HRonline IT Alert Mobile Number
Add an
Add an IT ALERT MOBILE NUMBER in HRonline
As of 26 September 2016, you will need to add an IT Alert Mobile Number to your HRonline profile before you can use the Reset Forgotten Password utility.
If you cannot access HRonline and you have not yet added an IT Alert Mobile Number, please contact the IT Service Desk on Ext 17000 ((02) 4921 7000) to reset your password over the phone.
Please then log in to HRonline and follow the below steps to add an IT Alert Mobile Number.
You will then be able to reset a forgotten password yourself in the future.
Login to HRonline
1. Go to www.newcastle.edu.au >
2. Click CURRENT STAFF at the top of the homepage:
3. Under SYSTEMS AND TOOLS, click HRonline:

4. Login with: Username = your Number Plate (your Uni ID e.g. ABC123) Password = your main password >
5. Click Login:
Add the IT – IT Communications attribute
1. From the menu, select My HR > Employment > My Staff Directory Details:
2. The Employee Attributes screen will be displayed.
3. Click on the “IT – IT Communications” Attribute Type to view/change details:

4. Type your mobile number in the Comments:
IMPORTANT: Make sure you type your mobile number with numbers only and no spaces.
5. Click Update:
6. You will receive a Success! Notification if successful:
Check the attribute has been saved
1. Go to My HR > Employment > My Staff Directory Details again >
2. Your mobile should be listed in the Employee Attributes, under “IT – IT Communications”:

3. You are now able to use the Reset Forgotten Password utility.

GENERAL
Where can I access HRonline from?
You can access HRonline from any device with Internet Explorer, Forefox and Safari browsers that has an internet connection.
Via University of Newcastle website Once you have your Username and Password, you can go to the main University of Newcastle website and follow the links to HRonline:
1. Go to www.newcastle.edu.au >
2. Click Current Staff at the top of the homepage:
3. Scroll down to SYSTEMS AND TOOLS > Click HRonline:
4. Login with:
Username = your Number Plate (your Uni ID e.g. ABC123) Password = your main password >

5. Click Login:

The direct URL is: https://hronline.newcastle.edu.au.
We suggest you “bookmark” the HRonline page for easy future access.
How do I reset my HRonline password?
Try to log in with your main password and Number Plate combination.
If you want or need to change your password, please follow one of the below options: I know my password and I want to change it I don't know my password and I want to change it
Alternatively, if you are having trouble following the steps or encounter any unexpected errors, please phone the IT Service Desk on Ext 17000 ((02) 4921 7000) and they will be able to reset your password over the phone.

I don’t know my password and I want to change it

You are able to use the Reset Forgotten Password utility. Please follow the below steps.
Note: You will need your mobile phone with you.
1. Go to the University’s YOUR PASSWORD page, located here.
2. Click on the “+” to expand the Forgotten your password section >
3. Click on the Reset Forgotten Password link:

4. Type in your Number Plate (your Uni ID e.g. ABC123) >
5. Click Next:
6. Enter the Security Code that has just been TEXTED to the IT Alert Mobile Number >
7. Click Next:
8. Enter a new password >
9. Enter the new password again >
10. Click Next to save:

11. If successful, you will receive this screen:
12. Your main university password is now changed, and you canaccess HRonline with this password.
How do I unlock my HRonline account? Your HRonline account will unlock automatically after one hour. If you require urgent access, email your request to [email protected]. The HR Information Systems (HRIS) team will unlock your account as soon as they are able and will advise you. Once your account has been unlocked, if needed, you can reset your password by following the steps in the How do I reset my HRonline password? section.
HRonline welcome screen
When first logging in to HRonline, the My Details panel will be collapsed and the My Favourites panel will be expanded:
1. Click > next to My Details to expand the My Details panel, andsimultaneously collapse My Favourites:

2. Open the My Favourites menu to select the most commonly used
options in HRonline:
My Details
This section of HRonline displays the user ID, name, active job and position description of the user logged in.
If the active job is changed, it will be updated in this section.
HRonline displays information from one job at a time. If you have more than one job at the University, you will need to choose a specific job number and then the relevant information and options will be displayed. Information and options will relate to this job number until you choose another job or you log off HRonline.
Please note, only active jobs are listed under My Details.
To change the active job:
1. Click > to the left of My Details:

2. The panel will expand downwards and display all current jobs for the logged in user >
3. Click on the row/job > Click Select:
4. The chosen job will now be displayed under ‘My Details’.

