Your @ Work profile contains the different transactions (“permissions”) that can be performed online. The permissions uniquely populate your homepage appearance. If you or your company did not select permissions when you first enrolled, your profile was set up with all basic permissions (except for Corporate Online Payments *– which requires special enrollment.)

Save Time By Having My Employees Apply For a Card Online?

Click the “Process Applications” link under the Card Accounts section on the home page. Submit new applications with Create & Manage Access Keys – a fully automated process that includes e-mail notification to Cardmember applicants and Card application approvers.

Applications may also be keyed into @ Work on behalf of an employee. Creating an access key, however, saves time and ensure the online application is legible and all fields are completed.

10 Create Access Key An access key is a system-generated, unique code which is linked to one basic control account. It allows your employees to apply for Cards online and for you to control the process. Review employee applications online, electronically approve or decline and generate e-mail notices to other approving managers and Card applicants to advise them or provide a status update.

For a new Access Key: •Enter a Basic Control Account •(Optional) Select a Nickname for your access key. Click Next •Enter the Application Limit (maximum number of applications that can be issued - 10,000 is the limit). •Select a Start/End date or leave the default of two years. •Select Create Nickname

Your code is generated and ready to send to Card applicants to apply online. Application submissions will activate the hyperlink on the Notifications section of the home page. Card applicants are advised by e-mail of the status of their application, eliminating phone calls to the program administrator.

If a Basic Control Account is enabled for additional functions, the access key may display options to enable rush delivery of a Card and/or allow applicants to select a Card type.

To receive e-mail notifications of application submissions or alert other managers regarding application submissions, Active the Approval Routing function.

12 Approval Routing Email Text There are four Approval Routings each with a corresponding e-mail that is triggered when the Card applicants submits their online Card application.

It is highly recommended that the Program Administrator register for the PA Only e-mail alert to receive an e-mail notice when an application has been submitted.

13 Access Key Complete • Verify your (PA) e-mail address is correct. For Approval Routing: Enter the Approvers information or leave blank if no

notification • Choose the appropriate Routing Option. Select Update. • Continue to enter all routing information after selecting the preferred routing option.

This sample e-mail form is available in the @ Work Resource Center (link always available in the upper navigation toolbar) under the “Applications & Forms” tab.

Cut & paste into your e-mail browser, include the access key code and provide your contact information before sending.

15 The Card Applicant’s Experience The Card applicant will view the screen below with the link provided in the e-mail template. They enter the access code to access the online application.

The Applicant has now received their Access Key and is ready to apply!

View & Make Changes to Cardmember Details?

Managing changes on Card accounts (called “Profiles”) 19

On the home page, in the section Card Accounts, select the link Manage Card Accounts. The dynamic information to the right of the link changes based on your selection. This is where you can select and make changes to Cardmember account profiles.

20 Find Card Profiles 1. Select drop down arrow from Find Card Profiles menu. Select the criteria to search and fill in the search box. 2. To work with multiple Card profiles at the same time, use Advanced Search to enter multiple search criteria or

enter multiple Card accounts (up to 20 Cards can be canceled in one transaction).

21 Find Card Profiles – Advanced Search On the Advanced Search page, enter or select from the dropdown menus all of your search criteria refine your search. Click Search. You may also enter multiple Card accounts to work with several profiles. If you click on the More link, additional fields for Card account entry will display. Then click Search.

22x Search Results The results of your search are displayed. When working with multiple Card Profiles, two types of tasks can be performed. You can update Account information changes, i.e. cost center or you can cancel a group of Cards via the drop down menu. To select the Card profiles to update, check the box by the Card Member name or check the top box to select all Card Profiles displayed.

27 Card Profile – Account Maintenance

All account related transactions can be performed directly from this page by clicking a transaction link, then following the prompts in the pop-up box. You may perform several transactions (based upon your permissions) including: Card Replacement, Card cancellation or Suspension/Reinstating a Card, Transfer Card to a different basic control account or make account information changes.

