User Guide: Offsite access

Overview

This guide contains a walkthrough of how to gain remote access to the organization network and the

systems included Office365, SharePoint, EduPoint, Student Portal, ACAP-Intranet, Zoom, Moodle,

Sonia, Tickit, iChris, VPN and shared drive access.

The list below shows the applications that can be accessed on the internet without a VPN connection.

Office365 Access:

Outlook, Teams and SharePoint OneDrive can be accessed remotely via the web apps. Please follow

the details below to sign-in your Office365 account.

URL: Outlook.navitas.com

Username (UPN): [email protected]

Password: [same as your Windows password]

Note: You will use the same credentials to access the share drives

You will be redirected to Outlook after sign in. If you want to open other applications, please click

the App Launcher on the top left. You will see a dropdown list with all applications.

Outlook Calendar:

Outlook calendar invites can be found on the App Launcher. (For easy access and to manage calendar

invites, we highly recommand installing Outlook App on your mobile devices)

Note: Staff should turn notifications on in Microsoft Teams so that they receive any communications

from the college.

Installing Microsoft Outlook with Office 365 on mobile devices:

Outlook Apps is available on both Apple and Android devices. To install open the App Store/Google

play on your device. Search and download to install the Microsoft Outlook app.

Add ACAP/Navitas email address on Outlook App:

Open Outlook App on your device.

Enter your Office 365 email address and tap Add Account.

Enter the username and the password for your account and then tap Sign in.

Username (UPN): [email protected]

Password: [same as your Windows password]

Note: You will use the same credentials to access the share drives

OneDrive Access:

OneDrive can be access from your Office365 account, and it located on the App Launcher.

URL: Outlook.navitas.com

Username (UPN): [email protected]

Note: You will use the same credentials to access the share drives

Staff member who is not able to access your H drive or if you do not have a VPN. As a temporary

measure, please copy the files in H Drive to One Drive so that you can access these remotely. One

drive should be used as a place to copy files only. Files in this location are not backed up and there

is a chance you may lose these files. Always save personal files to the H Drive when you are back in

the office and using your desktop computer.

SharePoint Access:

URL: https://navitas.sharepoint.com/SitePages/Home.aspx

SharePoint can be found in App Launcher, individual group can find under team sites.

Tickit Access:

URL: https://navitas.tod.net.au/login

EduPoint Access:

URL: https://edupoint.navitas-professional.edu.au/main.aspx

Note: The user sign-in details are different to the user UPN. If you forgot the password and wish to

reset please email ServiceDesk at [email protected]

ACAP Student Portal/ Moodle class space:

URl: https://my.navitas-professional.edu.au

Username (UPN): [email protected]

Password: [same as your Windows password]

ACAP Intranet Access (VPN required):

URL: https://apps.acap.navitas.local/core/

Username (UPN): [email protected]

Password: [same as your Windows password]

Please note some features e.g. enrolment report is limited over VPN.

Connecting to Navitas/ACAP Zoom:

Please see the instruction below for Zoom client installation and signing in. Please download and

install Zoom Client before join or create a meeting.

For Navitas Staff (SSO)

please select “Sign In with SSO”.

Type in “Navitas” as company domain and click continue. It will redirect

you to the login page and you will ask to insert your UPN.

Username (UPN): [email protected]

Password: [same as your Windows password]

For ACAP Educators or teaching staff (ACAP.Zoom)

If you assigned an ACAP Zoom. Please sign in with your ACAP email address and your password. Please

note our ACAP Zoom profile login details is separate to the Portal/ Classes. Please click “Forgot” if

you forgot your password and wish to reset. After reset, the temporary password will email to your

ACAP email address.

iChris Access:

Login detail for iChris is different from your Navitas account. If you don’t remember the detail,

please contact HR.

Please note the IT team doesn’t manage iChris.

Sonia Access:

Sonia can be access online

Link https://sonia.pep.navitas.com/SoniaOnline/Default.aspx

For Sonia Desktop App, it requires to download and install on your personal device. Please go to

https://sonia.pep.navitas.com/Sonia/ and click “install” to download and run the installer.

After the installation is completed. You will be asking to sign-in to run the Sonia Desk App. Please use

the follows.

Username: Firstname.Lastname

Password: [same as your Windows password]

Domain: ACAP1

Cisco VPN Access: (only on corporate laptops/computers for now – details on how to use VPN on

personal computers will follow)

Please be aware that a staff member must be assigned with a VPN before access to the share drive

can be established. Any user requests related to VPN access must be approved by the line manager or

Divisional IT.

The user must install the Cisco AnyConnect software before access the company network remotely by

VPN. If the Cisco VPN is already installed on your computer please run Cisco VPN and sign-in with your

UPN and go to shared folders section for the details mapping the folders remotely.

Installation:

Please logging in to https://sslvpn.navitas.com/ with your window credential. Then follow the steps

guide in install.

1. Open web browser

2. Go to https://sslvpn.navitas.com

3. Log in with your UPN

• Group: Navitas

• Username: [email protected]

• Password: Same as your windows login password

4. After logged in, navigate to application panel on the top left corner. Select “AnyConnect” click download for Windows/Mac OS for the installer.

5. Save the application file (Window) or dmg file (Mac OS) on Desktop, run install after the download is completed.

Note: If this message pop-ups during this installation, this mean the install is fails, Please download the installer by clicking “Windows Desktop” (see below screenshot). After the download is competed, click the downloaded file “anyconnect-win-3.1.12020-web-deploy-k9” to run manual install.

6. The application icon will show on taskbar after the installation is completed.

Connecting VPN:

1. To connecting VPN, simply run the application “Cisco AnyConnect Secure Mobility Client”

(For Mac: the Cisco AnyConnect is localted on Finder/Application/)

2. Insert the VPN server address: “sslvpn.navitas.com”, then click “Connect” to continue.

3. Insert your user ID and password • ID: [email protected]

• Password: Same as your windows login password

• Group: Navitas (An icon will show in the taskbar once VPN is connected)

Connecting protected network and the shared folders: For Window:

1. Open File Explorer. 2. Select the drive paths below, copy and pasted into the address bar on File Explorer, then press enter.

• For staff home drive H: drive \\navitas.local\hps\Users\firstname.lastname (Example \\navitas.local\hps\users\Rob.Jones)

• For N: as well as others drive please go to \\navitas.local\hps\C&I\ACAP\drive-group\ACAP (You will ask to login before accessing the shared folders. Your login detail is the same as your windows credential.)

For Mac:

1. Open Finder, Select Go > Connect to Server.

2. Insert the file server address: smb://navitas.local/hps and click “Connect”

3. Sign-in with your UPN.

Username (UPN): [email protected]

Password: [same as your Windows password]

4. You are now connected to the corporate file share. To access the N: as well as others drive please navigate to \\navitas.local\hps\C&I\ACAP\drive-group\ACAP
