1  PURPOSE

The purpose of this document is to present a clear and concise procedural outline for using ISMS

module of VAIL-Plant so that the user may be able to utilize all its features. We have listed step-

wise procedures for performing tasks along with screenshots to aid practical understanding.

This document details the methods of using features of the module such as scheduling

inspections, performing NDT recording, accessing PIE Reports, going through the workflow of

reviews and approvals, determining the next inspection date etc.

It is assumed that the operator is familiar with MS Windows, MS Office and so this is not

covered in this document.

3  SYSTEM REQUIREMENTS

This section details the system requirements on both the server and client sides in order to run VAIL-

Plant.

3.1  Application Software Requirements

There are two different options for deploying VAIL-Plant on the server and client. Both options

have been detailed below.

1)  VAIL-Plant installed on server

For this option, the VAIL-Plant Application software will be installed on a Server and the client machineswill run this installation from a shortcut to a network drive.

Server Side Software Requirements

VAIL-Plant application

SQL Server 2005 Express Edition or Above

Microsoft Windows Server 2003 or above

Microsoft Chart Controls 3.5.0 or higher

Crystal Reports 10.0

Microsoft office package 2003 or higher as utility for data exporting and reporting purposes

Client Side Software Requirements

Microsoft Windows XP (Service Pack 2), Vista or 7

Microsoft .Net Framework 3.5 or above

2)  VAIL-Plant installed on each PC

For this option, the VAIL-Plant Application software will be installed on each client machine.

3.2  Hardware Requirements

 Application Hardware Requirements 

Below are the minimum hardware requirements for running VAIL-Plant application:

Pentium class processor, 2.1 GHz (recommend Core i3 Class)

1 GB Available RAM (recommended 2 GB)

1 GB hard drive space minimum on installation drive (recommended 50 GB)

 Database Hardware Requirements

The VAIL-Plant Database will store a lot of information, and will increase in time. Attached documents

can be stored within the Database using BLOB and CLOB fields. They can also be stored out-with the

database. If storing documents in the Database, the size of that Database is likely to increase considerably.

Therefore, it is impossible to determine exactly how much hard drive space would be required for VAIL-

Plant Database. It is recommended to store out-with the database to attain good performance from

database. The information below is only a rough guide.

At least 8GB hard drive space

4  SOFTWARE INSTALLATION

Software installation instructions are provided in the VAIL-Plant Installation Manual Revision

1.2. In this manual, we consider that the software has been successfully installed using the

information provided in the Installation Manual. The installation places one shortcut on the

user’s desktop as well as two menu items in the program menu.

5  SOFTWARE STARTUP

5.1  Startup

The software can be started using either of two methods:

1)  The VAIL-Plant Installation shortcut on desktop

The desktop shortcut of the VAIL-Plant Installation is the easiest method to start VAIL-

Plant. Double click the icon highlighted in the above screenshot to start the application.

2)  The VAIL-Plant Installation shortcut from the program menu

Click the Start icon and select “All Programs”. Go to the folder named “VAIL-Plant”. On

clicking this folder, an icon of VAIL-Plant application shall appear. Click once on the

icon in order to start the application. The figure below illustrates the shortcut icon for

Windows 7.

Every time the user starts VAIL-Plant, a login screen as shown in the above screenshot will bedisplayed. A valid username and password will be required for login. These will be provided by

the administrator.

5.2  Dashboard

Successful login gives way to the VAIL-Plant®

dashboard as shown in the figure below. All

these modules are also located on a ribbon and are accessible from every screen of VAIL-

Plant®. User shall be able to click on only limited icons, based on the settings configured by the

administrator for the assigned user group. The rest of the icons shall be inactive. On the

dashboard, an active module icon is one whose border turns black in color when you place your

mouse over it. Clicking the ISMS icon opens up the ISMS module.

5.3  Button Ribbon

On entering the ISMS module, the screen as shown in the below figure shall appear. There is a

ribbon containing button icons of all VAIL-Plant modules at the top of the screen. This ribbon is

accessible from every screen of the application and is used for easy navigation across modules.

