INTRODUCTIONthank you for booking a space at the 2013 tnt travel Show, which takes place at the Business Design centre, on Saturday March 9th - Sunday March 10th. this year’s show is set to be the biggest yet. With more than 80 exhibitors on board and an expected 13000 visitors through the door, the show stands in a league of its own.

the information contained in this pack will provide you with everything you need to prepare for a successful event. please take the time to read the manual, ensuring that the necessary order forms are completed by the deadline dates. this will save you any last-minute inconvenience and expense.

BUSINESS DESIgN CENTREthe tnt travel Show will be held at theBusiness Design centre, 52 upper Street, Islington, London, n1 0Qh, one of Londons premier venues. It is just a short walk from angel tube station located on the northern Line.

Situated in Islington, one of London’s most vibrant areas, the bDC is located within 2 miles of both the City and the West End, and is ideally situated for both transport and local entertainment.

TNT TRAVEL SHOw HOTEL INFORMATION

Islington offers something for everyone and rivals the West End for entertainment, shopping, food and drink. there are over 500 bars, restaurants and cafes in the area, as well as local theatres and many places of interest. there is a payable car park adjacent to the centre with approximately 200 spaces. please note there is a 1.9m height restriction. Parking Type Duration £ Daily Minimum charge (2 hours) 6.00 thereafter hourly charge 3.00 per/hour Overnight 20.00 - 08.00 hrs 1.20 per/hourthere are further car parks within walking distance of the Business Design centre. DISABLED ACCESS

there is ramped access to the building from street level and clear signage around the building advising the best entrance routes. the BDc also has a well-lit, on-site car park, which has clearly indicated disabled parking spaces, and a lift to street level.

Once inside the building, there are a limited number of wheelchairs available free of charge. Disabled toilets can be found on every level, which are accessible via the lift in the main foyer on the ground floor.

In the event of an emergency there is a tailored evacuation process in place for our disabled visitors.

DELIVERY AND COLLECTION OF EXHIBITSDELIVERIESDelivery of goods should be made to the Business Design centre only on (not before) Friday, March 8th 2013, via the loading bay at the back of the venue (liverpool road). all boxes will be kept in the designated delivery room until Friday 8th March, when exhibitors can access them. please note all boxes will be held in this area until you arrive to set up.

all packages must be clearly labelled, with the heading: FOr attEntIOn: phoebe cherrill, ‘tnt travel Show’, followed by the exhibitor’s name, stand number and number of boxes. a courier label has been attached to this manual to photocopy as many times as necessary. It is very important that these labels are used to ensure a smooth delivery system. any deliveries not clearly addressed as above are likely to be returned to sender. LOADINg/UNLOADINgthere is a loading bay for the BDc at the back of the venue (liverpool road). For exhibitors unloading larger, heavier exhibition equipment a lift is available at the venue through the loading bay. there will be traffic marshals and helpers on duty to ensure the smooth running of arrivals and departures during the set-up and break-down. For exhibitors with small exhibition equipment access will be at the front of the venue via Stairwell e. there is a passenger lift in the Main Foyer (please note this is switched off during build up and breakdown to avoid misuse) it is not for the carriage of goods. the dimensions of the Main hall Goods Lift from the Loading Bay is 3.9m x 1.9m x 1.9m high (capacity 3000kg)

please note there will be no trolleys available at the BDc so preparations must be made to get your equipment to your stand.

COLLECTIONSThere is only a limited amount of space available for items to be left at the venue so it is important that you inform us of your courier collection details at least two weeks before the show. If this is not done you may not be able to leave any items at the venue. exhibitors are also reminded that goods must be collected by Monday, March 11th , before 11am. however clients with large free build stands will not be able to leave any items in storage and must clear by Sunday, March 10th, before 6pm. tnt Magazine and staff of the tnt travel Show cannot accept responsibility for any goods at the venue.

gENERAL INFORMATIONLOgOS AND COMPANY PROFILEEvery exhibitor will have a profile and their logo in the official tnt travel Show programme and website. - http://www.tnttravelshow.com/exhibitors/register

PUBLIC BROADCAST AND NOISE LEVELSplease remember if you wish to use audio-visual equipment for the purposes of playing sound recordings, showing films, and receiving visual images or sounds conveyed by electronic means or live performances, it is your responsibility to obtain a licence.

please contact the tnt travel Show organisers if you wish to play recorded music at your stand. tnt Magazine reserves the right to stop music playing from your stand should you not have informed the organisers.

PROMOTIONAL ACTIVITY AT THE SHOwWe remind exhibitors that only the confines of your stand may be used for advertising purposes. the use of persons for publicity as well as the distribution of leaflets, posters or similar will not be allowed outside the boundary of your stand or around the venue. also under no circumstances may any material be attached to the venue.