These steps show you how to view and update your personal details in HRonline.
1. Click My HR > Personal Details >

1. Select My HR > Personal Details > Personal Contacts:

Appointment Details
You can check all of your appointments at the University of Newcastle.
1. From the menu, select My HR > Employment > Appointment Details:
2. The Appointment Details query form will be displayed.
View the details of a specific occupancy record
1. Click on an occupancy row > Click Details at the bottom of the page:

View details of your position
1. Click on the Position Number:
2. The further details will be displayed on the right side of the page.

Roster
You can view your roster and work patterns for specific periods.
1. From the menu, select My HR > Employment > Roster:
2. The roster form will be displayed.
3. Enter an Enquiry Date or choose a date from the calendar >
4. Enter the number of days you wish to see in the Period of Enquiry >
5. Click Find:
6. Your roster will be displayed.

1. From the menu, select My HR > Employment > My Staff DirectoryDetails:
2. The Employee Attributes screen will be displayed.
View or change Attribute information
1. Click on an Attribute Type to view/change details:

1. Click Add new Employee Attribute record to add a new attribute:

5. Enter Comments (this is where you can enter the attribute’s information e.g. a phone number) >

My Staff Directory Details: CRITICAL SMS
Follow these steps to change your Critical Incident SMS mobile number.
1. From the menu, select My HR > Employment > My Staff DirectoryDetails:
2. Click Add new Employee Attribute record to add a new employeeattribute:

3. The Employee Attributes screen will be displayed.
4. Select the Attribute Type as Staff Contact Details >
5. Select the Attribute Value as Critical Incident SMS >
6. Enter a mobile phone number (no spaces, brackets or full stops) intothe Comments >
NOTE: This mobile number is stored for use in emergency situationsonly and will not be used or any other purpose.
7. Click Insert to save.
8. You will receive a Success message when saved.
Private Outside Work
The University of Newcastle recognises that it is in its interest for members of staff to participate in appropriate Outside Work activities which bring benefits to the institution whilst promoting or maintaining the professional standing of staff.
It is also recognised that Outside Work must be undertaken in a way that appropriately addresses risks associated with such arrangements. For further information on Outside Work see the Outside Work Policy - D12/26657P.
1. From the menu, select My HR > Employment > Private OutsideWork:

If access cannot be temporarily reactivated, HRIS will provide you with a Manual Timesheet.
My Professional Paycode doesn’t appear when I click on the drop down menu.
Ensure you have selected your timesheet Start Date and Job Number.

Each of these jobs is assigned its own job number.

In the example below, initial tutorials for IHRH3001 and IHRH1001 were completed on the 5 June. As they are both for the same Paycode and on the same Job number, both course codes can be entered into the box. Then the hours can be totalled in the final column.
If you work for different courses in the same timesheet period, submit one timesheet with a separate row for each course code.
14. If submitting one timesheet, enter 0 (zero) for the Number of Repeats >
15. Click on the arrow to choose an Approver (do not type the name in).The appropriate person for your School will be on your contract >

Academic timesheets can only be deleted; they cannot be unsubmitted or edited.
To delete a timesheet and submit a new timesheet:

APPROVER TIMESHEET FAQs
Timesheets: What actions are available to an Approver?
If an approver believes a timesheet is incorrect, they can speak with the employee or email the employee to check.
If the timesheet is confirmed as correct, the approver can approve the timesheet.
If the timesheet is confirmed as incorrect, the approver should reject the timesheet and add a comment.
The employee can then resubmit a correct timesheet.
Approvers are not able to alter any information on an employee’s timesheet. It is the employee’s responsibility to ensure timesheets are correct.
I have been sent an email to approve a timesheet/leave request, but when I log in the approval button is greyed out.
You cannot approve some requests from the Summary Screen.
To approve requests, first open each request by clicking on the Record ID >
The request details will be displayed >
You can choose Approve / Reject / Escalate / No Action >
Choose an Approval Status > Click on Update.

