After reading this manual and doing the activities and quizzes, you will understand why certain desktop publishing tasks are performed, along with learning how to perform them.

InDesign and Walsworth’s Enhancements have many features to help in the creation of pages, but it takes practice to learn them. If you have learned what is needed to create appealing pages, now you just need the technology to do it.

To install the Enhancements, go to Support Download and download the 2017 Enhancement Update installer.

Terms to knowBackup The act of saving some or all of the information on a computer system to disk for safekeeping

Body font Typefaces that can be used for body copy and captions; body fonts are usually plainer, less decorative and smaller than display fonts, 12 point or less

Corrupt file A file that contains scrambled, incomplete or unrecoverable data

Deadline Time and dates when items are due, such as copy and pictures to the editor or pages to the printer

Display font More decorative typefaces usually used for headlines

File Any named collection of information stored on a disk or hard drive

Folder An icon on the computer desktop that looks like a manila file folder; used to hold documents, programs and other information

Font A set of letters, numbers, punctuation marks and symbols that share a unified design called a typeface; a group of related typefaces is called a type or font family

Font family A set of fonts of the same typeface that comes in different styles and weights, such as bold, italic, bold italic

Pages folder The storage place for InDesign pages and their content

Pixelated An undesirable effect in computer graphics caused when images or lines are rendered at too low a resolution, giving lines or edges a blocky appearance

Plug-in Usually a third-party vendor-developed software that provides an extra function not available in the standard software application

Proof A hard-copy printout or electronic version of a file used to check what will be printed in your book

Rasterize An image conversion performed by a raster image processor (RIP) that turns text and images into the matrix of pixels (bitmap) that will be displayed on screen or printed on the page

Subfolder A folder that is placed within another folder; also known as a subdirectory

be submitting pages to Walsworth using any graphics other than those found in the Walsworth ClikArt catalog, or if you place photos from a digital camera or scanner, you need to submit those files along with your page files. This is the point where good file management becomes critical. As a recommendation and a time-saver for advisers and staff, use the WPCYB folder structure, located with the Enhancements in Support Download.

File managementEvery year many yearbook advisers and staffs become stressed because their image files and pages have been misfiled. Good file management begins with the development of a sound filing strategy and then having every staff member use it consistently.

In the case of yearbook development, file management refers to the process of saving and organizing documents such as page files, digital image files and graphic files. If you will

Technology is great, but it can also work against you. Files can be misplaced, lost, garbled or written over. Fonts can create printing issues. However, with planning, technology can be your best friend when it comes to organization.

You can use any font that does not appear on Walsworth’s unsupported fonts list, located in the Installing Fonts section of The Process Manual (which can be found at Yearbook Help), but you must submit those on or before your first page deadline so they can be checked for reproduction quality.

Because of the many ways fonts can be created, some downloadable Internet fonts or discount font collections may not correctly reproduce on our presses. For quality and cost reasons, we always recommend using AWPC fonts.

Typically, you will want to choose only a few font families for your yearbook. Consistently using the same display and body fonts — fonts for headlines and copy respectively — will make reading your book easier. Decide on your fonts at the beginning of the year as part of your planning steps. Note that when you install the Walsworth Enhancements, AWPC Times and AWPC Helvetica font families are automatically installed as defaults.

Any other AWPC font you want to use will have to be manually installed to your workstation. When you use AWPC fonts on your pages, they are automatically matched up when they get to Walsworth, making it unnecessary to send in the fonts with your page files.

To see the Walsworth AWPC fonts, locate the AWPC Fonts PDF found in Yearbook Help at Members Only or in the Yearbook Blueprint in your Planning Kit.

Disaster recoveryHere is a scary thought: what happens to the yearbook files on the computer if the hard drive fails? Sometimes an experienced technician can recover the files, but in many cases, they are gone for good. Unless your school has installed an external backup device to each workstation, all files on a workstation are at risk. So, how do you protect all your hard work from possible disaster? The best course of action is to have a master WPCYB folder on a network server where, each day, you copy saved files out to the master folder. Your IT administrator likely will backup the server data files every night, ensuring your files are protected and recoverable.

Note that while you can save and work on all your files directly from a network server, and many schools do so successfully, there is a small risk that a file could become corrupt. Also, should you decide to save your yearbook files directly to a server, do not delete the WPCYB folder from the workstation drives. These folders are required by the Walsworth Enhancements plug-in. Deletion of these folders will cause the Enhancement plug-in to fail.

Fonts In the early days of computer-generated text, fonts were limited and font images often looked pixelated, or like tiny blocks stacked to look like a letter. As font technologies evolved, Apple, Inc. developed a scalable text-drawing process – vector font – which made the letters display and print the same. These types of fonts were later named TrueType fonts and they ushered in the power of desktop publishing software.

An AWPC font is a TrueType font that is compatible with Walsworth’s yearbook printing processes. AWPC fonts are the only fonts not required to be submitted with yearbook page files. For your convenience, Walsworth supplies schools with more than 100 different font families that may be used on your yearbook pages.

Installing AWPC fontsNote: To do all exercises, the Walsworth Enhancements from Support Download must be installed on each workstation, and the Using InDesign Activities folder must be copied to your desktop from Support Download.

This exercise requires the student to have local IT permission to access the Control Panel menu and to install to the hard drive.

InDesign main menu Like most software applications, InDesign has a main menu at the top of the workspace. If you click on File, you see the Open, Close, Save and Exit menus. If you click on Edit, you see the Cut, Copy and Paste menus. To access the InDesign palettes, click the Window menu. Add special effects, such as shadows and feathers, which can be found under the Object menu, or by using the fx button on the Effects palette. Use the keyboard shortcut command under each menu as you gain more experience.

Page creation software has inherent abilities to create great effects. But like hammering a nail, you need to know how the tool — the hammer — works to properly drive in the nail. In this case, the tool is InDesign.

When opening InDesign for the first time, you will see a lot of buttons, some menu items, a floating toolbar and some boxes on the right side that appear to be slightly hidden. If you have installed the Walsworth Enhancements, you will also see the Enhancements Control Center floating on the desktop. To better understand the InDesign features, let’s take a closer look at the work area.

Docking a paletteYou can organize your workspace by docking palettes into groups or vertically to the right side of the workspace. To dock a palette, drag the tab of one palette to the lower edge of another palette. When the bottom of the other palette highlights, release the mouse button and the two palettes will connect. To separate docked palettes, drag the tab of the docked palette away from the group of palettes. The action of unlocking a palette or toolbar is called to float. You can reset all palette locations by choosing Window > Workspace > Default.

Show and Hide palettesTo open or close a palette, click on the Window menu and choose the palette. To show or hide all open palettes at one time, make sure you do not have a text-insertion point in text or in a text palette box, and then press the Tab key. To close a palette, click the Close button in the upper left or right corner of the palette, depending on your operating system.

RulersWhen you open a new or existing document, located just above and to the left are ruler markers in picas. You can change these units of measurement to other types by selecting Edit > Preferences > Units & Increments (Windows) or InDesign > Preferences > Units & Increments (Mac). The default is in picas. Or, you can change it on the fly by right-clicking (Windows) or Control-clicking (Mac) on the ruler itself and changing the type there. To activate ruler guides, click and drag on the top or left ruler and place the guide on the page. Remember to use the black arrow (Selection tool), to place the ruler guide on your page.

