v5.2020 Update 1.1 Release Notes

Introduction This document contains an End User version of the Release Notes for the Bromcom MIS Software for Version 1. The Release Notes contain details of the latest updates, fixes and new features that have been implemented in this release. An enhancement is either an improvement we have added or a new feature. Some of these are user requested, but most are enhancements we make to improve the software. This document contains the Release Notes for v5.2020 Update 1.1 What is an Update? When an enhancement is requested or an issue is found, the details are sent to the Development Team. Once they have made the enhancement or fixed the issue an update is created. This update can contain one or many fixes, for one or many modules, it is then tested by the Testing team and released either to be included into the next Build, (if there is one imminent), or it is passed as an Update to be deployed by the Support Team who will contact you and arrange a mutually agreeable time to apply the Update. Each of the issues listed here has been fixed with the latest Update.

New Features

Administration

New Columns available for Students List Page Students Four new Column options have been added, now when clicking on the Add/Remove Additional Columns icon you will be able to select AA% (YTD), EA% (YTD), P% (YTD) and UA% (YTD). This will then display the Year To Date percentages for Authorised Absence, Educational Activities, Present and Unauthorised Absences.

These figures are based on AM/PM Attendance only Year To Date.

The data is cached and shows up to the end of the previous day to update this go to Modules > Setup > System Configurations > Refresh System Cache or if using the New Look Bromcom from the blue bar go to Config > Setup > System Configurations > Refresh System Cache.

New Information added to the Student Emergency Report Reports > Student Emergency Information The Student Emergency Information report now displays the Year Groups and Tutor Group of the Student.

Contract Options added to Import and Export Staff > Process > Manual Data Export Staff > Process > Manual Data Import The option to Import or Export Staff Contract Details has been added.

Exclusions updated Students > View Student Details > Exclusions The option to Delete a Document has been added to Exclusions. This previously had to be done via the Documents option.

Analysis

Headline Figures updated The Headline Figures option has been updated to include an option for 2 x Single Science Passes.

Assessment

Assessment Module updated The Assessment module has been updated to make it easier and quicker to use. Many of the pages have been merged giving more actions in one place instead of moving from page to page.

New page Assessment Components added Routines > Assessment Components A new page has been added Assessment Components, the following pages and options have been merged into this new page and will no longer be available as separate pages; Associations, Marksets, Assessment Collections, Grade Sets, Assessment Columns, Assessment Types, Delete Components and Component Activation. Note: Assessment Collections and Assessment Columns will only visible for Users who have NOT yet migrated to the new Assessment Structure. The Delete option has been added as a button on each section, a Warning Message will be given with information relevant to that section before it can be deleted.

Assessment Collections [Note: This option will only visible for Users who have NOT yet migrated to the new Assessment Structure]

Assessment Collections are now selected from the dropdown list, which will display the Assessment Collections page listing all of the Assessment Collections, removing the previous Find option.

To Edit select an Assessment Collection and click on the Edit button, the functionality remains the same, when finished click on the Save button.

To create a New Collection, click on the New button, the functionality remains the same, when finished click on the Create button.

When selecting a Collection an Actions button is displayed giving the additional options Set Active State and Set Locked State. Allowing the Collection to be made Active or not and Locked or not.

Assessment Columns [Note: This option will only visible for Users who have NOT yet migrated to the new Assessment Structure]

Assessment Columns are now selected from the dropdown list, which will display the Assessment Columns page listing all of the Assessment Columns, removing the previous Find option.

To Edit select an Assessment Column and click on the Edit button, an additional option Grade Set name has been added, this will link the Grade Set Version, which is displayed below the Assessment Column section, the rest of the functionality remains the same, when finished click on the Save button.

Clicking on the Grade Set Versions option will display the information for the selected Grade Set in the Assessment Column section.

To add a new Assessment Column click on the New button, other than the addition of the Grade Set Name option, the functionality for the Assessment Column remains the same, click on the Save button when finished.

When selecting a Column an Actions button is displayed giving the additional options Manage Template, Transfer Result, and Set Active State.