All account maintenance functions can be accessed in the Common Actions section

Links to account maintenance functions appear dynamically based on @ Work permissions and account status

28 Card Profile – Account Maintenance: Replace Card To replace a Card, click the link and select the replacement type. For types “Damaged/Destroyed/Other” and “Advanced Renewal” you may elect to keep the current Card account number or have a new number issued. Status tracking confirmation will display upon successful submission.

You can also request an Emergency Card Replacement by checking the “Request Rush Card Delivery” box before submitting. This will ensure the Card is sent to your employees on the next business day (when you submit by 1:30pm Mountain Standard Time). You will also get a confirmation pop-up message and status tracking number when performing these actions.

You may Suspend a Card. Click the Suspend Card link, select the radio button under Suspend Card and choose the suspension end date. Click Submit.

To temporarily Suspend a Card, select the Suspend Card radio button, click on the calendar to set the date to remove the suspension and submit.

A canceled Card may be reinstated when it meets certain criteria, i.e. the account was in good standing at the time of cancelation and it has been less than one year. The dynamic links on the Card profile change based on prior transactions, so a canceled Card may have a “Reinstate” link display on Account Status. Click the Reinstate Card link and answer the prompts to determine if an existing Card can be used or if a new Card and/or new Card account should be issued.

Credit Balance Refunds may be requested online. The dynamic link Request a Credit Balance Refund will appear when there is a credit balance on a Card account, or on many GCG accounts. Complete the prompts, including who should receive the refund check, i.e. Card Member or Company, and click Continue.

Provide the address where the refund will be sent and submit. A check will be cut and sent per your directions.

The Account Change History is a full audit trail of transactions that have been performed on a Cardmember account profile from within @ Work. All changes made to an account, including those made by another Program Administrator or AXP Customer Service, will be shown in the Change History section.

Maximize Control By Managing Spend Limits?

37 Spent Limits on a Card Profile There are two types of spend limits – those imposed by American Express based upon the credit history of the Cardmember and Company’s defined limits that may be imposed by your organization.

Both Amex-imposed and Company-defined limits can be set or modified. From the Card Profile under the Common Actions section, click on the Manage Limits link.

38 Manage PERMANENT Limits – Step 1 When you click on the Manage Limits on this Account link, a window will open to confirm the Card account number and to select the type of limit to update. Select the Permanent Limits radio button and click Next.

39 Maintain Permanent Limits – Step 2 Review the information and select the options to update. Cash Limits (if applicable to your program) controls enrollment for Cardmembers to use an ATM for cash advances. Permanent Card Limits may be increased but still maintain a Monthly Limit or provide Unlimited monthly expenditures.

Complete the information and click Submit. A Status Tracking confirmation will be displayed. Permanent limits take 24 hours to go into effect for accounts in good standing.

Temporary Limits may be applied to a Card account (in good standing) . From the Cardmember Profile page under section Spending and Payment Information, click on the link Manage Limits on this Account. Select Temporary Limits and click Next.

42 Maintain Temporary Limits – Step 2 Enter the Expiration Date (when the Temporary Limit will expire), the reason for the temporary limit increase and select the type of temporary limit increase, Monthly Limit or Unlimited. Click Submit.

Helpful Hints for Limits

1. Permanent Limit Changes will overwrite any Temporary Limits that are currently in effect.

2. The temporary limit is in effect immediately

3. The permanent limit will be updated within 24 hours. If you need this immediately, please call American Express at 1-800-238-8087.

What is the Corporate Online Statement and Payment Center?

• Corporate Online Statement and Payments Center is @ Work functionality that allows Program Administrators to:

• Review and download statements (at the company or individual Cardmember level)

• Pay any corporate account online, including Corporate Travel & Entertainment, Purchasing Cards, Meeting Cards, ABA, BTA, etc. You can pay accounts regardless of whether they are company/individual bill or company/individual pay.