GridsDepending on how you are creating your layout, using only the ruler guides to align objects, frames, and text may not be enough. For precise layout work, you may want to use

ToolboxThe Toolbox, also called Tools, contains all items you need for drawing, text and object creation and the manipulation tools you will use to create your yearbook spreads. To open the Toolbox, go to Window > Tools. Many of the tools in the toolbox have hidden tools nested underneath. For example, the Rectangle tool has a small arrow at the lower right corner of its icon. Click and hold the Rectangle tool button and you will be able to access the Ellipse and Polygon tools.

PalettesPalettes are floating windows that allow various tasks to be performed easily. There are a number of palettes in InDesign to help you monitor and modify your work. You can access palettes under the Window menu.

Palette tabsThe palette tab is located at the top or side of the palette and looks similar to a folder tab. By selecting the tab, you can pull a palette to the front, drag the palette to the outside of the group palette or create a new palette.

Control paletteThe Control palette (below) will allow you to make precise manipulations to objects and type. It is visible under the main menu at the top of the program. If it is not visible, the Control palette can be found under Window > Control. This is different from the Control Center, which is a Walsworth Enhancement. Typically you will use the Control palette in relationship to objects by adjusting their location on the page spread, as well as specific object width and height.

between objects on a page, then drag the cursor to change the dimensions of the objects uniformly. The space between objects will remain the same. With the auto-fit setting turned on in the Control Panel, images will be appropriately scaled while using the Gap tool.

Bounding boxes A bounding box is a rectangle that represents an object’s horizontal and vertical dimensions. The bounding box makes it easy to work with an entire object.

Selection handles When an object is selected, the points displayed around the bounding box are selection handles. Using the Selection or Direct Selection tool, you can click and drag these handles to resize or reshape the object.

Paths and lines A path is an object you draw that you can use as a line, a frame for text or graphics, or a filled graphic. A path is made up of one or more straight or curved segments.

Height and WidthEvery object is measured with a Height and a Width (H and W). Most of the time you will use the Selection or Direct Selection tool to modify the object size, but occasionally the Control palette’s Height and Width fields will help you get the exact measurement you need. When you must maintain the proportion of the object while changing the value of the height or the width, press on the chain link icon in the Control palette to link the Height and Width together. This does not apply to selecting frame handles with the Select or Direct Select tools.

X, Y coordinatesEvery object exists on a location on or outside the page. The software, using a coordinate system similar to an X, Y coordinate grid in algebra, measures these locations.

baseline or document grids. A baseline grid is particularly helpful when spacing text on your layout. The document grid looks like graph paper and is useful for placing objects and text in precise locations. To access these tools, select View > Grids and Guides. To change the size of the grid squares select Edit > Preferences > Grids (Windows) or InDesign > Preferences > Grids (Mac).

GuidesAs their name implies, guides help with the placement of graphics and text on your page. There are three types of guides — horizontal, vertical and column. All three are useful for providing a visual reference when creating a modular design in your layout. Guides can be set to fit the entire page, or just within the margins. You will learn more about guides and rulers in Lesson 3.

About the InDesign ToolboxSelection toolThe Selection tool is used to move or resize objects. If you select a photo with the Selection tool and press the Delete key, you will delete the frame and the photo. To switch to the Selection tool, either click it in the Toolbox or be sure you do not have a text cursor inside a text block, then press V on the keyboard.

Direct Selection tool The Direct Selection tool is used to select objects found inside groups or frames. If you select a photo with the Direct Selection tool and press the Delete key, you will delete the photo but not the frame. To switch to the Direct Selection tool, be sure you do not have a text cursor inside a text block, and then press A on the keyboard.

Gap tool Only available in InDesign CS5 and above, the Gap tool is used to quickly adjust the size of a gap between two or more objects. Use the Gap tool to click on the space

Drawing lines The Line tool can be used in two ways. First, with just the Line tool, you can draw a line in any direction and at any angle on the page. To constrain a line to 45° angles, or to constrain the width and height of a path or frame to the same proportions, hold down the Shift key as you click and drag.

Drawing a perfect circle, square or polygonHold down the Shift key while you draw the shape. Even after a shape is created, you can always keep a shape proportional by holding down the Shift key while you adjust the size.

Drawing a star Double-click on the Polygon tool in the Toolbox. Change the value of the Star Inset to something other than zero (e.g., 50%) and the next polygon you draw will have a star shape.

Deleting a shape Using the Selection tool, click on the shape you want to delete. Then click the Delete key or Backspace key on your keyboard. Using the Selection tool, you can go to Edit > Select All and then click the Delete key and delete everything on your page at one time.

Aligning shapes There are two ways to align objects on the page. You can drag guides out of the rulers that appear above and to the left of the page and use those to line up your elements. Or

X is the horizontal line measurement, and Y is the vertical measurement. Objects will always have a location on both axes. InDesign also measures object size in picas, inches, points and millimeters. Objects left of the gutter are measured in negative numbers on the X-axis (e.g., -14p). Objects on the right of this area are positive numbers (e.g., 40p1). On the Y-axis, the zero-point for Y is at the top edge of the page. However, the Y-axis is flipped from the commonly used Cartesian grid. Anything below the top of the page, which includes the entire page, is a positive number. Anything above the top edge of the page spread is a negative number.

Frame/bounding box No matter the shape or size of an object, or whether text is fully visible in a frame, each object is contained within a frame or bounding box. When you highlight an object, the frame becomes visible along with its eight handles.

Points Points are the smallest whole units of measurement in publishing. There are 72 points in an inch, and 12 points to a pica. InDesign will also compute the value of points as integers. For example, you could enter the value 13p9.345. This means the value is 13 picas + 9.345 points.

Using the tools

ShapesDrawing rectangles, ellipses and polygonsClick on the Rectangle tool, not the Rectangle Frame tool, and you can draw a rectangle box. Click and hold down the Rectangle tool and then click on the Ellipse tool. Now you can draw an ellipse. Repeat the process for creating a polygon shape.

Using shape tools or frame toolsIt is preferable to use the shape tools to draw page elements on your yearbook spreads.

Fill and StrokeA stroke A stroke is a line that surrounds an object, also known as the border. Text characters and the outside of text frames can also have a stroke just like shapes and paths.

Stroke paletteThe Stroke palette is used to select the width and style of the stroke or border of the shape or path.

Stroke weightThe stroke weight is the thickness of the line created by the Stroke palette. In the Stroke palette, you can view additional options by selecting the palette menu and choosing Show Options.

Fill Fill refers to the color or mix of colors applied to the inside of an object. Fills can also be paper, none or a gradient of any color. A fill can be applied to an object by selecting the object and clicking a color in the Swatches palette. A gradient fill can be applied by selecting the Gradient Swatch or Gradient Feather tool, then click, hold and drag across a selected object.

Swatches palette The Swatches palette is used to control the color used in a document. When the stroke or fill of a selected object or text contains a color or even a tint of a color, the applied swatch is highlighted in the Swatches palette.

Controlling the stroke and fill You can switch the color that has been assigned to the fill with the color that has been assigned to the stroke using the Toolbox. The bottom portion of the Toolbox contains a Swap Fill and Stroke double arrow. When this arrow is clicked,

you can select multiple objects and align them in various ways using the Align palette.

Text and FramesCreating text in InDesign Use the “T” or Type tool to add text to a page. Type can be added by creating a new text frame, or by clicking with the Type tool inside an existing shape, which changes the properties of that shape into a text frame.