Selecting a Column and the Manage Templates option displays the Manage Templates page.

The Transfer Result will display the Results Transfer page and the Set Active State will allow the Column to be made Active or not.

Assessment Types Assessment Types are now selected from the dropdown list, which will display the Assessment Types page listing all of the Assessment Types, removing the previous Find option.

To Edit select an Assessment Type and click on the Edit button, make the changes and click on the Save button.

To add a new Assessment Type click on the New button, add the details and click on the Create button.

When selecting an Assessment Type an Actions button is displayed giving the additional option to Set Active State allowing the Assessment Type to be made Active or not.

Grade Sets Grade Sets are now selected from the dropdown list, which will display the Grade Sets page listing all of the Grade Sets, removing the previous Find option.

To Edit a Grade Set select the Grade Set and click on the Edit button, the functionality remains the same, when finished click the Save button.

To Edit the Grade Set Versions click on the Version and the Edit button, the Version and Grades options have been merged and now when selecting the Edit option you can Edit the Version End Date and Grade information.

To add a new Grade Set click on the New button, the functionality for the Grade Set and the Version remain the same, click on the Create button when finished.

Marksets Marksets are now selected from the dropdown list, which will display the Marksets page listing all of the Marksets, removing the previous Find option.

To Edit a Markset select the Markset and click on the Edit button, the functionality remains the same, when finished click the Save button.

To Edit the Markset Versions click on the Version and the Edit button, the functionality remains the same, when finished click the Done button.

To add a new Markset click on the New button, the functionality for the Markset and the Version remain the same when finished click on the Save button.

Key Stages The Associations page has been replaced and has now been split into two options in the dropdown list under Key Stage and Terms.

Selecting Key Stages will display the saved Key Stages, select a Key Stage and click on the Edit button to Edit or click on the New button to create a New Association.

System Generated Key Stages cannot be edited, Non-System Generated Key Stages can be, make the change and click on the Save button.

Click on the New button to add a new Key Stage Association, enter the name and click on the Create button.

Terms Terms are displayed, edited and created in the same way as the Key Stages by selecting the Terms option from the dropdown list.

Attendance

Registration page updated [Primary School Only] Registration A new look has been given to the Registration page, the functionality remains the same.

Improvement made to Student Images [Primary Only] Registration The pop-up image of the Student displayed when clicking on the image on the Register has been improved to fully fit the pop-up box.

Registration page updated [Secondary School Only] Registration A new look has been given to the Registration page.

The Icons along the top of the page have been replaced with buttons, the page has been spaced more proportionally and the colours are more subtle. The functionality of the page remains the same.

The Student Information panel has also been improved.

New Information added to the Fire Drill Report Reports > Fire Drill The Fire Drill report now displays the Main Tutor Name.

Registration Seating Plan Updated Registration > Seating Plan The Seating Plan page has been updated and the rigidity of the grid line placement has been removed allowing the free placing of seats. Clicking on the Seating button from within a Register will open the Seating Plan page.

When the page opens for the first time the option to add a New Seating Plan is given. The grey area at the bottom of the screen is the Seating Area, which by default is set at a width of 8 and height of 4.

Select the Settings button to change the Seating Area size, Copy to other sessions for the same class and display Assessment information, these options remain the same as before, click the Apply button when finished.

Drag & drop the Seat onto the Seating Area, the Seat number will increment after the Seat has added. Once the Seats are in place they can be re-arranged. The brown mark on the edge of the seat denotes the chair, clicking on the arrowed circle in the middle of the Seat will change the orientation of the chair

Once happy with your Seating Plan click on the Design Room Layout slide button, the Students will then be displayed along the top of the page, drag & drop the Students onto the Seats, each Student will then be removed from the top of the page and placed at their Seat.

The Seats can still be re-arranged by selecting the Design Room Layout slide button. When finished click on the Save button, this will open a pop-up where the Seating Plan can be named. Once done the new Seating Plan will be displayed in the Plan dropdown list.

