Health and safety of audience, performers and employees in venues is very important:

The HSE (Health and Safety Executive) require all venues to have effective health and safety policies by law
Health and safety responsibilities:
• Employers (the venue) have a general duty under section 2 of the ‘Health and Saftey at Work Act 1974’ to ensure the health, safety and welfare of their employees at work
• The ‘Workplace (Health, Safety and Welfare) regulation 1992’ cover a wide range of basic health, safety and welfare issues and apply to most workplaces/
• An event organise (promoter) must ensure the safety of visiting crowds
• Event organiser (promoter) shoukd ensure the event venue/site is designed so that it is safe for people working there and so that the audience can enjoy the entertainment safely.

Responsibility of venues to ensure the Health and Safety of the audience
Your duties as an event organiser
As an organiser, you must as far as reasonably practicable, ensure the safety of visiting crowds. The
venue should also by safe and without risk to the health of those working there.
What you need to do The event organiser should ensure the event venue / site is designed so that it is safe for people working there and so that the audience can enjoy the entertainment safely.
This task can be broken down into:
1. pre-site design data collection
2. assessing venue / site suitability 3. drawing up venue / site design plans
Pre-site design collection
Properly knowing and understanding the event and its audience is an important precursor to successful
site design. This means having a detailed grasp of a range of factors including:
- the proposed size of audience and workforce
- knowledge of the audience type / profile
- knowledge of the proposed event activities and whether they are indoors or outdoors
- whether the audience will be standing, seated or a mixture of both
- site access and infrastructure required
- emergency plans - duration and time of year that the event will take place
Assessing venue/site suitability
Once you have a clear understanding of the event concept, visit the venue or site to carry out a
preliminary assessment to determine its suitability. Study any appropriate mapping and seek advice and
information from the landowner, local authority and/or venue management.
The factors you need to consider include the following:
Venue capacity for the audience, staff and contractors
The capacity of a venue depends on the available space for people. Limiting factors are often:
a) emergency exits b) audience circulation capacity of the venue / site

Find out if existing structures and features pose a hazard, eg restricted height access for vehicles / lifting
equipment / operations. Make sure any roads; bridges etc are structurally sound and able to withstand
the additional load of heavy vehicles and the number of people attending your event.
If your event is in the street, street lighting and other street furniture could affect your plans. Do railings, bus stops or other structures create additional hazards such as pinch points that present risks to the audience? If so, can they be temporarily removed?
Ground conditions and site topography
Ground conditions and site topography will help you to decide where to position any temporary
demountable structures required like stages and seating, plus the size and position of any signage.
Find out what the load-bearing capacity of the floor / ground is for any intended structure and what the
ground conditions are likely to be at any structural anchoring points.
Find out how the site copes with extreme weather like flooding, as this may affect your site design and
even the time of year you hold the event.
Don’t create pinch points where channeling the public could lead to dangerous overcrowding during
emergencies – extra space may be required around structures.
Find out what the prevailing wind direction is, what impact a windy spot may have on your ability to erect structures safely and whether you can design the site using the topography to reduce wind loading on them.
Access for vehicles and pedestrians onto and around the site
Consider safe access for vehicles and pedestrians onto and around the site. This includes onsite parking, camping and caravanning facilities, plus holding areas for plant and equipment and trade vehicles.
Infrastructure and local amenities
Assess the site’s proximity to a hospital, fire station, public transport links, parking, major roads, local
services and facilities. This information will influence the type and scale of any additional provisions and
services you may need to provide.
If you need to bury temporary services or drive stakes into the ground to support structures like marquees and tents consider the hazards from underground services.

Ask yourself if you have considered the following:
a) Venue capacity for your audience and staff?
b) Emergency exits and routes?
c) Any hazards posed by existing features or structures on site?
d) Ground conditions and site topography?
e) How vehicles and pedestrians will safely access and move around the site?
f) Proximity of local amenities?
g) Any hazards posed by permanent or temporary underground services or temporary structures?
h) Any relevant health risks arising from animals?
Drawing up venue/site design plans
Once the basic outline of the site has been determined, you should draft a site plan for the location of
provisions and facilities, including temporary structures.
Site plans should be regularly updated as new information is obtained.
Once all requirements are finalised, draw up a final site plan.
The aim should be to produce a referenced plan, clearly indicating where the structures, facilities,
fencing lines, entrances and exits etc will be.
The venue / site plan will assist you and your contractors during construction of the site. It will also be useful for services operating during the event, e.g. stewards. Task 1: Read the above document and make a list of the points that must be adhered to by the venue owner in regard to the Health and Safety of the Audience. Introduction The “Music Industry” treats Music as a product – something that is made to sell. Recordings are made or concerts are organised. These products need to be carefully created by people who know what they are doing. Once created, these products then need to be “promoted” – advertised to an audience who will then buy those products. This section of Unit 1 is all about the companies and the job roles that exist in the creation and selling of “Music Products”. Production and Promotion play a huge role in the lives of professional musicians. You cannot live in a bubble – you need to get people to pay to hear you perform, to buy your recordings, to play you over the radio or on TV. If you don’t you will not have any income! To quote the syllabus document: “No musician can survive without the support of others and understanding who does what is crucial to a successful career in the music industry”. Sub-Labels
The three big labels own and manage many other labels that are called sub-labels. These are also big companies with the same advantages and disadvantages. Artists are signed to major record labels through these sub – labels. Below are some examples

