INOVA HEALTH SYSTEM WOMEN'S HOSPITAL & CHILDREN'S HOSPITALNEW FACILITY BRINGS WORLD CLASS CARE TO RESIDENTS OF NORTHERN VIRGINIA AND BEYOND

Early this year, INOVA Health System celebrated the opening of the new 660,000 SF Women’s Hospital and Children’s Hospital on their Fairfax Medical Campus. The opening marked the conclusion of INOVA’s largest phase in their multi-year capital improvement initiative.

The Women’s Hospital, the only dedicated hospital in Virginia of its kind, boasts private patient rooms, over thirty labor and delivery rooms, six C-section rooms, a high-risk perinatal unit and several patient focused spaces such as an outdoor garden area. The Level IV Children’s Hospital features a 108 bed neonatal intensive care unit, a pediatric oncology unit, 116 private pediatric rooms and a rehabilitation center as well as dedicated family spaces and indoor/outdoor play areas where families can focus on healing together.

MAKING THE TRANSITIONOver a two-day period in January, the TPM team successfully executed clinical and patient moves into the new facility. The move was the culmination of over two and a half years of planning and involved the relocation of GYN operating rooms, C-section operating rooms, 91 neonatal intensive care babies, 68 women’s patients (many with newborn babies) and 56 pediatric patients. To prepare for the hospital’s activation and occupancy, Gilbane’s transition planning and management experts developed a detailed transition plan that included the tasks, time frames and responsibilities for every activity required to ensure a successful transition. As part of the planning phase, TPM assisted INOVA in the process redesign of patient care departments in the new facility. Much of the redesign stemmed from the amount of time that had lapsed from project conception to completion, rendering many of the technologies and processes in the original design now obsolete. Transition project executive Eric Trutenko, served as the liaison between the client team and end-users. Eric’s efforts helped the client receive a facility best suited to their needs, while keeping them attuned to the costs of making design changes late in the construction process.

Transition manager Jonathan Polovoy, oversaw the activation process, carefully sequencing all installation activities, planning the logistics of the patient moves, evaluating timing, elevators, routes and staffing where needed. Transition planner Kasia Jaskowska, assisted Jonathan with the activation process, specifically

managing the delivery schedules while also leading move efforts in the occupancy of approximately 100 offices over a five-day period.

Clinical consultant Chee Hamilton, worked closely with the client to ensure staff readiness. Chee provided training and orientation, assisted in the patient move planning process and oversaw several mock patient move exercises. TPM project executive Teri Boteler, provided key oversight to the team, while managing ongoing client relations throughout the project.

TPM team members Robert McFarlane, Michael Cakmes, Ron Pinedo and Rick Edwards assisted the core project team during the moves. They staffed the command center, distributed final patient census information and helped manage movers as relocated contents entered the building.

PROGRAM REWARDS INNOVATIVE THINKINGTAKING A CLOSER LOOK AT THE TPM/FMS INNOVATION COMMITTEE

To help foster innovative ideas, TPM/FMS employees formed the Innovation Committee in May 2015. This past February the committee launched their new innovative idea submittal process. This process details what qualifies as an innovative idea and the steps to take when submitting them.

Ideas posted to the Gilbane Innovation Portal throughout the year will be analyzed by the Innovation Committee against a set list of criteria. The committee will select the best TPM/FMS innovative idea annually and the employee who submitted the idea will be awarded a plaque and a $500 gift card.

Innovative ideas do not necessarily mean technology based, they can be anything that provides enhanced value to our customers or improves work processes. Ideas are not limited to TPM or FMS services, they can be applied company-wide. Remember, through innovative thinking, Gilbane will lead and stand out above the rest!

At the March management meeting, I formally introduced the new models for doing "One Company" business with the TPM/FMS business unit. As mentioned in our winter newsletter, profit earned on TPM or FMS work performed in collaboration with a business unit will accrue to the respective business unit.