Selecting the Show Student Information slide button will display the Student Overall Attendance Percentage, the Attendance Mark for the Current Class, if selected the Assessment data and Target Assessment data and any assigned Flags. Note: The Overall Attendance is for all Classes and Groups and updates each night.

Selecting the Seating Plan from the Plan dropdown list and the Delete icon will delete that Plan.

Census

School Level Annual School Census (SLASC) Census updated Census > SLASC Census Return for Independent Schools has been updated.

Changes to Pupil Reconciliation section [Primary and All Through] Census > School The Apply Funding Hours in the Pupil Reconciliation section has been replaced with a pop-up.

Clicking on the Update Funded Hours button will open the Update Funded Hours option, the functionality remains the same, add the information and click on the Save button.

Note: The Reset button does not apply to the Funded Hours option, it will reset the information in the table below to zero’s.

Questions Removed from Catholic Education Service Census [CAS-118423-M2V1C9] Census > Catholic Education Service (CES) Three no longer required questions have been removed from the Pupil Details section, Number of Year 11 Students on Roll in the previous year return, Destination of those Students: Returned to school and Enrolled in another Catholic School/College.

Communication

New option to Buy Additional SMS Texts added Communication > Overview > Buy Credit Dashboard > SMS Credits Remaining Widget The option to buy more SMS Text Credit directly has been added. This is displayed by opening the Overview page directly from within the Communication module or via the SMS Credits Remaining Widget.

The person buying the SMS Credit will have to be an Authorised User to do so. If they are not Authorised a message will be given asking them to click on a link to be Authorised by Customer Care. An Authorisation Request Confirmation message will be sent, if you have not heard back within 2-3 days contact Customer Care. If the User is Authorised clicking on the Buy Credit button will display the Buy Credit page, select the number of SMS Texts required from the SMS Bundles dropdown menu, enter a Purchase Order Number, Notes if required and click on the Purchase button.

A Confirmation message will be given, with the number of SMS Texts selected, the total and the Purchase Order Number. If you want to go ahead click on the Proceed button. Note: The process is irreversible, if you are not sure click on the Cancel button. To view previous purchases click on the View Previous Purchases button, this will display a list.

Curriculum

New option View Timetable added Routines > View Timetables The option to give access to view Timetables over selected criteria has been added.

Select the View Type of Teachers, Rooms, Departments, Subjects or Non-Contact Codes, each option will display a related Search selection. Only the Teachers option will give an additional selection for Teachers or Years, this will give you the option to select the Teacher/s or the Teaching Year, for example all teachers in Year 8. Select the Week to view and whether to view one or two weeks. Once selected click on the View Timetable button, the Timetable will be displayed, use the scrollbar to scroll right along the days.

There are additional mouse options on the page as well, which reflect on the View Type selected. For example on the Teacher View clicking on the blue bar with the Teacher Code will display the Timetable for that Teacher for the selected week.

Move the mouse over a timetabled cell on the main screen and it will display the information for the Period.

Where a Period displays as Multiple it is warning of a clash, in this case the Teacher is timetabled twice.

New Account option added for Clubs Groups > Club Clubs with a Running Balance now have a Mandatory Field, Associated Account.

The BACS Transfers report in MCAS will show these Bank Transactions.

Data Item added in Reporting Reports > Adhoc > Design New Report > Curriculum > Club Details A new Data Item, Associated Bank Account has been added under Club Details.

Page Removed Curriculum > Academic Days & Periods The Academic Days & Periods page has been removed as this was previously incorporated into the Period Structures page.

Dashboard

A new Behaviour option has been added to the Dashboard Behaviour A new button Behaviour has been added to the right of the Attendance button

Note: Permission to see the Behaviour Dashboard will be allocated by a new access right which is enabled by default for the following roles, Analysis, Behaviour Administrator, Office, Safeguarding, School Administration and SLT. Permission will have to be given to Users outside of these Roles. Selecting this will open a new page displaying a graphical view of the Behaviour Data and Headline Figures.