INTERNET CONNECTIONWireless broadband facilities are available for hire from the BDc. this can be arranged directly through the venue by completing the order form at the back of the manual or contacting them direct on 0207 359 3535.

FOOD AND BEVERAgESIf you are looking to provide food or alcoholic samples to your delegates on the day of the show please complete and return the sample forms at the back of the manual. If you do not return these forms you will not be able to hand out any samples on the day.

Food and Drink will be made available to the exhibitors and the public both on the build up and show days. the bDC will provide a variety of sandwiches and confectionary at reasonable prices. however there is a wide selection of bars and restaurants in close proximity of the bDC.

You will be supplied with the following:

Stand walls: 2500mm high x 990mm wide panels covered in white foamex. (Lightweight polyboard or card panels can be fixed with DOUBLE SIDED VELCRO, TwINSTICk PADS OR BLU-TACk)

name board: White background with black text, your company name and stand number will be shown.

please advise tnt immediately if you would like a different company name than what is stated on your signed contract. tnt does not accept responsibility should the name be incorrect due to you not advising the organisers in advance of the event.

carpet: the venue is fully carpeted.

Lighting: two adjustable spotlights.

powerpoint: One 500W socket outlet.

Furniture: One table and two chairs.

SHELL SCHEME UPgRADE AND OPTIONAL EXTRASa comprehensive list of items may be hired from the BDc at an additional cost. to order any of these items, please fill out the BDc order form at the back of this manual.

the BDc will be building the stands on the morning of Friday, March 8th, and remove items once the show has finished.

You will be supplied with a booth which is measured to your stand allocation in metres, 1 x 13amp 500w Socket Outlet and two spotlights. You must contact the show organiser if you are organising a custom-built stand in replacement of the shell scheme.

Panel Print Size2340mm x 950mm

Storage rentable storage facilities have been made available this year from the bDC. Various cupboard options are available, additional panels and lockable doors are included on the Shell Scheme Extras Order Form at the back of the manual.

Signage Signage is a vital component for any exhibitor, and for that reason the stands have been designed in a user-friendly manner. the panels are made of white foamex, should exhibitors wish to use Velcro they will need to provide both male and female Velcro

ELECTRICAL AND SAFETY REQUIREMENTS

Each shell scheme stand will be fitted with two amps of power and two adjustable spotlights. If you require any additional electrical items or have any questions, please contact the bDC directly. please be aware that additional items will be charged to the exhibitor. Exhibitors are permitted to employ their own technicians to install exhibits, but connection to the hall supply must be carried out by the bDC.

Power

Each shell scheme stand will have a fuse board and breaker assigned in blocks of six controlling the stand’s lighting and electrical exhibits. all power supplies will be switched off when the halls are not in use, except by prior arrangement. please note power to all stands is switched off 30minutes after the show closes. Should exhibitors require 24hr power this must be ordered by completing the Shell Scheme electrical Order Form or if they are a space only stand they need to specify this on the space only order form and this will be included in the quotation.

Appliances

any electrical appliance connected to a socket must be tested before it is plugged in and switched on. the responsibility for ensuring this test is carried out is that of the person or persons bringing the equipment into the exhibition hall.

all low-voltage transformers shall be fused on both and secondary sides. the client’s equipment must comply with all regulations and is subject to testing and spot checks.

SECURITY AND SAFETY SECURITYtnt Magazine will employ a team of security personnel sufficient for day-to-day security purposes. While every precaution will be taken to protect your property during the event, we are not responsible for any loss or damage and we recommend you take out insurance cover.

SECURITY PASSES Deadline February 15thplease complete and return the exhibitor security pass reply sheet at the back of this manual, providing us with the names of staff and outside contractors who will be involved in setting up and breaking down your stand at the show, so we can prepare the correct number of passes. these can be picked up from the welcome desk during set-up times.

FIRE SAFETYGangways must be kept clear of exhibits, stand dressings, tables and chairs. Offending items are liable to be removed without warning. please keep all your exhibits inside your stand area at all times and check your stand area daily for anything suspicious. there are emergency exits in all corners of the exhibition hall and fire extinguishers on hand.

CLEANLINESS It is vital that all stands and their surrounding areas are kept completely clean and free of rubbish. to ensure all parties involved have an enjoyable and successful day, it is crucial that everyone plays their part in keeping the venue safe, clean and inviting. All exhibition materials must be removed from the building at the end of the show. the BDc accepts no responsibility for anything left on the premises at the end of the tenancy.