Text frames Text frames refer to an area that contains text or copy in a document. The boundary or scope of the text box is defined by a bounding box with text frame handles and in and out ports for linking or threading text boxes.

Using the Control palette with typeThe Control palette has two modes when using it with type. If you are using the Type tool to create or select text, the character mode will appear in the Control palette. This gives you tools to modify font, size, line spacing, kerning, tracking and much more. The Control palette also has paragraph mode, which allows you to adjust entire paragraphs or stories at once. This includes options for alignment, margins, styles and columns.

Placeholder text Placeholder text is used to design a page until you have the actual text to work with. To fill a text frame with placeholder text, click in a text frame so you have a blinking cursor, then go to Type > Fill with Placeholder Text.

Overset text When working within a text frame, you may see a red plus sign in the bottom right of the frame. This indicates that there is hidden or overset text within that frame. To reveal this text, you need

Rulers and Guides Rulers These measuring tools help you align items on a page. On the Walsworth template, both the vertical and horizontal rulers are preset to picas. Click in the white space on either side of “0” and drag a ruler guide down one side of the page. While holding down the Ctrl key (Windows) or Command key (Mac) and clicking with the mouse, you will bring the ruler guide down across both pages of the spread.

Guides Guides are nonprinting elements that help you position objects on a page. InDesign has both page guides and spread guides.

Snap to guides This option causes objects to pull toward the nearest guide when they are created, moved or sized.

Snap to ZoneTo change the range in which an object will snap to a guide, use Snap to Zone. To change the Snap to Zone, select Edit > Preferences > Guides (Windows) or InDesign > Preferences > Guides (Mac).

Removing guides Ruler guides are selectable items that can be moved or deleted. You can remove a guide by pressing the Delete button, or by dragging it back into the ruler and off the page.

Using color on pagesProcess color Process colors are created by mixing percentages of the four colors used in printing — Cyan, Magenta, Yellow and blacK — also known as CMYK. Always be careful when mixing your own colors because what you see on your computer monitor does not necessarily reflect the color that will be printed in your book.

Formula Colors A Formula Color refers to specific blends of CMYK created by Walsworth that can be used on any four-color page in your book. There are 290 specially blended Walsworth Formula Colors.

Color foldout When you specify Formula Colors on your pages, always choose the colors you want from Walsworth’s Color foldout in The Process Kit. These printed versions of the colors will match more closely what will actually be printed on your yearbook pages.

Swatches Swatches are predetermined colors loaded as a library in InDesign. The Swatches palette contains these swatches. When you select colors f rom the Color Information dialog, these Formula Colors will appear in the Swatches palette. The Swatches palette also makes it easy to apply colors to objects or text in your publication.

1. Open InDesign from the desktop icon or program list on your workstation.2. Either click File > Open WPC Yearbook Template or use the New Spread

icon on the Walsworth Control Center.3. Click and hold on the Swatches tab, then drag the swatches palette to the

desktop.4. Do the same for Stroke and Object Styles. 5. Click on the thick blue or gray frame bar at the top of each of the floating

palettes, and drag over to the palette space until it barely touches the bottom of a palette or palette group. Release the mouse button. The palette will dock to the bottom of the above palette.

6. Dock the remaining two palettes you moved earlier. 7. Now, click on the tab on each of the palettes and drag them directly back in

to their palette groups. Notice how each palette reassigns itself to the palette group.

8. Choose Window > Workspace > Reset xxxx to clean up the palettes, again. 9. Double-click on the top of the Toolbox to change its mode to single column,

then horizontal, and then back to the two-column default.

The Selection tool is used to move or resize objects. The Direct Selection tool is used to select objects found inside groups or frames. Practice using these tools and performing the different tasks that can be done with them.

Practice using the Selection tool (black arrow).1. Open the file named L2X2A.indd located on your

desktop in the Using InDesign > Lesson 2 > InDesign CSx folder (x is your InDesign version).

2. Locate the rectangle in the top left page of the spread. 3. Click and drag the rectangle to a new location. Notice

you must click and drag on the outside border to move the rectangle because it has no fill.

4. Resize the rectangle by clicking and dragging on one of the handles — the small square boxes on the frame.

5. Click the black circle with the Selection tool. Resize the circle from one of the handles.

6. Click on the image with the Selection tool. Crop the image from one of the outside handles.

Practice using the Direct Selection tool. 1. Select the Direction Selection tool in the Toolbox. 2. Click on the black circle. 3. Locate one of the four anchor points on the rectangle. 4. Click and drag from one of these anchor points to

reshape the circle.

Experiment with the Direct Selection tool. 1. Click on the fish or the curved path object. 2. Click and drag on either the points or the curved lines to reshape the objects.

Practice working with frame contents. 1. Click on the image with the Direct Selection tool. 2. Click and hold the image until the cursor changes to a hand and you see the ghosted version of the image. 3. Move the image within the frame to re-crop it.

Move multiple points. 1. Click on the roof of the house with the Direct Selection tool.2. Click and drag a lasso around the two points on the top of the roof so they both are selected. 3. Change the location of certain objects on the page coordinate system using the Control palette. 1. Open lesson file L2X2B.indd located on your desktop in the Using InDesign > Lesson 2 > InDesign CSx folder (x is

your InDesign version).2. Select the five-pointed star with the Selection tool. Note its X, Y location in the Control palette. Change the value of

X to -23p and press Enter. Notice the shape goes from one side of the spread to the other. 3. Select the folio text boxes with the Selection tool. In the Control palette, change its X value simply by adding a

negative sign in front of the existing value. This should swap it to the other side of the page. Repeat the process with the folio page number.

Change the dimensions of objects by changing their height and width in the Control palette. 1. Select the center of the collage image with the Direct Selection tool. 2. On the Control palette, make sure the constrain proportion chain link is connected so the image will stay in

proportion. Enter a value of 35p in the Width field and press Enter. 3. The image size will enlarge within the frame.4. Click File > Save As > SelectionB.indd and save it to the Using InDesign > Lesson 2 folder on your desktop.

Shapes can be as simple as rectangles or as fancy as stars. Use the tools in InDesign to create them, or to draw your own and adjust them.

Practice drawing shapes.1. Open the file named L2X3A.indd located in the Using

InDesign > Lesson 2 > InDesign CSx folder on your desktop (x is your InDesign version).

2. Select the Rectangle, Elipse or Polygon tools from the InDesign Toolbox.

3. On the right page, draw all of the shapes the same way they look on the left page.

Practice creating and deleting other shapes. 1. Draw some original shapes, then copy and paste them. 2. Holding down the Alt key (Windows) or Alt Option

key (Mac), drag a shape and see how it automatically copies it.

3. Delete one or more shapes by selecting one and pressing the Delete key.4. Press Ctrl + Z (Windows) or Command + Z (Mac) to undo the last step.

Align shapes. 1. Open the Align palette by choosing Window > Object & Layout > Align and practice

selecting various objects and aligning them. 2. Use guides to help provide a reference point for manual adjustments. To use the guides,

click and hold the arrow on the horizontal or vertical rulers and drag down or over on the page.

3. Go to View > Grid & Guides, and make sure Snap to Guides is turned on. 4. Drag objects close to the guides until they snap to them. 5. To nudge an object into position, simply select the object and use the arrow keys on

the keyboard to move them in the direction desired.6. Click File > Save As > Shapes.indd and save it to the Using InDesign > Lesson 2 folder

on your desktop.