The Settings option top right of the page allows the data displayed to be defined, allowing Events Types, Years and Groups, Location and Owner etc., to be included in the Details.

Once selected click on the Reset button to return to the Default Settings, Save as Default to keep these changes as the new Default Settings for the User (this will be what they will see each time they open this page) or the Apply button to apply the Settings for this time only. Once selected the Setting page will close and the page will refresh with the new Settings.

Headline Figures

The Headline Figures are displayed in four Tiles:

Events = Count of Events during the Date Range

Events per Pupil = Count of Events during the Date Range divided by the Max Number of Students on Roll

at any point during the Date Range

Points = Sum of Points during the Date Range

Point per Pupil = Sum of Points during the Date Range divided by the Max Number of Students on Roll at

any point during the Date Range

Overall Graph The Overall Graph displays the Behaviour in more detail. Using the dropdown list the data can be broken down for Number of Events, Total Points, Events per pupil and points per Pupil.

Clicking on the Expand box in the top right will expand the Graph to the window width and display a drill down page.

Clicking on a Bar will highlight that Bar with red and show a drill down page for that Bar. The Bars displayed depend on the Settings. Clicking on a Student within the drill down list will open the Behaviour page for that Student with their details. There is a Search option and the Grid actions allow the data to be Exported or Printed.

Doughnut Graph The Doughnut Graph displays the Behaviour in more detail. Using a combination of the two dropdown lists the data can be broken down even more.

The dropdown list on the left gives the options for, Location, Event, Event Type, Event Group, Day of the Week or Outcome and the dropdown on the right gives the options for Total Events or Total Points.

Owner Graph The Owner Graph displays the Behaviour in more detail. Using a combination of the two dropdown lists the data can be broken down even more.

Exam Module updated The Exams module has been updated to make it easier and quicker to use. Many of the pages have been merged giving more actions in one place instead of moving from page to page.

New page Manage Candidates added Routines > Manage Candidates A new page has been added Manage Candidates, the following pages have been merged into this new page and will no longer be available as separate pages; Assign UCI and Candidate Numbers, Centre Assignment, External Candidates, Internal Candidates, Merge Candidates and Release Candidate Numbers.

The Internal and External Candidates pages have been replaced with the New button option, now clicking on New will display the New Candidate page.

Select either Internal Candidate or the External Candidate option.

Internal Candidates Selecting the Internal Candidate option will give the same options as before to Add New Candidate or to Add From Previous Seasons.

When adding a New Candidate you will be asked for the Centre Number.

When clicking OK the Student Selector will display and the Student/s are selected in the same way as previously and will be displayed in the Manage Candidates list.

When selecting the Add From Previous Seasons option the functionality of the page remains the same. Select the Student/s from the Candidate Selector and click the Done button. The Manage Candidate page will now be updated with the selection.

External Candidates Selecting the External Candidate option will give the same options as before to Add New Candidate, to Add From Previous Seasons or to Add Leaver Candidates.

When adding a New Candidate the Personal Details and the Exam Details will still need to be entered, click the Save button when complete.

The Candidate Name Format can be changed by clicking the Edit button.

Once the details have been entered and Saved the Links to Other Entries, Candidate Entries and Candidate Results sections will be displayed the same as previously.

When selecting the Add From Previous Seasons option the functionality of the page remains the same. Select the Student/s from the Candidate Selector and click the Done button. The Manage Candidate page will now be updated with the selection.

When selecting the Add Leaver Candidates you will be asked for the Centre Number.

When clicking OK the Student Selector will display and the Student/s are selected in the same way as previously and will be displayed in the Manage Candidates list.

Edit The information on the Manage Candidates page can be edited by selecting one or more Candidates and clicking on the Edit button.

Delete Candidates can be deleted by selecting one or more Candidates and clicking on the Delete button. A Confirmation message will be given, select Proceed to continue, if any of the selected Candidates have been entered into Exams a Warning message will be given and the Candidates will NOT be deleted.

Actions The Actions dropdown menu gives access to some of the other options available from this page.

