Guide to database for Dictionary/Glossary 27.09.2012

The Glossary has more than 4.100 Danish and English words, many of them with supplementary explanation in either Danish or English (or both). They are words within the transport (especially railway) sector. Hereto comes that there are a lot of abbreviations and facilities for reports.

The Glossary (ordbog) is on the server Afil1\Bane (M:\) M:\Ordbog\ordbog.accdb.On the menu at the bottom of the screen you can see the legend: The link is: \\Afil1\Bane\ordbog\Ordbog.accdb. Afterwards the Glossary has to be run from the local disc C:\. Else the users will block for each other. That means that the Glossary has to be copied to C:\. This has to be done from the button ”Copy to C:\Dokumenter” inside the database.

When the Glossary has been copied you have to start from the copy on C:\. Sometimes a new version is made and if so you have to copy once more by clicking the button.

The database has a Head menu and a Report menu. They are quite logical and self-explanatory!

You will be registered (traced) when opening the database or if you change or make a new word!

Security adjustingAs the database includes several facilities programmed i Visual Basic, it is necessary to adjust the pre-defined security level in Access. The place for the Glossary has to be approved and VBA has to be accepted. Click on the Office symbol, choose Access settings, choose Security Center, choose places you trust, click Accept places you trust at your network and write (and accept) C:\dokumenter, M:\Ordbog and C:\Ordbog (including subdirectories).

First-time user and if there is a new versionIf it is the first time you open the Glossary and afterward at new versions you’ll be asked to copy the front end of the Glossary to your C:\. This has to be done from the button inside the database.

If you open this file and as well open the file C:\Ordbog\Ordbogsmakro.xlsm and run the macro LayoutOrdbog from Ordbog.xlsx (macroes could be found in the tab for developer), the extract will be formatted. So it won’t fill up more than 700 pages, but only 140 pages! The security level in Excel has to be adjusted similar to Access if you want to use the pre-made macro.In the macro file Ordbogsmakro.xlsm is an additional help in Danish!

The Glossary has about 3.700 words. Danish and English are connected 1:1. If there are more possibilities they are mentioned in the description as: or Xyz, or Abc respective eller Xyz eller Abc.

Remark that the explanations are not directly copied from materials with Copyright!


Adjustments in Security Centre / Indstillinger i sikkerhedscenter (Danish and English are mixed together)

If you are a first time user you have to adjust the security level in Access (and in Excel if you want to use the macro as earlier described).

Not all users will meet the same warning windows. If you miss one go further to the next one.

A little more than 75 % will meet this window to activating VBA programming. Do activate!VBA means Visual Basic for Applications.

To activate and adjust the Security Centre click the Office symbol at the top left and choose Access settings:

If the Database haven’t been copied yet do it now by Clicking the button and shut down the database. Close the database by clicking the X in the upper right corner

Then you open Access via the Start menu (or from the explorer on C:\Dokumenter. Doubleclick).

Click More, If the Glossary isn’t among the preselected posibilities. (First time it isn’t)

Ordbogen (the Glossary) can be found via This Computer, C:\ and C:\Dokumenter and you can choose! Please have lot of pleassure!

Facility to propose a new word

If you miss a word and are unsure how to translate, you can send a mail and propose a new word by clicking the button Propose word.

Write the word in the textbox, click OK and answer Yes (Ja) to add a new record

Then a new mail is opened. In the mail please repeat the word and it would be a help if you have one or more ideas to the translation

When you have finished the mail click Send.


The Glossary used as single user stand alone version (without network)It is possible to run the Glossary (ordbogen) as a single user version without admission to the network, if you by yourself copy the files to C:\ (while you have network admission).This could be smart, if you are working from home or are on an official journey abroad.

When you copy the front end of the Glossary Ordbog.accdb there will be made a subdirectory C:\Ordbog where some of the files are placed, for example the back-end and this guide.

To this subdirectory the back-end etc has to be copied.

Then you have to make your own M-drive. This can be done by running SubstMdrev.bat, which is placed in C:\ordbog. Hereby the M-drive is synonym to the C-drive!

SubstMdrev.bat shall be runned (doubleclick on the file in Explorer), before you start the Glossary.

You shall also by yourself copy the back-end Ordbog_be.accdb while you have network admittance. The Copy buttons will only work when you are on the network.

If you run the Glossary this way it won’t be updated automatically.

The Glossary as CD-version or by mail (without network)It is possible to make a CD with the Glossary (or use an USB stick).

As Access can’t be opened on a CD you have to copy the files by yourself to the 2 directories on C:\

Make (create) 2 directories on C:\ and afterwards copy the files:C:\DokumenterC:\OrdbogThe files shall be copied from the similar directories on the CD

Before you start the Glossary you have to run SubstMdrev.bat each time. This Subst-file is in the directory C:\Ordbog. The Security settings have to follow the recipe on page 5-7 in this guide.

If you run the Glossary in this way it won’t be updated automatically.

In stead of a CD it is possible to mail the files, but because of the Outlook safety it’ll be necessary to change the file extensions. In the mail there are 2 files which describe how to do this.

At the look-up formula both the english and the danish description are included. They might be empty if there's no description.