Practice editing text on the page. 1. Open the file named L2X4A.indd located in the Using

2. Choose the Type tool from the Toolbox.3. Click the I-beam cursor on your page and highlight the words

“HEADLINE TEXT” in the headline text frame.4. Type in a different headline, such as “We Are the Champions!” 5. Locate the Character control in the Control palette. 6. Change the font to AWPCHelvetica.

Practice creating text frames. 1. Using the Type tool, click and drag to create a text frame underneath the headline text frame. 2. Click within your new frame and type the subheading, “Yearbook with a little dose of me.” 3. Highlight the subhead text; change the font to AWPCTimesItalic and the size to 18. 4. When finished, click the Preview button on the Toolbox to see the type without frames. After

seeing this, go back to normal mode.

Practice adding placeholder text. 1. Locate the purple oval on the page spread. 2. Using the Type tool, click within the oval shape to convert it to a text frame.3. From the menu, choose Type > Fill with Placeholder Text; or right-click in

the oval frame and select Fill with Placeholder Text from the alternate menu.

Practice flowing overset text into another text frame. 1. Locate the square text frame with the Latin filler text inside. 2. Choose the Selection tool from the Toolbox. 3. Find and click on the small red plus sign at the bottom right of the text frame. 4. As you move the mouse, notice the cursor has changed to a loaded text cursor. 5. Hover over the empty text frame to the right. When you see the chain link, click in that frame. Linked text has now

flowed into the new frame. 6. Click the red plus sign on the new text frame. With the loaded cursor, click and drag to draw a text frame on the last column. 7. When the column is created, remaining text will flow into it. 8. Using the Selection tool, adjust the size of the third column to reveal all overset text. 9. Click on File > Save As > TextFrames.indd and save it to the Using InDesign > Lesson 2 folder on your desktop.

A stroke is a border and can have different widths. Fill is the color or mix of colors applied to the inside of an object. Practice using the Stroke and Swatches palettes to create strokes and fill.

1. Open the file named L2X5A.indd located in the Using InDesign > Lesson 2 folder on your desktop (x is your InDesign version).

2. Open both the Stroke and the Swatches palettes from the Window menu.

3. On this page there are five pairs of objects. Using the Fill and Stroke selectors, along with the Stroke palette, copy the properties of the first object in each pair to the second object in each pair.

Note that with type and text frames, you must highlight the type using the Type tool to modify the fill or stroke of the type. Otherwise, you will affect the text frame.

4. Click on the small pair of arrows as circled. Your text will reflect as either solid filled, or as outlined letters.

5. When applying the gradient to the circle shapes, you can use the Gradient palette or the Gradient tool to reverse the direction of the gradient. Notice that when you click on an object you can see the color applied to the fill or stroke of that object in the Swatches palette.

6. To change a line from solid to some other pattern, use the Type drop down box in the Stroke palette.

7. Click File > Save As > FillStroke.indd and save it to the Using InDesign > Lesson 2 folder on your desktop.

Four color — or all color — are terms that refer to full color printing using the four ink colors Cyan, Magenta, Yellow and blacK (CMYK). To practice the various tasks using color, start at the InDesign desktop, locate the Walsworth Control Center, and find the New Spread button.

Practice using the Color Information plug-in to specify color for your pages.1. Open a new spread. 2. Leave the page range numbers 2-3 in the Modify Page Range dialog. Do not

uncheck the Maintain document length button.3. Make the spread a four-color spread. 4. Select Apply Color Information and Apply Changes.5. When prompted to save, click Cancel.6. Click the Color Information button on the Control Center. 7. Click the +Formula check box to open the Color Selector. To see the color chart,

click on View Swatches. Make note of the Formula Color numbers you might want to add to your color selection list.

8. When the Color Selector dialog opens, click to check the Formula Color(s) you wish to use; or, you may select F0200, F0700, F1500, F3350, F4000, F4500, F4860, and F4900 for this exercise.

9. Click Apply Chosen Color(s). 10. Once your colors are chosen, click Apply Color Information. Your colors will

be added to the Swatches palette

Practice applying color to page elements.1. On your page, create a text frame and type the headline, “Working Hard at the Salt Mines.” 2. Select AWPCClarenceBold from the fonts list. Make the size 36 point.3. Select the headline by clicking on it with the Selection tool. 4. With the Swatches palette open (Window > Swatches), click on the color you wish to apply

to the headline. The element will appear in the color you have applied. 5. If you only want the first letter in each word to have a different color, use the Type tool to

drag across that one letter. 6. Apply the color desired. 7. Place a piece of grayscale or line art from the Using InDesign > Lesson 2 > ClikArt folder on your desktop. 8. Select the element by clicking on it with the Direct Selection tool.

Practice applying the colors and tints to the fill and stroke of page elements.1. Using the Rectangle tool, draw a square on your page.2. Open or select the Swatches palette.3. 10. Use the percentage drop-down menu at the top of the Swatches palette to select the percentage of color you wish to apply.

Rulers and guides help you align items on a page. To start, open a blank spread by pressing the New Spread button on the Control Center. Leave the page range at 2-3, and click OK. Set the page color to Four Color on both pages, click on Apply Color Information, then click Cancel.

Practice setting column guides.1. Select Layout > Margins and Columns. Margins should not be changed on

the Walsworth template.2. Check the Preview box so you can see your changes.3. Set the Number of Columns to 4 and verify the gutter is 1p0 pica.4. Click OK. You should see four columns on both pages.

Practice setting horizontal guides.1. Select Layout > Create Guides. This will allow you to bring in horizontal guides

spaced evenly down the page like your column guides.2. Set the number of rows to 4 and verify the gutter is 1p0 pica.3. Under the Options section, select Fit Guides to Margins.4. Click OK. You should see four primary rows on each page.

Practice setting up ruler guides.1. Move your cursor over the horizontal ruler at the top of the right page of the spread.2. Click and drag a ruler guide out of the ruler to the 14th pica. Hold down the Shift key to

snap to the pica ruler while dragging. Keep an eye on the Y-coordinate so you know when you are on the 14th pica.

3. Release the mouse button. Notice that the page guide only appears on the right page. 4. Click and drag on the vertical ruler on the left to move a guide to the 26th pica on the left page.5. Once loaded onto your computer, most Walsworth Enhancements can be accessed on the Control Center. They include the Designer Series Layouts, PDF Builder, Express Libraries, Mirror (CS 6 only), Memo (CS 6 only), Image Tag, Panel Maker, Index, Image Placer New Spread,

Plug it inWalsworth Enhancements add to the ease of InDesign for page creation.

Adobe InDesign comes with many great functions and tools to help designers create magazines, brochures, ads and even yearbooks. However, yearbook staff members need to perform some functions that are not included in the InDesign software. That is where plug-ins come in. A plug-in is usually a third-party, vendor-developed software that provides extra functions not available in the standard software application. Walsworth has developed plug-ins for InDesign for yearbook staffs. They are called Enhancements.

in the preview window. If this is the design you want, click the Place DSL button. If you wish to clear a layout you have chosen, click the appropriate Clear button. You can repeat this process for the other single page.

You can choose between single and double-page layouts. At the point when the page is built, it can be customized. In fact, you are encouraged to make the pages your own by mixing and matching single-page layouts, resizing objects, changing fonts and, of course, adding your stories, headlines and captions.