The ribbon contains button icons for all the modules of VAIL-Plant each for a different set of

equipment. It also contains the functions of logging off and closing the application. This ribbon

is always accessible from any screen of the application. Some of the important button icons on

the ribbon are listed below.

5.3.1  ISMS (Inspection Scheduling and Management System)

ISMS module is accessed via the ISMS icon in the ribbon. ISMS module manages Inspection

scheduling, approving, dispatching, and recording of engineering data gathered during an

inspection. It also manages the workflow of review and approval of this data and facilitates PIE

reports, their review and approval. Therefore, it is named as Inspection Scheduling and

Management System.

5.3.2  COMPANY Button

COMPANY setting form is accessed via the Company icon in the ribbon. Company form

 provides the information of a company which will use VAIL-Plant and administrator can edit or

update this information according to his company profile.

5.3.3  LOG OFF Button

User can log-off application by clicking on the Log-Off button icon in the ribbon. Clicking this

 button will return user to the login screen.

5.3.4  CLOSE Button

VAIL-Plant can be closed by clicking on the CLOSE button icon in the ribbon.

5.4  User Details

The bottom right corner shows the username with which the user logged into the software. This

username is based on their roles and responsibilities. It also shows the login time, Server name

and database time. It has a link to change the password.

6  ISMS (Inspection Scheduling Management System)

This section deals with creating an Inspection order. This module can be used to schedule

inspections for any module such as PEMS, SIMS and PSVMS etc. An Inspection order may go

through the following phases before being closed:

  Scheduled (Planned against a range of dates)

  Approved (Scheduled Inspection)

  Pending (Before execution date)

  Executed

  Reviewed

  Completed

  Accepted

  Backlog (When 30 days have passed after the Inspection Date)

  Rejected

The detailed logic flow for the process along with the roles involved is shown in the

diagram on the next page.

6.1  How to enter into the ISMS module?

There are two ways to get into the ISMS module:

1) By dashboard

After logging in, click on the ISMS icon on the Dashboard screen as illustrated in the

screenshot in figure 5-5.

2) By clicking on the ISMS button from the ribbon

If you are already within the application, working on another module, click on the ISMS

(Inspection Schedule Management System) button on the Button Ribbon as shown in the

screenshot below.

6.2  How to schedule an Inspection?

The Inspection Planning Coordinator (IPC) only has the permission to schedule an Inspection.  

An Inspection for an asset must first be planned as described in the chapter on ‘Inspection

Planning’. The data entered shall then appear on the ISMS screen.

1)  Enter ISMS Module. The screen as shown in figure below shall appear. The ‘Schedule

 New Inspection’ tab is active by default.

2)  Select the required module from the dropdown ‘Insp Module’. Each of the modules:

PEMS, PSVMS, SIMS, LEMS and MEMS are options in this dropdown.

3)  Select the required asset by selecting the appropriate values in the fields ‘Area’, ‘Train

 Number’, ‘Plant Number’, ‘Equipment Type’ and ‘Equipment Number’.

4)  Specify the number of days of the Inspection or the range of dates using the ‘From Date’

and ‘To Date’ fields. Click on ‘Set’ or ‘OK’ respectively. All the Inspection tasks created

for this asset through the ‘Inspection Plan’ tab are displayed on the screen as shown in

figure below. There is a color code as displayed on the screen to distinguish the status of

the Inspection.

5)  Check on the box/es against any pending Inspection record/s and click on the ‘Schedule’

 button located in the lower left corner of the screen. A dialogue box as shown in Figure

above shall appear. The first dropdown field in this form contains a list of all existing

Inspection packages (scheduled beforehand) as well as one option as “Create New”. If

you want to create a new Inspection package, then select the “Create New” option in the

first dropdown as shown in the above screenshot and enter a name for the Inspection

schedule. If you want to add the selected inspection/s to an existing Inspection package,

then select the existing Inspection package name from the first dropdown. This name will

 be auto populated in the second text box.