How do I know if my leave has been approved?

When I submit a leave request, I receive the error: “Error! Error - The amount of leave requested exceeds available balance.”
The hours requested are greater than the hours available.

What date should I use to calculate my leave balance?

When I try to submit a Leave Request I receive an error referring to a Roster, or a Public Holiday.
Public holidays and concessional days are pre-programmed into HRonline.
There is no need to book leave for public holidays and concessional days.
If you are booking leave spanning a public holiday, your leave balance will not be reduced for that day(s).
If you work on a part time basis or a roster, check that the leave you are trying to book does not fall on one of your non-working days.
How do I apply for leave without pay?

How do I DEFER Academic Annual Leave?
If it is not possible to take all of the annual leave that has accrued during the year, an application can be made to defer leave.
It is expected that all leave that is deferred will be used in the following year.
To defer leave, this application form will need to be completed and provided to your Head of School to be approved by your Pro Vice-chancellor no later than the 31st January the following year.
Accrued annual leave unused credit request (Academic staff) (PDF, 808KB).
Once your deferred leave is approved it will be entered into HRonline by Human Resource Services.

The error is also displayed when your approver opens the request.

APPROVER LEAVE tasks in HRonline
Approving Leave Requests or Reversals
Approvers receive an email notification when a leave request has been submitted and needs approval.
Approvers are also reminded of requests pending approval when opening the HRonline main menu.

What if the Academic leave request also displays a warning?
A message will show in the approval screen if an Academic staff member has booked leave exceeding their available balance.
This message can be ignored as long as the staff member does not book more than 20 days per year (pro-rata for part-time or part-year service).
Approving Leave Reversals
A staff member can reverse (cancel) an approved request.

Team Leave Balances
Academic annual leave accrues daily from 1 January each year.
You can check the staff member’s leave accrual in the Team Leave Balances
section of HRonline.
View your team’s leave balances.

As a Supervisor you may be given the authority to approve requests for leave and / or casual timesheets.
If you are a designated Approver you will receive an email message notifying you when a request has been submitted and needs approval. You will also be reminded of approval requests when you are in the HRonline main menu.

Approve Requests Approvers receive an email notification when a leave request has been submitted and needs approval.

This message can be ignored as long as the staff member does not book more than 20 days per year (pro-rata for part-time or part-year service).
Rejecting a request

Approving Leave Reversals
A staff member can reverse (cancel) an approved request.

Delegations can have an end date or be left open to cover longer periods.

As of 26 September 2016, you now have to add an IT Alert Mobile Number to your HRonline profile before you can use the Reset Forgotten Password utility.
If you cannot access HRonline and you have not yet added an IT Alert Mobile Number, please contact the IT Service Desk on Ext 17000 ((02) 4921 7000) to reset your password over the phone.
Please then log in to HRonline and follow the steps here to add an IT Alert Mobile Number.
You will then be able to reset a forgotten password yourself in the future.

If you work on a part time basis or a roster, check that the leave you are trying to book does not fall on one of your non-working days.
How do I apply for leave without pay?
Leave without pay is not submitted through HRonline.

The “Create a new timesheet” link is missing.
Once your contract has ended, you can still view your records for one month, but you cannot make any changes or submit a timesheet.

My Academic Paycodes don’t appear when I click on the drop-down menu?
Ensure you have selected your timesheet Start Date and Job Number.
If no pop-up screen/menu appears, try minimizing the current window. The pop-up screen/menu may be behind the current screen.
When I submit my Academic timesheet, I receive the error message: “The hours remaining on your employment contract have been exceeded. Please contact your supervisor.”
Possible causes:
The total number of hours against the contract (in the HR System)has not been updated to match the hours you have worked. Please contact your Supervisor or the Admin Staff for your
area to clarify.
You have a timesheet which has been rejected and not yet deleted. Access your Pending Transactions and delete the rejected
timesheet.
An incorrect Job number has been selected. Please check that you have selected the correct Job number
for the timesheet.