Express LibrariesExpress Libraries are like small versions of Walsworth’s Designer Series. Instead of complete layouts, you can use portions of pre-designed layouts, such as headline treatments, scoreboards or photo groupings. Express Libraries use an InDesign feature called a library to store these pre-designed page elements.

There are eight different Express Libraries: Element Express, Portfolio Express, Headline Express, Quote Express, Info Express, Ad Express, Sports Express and People Express.

Mirror (CS 6 only)The Mirror Enhancement flips or copies your layout vertically or horizontally. The four Mirror buttons are vertical, horizontal, copy vertical and copy horizontal.

Memo (CS 6 only)Memo enables users to leave non-printing editorial notes within images or text boxes. Messages that have been inserted by an editor can be viewed by selecting the Memo icon from the Control Center, then choosing the View Memo text option from the selection window.

Take a tour and get familiar with these tools, as they are helpful for speeding along the creation of your yearbook.

Designer Series LayoutsWalsworth’s Designer Series Layouts can be used in your yearbook as-is or modified to fit your needs. You can also use these layouts as an inspiration to help you brainstorm your own layout ideas.

Single-page Designer Series Layouts can be mixed and matched to create a spread of your choice. Click the Designer Series button on the Control Center. Under Page Type, select Single Pages. If you want to browse through all layouts, select All under Category. If you do not know the number of the layout you want to use, click on the arrow buttons to scroll through the layouts.

If you have looked at one of the Designer Series guides and know the number of the layout you want to use, type in the Designer Series number and the layout will appear

The images you place on the page using Image Placer will automatically be saved in this folder. These will not be your original images. They will be duplicate images saved in the correct resolution, colorspace and format.

Image Placer works entirely in and of itself to save your images so they can be used in your yearbook and can be expected to print well by Walsworth. You do not need Photoshop to use Image Placer. Whether you use Image Placer or Photoshop to correctly prepare your images, they will print the same. Photoshop can be used to make more extensive color, contrast or special effect changes to your images, and can even be used to improve images that would not print well in your yearbook in their present state.

There are tasks you can do to make using Image Placer easier. Copy your digital images from your scanner or camera into the PIX folder inside the WPCYB folder. Make subfolders for the event name, date and photographer’s initials. It will also help to rename images inside the folders to keep them organized. You can use Photoshop’s File Browser, or Adobe Bridge, to do bulk renaming of files.

Saving your page files in the correct location before using the Image Placer is one of the most important things you can do. Where you save your page determines where Image Placer will create the folder to hold the copy of the placed images.

You can also export a list of the images you have used in Image Placer by clicking the Review Placed Images button.

Image TagImage Tag numbers the image boxes, also called windows, on the page so they can be recognized and used to place pictures using Image Placer.

By clicking the Tag Frames button, the image windows will turn gray and a number will appear.

Select the window with the Selection tool and click the Tag Frames button on the Control Center. To tag multiple boxes at the same time, hold down the Shift key and click with the Selection tool on all the image windows on your page, and click the Tag Frames button. The image windows will turn gray and be tagged with an image number. Anytime you move tagged image windows around on your page, make sure you run Image Tag again to update the image numbers before placing any digital images or submitting the page to Walsworth.

Image Tag numbers images left to right, from top to bottom on the page. Panel image windows appear yellow, while all other image windows, referred to as candids, appear gray/purple.

Select the window with the Selection tool, then click the Untag Frames button. Untag Frames is located to the right of the Tag button.

Image Placer This program works within InDesign to help you format digital image files — those files captured by a digital camera or scanner — and easily place them on your page.

Image Placer checks and converts as necessary the resolution, colorspace and file format of your images. When you place your images with Image Placer, they are automatically saved at 225 dpi, in the correct colorspace based on whether your images will be printed in color or black and white, and they are saved as .jpg files.

Image Placer will create a .PIX folder with the same name as your file in the same location your file is currently saved.

Portrait windows are yellow and are always the first to be numbered on the page. Candid image windows are gray/purple. If you have a portrait page with candid and panel windows, the panels will always number first from top to bottom, followed by all candids top to bottom.

On the Portrait Flow tab, you can quickly and easily flow your portraits onto the page, while also selecting name format and how you want the portraits sorted. However, there are setup steps that must be completed before you can use the Portrait Flow feature. Be sure to discuss the process with your yearbook sales representative.

ClikArtWalsworth offers a complete selection of clip art called ClikArt for your use. There are three types of ClikArt: color, grayscale (black and white with shades of gray) and line art (black and white with no shades of gray). Most artwork that appears in color has a grayscale version. Some of the art has line art versions. They are divided into categories such as accents, animals, mascots and food.

All pieces of ClikArt have been saved with a clipping path, which means that if you place the artwork on a background, the background will show around the edges of the artwork and through any portion of line art that appears white. Once placed, you have the option of enlarging a piece of ClikArt up to 150% of its original size.

Included with Walsworth’s ClikArt is a selection of ColorTex Textures that can be used as backgrounds or accents for your page. ColorTex Textures can be placed on a spread using the same process as placing a piece of ClikArt, and can be cropped to fit.

Each piece of ClikArt and thumbnail versions are located on Support Download.

Panel Maker This Enhancement draws your panel or mug windows on the page for you. To help you place your panel names on the page, it places text blocks containing linked placeholder text.

Panel refers to student portraits that are placed in rows and columns with the identifying names at the outside of the row. Mugs are portraits that are placed in rows and columns with the identifying names placed under each photo. Mugs can have up to two rows of text or text under each photo. Linked text is copy that flows across two or more columns but is still connected. When text blocks are selected with the Selection tool, you can determine if they are linked by the in and out ports.

It is easy to tell the difference between portrait and candid image windows.

The Designer Series contains layouts of single pages and double-page spreads that are ready for you to use, or that can inspire you to create your own pages. Investigate what you can do with them.

Practice using the Designer Series Enhancement with specific layout numbers. 1. Open a new spread from the Control Center. 2. Set the page numbers to 16-17 in the Modify Page Range dialog. 3. Select Black and White for each page and click Apply Color

Information. 4. When prompted to save, click Cancel. 5. Click the Designer Series button on the Control Center. 6. Locate the single-page layout S414 in the Student Life section. 7. Locate the single-page layout S515 under Clubs. 8. Click Place DSL to create a spread.

Practice altering your Designer Series spread. 1. Using the spread created in part 1 (S414 or S515), delete or change at

least two tagged image windows. Hint: Remember the Select Arrow and Delete key.

2. Go to Edit > Select All and delete the items on the spread.

Practice browsing for and building Designer Series spreads. 1. Find a double-page spread in the

Portfolio section (such as dl15) and place it on the spread.

2. Adjust the elements on the spread by adding at least three shapes and a text box with a headline to the spread. See the example to the right.

Layouts should be consistent throughout the yearbook to keep your book cohesive, but you do not want your book to become monotonous. Flipping layouts will keep them similar but not exactly the same.

Express Libraries are portions of pre-designed Designer Series layouts, such as headline treatments, scoreboards or photo groupings. Use these layouts to put graphic elements on your pages.

Practice opening libraries and placing elements on your page. 1. Open the file named L3X3A.indd located in the Using InDesign

> Lesson 3 > InDesign CSx folder on your desktop (x is your InDesign version).

