Dashboard Language Display

The CLSRassessments facilitator interface is available in English and French. A facilitator account default set up is English. Should you wish to work in French this can be changed in Profile screen, under the Language drop-down list. Note that although your interface language displays your preferred language, the client will receive their assessment based on the language selected for them.

Inviting Clients Manually New clients can be invited directly through your Dashboard Menu, where you input their information into the site, or sent a Client Self-Registration Link where clients create their own profile before completing their assessments. New clients can also be grouped to further organize your client list.

Inviting New Clients

Individual clients, or entire groups, can be sent assessment invitations directly through the CLSRassessments interface.

Assessment invitations are sent out as soon as the client information is entered into the system. It is not possible to upload client data en masse but not send assessment out at the same time. It’s recommended that you prepare your clients data ahead of time so that its formatted correctly for when you want to send out your assessment invitations. To upload several clients at the same time, create a spreadsheet or use the template found in the User Guide section of your Dashboard Menu, with the required information (columns marked with an asterisk*): Email Address, First Name, Last Name, Province, Country, and Language. Note that only the Personality Dimensions® (Adult Classic) assessment and its associated Profile Report option are available in languages other than English (Canadian French, Spanish). All other assessments and reports are currently only available in English. For the Personality Dimensions® (Adult Classic) please select either of those language options if the client should complete the assessment in either French or Spanish. The invitation email, assessment, and Profile Report download will also reflect the selected language for the client. The different language options for each client can be uploaded at the same time if working with a mixed language group of clients. Clients can also be assigned to a Group by filling in the last column. If the Group name used does not already exist it will be created as your clients’ invitations are sent out. If the group does exist already the new clients will be assigned to the group. Once this is completed, click on the Invite Clients tab in the Dashboard Menu.

Once your spreadsheet is setup the information for each column/row can be copied and pasted into the corresponding fields on our website. To do this, highlight the columns/rows on your spreadsheet and copy (either by right-clicking and selecting Copy, or by using the keyboard keys Ctrl and C). Select the first cell of the spreadsheet on the website (Email/1) and paste (keyboard keys of Ctrl and V; due to technical limitations the right-click and Paste option isn’t available).

If inviting individual clients, or working with small groups, you can type or copy and paste their information directly into the New Clients spreadsheet on the Invite Clients tab in the Dashboard Menu, bypassing the need to save your data in a separate local spreadsheet file.

Once all the client information has been entered into the spreadsheet continue down the page to select which Assessment(s) you want to send to new clients. All optional Dimensions Cards (At Work, In Communications, In Conflict, In Relationships) are automatically selected for the Personality Dimensions®, PD Basics, and PD for Youth assessments. If you do not want your clients to view all cards you can uncheck the ones you don’t want them to use here.

You have the option of editing the content of the invitation message being sent to your clients within the gray box. Information outside the gray box must be included and cannot be changed.

Once complete, click on the Submit button at the bottom-right of the screen. The website will send assessment invitation emails to each of your clients.

Assigning Assessments to Existing Clients

At times you may want to send further assessments to the same clients (e.g., Personality Dimensions for an introductory workshop, and then Career Dimensions for a follow up career building session). To assign additional assessments to a client, click on the Invite Clients link in the Dashboard Menu.

Under the Existing Clients heading check off the box to the left of all clients who should receive an email assessment invitation.

Select the assessment(s) your client(s) are to receive. Self-Registration Link for Clients As a facilitator, you have a series of unique URL links that you can share with your clients that allow them to self-register directly to your account. These URLs can be found at the bottom of you Profile screen, which is accessible from the Dashboard Menu. There is one link for each type of assessment - Career Dimensions, - Personality Dimensions® (Adult Classic), Retirement Dimensions, PD Basics, PD For Youth, Values & Skills Action Planner. Please note that the system default for all PD assessment types is set so that all Dimension Cards are selected. These links can be shared in any way you wish - via e-mail, text message, social media groups / events, virtual learning platforms - however you find it easiest to communicate with your clients.

When the client clicks on the self-registration URL that you send them, the system will open up a window that will state the assessment type and facilitator name. The client must enter their email address and click the Submit button in order to proceed.