How do I DEFER Academic Annual Leave?
If it is not possible to take all of the annual leave that has accrued during the year, an application can be made to defer leave.
It is expected that all leave that is deferred will be used in the following year.
To defer leave, this application form will need to be completed and provided to your Head of School to be approved by your Pro Vice-chancellor no later than the 31st January the following year.
Accrued annual leave unused credit request (Academic staff) (PDF, 808KB).
Once your deferred leave is approved it will be entered into HRonline by Human Resource Services.

When I submit an academic annual leave request, I receive the error: “Warning! The Leave Request was successful, however the following issue(s) were identified with the request: Please review leave booking as CURRENT entitlement has been exceeded.”
The leave request has been submitted successfully however, the hours requested are greater than the hours available, and your balance will be in the negative.
The error is also displayed when your approver opens the request.
What date should I use to calculate my leave balance?
1. From the menu, select My HR > Leave > Leave Balances:

When I try to submit a Leave Request I receive an error referring to a Roster, or a Public Holiday.
Public holidays and concessional days are pre-programmed into HRonline.
There is no need to book leave for public holidays and concessional days.
If you are booking leave spanning a public holiday, your leave balance will not be reduced for that day(s).
If you work on a part time basis or a roster, check that the leave you are trying to book does not fall on one of your non-working days.
How do I apply for leave without pay?
Leave without pay is not submitted through HRonline.

NEW ACADEMIC TIMESHEETS FAQs
The “Create a new timesheet” link is missing.
Once your contract has ended, you can still view your records for one month, but you cannot make any changes or submit a timesheet.
Email HRIS at [email protected] and they will determine whether your access to the timesheet screen can be temporarily reactivated in order to submit final timesheet(s).
If access cannot be temporarily reactivated, HRIS will provide you with a Manual Academic Timesheet.
How can I find my New Academic timesheet in HRonline?
Your timesheet may be submitted but not yet approved.
1. Go to My Favourites > My Pending TransactionsORPending Requests and Current Vacancies at the top right handcorner of the home page:
2. Choose My Pending Requests:
3. The Pending Transactions screen will be displayed, showing anyrequests awaiting approval and a summary of your timesheets.

My New Academic timesheet has been rejected. What do I do?
There may have been an error with your timesheet.
Academic timesheets cannot be unsubmitted or edited. You will need to delete the timesheet and submit a new timesheet.

Can I put multiple jobs on one New Academic timesheet?
No. Only one job number can be submitted in each New Academic timesheet.
My New Academic job number is not displayed.
You must enter a Timesheet Start Date before your job details can be displayed.

If no pop-up screen/menu appears, try minimizing the current window. The pop-up screen/menu may be behind the current screen.
When I submit my New Academic timesheet, I receive the error message: “The hours remaining on your employment contract have been exceeded. Please contact your supervisor.”
Possible causes:
The total number of hours against the contract (in the HR System)has not been updated to match the hours you have worked. Please contact your Supervisor or the Admin Staff for your
area to clarify.
You have a timesheet which has been rejected and not yet deleted. Access your Pending Transactions and delete the rejected
timesheet.
An incorrect Job number has been selected. Please check that you have selected the correct Job number
for the timesheet.

Timesheets: What actions are available to an Approver?
If an approver believes a timesheet is incorrect, they can speak with the employee or email the employee to check.
If the timesheet is confirmed as correct, the approver can approve the timesheet.
If the timesheet is confirmed as incorrect, the approver should reject the timesheet and add a comment.
The employee can then resubmit a correct timesheet.
Approvers are not able to alter any information on an employee’s timesheet. It is the employee’s responsibility to ensure timesheets are correct.
