Update on the Commencement and Academic Study Mode
For January 2021 Trimester
6 January 2021
The University would like to thank all students who have recently completed the Online Course
Pre-registration / Academic Study Mode Confirmation and registered for courses offered in the
January 2021 Trimester following the university announcement dated 18 November 2020. In
view of the current and changing COVID-19 situation in Malaysia, and with reference to the
latest media statement from MOHE (announced on 31December 2020), the University would
like to inform all students of the following updates for the January 2021 Trimester:
A. Commencement of the January 2021 Trimester
1. The January 2021 Trimester for Foundation Programmes, Undergraduate Programmes and Postgraduate Programmes (coursework / mixed-mode) shall start on 18 January
2021. Please refer to the latest Academic Calendar on UTAR website for the detailed
schedules (https://admission.utar.edu.my/Academic-Calendar.php).
2. Blended Learning method consisting of a combination of physical and OTL classes shall be conducted in the January 2021 Trimester for Foundation, Undergraduate and
Postgraduate (coursework / mixed-mode) Programmes as follows:
i. Lecture Classes will be conducted through OTL mode for the entire duration of the
January 2021 Trimester.
ii. Tutorials / Practical Classes:
(a) Those classes previously designated to be conducted via physical mode for students
who choose to return to campus will be conducted through OTL mode from 18
January 2021 until 28 February 2021 and resume via physical mode from 1
March 2021; and
(b) Those classes previously designated to be conducted via OTL mode for students
who choose to study remotely will be conducted via OTL mode for the entire
duration of the January 2021 Trimester.
iii. Remote Examination including Continuous Assessments (i.e. tests, projects and assignments) and Final Assessments (i.e. time-restricted open-ended assessments and
online examinations) will be implemented for all the relevant courses.
iv. For some specific courses that need to follow the special requirements from the
professional bodies / faculties, as listed in Table 1, the relevant faculties shall make
the arrangement to fulfil the requirements on the conduct of the courses and inform the
relevant students accordingly. For these courses that require physical presence on
campus, if you are NOT able to return to campus to carry out the essential physical

hands-on classes / activities / hands-on laboratory / practical training / clinical work due
to unavoidable reasons, you must apply to your respective Faculty Dean with the
appropriate reason(s) for approval to fulfil this requirement at a later time. Please
contact your respective Dean for more information if you need further clarification
regarding this requirement.
v. If ALL your registered courses for January 2021 Trimesters are conducted via OTL mode only, then you need not return to campus.
vi. If you wish to change your academic study mode (Come to Campus; or Not to Come to Campus) / course delivery method (Physical mode / Online Teaching and Learning
mode) selected or the course lecture / tutorial / practical groups registered for Jan
Trimester 2021 due to unforeseen reasons, please contact your Faculty / Institute /
Centre General Office, and apply to your Faculty Dean / Centre Director for approval,
subject to the availability of the classes, before the commencement of the January 2021
Trimester and throughout the Add / Drop Period of the January 2021 Trimester.
vii. For any specific enquiries regarding the conduct / delivery of your registered courses,
please refer to your respective Faculty / Institute / Centre.
3. International students (except those arriving from United Kingdom) are allowed to return to Malaysia from 1 January 2021 onwards as per MOHE latest media statement.
However, those arriving from overseas must undergo the compulsory quarantine at the
designated quarantine stations by NADMA before returning to campus. The compulsory
quarantine period is:
(a) 7 days (with RT-PCR COVID-19 test report on arrival at airport); or
(b) 10 days (without RT-PCR COVID-19 test report)

4. Local students currently in Malaysia are allowed to return to campus for attending
designated physical classes from 1 March 2021 onwards. However, local students
returning from overseas must undergo the compulsory quarantine at designated
quarantine stations set by NADMA for 7 days (with RT-PCR COVID-19 test report on
arrival at airport) or 10 days (without RT-PCR COVID-19 test report) prior to returning to
the campus.
5. Students (local students or international students who are in Malaysia) who are returning to
campus must check whether their current location is categorised as the Red Zone of
COVID-19 Pandemic by the Ministry of Health. (Check for COVID-19 red zone status
updates via MOH official website http://covid-19.moh.gov.my/). Students travelling from

the red zones to come back to off-campus accommodation must undergo the process of self-
quarantine / home surveillance for 10 days in advance, prior to returning to the campus.
More information will be provided. Faculties / CFS and DSA / DISS will coordinate to
monitor this.
6. All Foundation, Undergraduate and Postgraduate students (including EEP) who wish to return to campus to use campus facilities (such as library), and meet with Academic
Advisors, Project Supervisors (final year projects, design, capstone or research projects) and
Course Lecturers in January 2021 Trimester, can arrange by appointment for face-to-face
consultation in addition to online consultation, by following strictly the physical distancing
and safety SOPs.
7. The university has made available Learning Spaces with WiFi access in both Sungai Long
Campus and Kampar Campus (as listed in Table 2). Students can use these Learning Spaces
during weekdays (not available on Saturday / Sunday / public holidays) starting from 1
March 2021 until the end of the study weeks of the Trimester. These Learning Spaces are
for you to use your own device to attend OTL lecture / tutorial / practical classes at your
convenience, and as waiting places or self-study areas in between classes that are conducted
via physical mode and OTL mode.
8. Students who have registered or plan to register for industrial training / clinical training in the January 2021 Trimester and who will be attached to the company / institution outside
the University, need NOT return to campus. Please follow the instructions of your Faculty
for industrial training / clinical training arrangements.
9. For FMHS students, due to the need of clinical placement and training, please refer to the faculty for further information and arrangements.
10. For necessary R&D / Design Capstone / Final Year projects and activities, the respective Deans, in consultation with the Principal Investigator(s) and / or Supervisor(s), shall arrange
rotational schedules for such activities in the laboratories by following strictly the physical
distancing and safety SOPs.
11. Students who need financial assistance can refer to https://deas.utar.edu.my/Financial-Aid.php for further details on scholarships, zero interest loan and financial aid available to
students. Students may apply for the scholarship and loan via Student Portal > Information
Gateway > Student Scholarships and Loans Online Application.
12. For new students of the January 2021 intake, you are required to complete the confirmation
of your preferred Academic Study Mode (Come to Campus; or Not to Come to Campus)
and Course Delivery Method (Physical mode / Online Teaching and Learning mode) via
https://unitreg.utar.edu.my/StudyConfirmJan. After you have confirmed your Academic
Study Mode and Course Delivery Method, your Faculty / Institute / Centre will pre-assign
the course lecture, tutorial / practical groups of all your registered courses. Please check
your timetable on the UTAR portal system for the details of the assigned lecture / tutorial /
practical groups and contact your Faculty / Institute / Centre general office if you need
further clarification.