2. Click the Express Libraries button on the Control Center. 3. Click to select the Sports Express library. Click OK.4. Find a scoreboard that will fit in the lower left portion of the spread. 5. Click and drag your chosen scoreboard from the Sports Express

palette into the page. To finely adjust an element’s position, select the element, then use the arrow keys on the keyboard.

6. The elements will appear as a group on the page and can be moved to the desired location.

7. Select and delete the scoreboard you just placed.

Practice ungrouping and tagging library items. 1. Click the Express Libraries button on the Control Center. 2. Choose the People Express library. Click OK. 3. Drag a library item that contains several black image windows

onto the lower left portion of the spread. 4. Ungroup the library element by going to Object > Ungroup. 5. Select the individual black image windows and press the Tag

button on the Control Center. Now the image windows are ready to be used by Image Placer.

6. Click the File > Save As > ExpressLib.indd and save it to the Using InDesign > Lesson 3 folder on your desktop.

BonusYou can create your own libraries by going to File > New Library. Select elements you have custom-made, then drag them into your own personal library so you can use them frequently. Libraries can contain shapes, text and images.

The Image Tag Enhancement numbers the image windows, or boxes, on the page so the hard-copy photos you submit to Walsworth will be placed in the proper locations. Practice using Image Tag.

Practice drawing and tagging image windows. 1. Open the file named L3X4A.indd located in the Using

2. Notice some of the image windows are tagged and gray, and others have not been tagged.

14. Click on another image in the Image Placer palette. A red cropping box will appear in the image preview. This cropping box shows how the image would be placed in the image window at its current size and as it is cropped.

15. You can move the cropping box by clicking and holding with your mouse.16. To resize an image to include more or fewer elements, use the Scale (%) field or click and drag any corner of the red

cropping box. 17. Place one image by clicking the Place Image button.

Practice using the features of the Image Placer palette. 1. Select an image thumbnail in the Image Placer

palette and change it to grayscale by clicking the Convert to Grayscale button. If you want to change an image you have previously changed to grayscale back to color, click the Convert to Grayscale button again.

2. Place the image in one of the numbered image windows. 3. Click the Color Information button on the Control Center and change one page to black and white. 4. Place a third image on this page. Notice that it changes to black and white automatically. 5. To rotate an image 90 degrees, click the Clockwise or Counter Clockwise buttons under Rotate 90 .̊ 6. To rotate an image to another percentage, use the Rotate (º) field to manually enter the number of degrees you wish

to rotate your photo. Images can also be rotated by clicking and dragging the selection point at the end of the blue line extending from the middle of the red cropping box.

7. Place the rotated image on the page. 8. To automatically resize an image to its best fit within a window, click the Fit to Frame button. The image will automatically

To complete this exercise, the Walsworth Portrait Flow Enhancement must be installed on each workstation. Portrait Flow installation instructions are at the end of this exercise.

Every yearbook has page after page of student portraits. Panel Maker helps simplify the process of placing the photos and text. With this exercise, you will work with one function in Panel Maker, then move on to the next function

Practice using the Basic tab features.1. Open a new spread from the

Control Center.2. Set the page numbers to 10-11 in

the Modify Page Range dialog.3. Select Four Color for each

page and click Apply Color Information.

4. When prompted to save, click and save it to the Using InDesign > Lesson 3 folder and name it PanelMaker.indd.

5. Click the Panel Maker button on the Control Center.

6. Set the Pages field to 2.7. Verify 10 is showing in the Start

Page field.8. Enter the number of photos you

want on each page: for example, five in the Across field and six in the Down field for a total of 30 images per page. Panel Maker will automatically figure the number of photos or number of pages based on the information you entered.

Practice working with the Text Layout features.1. Click the left Page Type icon to

draw a panel layout or right Page Type to draw a mug layout.

2. Select a Text Position icon to define how your text and images will be arranged. If you chose mug style earlier, you can choose one or two lines of text.

3. Locate the Place list box menu to draw Text and Images, Images only or Text only. Choose Text and Images.

4. Locate the Font Size list box menu to select the font size (8 pt.) and/or Block Width list box menu for a text width block of (8 picas) if using a panel style.

5. Next, click the Custom tab.

Using clip art can add interest and fun to your yearbook pages. Walsworth’s ClikArt collection provides clip art in color, grayscale (black and white with shades of gray) and line art (black and white with no shades of gray).

Practice placing ClikArt. 1. Open a new spread from the Control Center. 2. Set the page numbers to 76-77 in the Modify Page Range dialog. 3. Select Four Color for each page and click Apply Color Information.4. When prompted to save, click Cancel.5. To place a piece of ClikArt, go to File > Place.6. Browse to the color ClikArt located in the Using InDesign > ClikArt > Color

folder on your desktop. Select any of the art files and click Open.7. Position the loaded cursor in the location you want the image placed and left-click your mouse.8. Do not place color ClikArt on a page set up as Black and White.

and files each of their spreads correctly in the proper page folders. While you have unlimited flexibility during editing, it puts the control of the page creation in the hands of the staff, is significantly more labor intensive and prone to errors.

The second method is the master template. Typically, a yearbook adviser will define the master templates for each of the sections of the yearbook and post them at a central file location. From there, each editor will copy their sections of the master template and use them to create master pages. The primary benefit is the ability to assign pages and make editing changes after they are created, but the templates retain the original information.

When it comes time to create the pages, a plan must be in place, too. Again, technology can help. InDesign has tools called master book, master pages and master template that enable designers to be consistent in their placement of graphics and elements on pages throughout the yearbook. Using these tools saves time and should eliminate worry about the look of items such as division pages and folios.

Master bookThere are three methods to creating yearbook pages or spreads. The first method is to create each spread from a blank yearbook template. This method works well when every staff member knows what page numbers they are assigned

Mastering the master bookInDesign’s master book and master pages provide the means for a consistent, orderly yearbook.

Planning constitutes much of the work of creating the yearbook. There has to be a plan for the theme and carrying out the coverage. Color placement needs to be determined. A ladder needs to be filled in with the plan for all of the pages. Lesson 1 of this book explained file management.

This lesson will be on page creation starting from a master book page, although information and exercises about working from a new spread are included.

Master pageA master page is like a background double-page spread. Objects created on the master page are automatically reflected on all pages of the document. Yearbook templates start with one master page spread, the A-Master. The letter A is known as the master’s prefix. Typically you will only need the existing master page to work with your documents.

The most important thing to know about master pages is that your folio text and page number are placed on the A-Master for you to edit. Another use for master pages is adding background images. This way they will remain to the very back and not overlap objects on the actual page.

Pages paletteThe Pages palette provides information about pages, spreads and master pages. In the Pages palette, page icons can be clicked on to navigate the pages. Your master pages are also accessible from the Pages palette. If you create multiple masters, you can drag the master page icon onto a page icon to apply that master to that page.

Other page creation options

Starting from a new spreadA new spread is the starting point for a yearbook design. It contains information necessary for correctly creating your page files, including bleed bars around the edge of your page, color information, job number and school name. You should always create pages using a new spread or you run the risk of setting up your page incorrectly.

There are two ways to open a new spread in InDesign: Select File > Open WPC Yearbook Template or click the New Spread button on the Control Center.

The third method, and the one Walsworth recommends, is to begin the yearbook by creating a single master book. A master book is a document that contains the same number of pages as your yearbook, and can be used to set up many of the elements of the book that you want to remain consistent throughout, such as folio text, folio artwork, backgrounds and even layouts. The benefits of using the master book method are consistency of page format and the time it will save to create your pages.

