VULCANA WOMEN’S CIRCUS
JOB DESCRIPTION – GENERAL MANAGER
Title: General ManagerSalary: $56,000 pro rata + super etcHours: 2 – 3 days per week (15.2 – 22.8 hours per week)Employment Conditions: 4 weeks annual leave (pro rata)
DUTIES AND RESPONSIBILITIES – OVERVIEW
The General Manager has primary responsibility for:
Running the business operations of the organisation, including overseeing all income streams (self-generated and government) and making decisions on key expenditure
Smooth running of the social enterprise model which Vulcana currently operates within Financial management of Vulcana Women's Circus, including budgets and financial data entry and
record keeping and job (project) tracking Ensuring effective governance for the organisation, including co-ordinating yearly financial audit,
annual report, AGM, strategic / business planning, monthly committee meetings Insurance and risk management - ensure Vulcana is complying with all WHS obligations and ensure
liability and products insurance (etc) is in place at all times Co-ordinating funding applications amongst staff and providing financial information for applications
and acquittals Overall administration including:
o management of our venue for hireo providing human resources supporto general admin - responding to general email and phone inquiries or directing to appropriate
manager, providing basic IT and computer support
These duties are exercised in consultation with the Vulcana team.
Vulcana Women's Circus has a non-hierarchical staff structure, and all managers report to the Management Committee.
DUTIES AND RESPONSIBILITIES – DETAIL
FINANCIAL MANAGEMENT Creating and updating financial budgets and budget reports for projects and organisation, particularly for
funding applications and acquittals Data entry (Xero) and transacting payments in/out, including payroll, monthly BAS and superannuation Providing monthly financial reports to treasurer and Management Committee Organising and preparing for yearly financial audit
CO-ORDINATING AND COLLATING FUNDING APPLICATIONS AND ACQUITTALS Co-ordinate tasks for applying to project and annual funding and collating the materials necessary. Co-ordinate tasks for acquitting project and annual funding and collating materials where necessary.

Submitting applications and acquittals as required
ENSURING EFFECTIVE GOVERNANCE Coordinating and preparing information (including Audited Report) for Annual Report Coordinating yearly Annual General Meeting and monthly Committee meetings Coordinating and collating triennial business/strategic planning process Ensuring succession planning is managed by committee and staff
INSURANCE AND RISK MANAGEMENT In collaboration with the Vulcana team:
Ensure organisation is operating under all applicable Workplace Health and Safety rules Ensure risk assessments are undertaken for all Vulcana activities and actions undertaken
Ensure organisation maintains appropriate levels of Public Liability, products, directors and volunteers, and motor vehicle insurance at all times
OVERALL ADMINISTRATION Answering phone and email inquiries about Vulcana services and programs in a timely and friendly
manner Taking bookings and providing payment information for Vulcademy workshop program Providing contracts and payroll information to Vulcana trainers Providing contracts and support information for Studio Venue hirers Directing phone and email inquiries to appropriate Vulcana staff Directing incoming industry information to appropriate Vulcana staff Assisting Vulcana staff with general basic IT support where possible Maintaining and implementing office systems (eg: calendars, filing, archiving, digital systems and files,
staff meetings etc) to streamline and maximise productivity
Selection Criteria
Essential Skills:
Motivated by the values and key principles that underpin Vulcana Women’s Circus Passionate about supporting and growing a feminist community arts social enterprise Inspired by supporting a diverse team in a non-hierarchical management structure Book-keeping (Xero preferred) and data entry experience Experience in preparing and monitoring budgets and cashflows Financial reporting Computer skills - MS Office esp Word and Excel, simple networks General administration and excellent customer service skills
Desirable Skills:
Experience in Community Arts and Cultural Development, or other Arts industry Grantwriting and acquittals
