Overview

The PowerPoint template is designed to make it quick and easy to create consistent and professional presentations conforming to the Trident Trust brand.

The key features are as follows:

A set of predefined slide types, some largely blank, some with text content already added.

A set of colour palettes which enable you to easily colour text and shapes using the Trident Trust brand colours.

A set of predefined text styles for creating subheadings, body text and bulleted lists on slides.

A predefined table style for tables inserted onto slides.

A means of easily inserting pictures onto slides so that they are correctly sized and positioned.

A set of custom toolbar buttons to make all these features easily accessible.

Custom ribbon buttons

When the Trident Trust Powerpoint addin has been installed, next time you start Powerpoint you will see some extra buttons on the Home tab of the ribbon toolbar.

Click New Presentation to create a new Trident Trust presentation.

Inserting a new slide

To insert a new slide, click Insert Slide.

Scroll down the list to display the preview images of each slide.

When you find the slide you want to insert, click OK or double-click on the name of the slide to insert it into the presentation.

Template Slides

The Template slides are designed to be largely blank, for you to add your own content. Some of them are described below:

The Divider slide is for a small amount of introductory text as a chapter heading

Text slide – 3 column (flowing text) allows for newspaper-style columns of text, in which when you reach the bottom of the slide and press enter, the cursor moves up to the start of the next column

Text slide – 3 column (flowing text) has three separate textboxes in which text can be placed.

Text slide – 1 column has a single large textbox

The three panel and nine panel slides are for presenting information you want to emphasise

Inserting a shape on a slide

There are a number of predefined shapes such as text panels which you can add to a slide. Click Insert Shape. Scroll down the list to display the preview images of each shape.

When you find the shape you want to insert, click OK or double-click on the name of the shape to insert it onto the current slide.

Once inserted, it can be moved or resized.

There are several buttons for formatting text into predefined styles.

The Subhead button applies Subheading style as shown here.

The Body button applies Body Text style as shown here.

The b1 button applies Bullet 1 style as shown here.

The b2 button applies Bullet 2 style as shown here.

The b3 button applies Bullet 3 style as shown here.

The Toggle Bold button allows you to set or clear Polaris Bold from the selected text.

Colouring elements of a slide

The Colours menu allows you to display the predefined Trident Trust colour palettes for text, fills and borders.

Colouring the text and borders of a shape

To set the colour of a shape, first display the colour palettes for Fills and for Borders and Lines.

To set the fill colour of a shape or of a table cell, select the shape or table cell(s) and then click the colour you want on the Fills palette.

To set the border colour, similarly select the shape or table cells and then click a colour in the Lines palette.

The Clear button (red x) removes the fill (sets the shape to be transparent) or removes the border.

The table on the right has had various cells filled with different colours.

Colouring Text

To colour some text, select the text and then apply the required colour from the Text colour palette.

Text within built-in text placeholders can be coloured.

Inserting tables

To insert a table, click Table and then Insert Table. The dialog on the right is displayed.

Select the number of rows and columns you want, and whether you want special formatting for the heading row and the first column. When the table has been inserted, you can add text, and move and resize the table.

An example table with both options is shown on the right.

Formatting tables

To reformat an existing table (e.g. one pasted form elsewhere), click Table and then Insert Table. The dialog below right is displayed. You can choose the formatting options to be applied to the selected table.

Inserting pictures

To insert a picture, first draw or select a shape, then click the Picture button.

A browse dialog is displayed. Use the dialog to select the picture you want to insert. The picture will be automatically resized to fit the shape you have selected.

On the right is the shape replaced with a picture. Note that the picture is not the same width as the shape. The picture has retained its own aspect ratio, and has been made as large as possible while fitting within the placeholder.

Transferring content from old presentations – inserting whole slides.

There is no perfect approach to the task of transferring slides from old presentations into the new format. But the following steps are likely to require the least additional manual formatting.

Open the old presentation, select and copy the slides you want to transfer.

Paste the slides into the new presentation using the “Use Destination Theme” option.

On each inserted slide in turn, right-click on the slide in the slide list, select Layout from the popup menu, and then choose the layout that is most appropriate to the slide type.

Edit and reformat text and graphics in whatever way remains necessary

Transferring content from old presentations – copying shapes

Sometimes you won’t need to copy whole slides, just some or all of the shapes on a slide, for instance a flow chart or organisation chart.

Open the old presentation, select and copy the shapes you want to transfer.

Paste the shapes onto the current slide of the new presentation, using the “Use Destination Theme” option.

Move, edit and reformat the shapes as necessary.

For both transferring slides and transferring shapes, some degree of manual reformatting and repositioning is inevitable.