There is an option to retain the inspection techniques contained in the PIR of the selected

records or to manually select the inspection techniques by checking the required itemsfrom a list on this form. On clicking OK, the selected inspection/s will be added to the

specified Inspection package.

In the manual selection, all the inspection techniques covered in VAIL-Plant for that

 particular module are listed as options. For each of these techniques, specific forms shall

 be available for recording.

For instance in PEMS module, the inspection techniques available for manual selection

are:

Visual Inspection, UT Gauging, UT Scanning, Radiographic Testing, Magnetic Particle

Inspection, Dye Penetration Testing, Automated Ultrasonic Testing, UT Chime, Pressure

Testing, Hardness Testing, Cathodic Protection Testing, Eddy Current, Surface Eddy

Current, Phased Array Inspection, TOFD, TGI, IRIS and General Technique.

The record/s shall change color to grey on the Inspection Scheduling screen indicating

that they are now in the scheduled status and disallows selecting these records for

scheduling again until they complete their present inspection cycle.

The IPC user may select any record and raise notification or create work order for it in

SAP before scheduling its inspection by clicking on the “Create Notification” and

“Create Work Order” buttons. This is detailed in section 6.9.

For the course of this manual, let us consider that we create two different Inspection

 packages named “Insp Schedule 1” and “Insp Schedule Non- NDT”.

6.3  How to approve an Inspection?

The Plant Inspection Engineer (PIE), Lifting Equipment Engineer (LEI), Corrosion and

Metallurgical Engineer (CME) and Painting and Insulation Inspector (PII) have the permission to

approve a scheduled Inspection. 

The PIE has the control to determine which records need NDT (Non Destructive Testing) and

which do not. Below are the steps to approve an Inspection.

6)  The PIE enters the ISMS Module.

7)  Click the ‘Approve Inspection’ tab. The screen as shown below shall appear.

8)  Select the Inspection package name from the ‘Insp Package’ dropdown. Here the PIE

may uncheck “NDT Required” checkbox for those records for which NDT is not

applicable. By default, all records are marked as NDT Required. This step onwards,

records marked as NDT required follow a different workflow route than the records

marked as NDT not required.

To facilitate better understanding, let us consider that the IPC has scheduled two

Inspection packages, naming the Inspection package with records needing NDT as “Insp

Schedule 1” and those not needing NDT as “Insp Schedule Non-NDT”. On being

scheduled, records are not differentiated as per their NDT requirement. So, let us consider

that PIE marks all the records in “Insp Schedule 1” as NDT Required and all records in

“Insp Schedule Non-NDT” as NDT not required. The latter is illustrated by the

screenshot below.

9)  The inspection techniques to be included in the inspection can be edited by clicking the

“Update Tasklist” button shown in the screenshot below. On clicking this button, a form

shall come up showing a list of inspection techniques with those techniques checked

which were selected while scheduling the inspection. It is possible to change the selection

 by clicking on the checkbox along the technique and clicking the “Update” button.

10) The Attachments button is provided for attaching any relevant documents to the

inspection.

11) The ‘Select All’ checkbox allows you to select all the scheduled equipments in the

 package at one. This option is helpful if you want to approve all records or reject all

records. You may also click the checkbox against each required record one by one toselect individual scheduled equipments.

12) Click on the ‘Approve’ button to approve an Inspection pack or selected individual

equipments. Click on the ‘Reject’ button to reject.

13) The LEI, CME or PII can also perform approval of records where NDT is not required.

14) Once approved, the records requiring NDT queue up for dispatch with the NDT user,

while the Non-NDT records queue up for dispatch with the PIE, LEI, CME and PII.

6.4  How to dispatch an approved Inspection?

a)  For “NDT Required” Records

The Non-Destructive Testing Engineer (NDT) has the permission to dispatch an

approved Inspection.

Below are the steps to dispatch an Inspection.

1)   NDT Engineer enters the ISMS Module.

2)  Click the ‘Dispatched’ tab. The screen as shown below shall appear.

3) Select the “Insp Schedule 1” package from the drop down combo box and check

approved equipments all in once within selected Inspection Pack or check

Individual equipment based on the requirement.