This effort is off to a tremendous start with the recent TPM project award for Northwestern Mutual in Milwaukee, Wisconsin. We have received leads for prospective business on a consistent basis from several business units and we are eager to continue working together as the year progresses. Please keep those leads coming!

HAVE YOU SEEN OUR NEW PORTAL?On March 15th, the new TPM/FMS Portal went live on Gilbane’s intranet. I am excited to have this new platform to communicate with everyone in support of our "One Company" approach. The new portal has a two-layer design, with the top being accessible to all Gilbane employees, and the bottom intended for TPM/FMS employee access only.

The top layer provides an all-encompassing look at what TPM and FMS have to offer. Here you will find Doer-Seller materials to support initial conversations with clients who may benefit from our services, highlights of our latest project awards, project updates and miscellaneous information regarding industry trends affecting our lines of business.

The bottom layer is designed for our internal TPM and FMS staff, allowing us to communicate on a consistent basis in support of our increasingly virtual environment. It is a one-stop resource for all business development and operational needs. The People tab highlights our employees and their accomplishments including promotions, anniversaries, birthdays and new hire information. Other tabs address employee engagement, the innovation portal, community outreach and peer group updates and activities.

It is no secret that transitioning from construction to operations is a vital step to a successful "Day One" in any new or renovated facility. The FMS team has set themselves apart by providing facility managers with innovative enhanced turnover to operations (eTOP) services. eTOP is the process of capturing and normalizing documents, digital images and critical facility management data and loading it into a client’s facility management system. The client’s facility operations and maintenance departments then use the uploaded information to support and sustain operations in their new facilities.

Leading up to the initial transition, facilities managers may be faced with several challenges including the creation of preventative maintenance work order tasks and schedules, having accurate construction operations building information exchange (COBie) data and capturing all warranty, operational and maintenance information. Our eTOP services minimize these challenges by providing the time and the resources needed to get accurate, reliable data and maintenance processes in place.

eTOP IN ACTIONOur FMS team is currently working with the Northwestern Mutual facilities department where our eTOP expertise is being implemented on their new headquarters tower currently under construction in Milwaukee, Wisconsin. With the key word in eTOP being "enhanced", the services FMS is providing to this client is the difference between a basic turnover and enhanced turnover:

� Evaluating the client’s current Archibus data and developing a naming and standards guideline

� Barcode tagging all maintainable assets and adding the barcode values to COBie data

� Developing preventative maintenance procedures, tasks and schedules

� Preparing and linking documents such as O&M manuals to records in Archibus

The FMS team captured and uploaded the data with 100% accuracy, earning them high customer satisfaction ratings from Northwestern Mutual. They even provided the client with recommendations for methods to maximize the capabilities of their facility management system.

NOAA MOVES TO GRANDVIEW, MISSOURITPM LEADS RELOCATION OF NEARLY 1.8 MILLION GOVERNMENT ASSETSIn the Spring of 2012, TPM was retained by the General Services Administration (GSA) to develop a transition move plan, project budget and transition schedule for the relocation of the National Oceanographic and Atmospheric Administration’s (NOAA) 312,000 SF National Logistics Support Center (NLSC) and National Reconditioning Center (NRC) from the GSA Bannister Federal Complex in Kansas City, Missouri. Operations from the NLSC and NRC supported the functioning of all NOAA and National Weather Service equipment around the world, and therefore, required immediate response for equipment maintenance and replacement. At that time, the destination of the new space was unknown; however, GSA anticipated that NOAA would vacate the facility in 2013.

TPM’ s services included working with GSA and NOAA staff to develop an initial transition move plan, move budget and move vendor request for proposal, along with the detailed move planning of warehouse, office and workshop spaces full of highly technical equipment requirements. Due to congressional funding delays, the relocation project was placed on hold for a while, during which locations other than Kansas City were considered.