Assign UCI and Candidate Numbers Select the Candidates and click on Actions > Assign UCI & Candidate Numbers. The parameters remain the same as previously, enter the details and click on the Save button.

The changes will then be displayed.

Centre Assignments Select the Candidates and click on Actions > Centre Assignments. Select the Centre Number and click on the Save button.

The selected Candidates will now show the selected Centre Number.

Merge Candidates Select the Source Candidate and click on Actions > Merge Candidates. Select the Destination Candidate from the Candidate Selector and click on the Done button.

A Confirmation message will be given with the Merge details, click the Proceed button to continue with the Merge.

New Menu View option added Switch to New Bromcom A new Menu option has been added, replacing the options from the Top Toolbar with a new Sidebar. This is currently a selectable option allowing you to use either the New look Menu or the Old look Menu. The Old look Menu will no longer be available after April this year. Note: What will be displayed on the menu depends on the User Access and Rights. To switch between the New and Old look Menu, click on the Switch to New Bromcom slide button. To switch back to the Old look Menu click on the Switch to Old Bromcom option from the My Account dropdown list.

The option to force all Users to use the New Menu has been added, this will remove both the Switch to New Bromcom option from the toolbar and the Switch to Old Bromcom option from the My Account dropdown list. This can only be done by a User with the correct access rights. To make the change if you are already in the New Menu view go to Config > Setup > System Settings, if yo are still in the Old Menu view go to Modules > Setup > System Settings. From the New UI Settings section select either Allow users to switch between new and old user interface or the Force all users to use new user interface option.

Remember the Old Menu view will no longer be available after April 2020. Once switched the old Toolbar with the Modules and options is no longer displayed.

The Notifications icon remains and is now displayed as a new Bell icon and a new Help icon has been added that opens the Documentation Centre. Note: If the Data Boundary is set to Nucleus nothing will be displayed however, if the Data Boundary is set for an Interval this will be displayed on the Toolbar.

When using Single Sign On for Multiple schools the Switch Schools option will no longer be in the My Account dropdown list, it will now be displayed in the Toolbar to the right of the School Name.

Clicking on this will open a dropdown list of the schools available to switch to.

Clicking on the Notifications icon will display your Notifications, the number displayed will be the combined number of Notifications.

Clicking on the Go to Page link will open the Notifications Menu Page, giving access to Alerts, Announcements and Messages. Clicking on the Dismiss All link will dismiss the list of Notifications, clicking on the X to the right will dismiss that Notification only.

Clicking on the See More… link will open the page for the selected option, for example the See more… under the Alerts section will open the Alerts page and clicking on the See More… link under the Announcements section will open the Announcements page.

From the Notifications menu click Alerts, Announcements or Messages to read your Notifications.

Click on the Message to display the Conversation content to the right.

Click on the New Chat button to start a new Conversation with a Student, Member of Staff or a Contact, select the Recipient and click on the New button. These one to one Conversations, depending on the Recipient can be read via MCAS on the Parent Portal or Parent App, the Teacher App or Student Portal.

The Recipient will display highlighted, enter the Message in the Message box at the bottom of the screen and click on the Flight Arrow button to the right to send it.

URLs can also be added within the message by typing the URL in directly for instance www.bromcom.com will automatically become a live link when sent. No longer having to add the [url] tag at the beginning and end of the link.

The Search option remains but has been updated to a Global Search, now typing the first characters in the Search box will display ALL associated options, Contact, Features, Groups, Reports, Staff, Students in one search, displaying the first 20 items, continue typing to narrow the search.

Selecting Home will return you to the Home page from wherever you are within the MIS.

Selecting Favourites will display your Favourites list of My Favourites, Most Used Pages and Recently Used Pages, clicking on any of these options will display the relevant list. Clicking on the Add to Favourites link will open the Add to Favourite box.

Selecting Modules will open the Modules list, select the Module to see the available options. The options displayed are those used most frequently. The options that are used less frequently will be displayed in the Config option on the Menu. The Reports have also been moved into a Reports section which also contains the Reporting options.
