Published 04/23/13

Printing Instructions The Troop Program Forms Notebook was created to gather all of the forms used by the Troop in carrying out the Program and activities. It is a collection of Forms from the BSA and former Troop 283 administrations and in some cases they have been modified for our use. This Notebook is intended to be the source for the Forms used by the PLC and the Troop for conducting meeting, preparing and planning for activities and campouts. Additional Forms may be created and added to the Notebook and kept here for future reference and use. Some pages will be available as individual forms on the Troop web site and others will reside in the Notebook to be extracted when needed. The entire notebook is available as a separate document entitled Troop Program Forms Notebook and available on the Troop Web Site. Troop Room Procedures Camping Trip:__________________ Quartermaster: _______________________ NOTE: This is a Draft Form, please submit comments.  The following is a draft the procedures for Troop 283 to use for the Troop Room and the Patrol Boxes. The responsibility for storing, packing and cleaning all of the Patrol equipment is with the individual Patrol. The Quartermaster should take the lead on reviewing this document. Troop Room

• It is the Patrol Leader’s job to make sure that all of their Patrol's gear is in their proper location. Each Patrol will have a shelf space designated for them.

• A checklist of what should be in the patrol locker will be posted in the Troop Room. • The Patrol Leader should tell the Quartermaster what items they are missing or need.

The Quartermaster will either find you a replacement from the storeroom or bring it up to the Committee to get the gear you need.

• All equipment (including utensils in the small plastic boxes) will be color-coded. • The Patrol Leader and Quartermaster will periodically take an inventory of the contents

of each Patrol Box. • No Scouts will be allowed in the Patrol Room without the permission of the Senior

Patrol Leader or the Quartermaster. Packing for Troop Events

• Patrol Leader’s must put all the gear they want to bring on the trip in the center of the Troop Room on the floor at the Event Planning meeting.

• The Quartermaster will supervise packing the Troop Trailer. • If your gear isn’t in the center of the Troop Room on the floor, it won’t be going. (If the

Patrol Leader won’t be there the Assistant Patrol Leader must cover for them. Give them a list.)

Storing the Troop Equipment after an Event

• After a camping trip it is the Patrol Leader’s job to assign the responsibility to thoroughly clean the Patrol Stoves and Patrol Boxes. Depending on the condition, that means taking the equipment home to clean. An inventory of any broken or missing items should be given to the Quartermaster.

• It is the Patrol Leader’s job to make sure the gear is back in the Troop Room prior to the next Event Planning meeting (preferably the next Troop meeting). If someone in your Patrol doesn’t clean their gear, you will use the same gear on the next trip, so it’s your Patrol’s problem.

Gear should be returned to and stored in the Troop Room by the Patrol Leader, not the Senior Patrol Leader or Quartermaster.

Troop Garage Set-up Instructions NOTE: This is a Draft Form, please submit comments. The PLC is tasked to draft the instructions for set-up of the Troop garage. The instructions should be clear enough that a group of scouts with no prior experience could, by reading the instructions, successfully set-up the Troop Garage.

Scout Personal Outdoor Essential Gear List Perhaps the best part about scouting is the camping trips, a Scout must be prepared. The following is a list to help the Scout decide what to pack for camping. Items can be added or removed depending on the type and time of year the scout is camping.

Troop 283 Program Forms Notebook.doc Page 3

• Appropriate clothing for weather conditions both predicted and not predicted. Pack

extra clothing in case Scout becomes wet. As a precaution, pack all clothes in large zip lock bags in case it rains. Some Scouts will put together an outfit for each day - lay out your pants, place your shirt, underwear and socks in it and roll it up tightly. Place in a large zip lock storage bag. Each day, simply pull out one bag. If your backpack becomes wet from rain, all of your clothes will remain dry.

• Scout “Field Uniform” (Class A) Shirt for traveling. • Scout “Activity Uniform” (Class B) shirt for adventure. • Camping Long pants & shorts. (wear 1 bring 1) (not cotton) • Underwear. (wear 1 bring 1) • T-Shirts. (extra as they get dirty) • Jacket or Sweatshirt, Gloves and Hat for evening or cooler weather. • Boots for Rain or Water Shoes in the summer, Tennis shoes for around camp. Extra

Shoes or boots if space allows. • Extra personal clothing appropriate for the season. • Backpack fitted to the scout with external frames. Consider a rain cover for backpack as

well. If not a backpack, a duffel bag will work. It is important that all your scout’s gear fits into one bag for packing in the Troop Trailer.

• Waterproof Raingear. (Jacket & Pants or Poncho) • Water bottle (2) Quart Plastic bottles with tops and loops to attach to packs. • Flashlight with full batteries, Headlamps are very handy in the tents. • Sun Screen, Bug Spray, or Mosquito Net. (No aerosol sprays are allowed, lotion only) • Swimsuit, Beach Towel, Sunglasses, Hat to provide shade in summer. • Eating utensils, Mess kit including plate, cup and knife, fork and spoon • Personal items, Towel and Washcloth, Toothbrush and Toothpaste, Soap, Comb etc • Sleeping Pad or Mat to sleep on (The ground is cold and hard) • Sleeping Bag and Pillow, with stuff sack, mummy, preferably 0 or 20 degrees. • Blanket if camping in cold weather. Place blanket inside sleeping bag. The scout should

always change clothes immediately before sleeping if camping in cold weather. • Scout Hand Book (you will want to get sign-offs on the trip) • Pocket Knife and Toten Chip and Firemen Chip card • Personal Medications

Optional Items:

• Pocketknife, Compass, Watch, Pencil and notebook, Playing Cards • Camera, disposable is best, packed in a zip lock bag and marked with name and phone

number. (See Troop Electronics Policy for restrictions on cell phones, game players etc.)
