OomaOfficeisaflexiblecommunicationsystemthatcanbecustomizedtoyourneeds. TounderstandhowOomaOfficewillworkinyourbusiness,itishelpfultoknow afewbasicthingsabouthowthesystemissetup:

• Your Ooma Office configuration will consist of multiple users.Eachuserwillbeassignedaunique3-digitextensionnumber,aprivatevoicemailbox,andanaccountintheOomaOfficeManagerwebportal.Ausercanbeanindividualemployee,oritcanrepresentajobfunctionsuchasfrontdeskorshippingdepartment.

• Ooma Office can support up to 20 users.Inadditiontousersthatyoucreateforyouremployees,therearespecialtypesofuserssuchastheVirtualReceptionist,VirtualFax,andconferenceserver.Thesespecialuserscounttowardthelimitof20.

• Each user will use one or more devices to access the phone system. Availabledevicesinclude:

Analog phone –Aregularcordedorcordlessphonethatplugsintothe BaseStationortheLinx.

IP phone –SelectmodelsofIPphonesconnectedinsidetheoffice.

Mobile app–TheOomaOfficemobileapprunningonaniOSorAndroiddevice.

• A user can have multiple devices assigned to his extension, but may only have one device of each type. Forexample,ausermayhaveanOomaLinxdeviceandaremotephonenumber,butausercannothavetwoOomaLinxdevices.

Anydevicethatisassignedtoauser’sextensioncanbeusedtomakeoutgoingcallswiththeexceptionofanexternalnumber(whichcanonlyreceivecalls).Allofthedevicesthatareassignedtoauser’sextensionwillringwhentheuserreceivesanincomingcall.Theusercananswerthecallonanydevice.

• You can configure phone numbers to route to any user on the system. MostbusinesseswillhavetheirmainbusinessnumbermappedtotheVirtualReceptionist,butyoucanalsochoosetohavecallsrouteyourreceptionistifyouhaveoneonstaff.Ifyouhavemorethanonephonenumber(OomaOfficesupportsupto20numbersperaccount),eachphonenumbercanbeindividuallyassignedtoanyuseronthesystem.

Scalable System Support for up to 20 usersYourOomaOfficeconfigurationstartsoffwithoneuser,butcanscaleupto20userssothateachofyouremployeescanhaveanextensionnumberandvoicemail.TheBaseStationcansupportuptofiveanalogphones(onewiththephoneportonthebackofthedeviceanduptofourothersconnectedwirelesslywithLinxdevices).Whenyouneedadditionalanalogphones,youcanexpandyourcapacitybypurchasingadditionalBaseStationunits.

Business FeaturesVirtual ReceptionistTheVirtualReceptionistanswersanddirectsincomingcalls.Itcanbeusedtoanswercommonquestions,toadvertiseyourservicesand/orspecialoffers,andtoprojectaprofessionalimagetocallers.Youcantypeinagreetingthatwillbeconvertedtospeech,oryoucanuploadyourownaudiofile.Youcanalsoconfiguredifferentgreetingsandmenuoptionsforyourbusiness’soperatingandnon-operatinghours.

Ring Groups Routingcallsbydepartmentorfunctionhelpstoensurethatsomeoneisalwaysavailableforyourcustomers.SetupRingGroupstoringallusersinthegroup,includingtheirexternalnumbersandtheOomaOfficemobileappifthesedevicesareassignedtotheuser.ThephonesintheRingGroupcanringatthesametime(simultaneousmode)oroneatatime(sequentialmode).YoucanalsospecifywherethecallwillroutenextifnooneintheRingGroupanswers.

Virtual Fax It’sneverbeeneasiertogopaperless.SendandreceivefaxeselectronicallyonlineusingOomaOfficeManager.AfteryousetupyourVirtualFaxextensioninboundfaxeswillbeforwardedtoyouremail,andanyofyouruserswillbeabletousethewebportaltofaxoutPDForTIFFfile.

Conference server Usetheconferenceserverfeaturetohostuptotensimultaneousconferencerooms.Each roomwillbesetupwithitsownuniquePINnumberandcanaccommodateamaximumof tenparticipantseach.