The system will then request additional information. Once the information is entered (mandatory information is noted with an asterisk*) and the client clicks the Submit button, the system will load up the assessment screen. Please note that for Personality Dimensions® (Adult Classic) the assessment wording is based on the language selected by the client. For example, if a client selects French as their preferred language, then the assessment itself and the report will be completely in French. Only Personality Dimensions® (Adult Classic) has different language options. All other assessments are currently available in English only.

To protect facilitator privacy regarding what other organizations they are working with, and to avoid client records being miss-filed and lost, clients cannot self-register into a specific group. All self-registered clients are added to the Unassigned ‘group’. Once they have registered, Facilitators can assign clients to specific groups by editing their client record under the Clients tab of the Dashboard Menu.

Some Facilitator’s accounts are set up in a way that clients are required to pre-pay for their assessment rather than Facilitators using Credits. Should pre-payment be required, the payment screen will be brought after registering and before the assessment loads. Once the payment has been made, the system will then allow the user to take the assessment. Please note that for any clients who must pre-pay, the system will bring up a separate window to complete the transaction. Clients must follow the instructions on-screen, and wait as the payment is being processed. Once payment has been made, please have clients print a hard copy or ‘print screen’ a soft copy of the on-screen receipt, as this is the only receipt that will be issued as proof of payment. The system will then bring up the assessment screen for the client to continue with the assessment.

When a client has completed a pre-paid assessment a copy of the report is automatically sent to the e-mail address associated with your facilitator account.

Please note that if your link is shared with people outside of your assessment group and rogue assessments are completed, you will not be charged Credits for these completed assessments unless you specifically generate and access their reports. This only applies to facilitator accounts that are not pre-paid.

Accessing Client Assessment Information & Downloading Reports

Within the Assessments area of the website, you can find your client(s) assessment information and reports. This includes retrieving the individual assessment link(s) for the client, as well as resending the email invitation to them. In addition, the list of clients can also be filtered via the search function options.

To retrieve the unique link for the client, click on the paper icon under Action. This will bring you to a screen that provides the individual link for the client, which can be copied and send via your own email to the client.

Note that opening a client’s assessment will log you out of your Facilitator account as the system now sees you as the client. You will need to log back into your Facilitator account to continue to access client / assessment information.

To resend the email invitation, click on the envelope icon under Action. The system will automatically resend the email invitation to the client.

Once an assessment has been completed, the resulting report can be downloaded. Details as to when the assessment was completed are listed. Please note that reports are regularly purged; if you need to refer to the report again it is important that you save a copy onto your computer for your records.

To download the report, click on the Download Report button located to the far right of the user. There are three report options for Personality Dimensions® (Adult Classic) – Profile, Professional and Wellness. The first, unlabelled, button is for the Profile Report. The PD Professional Report states ‘Pro’ beneath the button. The last button, with ‘Well’ underneath, downloads the Wellness Report. All other assessment types have only one report type and download button. Choose the report that you want for your client. As a reminder, the PD Profile assessment report will reflect the language set for the client. It will either be in English, French or Spanish. There is only one type PD Profile credit which can be used to download reports regardless of the language the report will be presented in.

When you click on the download icon, your account will be debited an appropriate credit type. If you have insufficient credits, thew website will notify you and you will not be able to download the assessment report. The icon colour will change from red to green after you have downloaded your chosen report, and refreshed your screen. You can click on the green icon to download the report again (no additional credits will be used).

If your client(s) have pre-paid for their assessment(s) you can re-download their reports on this page if you misplace the version that the site e-mailed to you.

Exporting Client Information

Under the Assessments screen, there is the option to export the following client information to a CSV file format.

• First Name • Last Name • Email Address • Assessment Type • Assessment Completion Date • Group (if the client is not assigned to any group, this field will be blank)

Purchasing Credits To add and/or your view credits, click on the Add/View Credits in the Dashboard Menu. The system will show the number of available credits for your account.

To purchase credits, enter the number of credits to be purchased for each assessment type, and click the Submit button. The prices shown already include the applicable PD Facilitators Discount. Note that non-PD assessments, such as the Values and Skills Action Planner, do not qualify for the PD Facilitator Discount.

The site will show you the total cost of your order including applicable taxes. Click on Pay with Card and type in your payment details. The website accepts all major credit and debit cards.

Receipt

Upon inputting your card information and the payment being processed, you will be presented with your receipt on screen. This is the only receipt that will be issued and should either be saved as a screenshot, or printed for your reference. If you require a more detailed receipt, please contact our office during regular business hours to purchase credits over the phone.