4) NDT Engineer then dispatches the Approved Inspection Pack or approved

equipment by clicking on the “Dispatch” button. There will appear a dialogue box

asking if you want to print the dispatched inspection details. Click ‘Yes’ or ‘No’,

depending on whether you want to print.

5) After dispatching, the record/s shall queue up for NDT recording with the NDT

user.

 b) For non NDT Required Records 

PIE, LEI, CME and PII have the permission to dispatch an approved Inspection.

Below are the steps to dispatch an Inspection.

1)  PIE/ LEI/ CME/ PII enters the ISMS Module.

2)  Click the ‘Dispatched’ tab. The screen as shown below shall appear.

3) Select the “Insp Schedule Non-NDT” Package from the drop down combo box and

check approved equipments all in once within selected Inspection Pack or check

Individual equipment based on the requirement.

4) NDT Engineer then dispatches the Approved Inspection Pack or approved

equipment by clicking on the “Dispatched” button. There will appear a dialogue

 box asking if you want to print the dispatched inspection details. Click ‘Yes’ or

‘No’, depending on whether you want to print.

5) After dispatching, the record/s shall queue up in the In-Progress tab with the PIE,

LEI, CME or PII users.

6.5  How to perform NDT recording for an Inspection In-Progress?

The Non-Destructive Testing Engineer (NDT) only has the permission to perform NDT

Recording.

This is applicable only to records which require NDT.

Below are the steps to perform NDT recording for an Inspection.

1)   NDT Engineer enters ISMS Module.

2)  Click the ‘In Progress’ tab. The screen shown below shall appear.

3)  Click the ‘Edit’ button against the equipment you want to record data for.4)  The dialogue box as shown in the below screenshot shall appear. Click on the

‘New’ button and enter the NDT readings for the NDT method such as Visual,

UTG, UTS, RT, MPI and DPT etc. as applicable to the Inspection. Only the

Inspection techniques included in the PIR of the record or those manually selected

at the time of scheduling the inspection shall remain enabled for editing on this

form.

6.6  How to perform recording for Non-NDT Inspection In-Progress?

The PIE, LEI, CME or PII have the permission to perform Inspection Recording.

This is applicable only to records which do not require NDT.

Below are the steps to perform recording for an Inspection.

1)  PIE/ LEI/ CME/ PII enter ISMS Module.

2)  Click the ‘In Progress (Non-NDT)’ tab. The screen shown below shall appear.

administrator needs to be contacted for logging into the Control Panel and selecting “Yes” for

the “Create Work order” and “Create notification” options in the Velosi-Settings tab.

6.7  How to view Inspections?

All users can view Inspections. Below are the steps to view scheduled Inspections.

1)  Enter the ISMS Module.

2)  Click the ‘View Inspection’ tab. The screen as shown in the screenshot below shall

appear.

3)  All scheduled Inspections are viewable from this screen. The records are color coded as

 per their status (Pending, Executed, Scheduled etc). This color key is mentioned on the

screen.

4)  User can filter and search Inspection/s by filling in any of the fields such as Plant,

Inspection status etc. with the required value and then clicking on the ‘Search’ button.

5)  Click the ‘Clear’ button to reset the fields you filled in to perform search.

6.8  How to review NDT Records and perform PIE Reporting?

The Plant Inspection Engineer (PIE) only has the permission to perform NDT Review

and PIE Reporting.

Below are the steps to perform NDT review for an Inspection.

1)  PIE enters the ISMS Module.

2)  Click the ‘NDT Review’ tab. The screen as shown below shall appear.

3)  Select the Inspection package from the ‘Insp Package’ dropdown.

4)  Click on the ‘Edit’ button against the NDT record you want to review. The Inspection

History form in read-only mode, as shown in the below screenshot, shall appear.

6)  Click the ‘Approve’ button to pass the record. Click on the ‘Reject’ button to reject the

record.