When coupled with the File Builder Enhancement, located on the Control Center, the adviser will be able to break up the master book or master template files into the recommended double-page spreads for easier file management. When you use File Builder to break up your master book, it is a good idea to organize the smaller files into individual folders. Check the box to create folder(s) for each resulting file and when you build the pages, they will each be placed in their own page folder. File Builder also provides an additional benefit by saving your new files in the proper naming convention for submission to Walsworth.

Editing master pagesAfter the master book is created, you will eventually realize that you just might need to change one or two things. With a master book and master templates, items created after the master book has been built can still be customized and changed.

This feature is called the master override. To unlock a master item from the document page, hold down the Ctrl + Shift keys (Windows) or the Command + Shift keys (Mac) as you select the item. Once you have access to the item, you can change or delete it. The change or deletion will only affect the item on your page; the item on the master book is not affected.

If you wish to remove the overrides you made on a document page, open the Pages palette menu and choose Remove All Local Overrides. This will undo any changes you have made on the document to master page elements and put the master elements back on the spread as they appear on the master.

You also can create color for multiple pages. Whenever you have a document that contains more then two pages, the Color Information plug-in will automatically open in the Signature view. This view allows you to see the pages in your document in a way resembling your yearbook ladder. You can apply color information for all pages in a spread, all pages in a flat, all pages in a signature, all pages in a document, or indicate a page range.

FoliosFolios on the master template are placed on the master pages. To make changes or additions to the folio text and artwork:1. Double-click on the A-Master

in the Pages palette (Window > Pages)

2. To make it easier to work with the folio, zoom into the folio area by selecting the Zoom tool and clicking on the folio, or use the Zoom tool to draw a marquee around the folio text.

3. Select the Type tool and highlight the folio text. Type in the text you want for your folio. If you do not want folio text to appear on your pages, delete the text block.

4. Decide on the font and font size for your folio. Change folios on the master pages by using the Character palette (Type > Character) or by going to Type > Font and Type > Size.

Navigating the page Once your page is built, you need to know how to navigate it. Use the Zoom tool on the Toolbox to zoom in and out. After zooming, use the Hand tool, or press and hold the space bar to push your page to put important things in view. When you need to fit the page in the window again, press Ctrl + Alt + 0 (Windows) or Cmd + Opt + 0 (Mac) on the keyboard. You can use several tools to zoom in and out of a page. On the keyboard, press Ctrl + + (Windows) or Cmd + + (Mac) to zoom in and Ctrl + - (Windows) or Cmd + - (Mac) to zoom out.

Changing page numbersAs you read in Lesson 1, every new spread opens with the default page numbers 2-3. If you do not change the page numbers, it can cause confusion and mix-ups when pages are received by Walsworth. If you are placing digital images on your page with Image Placer, it could cause images to be copied over each other and end up as missing links.

When you open a new spread, the Modify Page Range dialog will open. Choose your starting page and your ending page will auto fill to make a double-page spread. You can also uncheck the Maintain Document Length box and enter a custom start and end page to make the document bigger. At any time, you can also get to the dialog by clicking the Modify Page Range button on the Control Center.

Color informationThe cost of printing your yearbook has a lot to do with how much color you use, where you use it, and when you submit it. You should plan color usage with your Walsworth Yearbooks sales representative before you start working on your yearbook.

Mark your color pages clearly on your ladder and make sure you refer to it as your pages are created, so you do not incorrectly specify color information on your pages.

Walsworth’s Color Information Enhancement is software that electronically marks your pages with the color(s) you will be using on the page. This tells Walsworth how to print your pages: in color, black and white, and /or with Formula Colors. After you assign color specifications to a page, that information will appear along the margins.

When you create a document using the New Spread or Designer Series plug-ins, the WPC Color Information window will automatically open and prompt you to set the color information for your document. You can also bring up the

This exercise is for the adviser or for a designated administrator, such as a co-adviser or an editor-in-chief. You want as few people as possible with access to the master book so that items on it do not accidentally get changed or deleted.

Create the following sample yearbook:1. Open a new spread by clicking the New Spread button on the Control Center, or by going to File > Open WPC

Yearbook Template, and create a new document with these characteristics. • In the Modify Page Range window, uncheck the Maintain document length box, then make the starting page 1 and the ending page 19. Click OK.

• Click the Select Sig button to select all pages. • Click on 4/C, click on +Formula and add the following Formula Colors: F0200, F0700, F0800, F1500, F3350, F4000, F4500, F4860 and F4900.

• Click Add Chosen Formula Colors. • Click Apply Color Information. • Save the file as MasterBook.indd in your _IDPractice > D1 folder located on your hard drive. • With the Masterbook.indd file still open, change the folio text on all pages to “Potpourri.” Remember to follow the A-Master process as described in the Lesson 4 background reading. Zoom in to the folio text, at about 600%, and then use the Type tool to modify the folio text.

• Use the master overrides command to make the folio copy different on several spreads. See “Editing Master pages” in the Lesson 4 background reading.

2. Create layouts on pages 1-7 using the Designer Series Layouts Enhancement. • With your Masterbook.indd file open, go from the A-Master back to page 1. • On page 1, add a single-page theme layout using Designer Series number S032. • On page 2, add a single-page theme layout using Designer Series number S007, and then mirror it on page 3. • On pages 4 and 5, add a double-page theme layout using Designer Series number D403. • On pages 6 and 7, add a double-page theme layout using Designer Series number DE04.

3. You design the spread on pages 8 and 9, but it needs to contain: • The background image named background 2.jpg. • A 60-point, two-word headline, with the word “Stylish” in AWPCSnowWriteBold in the color Paper on page 8, and the word “Statement” in AWPCTimesBoldItalic in Formula Color F0800 on page 9.

• Place body copy homecoming.txt, which can be found in the Using InDesign > Lesson 4 folder on your desktop. Set the copy in 12-point type with 14-point leading. Use an AWPC font of your choice, with a three-line drop cap.

• Draw an object box in the middle of the body copy and use text wrap to flow the text around the box. To do this, open the Text Wrap palette from Window > Text Wrap. Click on Wrap around bounding box.

• Apply a 30-degree rotation to the box you just drew. • Use column guides and your own eyes to draw image windows at the proper size for your page size.

• Create captions and use Placeholder Text.

4. Create pages 10-15 as mug pages using Panel Maker. • Create these pages so they have 20 oval shaped windows per page. • Student names to be flowed on to these pages are in the ninth.txt file, which can be found on the Using InDesign > Lesson 4 folder on your desktop.

5. You design the spread on pages 16 and 17, but it needs to contain: • One photo using any modify effect of Image Placer. • A 20-point headline using a Formula Color of your choice. • Three picture boxes, one in the shape of a five-sided star. • Two captions.

6. You design the spread on pages 18 and 19 using any page design from a yearbook. This also can be a layout that other students from your school have drawn, or a layout you have chosen from a sample book.

7. Click File > Save As > Masterbook.indd and save it to the _IDPractice > Lesson 4 folder on your hard drive.8. Close the Masterbook.indd file.

The File Builder Enhancement enables the master book or master template files to be divided into the recommended double-page spreads for easier file management. Use the file you created and practice opening a master book and using File Builder.

