UWA Sitecore Further Learning SeriesDocuments in Sitecore

In this we will look at how to use documents in Sitecore. Documents like PDF files Word documents. Specifically we are going to learn how to upload a document in Sitecore.

Finally we will learn how to place a document on a page using the Insert Code Snippet in a Rich Text Module.

Uploading PDF to Media Library

Click on the Media Library icon. You can keep your files anywhere you like in the Media Library.

In this example I've got a folder called "Training" underneath a folder called "Docs". This is where we're going to upload our PDF to. Select the folder. Click on the "Upload file" link. Then click "Choose File".

This allows us to browse our computer for the file that we want to upload, in this case a PDF called "Application for Student Visa". Select it Click "Choose".

Then click "Upload".

Now you can see that the PDF has been uploaded to the Training Folder in your Media Library.

So now we've uploaded our PDF, we want to place it on the page. Click on the icon on the top left to take us to the Launchpad.

Click on "Content Editor" and browse to the page we are going to use in this example, called “Student Visas”.

Click on "Publish" then "Experience Editor".

Wait for the page to reload then click on the link labelled "More" to lock the page for editing.

Place your cursor anywhere in the text and click, which will bring up the Rich Text Content menu. Click on the pencil which will bring up the Rich Text Editor.

Next place your cursor where you want to insert the PDF. Then click the icon with the tooltip "Insert Code Snippet".

Choose "PDF link" from the dropdown menu.

Sitecore then inserts the PDF snippet, which includes an icon, a link and some text to describe the size of the PDF.

Select the linking text "file name here" then click the icon with the tooltip "Hyperlink Manager".

Click on the small icon to the right of the box labelled "URL".

This will bring up the Document Manager, which will allow you to browse the Media Library for your PDF. This is a good point to make a note of the PDF's file size. We'll need this in a moment. Select the PDF and press "Insert".

Go to the box labelled "Link Text" and type in the linking text you'd like to use. In this case "Application for Student Visa". Click OK.

You'll see that the linking text has changed And now you can type in the file size of the PDF. In this case 640 kilobytes. This is good from a usability perspective. The user needs to have a reasonable expectation of what's going to occur when they click on a link. In this example, when the visitor clicks on "Application for Student Visa" they know that they're going to get a PDF file of 640 kilobytes in

size. And from an accessibility perspective we follow the same steps to upload an alternate file in an accessible format like a Word Doc.

Click "Accept”.

And click on the little floppy disk icon on the top left to save.

Now click "Approve and Publish".

Now we're going to preview the page by clicking "Other" then "Preview".

Click on the link to the PDF.

And it works fine.