13. Please ensure your own safety and always follow the SOP strictly as required by MOH when planning your travelling arrangements during and upon returning from campus to your
hometown or from your hometown to campus, including your neighbourhood or at rented
premises, when commuting daily and taking meals.
B. University Support Services
1. Library Resources, Software and ICT Facilities
To facilitate students’ OTL, online library resources such as online journal databases,
eBook collection (with over 220,000 titles, e.g. ProQuest eBooks, Wiley eBooks and CNKI
eBooks) and other online information services are available to students throughout the
trimesters via https://library.utar.edu.my. For book borrowing/returning and physical

2. Software Development and Multimedia Centre (SODEMC) and IT Infrastructure and
Support Centre (ITISC)
Microsoft 365 package subscribed by UTAR is provided to each student with 5TB of
Microsoft One Drive cloud storage, Office 365 for up to 5 devices and Microsoft Teams
for their learning purposes. Specialised software licenses such as Bloomberg, EViews,
SPSS and other software required for course learning are also made available for students’
access remotely. Additional higher performance servers to enhance capacity of existing
UTAR online learning platform in WBLE/WBLE2 have been setup together with Google
cloud drive, and ePortfolio that will further enhance students’ online learning experience.

C. Physical Distancing and Contact Tracing SOPs at UTAR Campuses
The University would like to inform all students of the following SOPs for physical
distancing and contact tracing within the University campuses in the January 2021
Trimester:
Upon entry at the University’s main entrances, all staff, students and visitors must follow
the Standard Operating Procedures (SOPs) below: (i) Wear a face mask at all times including the common areas; (ii) Check in using the MySejahtera App only; (iii) Take body temperature screening using the static standing thermal scanner or hand-
held thermometer;
(iv) Sanitise hands frequently; (v) Follow physical distancing measures of no less than 1 meter apart.
Upon temperature screening, students with a body temperature below 37.5°C are allowed to
proceed to their respective destination locations e.g. faculty general offices, laboratories,
library, workshops, lecture halls, lecture rooms, tutorial rooms, learning spaces and staff
rooms for consultation purposes. Currently, the hi-hive App is used upon entry to all
destination locations on campus (Appendix A: Guidelines on hi-hive App). For those
who cannot use hi-hive, they can do manual sign-in.
For contact tracing purpose within the University compound, students who return physically
to campus are required to download the hi-hive App and join the UTAR Community using
UTAR email. All students are required to scan the LOCATION QR Code placed at (inside
or outside) the destination locations (Appendix B: Sample QR Code).
To ensure the safety of all, UTAR staff and students who are unable to download, access or
use the hi-hive App due to smart phone setting and other valid reasons, are required to
manually record their whereabouts in each location and their length of stay via log book at
each of the destination locations.
The University’s implementation and conduct of the abovementioned contact tracing of
physical hands-on classes, students’ campus activities, their use of campus infrastructures
and facilities, where relevant, are subject to the latest MOHE instructions, professional
body requirements, safety and health SOPs required by the Government, MOH and the
relevant authorities. Your cooperation in adhering to all the physical distancing procedures
and safety precautionary measures issued by the University is required and very much

Students who are sick or have symptoms and have registered for physical classes (tutorial /
practical sessions) MUST do the following:
(i) Immediately inform the course lecturers and Faculty / Centre general office regarding your physical condition;
(ii) Request for special consideration and flexibility to join OTL classes, if applicable; (iii) See a medical doctor; (iv) Stay at home until fully recovered; (v) Update your physical condition to the University or Faculty / Centre general office.

Please note that the conduct of all essential physical hands-on classes and student / club
activities in the University campuses or the use of campus infrastructures and facilities, where
relevant, will follow all the health and safety SOPs as per MOHE and the relevant authorities,
as well as the physical distancing SOPs issued by the University.
Any changes / updates to the above arrangements will be announced from time to time, in
accordance to the latest directives from MOHE, professional bodies and relevant authorities.

Learning Space with signage displayed at the main entrance is suitable for OTL and self-
study.
Seats are on a first-come-first-served basis, with priority given to students who attend OTL.
The list of venues available on weekdays is subjected to change/update by the faculties and university from time to time.
Learning Spaces including the libraries are equipped with proper seating arrangements, WiFi access for students to use own device to attend OTL lectures at their convenience.
Students can use these Learning Spaces as waiting / resting places or conduct self-study during the change-over between classes conducted via physical mode and OTL mode in
the January 2021 Trimester.