Music Publishing
Major Music Publishing:
• Music Publishers license the songs (the compositions/lyrics) themselves (not the recording – this is separate)
• Music publishers administer those licenses. This means collecting the licencing fees, doing all the paperwork, and paying the artist their share
• A publishing deal normally grants the publisher the copyrights in the songs in exchange for 50% of whatever income that publisher receives from licensing the songs. More common today are c0-publishing deals, where the artist and the publisher co-own the copyrights and the artist receives 75% of all income received.
Self Publishing:
• Self-publishing means that the song-writer/composer retains the full-royalty, after the collection of society’s’ commission is deducted, and does not have to split it with a publisher
• However, the self-published songwriter/composer would also then be responsible for carrying out the tasks normally undertaken by a publisher
• The most time consuming part of self-publishing is the production of scores and parts, as you will have to copy, print and bind the material yourself.

Broadcasting
Broadcasting plays a major role in helping an artist to sell their music. There are many forms of broadcasting available each with their pros and cons.
On the mind map below, think of as many different forms of broadcasting
Television is one of the best mediums to help promote an artist to a big audience. If your music is used in an advert or TV show this can really help to boost sales. Some artists choose not to collect royalties if it is going to help the music to sell.
It is easier to get your music on the radio, however the audience might not be as big as a major TV channel (there are some exceptions to this BBC Radio… however it is very hard to get played on these)
The easiest place to get your music played is online. YouTube, Spotify, LastFM…. The audience for these sites is smaller than radio or TV and you would get less in royalties because of this.

All of these have pros and cons, but the main trend tends to be that the more expensive the advertising the bigger audience it will reach.

Introduction People who work in the Music Industry often have very specialised skills. For example, a guitarist will have spent years in practising and improving their performing skills. Such dedication will often leave no time to do things like collect royalties, publicise yourself, organise equipment for concerts and so on. So companies have evolved that do precisely that: they offer services or products that will enable performers to perform, composers to compose etc. The end result is an industry that is full of very specialised service companies and agencies. These companies will provide the sorts of service that will support and help a musician to do their job. Of course, there are pros and cons to making use of them: they will charge for their services meaning you might end up with less income yourself, for example. But without these organisations working to help, everyone else in the music industry would not be as productive, have as much work or be paid as much. Therefore it is important to understand how these organisations can help: who they are and what they do. You need to learn: Companies that provide services to artists, venues and production companies:
• Royalty collection agencies o PRS for Music (formerly the “Performing Rights Society”) o MCPS (formerly the “Mechanical Copyright Protection Society”)
• Artists’ representation o Management o Public relations o Agents o Stylists

Royal Collection Agencies
Royalties are payments made by shops, broadcasting companies every time music is sold or played. The collection agencies collect them off the appropriate people
Broadcast and Marketing companies have to tell the collection agencies which music they have played or sold. They then have to pay the collection agencies the correct amount. It is illegal not to pay
Licences
To be able to play different types of music in public you have to apply for different licenses. If you wish to play recorded music in public, even just having a radio playing, you must have a PPL license. To put on a live music performance you have to obtain a license from the local district council. You do not need a license if the performance meets the following criteria: • it takes place between 8am and 11pm • it takes place at a licensed premises or workplace
• the audience is no more than 200 people

Unit 1: The Music Industry Part A.5 – Unions The main role of a union is to ensure that people are treated fairly at work. To ensure this they monitor working conditions and contracts. They can also provide musicians with a standard contract to help them ensure they get paid for work. Unions also give advice on work related issues, such as tax, national insurance and working hours. A lot of press on unions show them going on strike, this is usually the last resort in a trade dispute. A trade dispute happens when members of the union believe that they are being treated unfairly and the employer disagrees. Unions will work with the employer to try to resolve this, using strike action as a last resort if talks do not work. Being in a union is also a great way to meet other musicians, they will hold local events and give information on pension, insurance and changes in the law.

Trade Bodies A trade body is an organisation founded and funded by businesses that operate in a specific industry. An industry trade body participates in public relations activities such as advertising their trade, providing training for members and lobbying politicians about issues that affect their trade. However, its main focus is collaboration between companies and businesses. It is important that you remember these and their acronyms.

PUBLISHING AND ROYALTIES Whenever a record is manufactured, or when a song is played on the radio or TV or in public, money is payable by law to the songwriter(s). Such sums are referred to as ‘royalties’. In the UK there are two main agencies – MCPS and PRS – who collect money on behalf of the songwriter. ‘Mechanical’ royalties are generated from the recording of music and the reproduction of recordings, whether on CD, DVD or any other format including online distribution. Performance royalties are due whenever copyright music (live or recorded) is broadcast or played in public. MCPS and PRS royalties are payable to people who actually wrote the music and their publishers, not to those who only performed it.
