as appropriate. Keep a professional distance between yourself and your athletes.Language: Please carefully consider the language you use when speaking to or in the vicinity of any of our students, parents, and member of the community. Remember that Eldred is an educational institution first and foremost and that you are now part of a team of educators. The language and habits that your student-athletes observe will undoubtedly become a part of their make-up. If you lose control of your emotions, it is difficult to expect the athletes under your direction to maintain theirs.Sportsmanship: Good sportsmanship does not happen accidentally. It takes a lot of hard work, a great deal of courage and dedication to stand up and tell people when they are wrong or take the extra time to make sure things happen right. As coaches this is one of our most important responsibilities and if we are successful in this, we will have attained a more lasting mark than any championship could bring.

You are the Coach, not their Peer: Always remember, wherever you are with your athletes, you are an extension of Eldred Central School and all school rules follow.Never be alone with an athlete: It is important that we avoid finding ourselves in a closed room with just one other athlete. While there may be times this is unavoidable, such as talking about something that should only be done in private, it is in your best interest not to put yourself in the position of being alone. Always keep a door open or include another coach to protect yourself and the athlete.Coaches may not transport athletes: Players will travel in team arranged transportation. Coaches may not provide personal transportation to any athlete at any time. In an emergency, call upon parents and get it cleared.Do not take athletes to your residence: Do not take an athlete to your residence, nor should you visit an athlete’s residence. The only appropriate exception is when there is a team function at a residence, and the entire team is present as well as parents.Coaching Varsity, JV Modified teams: If you are a varsity coach, it is required that you have an active partnership with your JV/Modified program. If you are a JV/Modified coach, it is expected that you will work with your varsity coach. A successful program must have cooperation between all teams. As a varsity coach you need to support your JV/Modified coach and his/her athletes because they are your future.Equipment Room: The equipment room should be for coaches only. It is not a place for student athletes. Please respect this room and do your part in taking pride in keeping it clean and organized. See to it that all equipment is cleaned and neatly stored in its proper place.Medical Clearance: The student athlete must be medically cleared by the school nurse to participate each year. The student athlete must have on file in the nurse’s office a current physical (good for one year), and interval health form. Failure to have proper documentation will leave the student ineligible until completed.Practices and Games: Teams may practice 6 days in a week. Sunday practices as a rule should not happen until after 1pm and if this does occur the Athletic Coordinator must give prior approval. The Athletic Coordinator will be responsible for the scheduling and or rescheduling of all athletic contests.Discussions/Problems/Surprises: Please contact the Athletic Coordinator if any problems or conflicts arise. Receiving a phone call or a personal visit from

a constituent without being informed of what has happened make the situation more difficult for everyone involved. Every item listed in this book is an assumed responsibility when you are coaching a team. Remember you are not working alone and your actions, or lack of them, affect each member of this coaching staff.

FIRST AID PROCEDURESCoaches are expected to have a fully stocked first aid kit with them during all practices and games. Ice or cold packs are first aid treatments for almost all injuries and should be available at all times. An ice machine is available in the boiler room and should be used as often as possible; ice packs have a very limited length of cold and are not as effective as true ice. Drinking water should be available at all practices and games. Each coach is responsible for securing a water cooler at the beginning of the season from the Athletic Coordinator’s office and keeping it sanitary.

Notify the Athletic Coordinator in person, by phone, or email in the event that an injury occurs, that requires medical attention; ambulance or doctor visit. In addition injured students shall not be allowed to practice or play in a contest following an injury until they have a medical release from their doctor. The nurse will provide a copy of the release to the coach and the Athletic Coordinator. Do not accept a medical release from an athlete; get it to the nurse for clearance.

Vacation Practices (during the school year)If you plan to practice over a vacation (Thanksgiving, Christmas, Mid-Winter, Spring Break) give the Athletic Coordinator a detailed practice schedule one week prior to vacation. Remember custodians may not be on duty during vacations, so you are responsible for building security. Snow day practices or emergency close days there will be no practices!

Scheduling of Contests or ScrimmagesAll league and non-league contests will be scheduled through the OCIAA office and adjusted by the Athletic Coordinator. Scrimmages may be discussed between coaches but are scheduled by the Athletic Coordinator. If you want to scrimmage a certain team requests should be submitted as soon as possible.

Cancellation of PracticesWhen a practice needs to be cancelled, the Athletic Coordinator needs to be notified as early as possible no later than 1:00pm of the current day.