To perform PIE Reporting, follow the below steps:

1)  Click on the ‘PIE Report’ button shown in the screenshot above. If this button is

disabled, the administrator shall need to be contacted to enable it by selected “Yes” for

the options “Create Notification” and “Create Work order” in the Velosi Settings tab of

the Control Panel.

2)  The PIE Report Entry Form as shown in the below screenshot shall appear. Fill in the

data and click on the ‘Save’ button.

3)  Once the record has been successfully inserted, you can click on the ‘Report’ button to

view the data you entered in a report format. The report is shown in the screenshot

 below. Users have the option of emailing this report by clicking on the ‘Email’ button on

the top of the screen for ‘Report’. Finally, click on the ‘Close’ button to close the form.

6.9  How to raise Notification or create Work Order in EAM system?

1)  IPC user, PIE user, TLI user and RBI user can create a notification in EAM system by

clicking the ‘Create Notification’ button. For IPC User, the Inspection scheduling screen

has this option, while for the other users the Inspection data recording form shown in

screenshots 6.18 and 6.21 has the Create Notification button. If this button is disabled, the

administrator has the privileges to enable it by logging on to the Control Panel andselecting “yes” for the create notification option in the Velosi Settings tab.

2)  On clicking this button, the EAM login screen shall appear as shown in the next

screenshot if you are logging into EAM for the first time.

3)  It is possible to create a work order in EAM system by clicking the ‘Create Work Order’

 button. The next screen appears if the SAP login is set already, otherwise, you may be

 prompted to enter SAP login credentials. Enter the information on the next screen and

click the ‘Create Work Order’ button. You shall be able to see the details you entered in

the grid on the lower part of the screen.

6.10  How to review non NDT Records?

The Senior Plant Inspection Engineer (SPIE) only has the permission to perform review

of non NDT records.

Below are the steps to perform review for an Inspection.

1)  SPIE enters the ISMS Module.

2)  Click the ‘Action List (SPIE)’ tab. The screen as shown below shall appear.

6)  Click the ‘Approve’ button to pass the record. Click on the ‘Reject’ button to reject the

record.

7)  On clicking “Approve”, the screen as shown below shall appear. SPIE must enter the

next Inspection date in this form. The first column is that of Thorough Date and allows a

choice between the planned date, VELOSI RBI date, date suggested by API or any other

third party software and other date (SPIE may enter any date using this option). The

second column is that of Intermediate date and is exercised by the SPIE when he/she

wants to suggest an inspection before the scheduled next inspection.

6.11  How to approve NDT record and PIE Reporting?

10) Before approving or rejecting the record, it is possible to create a work order in the EAM

system by clicking the “Create Work Order” button.

11) Click the ‘Approved’ button to pass the record. Click on the ‘Reject’ button to reject the

record.

12) If you click the ‘Approved’ button, the following dialogue box shall appear. Select the

appropriate option for the Next Inspection Date and click ‘Save’.

6.12  How can TLI perform review of Next Inspection Date?

The Team Lead Inspection (TLI) only can perform the TLI review of NDT as well as non NDT

records.

Below are the steps to perform TLI review for an Inspection.

1)  TLI enters the ISMS module.

2)  Click the ‘Action List (TLI)’ tab. The screen as shown in the screenshot below shall

appear.

6.14  How to view Backlog Inspections?

When an Inspection has not been completed after 30 days pass since the Inspection date,

it is known as a backlog. The SPIE has the permission to view backlog inspections.

1)  Enter the ISMS Module.

2)  Click the ‘Backlog’ tab. The screen as shown in the screenshot below shall appear.

3)  Select the Inspection package from the ‘Insp Package’ dropdown.

4)  Users have the option to remove the Inspection record by clicking the ‘Kill’ button

against the required record. On killing the record, it shall once again become available

for scheduling from the Inspection scheduling screen.

6.15  How to track details of any user?

Only the administrator may track details of user actions. Using this feature, admin can track the

actions performed inside the application by any user after logging into Vail-Plant and the times

at which they were performed.

As shown in below screen, the admin must select the user name whose actions need to be

tracked. Then select the period for which the actions need to be tracked and click ‘Filter’ button.
