Licensing Portal Functions

1. Licensing Portal Functions

The licensing portal allows you to manage software licenses for update.CRM.

URL: http://licenseportal.update.com/

The following functions are available after logging in:

Generate activation code You are prompted to enter the activation code during installation.

Generate deactivation code

You are prompted to enter the deactivation code when uninstalling.

Upload license report You can see the actual number of users in the license report and upload the report immediately.

Monitor user numbers You can see the number of used and purchased users displayed graphically. (This feature is available

after at least two license reports were uploaded.)

Manage licensing portal users

You can add and manage users that have read access rights for the licensing portal.

2. Login

Your login details are sent to you by e-mail, along with the serial numbers. The sender of the e-mail is

“update version shipping”.

If you have lost or deleted the e-mail containing your login data, contact

release.management@update.com.

The login page is displayed in English. You can choose between English and German on the login page.

Only one session is allowed for each login. An error message is displayed if you try to login multiple times

(e.g. on multiple computers).

3. Start Page Your To-Dos:

Once you have logged in, any open To-Dos are displayed. Click on a To-Do to navigate directly to the

corresponding area.

The following types of To-Dos exist:

Activate the following system: When installing update.CRM win via setup, you need to enter the activation code. You can generate the activation code here. For more information, see System Activation.

Upload the license report for the following system: You can view the contents of the license report generated by update.CRM and upload it from here. For more information, see Uploading License Reports.

Your Systems:

An initial overview of all available systems is displayed here:

The circular icons indicate whether there are pending activities:

The system has not yet been activated or the license report is due

4. User Administration

Click on User Administration in the left-hand menu to manage the users that have read access to the

licensing portal. This function allows your colleagues to access the current details of your licenses:

1. Click on “New User”.

2. Make a note of the login data.

3. Enter all user data in the available fields.

Note: The password is only visible while entering data here, and is not displayed later!

4. Save the record.

You can only save the record once you have entered all the necessary user data.

Delete User:

This option deletes all login and user data.

Log in as User:

You can log in as the selected user in order to verify which information is available to the newly added

user.

System Overview

Click on the desired system in the left-hand menu to display an overview of the system. Your generated

serial numbers and purchased products are displayed here:

The Users/Light Users and Languages columns display the current status. To display the full list of languages you have purchased: Move the mouse cursor over the Languages cell to display the contents in a tooltip, or click on the desired row to adjust the row height.

Users/Languages Used: These numbers are taken from the most recently uploaded license report. If

you have not yet uploaded a license report, a dash (‘-’) is displayed here instead.

Users with full access rights are displayed in bold.

Users with restricted access rights (light users, which can be purchased optionally) are displayed with normal formatting.

The circular icons indicate whether more users or languages are in use than you have purchased:

You are using less or the same number of users as you have purchased/only languages you have purchased.

You had more active users or languages in the last 6 months than you purchased.

System Activation

Click on Activate to activate the system using the verification code displayed in update.CRM win:

1. Enter the verification code (4-digit number).

2. Click on Generate to generate the activation code.

Note: This code is only displayed now, and is not displayed again later.

3. Copy the activation code to the update.CRM win window to continue with the installation.

Click on Download Activation Code to save the activation code to a text file.

System Deactivation

When you uninstall update.CRM win on your computer, the installer generates a deactivation code.

Switch to the desired system and click on Deactivate. Copy the deactivation code (41 characters) to the corresponding field. This ensures that you will be able to use the serial number again and you will no longer receive emails that remind you to submit a license report.

This step frees up the serial number immediately, and it can be used again to activate the product. You can generate a new activation code at any time.

Note: A deactivation code is only generated when using the installer to uninstall update.CRM.

Uploading License Reports

Click on License Report to upload the license report created in update.CRM.

1. Click on Browse. Your license report is located in the sys directory of your update.CRM win

installation; by default, this is \system\sys.

2. Select the report (XML file) and click on Preview.

3. The preview displays the data in the license report. Should the number of active users exceed the number of users you have purchased, an exclamation mark is displayed. You can still upload the license report. The languages you have purchased and the languages your users have selected to log in to the system

are also listed.

4. Click on Upload to send the license report to update. If the license report indicates that you are using more users or languages than you have purchased, you will be contacted by a sales rep.

Preview: Click on an uploaded report to display an overview of the data, as displayed in the preview when uploading the report.

File: Click on XML Download to open the XML file genereated by update.CRM.

If you generate a report and display the preview, but do not upload the report, it is not listed here. The

data in the license report is only stored by update once the report is uploaded.