• Program Administrators – faster, easier payment process • Your Company - cash flow management (CFM) clients are able to pay down sooner

to allow uninterrupted spending, avoid delinquency charges, retain company funds until payments are processed, and earn increased Membership Rewards points

• Employees - less likely to reach imposed spending limits or become delinquent

The American Express @ Work Online Statement & Payment Center is a section of American Express @ Work® that integrates both statement and payment functionality for a complete, and efficient end-to-end online experience.

Do I need to enroll separately to see statements or make payments? All Program Administrators using American Express @ Work Online Program Management have access to the @ Work Online Statement & Payment Center on their @ Work homepage to view and download statements. The features contained within the center will differ based upon the Program Administrator’s @ Work profile & permissions. A separate enrollment is required to make payments online or to view Business Travel statements.

Corporate Online Payments Includes Two User Roles WHY TWO ROLES? To enable the separation of duties between authorization of payment and execution of payment – a security best practice. This is especially important to clients who are Sarbanes-Oxley compliant. Note: Up to 10 authorized payers are allowed per company and up to 5 bank accounts can be enrolled. The two roles are: 1. Authorized Banking Officer (the person with access to the company bank account). This is

the only person that can grant access to another company employee to make payments through @ Work.

2. Authorized Payer (individual who can schedule and make payments online). This person MUST be a registered @ Work user to receive permission to make payments.

Create a profile for the Authorized Banking Officer The Authorized Banking Officer (ABO for short) must go to the URL shown below and enroll in @ Work – EVEN if this person is already enrolled. A unique ID and password is required to act as an ABO.

50 Authorized Banking Officer Home Page with Enrollment Link Once the ABO has enrolled, they will receive a “Welcome” e-mail with an access code and a link to American Express @ Work. Once they have created a unique ID and password, they may access the @ Work home page and will see the “Corporate Online Payment” section displayed.

Note: Since the ABO is a unique role, the only permission they will have is to set up the Corporate Online Payment. As a result, no other permissions will be displayed on the home page. The dropdown will allow the ABO to select the CID, then select GO.

The authorized payer can access the Online Statement & Payment Center from their @ Work home page, select their company’s CID from the Card product options and click GO. With the new permission added to their profile, they can now schedule and make payments in addition to viewing and downloading statements at both the company or individual Cardmember level.

Confidential Information does not include information that: (i) becomes publicly available without Company’s fault or; (ii) Company rightfully receives from a third party, without restriction, or (iii) information that is independently developed by Company, without reference to or use of the Confidential Information.

Without first obtaining written consent of American Express, Company will not disclose the Confidential Information to any third party, except that Company may only disclose Confidential Information to those of its employees and agents that require such material to evaluate this proposal and the potential business relationship, and for no other purpose. Notwithstanding the foregoing, Company may disclose Confidential Information to the extent that such disclosure is required by an order of a court or by any law or regulation; provided, however, that, where legally possible, Company will give prompt written notice of any such requirement to American Express. Company will cooperate with American Express, at American Express’ expense, with any reasonable efforts of Amex to avoid or minimize such disclosure

In the event of a breach or threatened breach of the Obligations by Company, Company will promptly give notice thereof to Amex and will take reasonable steps to enforce the Obligations, and American Express reserves all of its rights and remedies at law and equity in connection with such breach. Company will indemnify American Express for all loss or damage to American Express caused by Company’s breach of these Obligations. No representation or warranty, express or implied, is made as to the accuracy or completeness of any information that is provided in this proposal. These Obligations will survive any expiration of this proposal.

At any time and upon American Express’ request, Company agrees either to return or destroy the originals (and all copies) of such information, documents and/or materials which are in its possession or under its control. Unless extended upon mutual agreement between American Express and Company, the terms of this proposal will remain effective for a period of 90 days from the date of submission. This proposal is not a contract, nor does it imply a legally binding relationship between American Express and Company. All terms contained in this proposal, including, but not limited to, any financial and operational terms, are subject to final review and negotiation.

As part of this Proposal, American Express has attached its standard Master Commercial Account Agreement. If and when American Express is awarded the business, American Express would seek to have the applicable program and product terms & conditions contained therein govern the relationship between the parties.