In mid-2014 it was determined that these NOAA mission-critical tasks must remain in the Kansas City area and a new development site directly north of the new GSA Honeywell National Nuclear Security Administration facility in Grandview, Missouri was eventually selected. GSA hired KHBottSpec, managed by Kessinger Hunter, who then engaged Burns & McDonnell to design-build the 222,500 SF single-story facility. TPM was re-engaged in the project, which then had a firm building vacate deadline of December 31, 2015, a very tight time frame.

TPM provided design phase review, construction management oversight and led all relocation activities. The project was directed by transition managers, Julie Scarbrough and Mike Berry, with assistance from assistant transition manager, Michael Cakmes, and area manager, Murray Walker. During the construction phase, Mike Berry represented GSA on-site working with the General Contractor to monitor construction activities ensuring the project remained on schedule, under budget and in conformance with the lease. Additionally, Mike’s experience in environmental remediation alleviated a potentially serious issue during the drywall installation process. Heavy rains

in Spring 2015 caused a few construction challenges, but the team worked smarter to keep everything moving along.

The move plan focused on maintaining the combined 1.8 million item asset inventory worth nearly $90 million, in addition to NLSC’s shipping, receiving and warehouse operations and NRC’s highly technical repair functions, with no downtime during relocation. The operations included replications of major NexRad radars, as well as transmitters and pedestals used for testing and quality control requiring multi-vendor planning for power and data disconnects, hauling, rigging, hazardous materials, recalibration, testing during relocation and FF&E coordination.

TPM’s detailed relocation plans developed in 2012 were tweaked for 2015 conditions, and successfully implemented over the course of only seven (7) move weeks in November and December 2015. Superior Moving and Storage of Kansas City provided exceptional service throughout the course of the moves.

TPM garnered high praise from GSA and NOAA stakeholders and enjoyed celebrating the official grand opening of the new facility in March 2016.

TPM PRESENTS AT ACE SUMMIT & REVERSE EXPOADDRESSES PROJECT SOLUTIONS AND SUCCESSESIn early February, TPM team members attended and presented at the ACE Summit and Reverse Expo in Atlanta, Georgia. TPM director of healthcare Teri Boteler, and senior transition manager Robyn McKeldin, addressed the topic “Capital Equipment Track: Project Solutions and Successes, From Planning to Activation” with Gloria Cascarino, senior associate and director of medical equipment planning from Francis Cauffman Architects.

Teri and Robyn walked the attendees through the history of healthcare information technology and how considerable quantities of industry and government standards have increasingly impacted this critical aspect of healthcare facility activation.

They provided resources for understanding IT clinical terminology, as well as device selection and integration. They pointed out the criticality of knowing what systems clinicians need to be involved in planning and cautioned about developing tight vendor scopes and timelines. The two recommended the development of a help desk phone tree for integrated systems as well as the careful identification of operational costs beyond start-up of the systems. Finally, they introduced the “Golden Rule”, a detailed technical dress rehearsal prior to transition of live operations.

The presentation was attended by approximately 100 participants from various architecture firms, construction companies and healthcare systems. TPM plans to increase speaking engagements to educate the industry and as a method for business development.

Members of the FMS team recently attended the IBM InterConnect Conference in Las Vegas. With over 2,000 sessions, this premier cloud & mobile conference provided the team with insightful breakout sessions, hands-on labs and the ability to network with hundreds of attendees.

As an IBM Gold Level Business Partner, FMS was invited to showcase how they can help efficiently manage all aspects of the operating performance of a facility, including preventative and on-call maintenance, energy, space and asset management.

FMS reconnects annually with the IBM sales team and various IBM/TRIRIGA clients at this conference to publicize their Gold Level TRIRIGA Partner status and develop new TRIRIGA software opportunities. With support from Randy Smith, Don Conover, Larry Novida, Angela Asher, Brandon Petersheim and Michael Cakmes the team carried out another outstanding exhibit.

On the last night of the event, the team headed over to the MGM Grand Arena where they watched Elton John perform live!
