Using WCOnline to Schedule OWL and Spring Creek In- house Appointments No- Show Policy Available Schedules -Spring Creek In-House -OWL DropBox VirtualMuse - ASL Lab Accessing the Online Appointment System 1. Register 2. Input Cougarmailaddress, a password, and choose* a schedule from the drop-down. 3. LOG IN *Students who do not choose a schedule will be logged out of the system and must log-in again. Sample Registration Form Schedule choices for OWL and Spring Creek consist of the following : Spring 2016 Weeks 1 & 2 (Jan. 19 Jan. 30) SCC Writing Center In-house: Spring, 2016 (Beginning Feb.1) OWL DropBox (Essay Upload/Three Day Turnaround) VirtualMuse (Real Time, Online Appointments) Computer Self-study (Grammar Quizzes/Homework) ASL Lab After registering and inputting their Cougarmailand password, students must choose a schedule from the drop-down list before clicking the LOG IN tab. Schedule Choices Students may also set up text messaging in place ofmessaging. Click Register Students are encouraged to keep theirdefaults in place. Making an Appointment Online After students have registered, logged in, and chosen a schedule their screens will resemble the sample below: Student Guidelines & No-Show Policy at the top of each schedule. Appointment availability is displayed in seven day increments. The white clock face icon next to each date is a wait list feature. When a student cancels, all students on the waiting list for that day and time are notified and must access the proper schedule and make an appointment, first come, first served. Blue boxes indicate blackout time when consultants are not scheduled. White boxes denote available appointments. When a student schedules an appointment, that box will turn orange, and that time will no longer be available. In-house appointments are available in hour increments (1hour for online synchronous VirtualMuse appointments). A note about DropBox: DropBox blocks are not determined by time but by number of openings per day. If all slots for one day are filled, students must choose another day and upload their essay or switch to another schedule and make another type of appointment, in-house or VirtualMuse. Students who use DropBox must keep in mind that during high demand weeks consultants will implement a three day turnaround rule, first-come-first served. Notices Once an appointment is scheduled, students are sent anor text confirmation and also a reminder the day before every appointment. Essay Uploads For OWL Submissions VirtualMuse or DropBox, students must upload their essays on the Success! page that follows a successfully scheduled appointment before logging out of the system. Success! Your appointment was successfully added on the following date: February 01, If you would like to attach a file to this appointment, click here.click here Student Appointment Form Once students log in and choose the appropriate schedule/calendar, they must click on an open block (white blocks signify availability) on their preferred day and time: In-house: up to 14 days in advance, 2 half-hour appointments per week. VirtualMuse: up to 3 days in advance, 1 per week for 1 hr. DropBox: immediate upload with a 3 day turnaround by midnight on day three. Once students make appointments, a new CANCEL THIS APPOINTMENT box will appear the next time they click on their appointment block. How to Cancel an Appointment After students click Cancel a smaller box will pop up asking students if they are sure they want to cancel. Students must click OK to notify the center of the cancellation and open the appointment block for other students. To avoid no-show penalties, students must cancel appointments at least one hour prior to the start time. After three no-shows, students accounts are automatically disabled, and they may only use the walk-in system until the next semester. Clocking In For An Appointment After logging in prior to an appointment, VirtualMuse and in-house students click the GREEN checkmark to clock in. On the TimeClock drop- down box, students must select the time of their appointment and then click Clock In. Students must exit the system prior to an appointment by clicking on the white triangle next to their names and then Log Out. Finally, at the end of a VirtualMuse or in-house consultation, students must return to the Log In screen and reenter their information and choose the correct schedule. Once on the schedule page, students click the GREEN checkmark again. This time the checkmark will turn RED and the system will read Clock Out. Students then log-out one more time and exit the system. Each Schedule Choice Has its Own Page In-house Orange blocks denote filled appointments White blocks denote open appointments VirtualMuse: Synchronous Online Appointments Students may make, and keep, a VirtualMuse appointment from home. Each appointment lasts approximately 1 hour. Students should upload a draft at the time they schedule their appointments. OWL DropBox: Asynchronous Online Appointments Students upload a draft to an open white block on the OWL DropBox schedule. During busy times, essays will be returned by midnight on day three after submission. Unlike the VirtualMuse and In-house schedules, times on the DropBox schedule are not important. Students simply choose ANY open white block and upload their essays. If one days spaces are full, students must choose another day and open block, keeping in mind the three day by midnight turnaround rule applies to all submissions. Once students schedule an appointment and click Save Changes, the Success! screen will pop up and ask if the student would like to attach a file. For VirtualMuse and DropBox, students should click the blue link click here to upload a draft to the next screen and then click CLOSE WINDOW. After students have clicked on click here, the next screen will ask them to attach a file. Students may choose from a number of file formats, but they should upload only.doc,.docx, &.rtf files. Next to Notify Client? Students should click Yes & Attach. Essays remain available on past appointment blocks indefinitely. Yes & Attach E ssays: Students and their professors receive annotice from their consultants by midnight of the third day telling them their essays are ready to be viewed on their appointment blocks. e ssays are always available on each individual students appointment block after their one-to-one virtual appointment.