Calling Features Extension dialingNotallphonecallsneedtoleavethebuilding.OomaOfficesupportsinternalthree-digitextensiondialing,soit’seasyforemployeestocontacteachother.ThiscanbehandyevenifanemployeeisoutoftheofficesinceinternalextensiondialingwillalsoringexternalphonenumbersandtheOomaOfficemobileapp.

Call transfer OomaOfficesupportsexternalcalltransfers,internalcalltransfersbetweenextensions,andeventransfersdirectlytovoicemail.Youcanalsosetupcustommusicthatwillbeusedduringthetransferratherthanthestandardringbacktone.

International dialing CallstotheUnitedStatesandCanadaareincludedatnoextracharge.OomaOfficealsosupportsinternationalcalling.Callstoothercountriesarechargedatourlowinternationalratesandaredeductedonaper-minutebasisfromyourprepaidaccount,whichwillautomaticallyrechargewhenthebalancerunslow.

Managing Users and DevicesEachtimeyouwishtoaddanewpersontoyourOomaOfficeaccount,youwillcreateanewuseronthesystem.Youcanalsocreateusersthatcorrespondtoaplacesuchasthefrontdesk,ortoafunctionsuchasareservations.EachuserwillhaveitsownextensionnumbersothatitcanbereachedthroughtheVirtualReceptionistorbydialingtheextensiondirectly.UserscanlogintotheEndUserManager toconfiguretheirextensionandvoicemailpreferences.

Voicemail optionsEveryextensionhasitsownvoicemailbox.Bydefault,newvoicemailsareemailedtousersas anMP3audiofilesotheycaneasilylistentomessageswherevertheyare.

Thesystemadministratorcanenableordisablevoicemail,resetauser’svoicemailPIN,and configurethenumberofsecondsbeforeanunansweredcallrollstovoicemail.

Userscanalsoadjustthesesettingsandrecordtheirowngreeting.

Forwarding optionsEmployeeswhoareinandoutoftheofficealotcanbejustasproductiveonthegobyforwarding callstoanotherphonenumbersuchasacellphoneorlandline.

Whencallsareforwardedtoaphonenumber,theuser’sdeviceswillnotring.

Assigning devices to usersAfteryoucreateanewuser,youmustassignoneormoredevicesbeforetheusercanmakeorreceivecalls.Ausercanhavemultipledevicesassigned,butmayonlyhaveoneofeachtypeofdevice.Mostdevicesassignedtoausercanbeusedtomakeoutogingcalls,withtheexceptionofanexternalphone.Allassigneddeviceswillringwhentheuserreceivesanincomingcallontheassociatedextension.

Ring GroupsIfyouhaveamulti-personteamsuchasaccountingorsales,RingGroupscanbeausefultoolfordistributingincomingcallstouserswiththesamejobfunction.ARingGroupcanbesetuptosequentiallyringeachuserinthegroupinorder(sequential),orortoringalloftheusersatonce(simultaneous).Ineithercase,thefirstusertopickupwillanswerthecall.

Assign key pressCallerswillselectdifferentmenuoptionsintheVirtualReceptionistmenuusingkeypresses.Youcanconfigurewhichkeypressesareavailabletoyourcallersandwhatactiontheywillperform.Thesearetheoptionsthatareavailableforeachkeypressyouassign:

• Transfer call:Transfersthecalltoapredefinedextension.Thisoptioncantransfercallstoaspecificuser’sextension,toaRingGroup,totheconferenceserver,orevendirectlytoauser’svoicemail.

• Play announcement:Playsapre-recordedannouncementsuchasyourbusinesshoursoryourweeklyspecials.YoucaneitheruploadanaudiofileortypeoutamessagethatwillbereadaloudwithText-to-Speech.Oncetheannouncementhasbeenplayedout,thecallerwillreturntothemainmenu.

• Dial by name:Allowsthecallertosearchyourcompanydirectoryforthepersontheywouldliketoreachbydialingtheuser’slastname.