CARPETSthere are carpet tiles on the main floor and lower level. Exhibitors wishing to build stands must ensure that adequate precautions are taken to protect the carpet from damage. You will be required to lay a wooden floor /platform before any additional floorcovering is used. this must be finished with metal/plastic edging trim. Stand carpet must not be laid or fixed directly to the BDc fitted carpet.

HEIgHT LIMITSFor any structures that exceed 4metres in height, please consult with the Venue Services Manager as it could affect the service feeds at the venue. Structural calculations will also be required via an approved Structural Engineer. all relevant costs for these are to be met by the exhibitor/contractor.

BALLOONS/INFLATABLESuse of helium or gas filled balloons must be agreed in writing prior to the show by the Venue Services Manager. a £100.00 refundable deposit will be required for their use at the venue.

DISABLED ACCESS Should you have any enquires regarding disabled access, the Business Design centre has been specifically designed to allow access for disabled visitors by means of ramps and lifts. With prior notice given to the venue, superior access systems can be put into place.

FIRST AIDIn the event of an accident or injury, please contact the Business Design centre reception and the organisers office.

HEALTH AND SAFETYunder the health and Safety at Work act 1974, event organisers, exhibitors, contractors and agents have a duty to ensure that all personnel contracted by you have a responsibility, so far as is reasonably practicable, for health, safety and welfare of all employees, and that any plant or systems of work which may be used are, so far as is reasonably practicable, safe and without risks to health. this means that all employees should be provided with information, instruction, training and supervision to ensure not only their health and safety but also that of others working or attending the vicinity.

RISk ASSESSMENTS / METHOD STATEMENTS Deadline February 15thEach exhibitor MuSt submit a risk assessment to cover their activities

You may of course use your own risk assessment form or alternatively we have included a template which you are welcome to use if required.

Free build/space only exhibitors MuST also complete and submit a method statement to cover all phases of the stand build activities during the build-up, exhibition and breakdown phases.

all risk assessments, method statements and stand visuals must be submitted to [email protected] by no later than the 15th February 2013.

INSURANCEWhile we take every precaution to protect your property during the event we are not responsible for any loss or damage. We recommend that you check your own company’s insurance cover to make sure you are covered for exhibitions.

If you require additional insurance, we recommend hiscox, a specialist in this type of insurance. Various covers can be seen and purchased online, with the basic cover including cancellation, property damage and legal liabilities.

TERMS AND CONDITIONSPATENTS AND COPYRIgHTSBy entering into an agreement to attend this exhibition, you warrant the tnt travel Show 2013 that all designs and artwork on or relating to your stand and any items displayed on your stand shall not infringe any trade, copyright, patents or other intellectual property rights of any third party in any way.

In the event that the TnT Travel Show is under any legal obligation (whether by virtue of court injunction, order, judgement, recommendation or decision of a trading Standards Officer or otherwise) to remove any stand or part of a stand (without prejudice to any other rights which tnt Magazine travel Show may have), then the TnT Travel Show reserves the right to have that item or items removed from your stand or to close your stand at the exhibition. no compensation or damages will be payable as a result of such removal or closure by the TnT Travel Show.

SHELL SCHEME REgULATIONSa) the choice of stand fitting contractor is at the discretion of the exhibitor. the organisers must be notified of

any such contractors. b) partitions: on dividing sites, exhibitors must supply, erect and decorate walls facing their stand areas and

gangways up to a height of 2.5m. Walls above this height must be finished to an acceptable standard on both sides by the exhibitor who had them erected. In addition, any construction which backs onto a gangway must be dressed to the full height of any construction or display.

c) all stand structures, signs, exhibits etc must be confined within the area allotted and may not project into or over the public gangway.

d) It is the responsibility of the exhibitors to examine the allotted stand in order to avoid costly adjustments to stand structures such as minor obstructions for which the organisers cannot accept responsibility.

e) all work must be carried out using non-flammable material. f) the design of the stand must be such that it can be erected and dismantled within the time available. g) If an exhibitor causes a stand to be erected which does not conform fully and in all aspects to the

requirements of the organisers and local authorities, the organiser shall be at liberty to enter the exhibitor’s stand and alter, demolish and/or reconstruct the said stand so as to make it conform to the regulations and requirements. the exhibitor shall, on demand, repay the organisers all expenses incurred by them in respect of such alterations, demolition and reconstruction.

h) advertising refers to all company names, logos or any other lettering. On dividing sites under no circumstances will exhibitors be permitted to display company names, logos or lettering on the rear of party walls overlooking neighbouring stands.

i) It is the responsibility of the exhibitor to ensure the stand is being built to the correct mark. If there is any doubt regarding the allocated floor space, please check with the organisers before commencing building work.
