1. Introduction
The scope of this document is to instruct / teach an end user on how to initiate, manage and
control DRC Audit use case using eLMS tool.
DRC Audit is performed 4 times in a vehicle project lifecycle based on the MPDS gateways. The
following illustrates the DRC Audit frequency.
DRC1 & DRC2 Audits – It is performed before VV gateway and the vehicle build phase falls in
Concept Phase (MULE)
DRC3 Audit – It is performed before SOP gateway and the vehicle build phase falls in VP0 or
VP
DRC4 Audit – It is performed before SOP gateway and the vehicle build phase falls in VP or PP

3. DRC and Audit Finding creation procedure.
Access Design Review Council Audit project area from eLMS tool.
Click on Work Items drop down and select DRC.
User can also create DRC by clicking the Create a Design Review Council icon from the Dashboard.

The DRC page will be displayed as shown below
Initially this phase is a draft state where user can fill partial data and save it.

Summary is the mandatory field and once we do a save the state changes to CREATED.
Once all the information is collected select Initiate PL Review action from the drop down, fill all the mandatory fields, specify the
Platform Lead reviewer name in the Assigned To field, specify a due date in PL Review Due Date field and then save the work
item.
The state changes to UNDER PL REVIEW, a mail is sent to Platform Lead for review.

The Platform lead will review the DRC and if he/she needs more information then they will select the action Need Info specify the
creator name in the Assigned To field and save the work item.
The state changes to INFO REQUESTED, a mail will be sent to creator.
The creator will make the changes as per the PL’s comments and then assign it back to PL by selecting the action Initiate PL
Review, select PL name in the Assigned To field and save the work item.
The state gets changes to UNDER PL REVIEW, a mail is sent to Platform Lead for review.

The Platform lead will review the DRC and if he/she decides it is not valid then they will select the action PL Rejects, specify the
reason for rejection and save the work item.
The state gets changed to PL REJECTED and no further action can be performed.
If PL approves the DRC then he/she will select the action Initiate CC Lead Review, specify a due date for CC Lead Review, select
the CC lead name in the Assigned To field and save the work item.
The state gets changed to UNDER CC LEAD REVIEW, a mail is sent to Competency Center lead for review.

The CC Lead will review the DRC and if he/she decides it is not valid then they will select the action CC Lead Rejects, specify the
reason for rejection and save the work item.
The state gets changed to CC LEAD REJECTED and no further action can be performed.
If CC lead approves the DRC then he/she will select the action Assign To Auditor, select the auditor name in the Assigned To field
and save the work item.
The state gets changed to AUDIT IN PROGRESS and a mail is sent to the auditor.

The auditor will perform audit and report the gaps/finds as child to the DRC work item. This is done by expanding the drop down
under Create Audit Points section and select Add Contributes To option.
In Add Link: Contributes To dialog select the project name (Design Review Council Audit), select Create new radio button and
click on OK.
The New Plan Item dialog is displayed as shown below. All the fields pertaining to Audit Finding are displayed in a pop up window.

Fill the summary as described in DRC work item, select the COE as described in DRC work item, select the audit stage, assign the
audit findings to the DRC creator, provide a target date and click on OK.
The DRC Audit Findings work item gets added as Contributes To.
Similarly add all the audit finding by clicking on Add Contributes To option and save the work item.
The DRC work item state does not change.
A mail will be sent to all responsible engineers regarding the DRC Audit Findings.

Initially all DRC Audit Findings will be in AUDIT POINT CREATED state. The DRC traversal link will be mentioned as Tracks.
The responsible engineer (Assigned To) will work on the finding and once it is done, he/she will provide the closure note in
Justification Note for Closure field, select the Auditor name in the Assigned To field, select Assign To Auditor action from the
drop down and save the work.
The state gets changed to IN PROGRESS and a mail is sent to the auditor.

The auditor will review and close the findings by selecting the action Audit Closure.
The state gets changed to CLOSED.
Similarly all the responsible engineers will provide their justification note for closure and assign it to the auditor who in turn closes
the DRC Audit Findings.
Once all the audit findings are closed the auditor will close the DRC (parent) work item by selecting the action Audit Closure and
save the work item.
The state gets changed to CLOSED.

4 Query to view all the audit findings for a DRC.
Access Design Review Council Audit project area from eLMS tool.
Click on Work Items drop down and select Create Query.
New Query window is displayed as shown below.

Click on Add Condition link, select Type from the Add Condition drop down and click on Add attribute condition button.
The following Types are displayed.
Select DRC from Type, provide a name in Name field and click on Save button, the query gets saved.

Click on Column Display tab -> Add Column link from Result Columns, Select Attribute dialog is displayed.

Click on Show links check box, select Contributes To option and click on OK.

Save the query and click on Run, all the Audit Findings of the DRC is listed in the query as shown below.