1. Open the MasterBook.indd file in your _IDPractice > D1 folder you created in Exercise 1. Create a master book.

2. Click the File Builder button on the Control Center.3. Click the Auto Fill Spread(s) button. This will split your page ranges into double-

page spreads. Notice that page 1 will be in a separate file.4. Click Next.5. Choose a destination folder by clicking the … button. Browse to the _IDPractice

Anything placed on a master page will be repeated on all pages of the document. You need to make sure you want the element on every page, or be prepared to edit it on some pages.

Practice working with page elements and master pages.1. Open a new spread by clicking the New Spread button on the Control Center, or by going to

File > Open WPC Yearbook Template.2. At the Modify Page Range window, leave the starting page number at 2. Click OK.3. Select Four Color for each page and click Apply Color Information.4. When prompted to save, click Cancel.5. Attempt to change the folio text from the page level. Notice the text is not selectable from the

page level. You must navigate to the A-Master page to modify the folio elements.6. Open the Pages palette by going to Window > Pages. The upper half of the Pages palette contains

master page icons. InDesign allows for more than one master page, and master pages can be single or multiple pages. The pages in the document, which appear in the bottom portion of the Pages palette, display the prefix of the applied master. If no master is applied to the page, it will appear blank.

7. Double–click on A-Master to navigate to the document’s master page.8. Use the Type tool to modify the folio copy. Enter the word Seniors in the left and right folio text.9. Navigate back to the page level. Verify the folio copy has changed.

10. Click File > Save As > Folios.indd and save it the Using InDesign > Lesson 4 folder on your desktop.

Practice assigning master pages.1. Open the lesson file L4X3A.indd located in the Using InDesign > Lesson 4 folder on

your desktop.2. Go to Window > Pages to open the Pages palette. Notice this document has three different

masters — A, B and C.3. Double-click on all three masters to navigate to them and see their contents.4. Notice the icons for B–Master and C-Master in the Pages palette. With these icons are B-Master

shows A|A and C-Master shows B|B. This means that these masters are based on the master page indicated by the letter. Page icons also have a letter, which associates them with the assigned master.

5. Drag the word C-Master on top of the page icons for pages 8 and 9. This assigns the master to those pages. Since the C-Master is based on B, and B is based on A, then any page using the C-Master also will include the elements in A and B.

Practice overriding master page elements.1. Navigate to pages 8-9 in the document.2. Hold down Ctrl + Shift (Windows) or Command + Shift (Mac) and click on the background of the page spread. This

overrides the element and brings it to the front.3. Delete the background element. Your layout should now appear as a plain white spread.4. Restore the background color by clicking on the Pages palette menu and choosing Remove All Local Overrides.5. Close the file without saving.

PDF BuilderThis Enhancement will allow you to create verified PDF files for submission. Using PDF Builder allows you to submit your pages without having to submit images, ClikArt or fonts. The PDF process embeds images, graphics and fonts, making it unnecessary to submit them to the plant.

PDF Builder will check your pages for common document, font, image and color issues. It will then run a report, list any issues that would cause problems and allow you to package your files for easy submission for printing.

Walsworth Enhancements that aid in the submission and creating processes are PDF Builder and Index Plus. PDF Builder will check your pages for the most common issues that cause pages to be stopped in the publishing facility. Index Plus allows you to locate and compile the names of people and businesses on pages throughout the yearbook. These tasks are not difficult but do require students who are attentive to detail. You and your editors, who should have that characteristic, will probably handle submission, but find another such staff member to create the index.

Index PlusFor most people, the most important part of the yearbook is their own photo. The index gives them a convenient place to easily find exactly where they are pictured in the book.

Walsworth’s Index Plus plug-in is software that guides you step-by-step through the indexing process, from scanning your InDesign documents for names to creating your index text to placing it on the page.

Index Plus does not involve loading a reference list, but rather scans your selected InDesign documents for any word groupings of at least two consecutive words that begin with a capital letter. In other words, it finds names and other proper nouns (such as club names). After the scan, you edit the results, removing the names and terms you don’t want to appear in the index.

Once your index is complete, the Index Plus flowing function also gives you the option of customizing the design of your index pages by the number of columns and images on the page and layout.

The first step before using PDF Builder is to make sure you have followed good file management. Be sure you have placed all of the page files you will be submitting on this deadline in the same folder. Include all placed image files and any artwork you have used on those pages. If you used Image Placer to place your images, make sure your PIX folder is in the same place as your pages.

Once your files are in the proper folders, you can launch PDF Builder by clicking the PDF Builder button on the Control Center, or going to File > PDF Submission. In the PDF Export window that opens, use the radio buttons to select to PDF all the pages in your document or a particular range of pages. PDF Builder will then scan your document to find any warnings or errors. Click the Create Report button to read the details.

The types of issues that PDF Builder reports on include page size, font and image issues.

Font issues that you must correct include unavailable fonts.

There are seven types of placed image issues: missing image files, unsupported file formats, unsupported color space, resolution cautions (image with resolution of 72 dpi to 149 dpi), resolution errors (image with resolution lower than 72 dpi), out-of-proportion images, and conflicting color images. Unsupported file formats, images with unsupported color space, conflicting color images, and resolution errors must be corrected before you submit your page to Walsworth.

Color usage issues occur when you have placed elements on a page with color applied that disagrees with the color specifications entered through the Color Information plug-in. For example, placing text in a Formula Color on a black and white page would result in a color usage error.

Once your document contains no errors, or acceptable warnings, you can click the Create PDFs button. If warnings remain that you are choosing to ignore, one final pop-up window will display. Click Create PDFs Anyway to proceed. Browse to choose the location where you wish to save your files.

• Font Information – A font has been used that isn’t available. You can replace it with AWPCHelvetica.

• Image Information – Several images issues are reported. You will need to fix the out-of-proportion images and re-link the missing images.

2. To clear these issues, you will need to return to the 054-055_PDF.indd file and make the corrections.

3. Run PDF Builder again to check the file. If the document contains no errors or warnings, click the Create PDFs button.

4. A browse dialog will open to save your new PDF. By default, PDF Builder uses a naming convention based on file name and the date, and creates a dated folder within the WPC Submission folder to save the PDF. Click Save.

Your PDF is now ready to be submitted to Walsworth instantly online via Yearbook Connect or copied to a CD or DVD and submitted via FedEx.

Practice scanning and indexing your documents:1. Open the Index Plus palette by clicking the Index Plus button on

the Control Center.2. Click I’m ready to build my index in the Welcome dialog. If you

are returning to Index Plus, click OK in the Welcome Back window, then Add or Remove Documents.

3. A browse window will open allowing you to select the InDesign documents you wish to scan. Browse to Using InDesign > Lesson 5 > Index Demo and open the 024_025_7-77777_000.indd and 026_027_7-77777_000.indd documents.

4. Once the scan is complete, a list of all the names and terms being indexed and what pages they are on will appear. To edit the list, click Yes, open edit tools.

Practice editing your index terms:1. Index Plus will scan for every proper name in your selected InDesign

documents. In the Edit Index window, you should carefully review and edit the list.

2. Find at least one variation of the same name, for example, a name appearing as Kelly Sue Abrams and Kelly Susan Abrams. Click the checkboxes next to the two names, then click Merge.

3. Find at least one unwanted name, then click the checkbox next to it. Click Ignore.

4. To manually make changes to an individual entry, click the checkbox next to it. Click the Edit button.

5. In the Edit Name window, type in a new name and change the page number. Click Save.

Manually insert a name into the index:

1. From the Edit Index window, click the Insert Name into Index link in the top right corner.
