NOTICE TO PROSPECTIVE BIDDERS

ADDENDUM NO. 1

Prospective Bidders and all concerned are hereby notified of the following amendments and interpretations to the Contract Documents of BID NUMBER-MIDD-018-008 IMPROVEMENTS TO SECOND BEACH, CAMPGROUNDS, WYATT ROAD SOCCER COMPLEX, WAR MEMORIAL FIELD & LOWER AQUIDNECK. These amendments and interpretations shall be incorporated into and shall become an integral part of the Contract Documents. The addendum number (No. 1) and date (02/28/2018) of this addendum must be entered into the space provided on the Bid Form. Items Not Discussed at the pre bid conference: 1) Construction deadline is changed to May 24, 2018 (1 day before beach opening) 2) Hand rail items that will not make the construction deadline, with sufficient justification in writing, will be delayed until after the beach season. Questions from emails: Good morning Warren are you requiring the hand and guard rails at second Beach concession stand to be rebuilt with regular building codes or just ADA code is there a possibility of a time extension or a halt and resume at the end of the season on this project Answer, see question 2 and answer 2 below Question 1: Referring to Bid Item #1; Please provide information about the locations of the 38 roof truss joist hangers so that a proper assessment of the conditions below them can be made. (i.e. above concession area or above office/first aid/lifeguard area or above restroom area) Answer: ¼” plywood attached to bottom chord existing truss, all located above concession & office/first aid/lifeguard areas. Question 2: Referring to Bid Item #4; Scope calls to “replace in kind”. The existing railings are two separate bid items. Under Bid Item #5 the scope calls for the ramp railings to meet ADA spec with heights, openings and spaces. Shouldn’t all the railings have guards/balusters where they are located next to a drop exceeding 30 inches? Answer: In kind refers to the extents not the construction, they will need to meet the ADA specifications for guard and baluster spacing no more than 4” and able to prevent slipping under the bottom rail. See attached pictures

Question #3: Referring to Bid Item #14; Is it the intention of this scope to have the “sleeves” mounted to the side of the concrete boat ramp? How high should the poles be above the boat ramp? What are the approximate locations of these poles? Answer: Yes the sleeves will be mounted to the sides of the concrete ramp, each sleeve shall have 2 @ ½” diameter x 6” embedment expansion anchor, all materials shall be stainless steel grade 316 Question #4: Referring to the sketch handed out at the pre-bid conference; Is the counter that is being added to the office meant to have a solid front or be supported by free-standing legs? Is the existing counter supposed to be cut back and/or demo’d by the Contractor? Answer: Front of counter will be finished with ¼” plywood, no finish Question #5: Referring to Bid Items #6, #11 and #13; There are a number of Electrical Items running into and out of these buildings, including Electrical services, meter socket, outlets, security and lights. Is the Contractor supposed to carry an Electrician to disconnect and reconnect these items? Answer: No, Town will coordinate all necessary pre siding work with our own electrician. Question #6: Referring to Bid Items #6, #11 and #13; The 1x4 trim in Bid Item #13 is called out as “PT”. The 1x4 trim in #6 and #11 is not noted as “PT”. Should all this trim be 1x4 pressure treated? Answer: Yes, all trim shall be pressure treated Question #7: Referring to Bid Alternate #2A; There are two showers in Men’s room and two showers in Women’s room. Is the scope to remove 4 showers and install 4 toilets and stalls? Answer: Yes Question #8: Referring to Bid Alternate #3A; At the pre-bid conference it was stated that it was not required to provide an outdoor stall, just provide a shower head. Please confirm. Also, please provide the intended location for this shower head. Answer: There will be no stalls, outdoor shower location will be adjacent to rest rooms, requiring minimal piping, for estimating use no more than 20’ distance for water supply to shower mixing valve. Question #9: Referring to Bid Alternate #4A; What category of tile is expected? Ceramic? VCT? Porcelain? Answer: VCT, color shall be gray Question #10: Referring to Bid Alternate #6A; On the picture included with the specifications and instruction it says “convert to this” and shows a picture of the Girls Field dugout. The Girls dugout has a concrete pad. Is that to be included at the new location? Also, the Girls roof framing has a front overhang that will not work behind the Lower Field backstop. Is it intended that the two new dugouts are not going to be in the same location as the old dugouts? Answer: Concrete pad shall be included, 6’ x 26’ x’ 5” thick 4000 psi mix with 6x6 WWM 10 gauge, overhang will be eliminated from the new dugouts, they will be in the same location. Also, chain link fence will be removed, stored and re installed or add new fence for dug out.

Question #11: Referring to Bid Alternate #8A; This says to prepare sheathing for shingles. WMF has sheathing beneath the T-111, the Campground Office does not. Should we include cost to Furnish and Install new plywood sheathing at the Campground location? Answer: YES, include new ½” CDX plywood sheathing at campgrounds office building with bid alternate #8A. Question #12: Marc, the bid form is looking for a lump sum price for each bid item, I’m ok with that. Then it asks for unit prices to be used to increase or decrease the quantity of units. The unit price for one item is much greater than 1/10 the price of 10 items. For example bid item 1, to replace 38 roof trusses, this will be estimated as a bundled project, if the scope is reduced in half to 19 trusses the cost of the job will not be cut in half, probably more like a 25% reduction in cost. If the Town is looking for unit pricing to increase quantity I can offer that, I cannot offer a unit price to decrease quantity. Let me know if the last paragraph on page one of the bid form will be modified to state unit pricing will not be used for calculating decreases & deductions of the bid item pricing. Answer: Unit prices will not be used for deducts, all deducts will be fairly negotiated. Contract documents will be revised to reflect this change at the time of signing. Attachments:
