Time Managers Workplace

OverviewThe SAP Time Managers Workplace is a Time Management tool that provides an integrated user interface to maintain time data. All time data can be entered, corrected, and completed on one screen

Time administrators automatically see a list of the employees for whom they are responsible without making any selections manually. There are various views (such as the multi-day, multi-person, and one-day view) available for the Time Administrators to maintain this time data

The actual screen layouts and scope of functions displayed in the Time Managers Workplace (TMW) has been customised to reflect Prasa relevant information

Time Managers Workplace Screen Navigation

OverviewThe purpose of this transaction is to access the Time Managers Workplace.

Menu Path

Ensure that the SAP Easy Access screen is displayed.

Select Human Resources ( Time Management ( Administration ( PTMW Time Managers WorkplaceOR

Enter transaction code PTMW in the Command field and click on the Enter button.

Time Data MaintenanceThe Time Data Maintenance Multi-day view screen is displayed.

Take NoteThis screen is divided into the following 3 main areas:

1. The Calendar Area for selecting the period in which time data maintenance must be done.

2. The Employee Selection Area for selecting one or more assigned Employees whose time data must be displayed or maintained.

3. The Time Data Maintenance Area to display the details of the selected Employee/s.

Calendar AreaThe Calendar Area

OverviewYou can use the calendar in the Time Managers Workplace to select the time period for which you want to process or display time data. When you use the calendar, you can also enter data for the entire period at the same time.

Term/ConceptDescription

DateThe current month, current week date is normally selected with Todays date in bold.

Click on the Scroll buttons to select the previous or future month.

Selecting a monthClick on the Month Header to select the whole month.

Selecting a DateClick on a specific date or highlight a period to select it.

Employee Selection AreaThe Employee Selection Area

OverviewThe system displays only those Employees who are assigned to the profiles of the individual Time Administrators. A Time Administrator selects an Employee from the Employee list to maintain or display their time data.

If required, and provided he or she has the required authorization, the time administrator can add more Employees and Employee groups to their Employee list.

Term/ConceptDescription

EmployeesThe names of the Employees whose Time Data can be displayed/maintained are displayed in this area. These Employees are linked to a relevant Time Administrator in the Organisational Assignment (IT0001) Infotype.

Selecting an EmployeeDouble click on the name of another Employee, to display their Time Data in the Time Data Maintenance Area.

Selected EmployeeThe name of the Employee whose Time Data is displayed in the Time Data Maintenance Area is highlighted.

Selecting multiple EmployeesClick on the top name, press and hold down SHIFT on the keyboard, click on the bottom name on the list and click on the button to copy the names of all the persons to the Time Data Maintenance Area.

Selecting a DateClick to select a specific date or highlight a period to select it.

The names of the Employees assigned to the Line Manager or Time Administrator are displayed. Click on the Employee List button and select one of the following options to add additional Employees:

Persons in organisational units

Selection via Time Administrators

Maintain your own Employee lists

Temporally add Employees

Refresh Employee list

Time Data Maintenance AreaThe Time Data Maintenance Area

OverviewThe Time Data Maintenance function was designed for Time Administrators to enter, correct, and complete time data for the Employees assigned to them.

Term/ConceptDescription

System MessagesThe top row displays the relevant system messages.

Employee DataClick on the Dropdown List button next to the Employee Data section to display:

Contact Persons Master Data

Time Accounts

Employee DataClick on the Expand or Collapse buttons to display or hide the Employee Data section.

Master DataThis section displays the relevant Master Data information of the selected Employee.

Paid Leave BalancesThis section displays the relevant Paid Leave Balances of the selected Employee.

Other Leave BalancesThis section displays the Other Leave Balances of the selected Employee.

Calendar Time Data The Calendar Time Data view

OverviewThe monthly calendar is a color graphic layout of one Employees time data over one calendar month or for an individually selected period of several weeks. It enables you to quickly classify an Employees several-day, whole-day, and partial-day time information for each day.The monthly calendar is particularly useful for entering and processing time data if you want a quick overview of an Employees time entries. As time entries are displayed in different colors, this view is an ideal initial view for Time Administrators to search for and quickly find a specific time entry.Term/ConceptDescription

Time Data viewTime Data for the specified period can be displayed in a Calendar, Time Data or Time Events view.

Calendar tabThe Calendar view has the following Date display options:

A Daily view

A Weekly view

A Monthly view

A Yearly view

Time Data Maintenance optionsThe following maintenance options are used:

Create a new Time Record

Delete an incorrect Time Record

Display the details of a Time Record

Copy a selected Time Record

Cut a selected Time Record

Paste a selected Time Record

Select a date and click on a maintenance option to create a new time record or change an existing time event that is different to the planned working time. The Detail section is displayed where the relevant Time ID can be selected.

Time Data The Time Data view

OverviewIn the Time Data page, you can administrate all Time Management infotypes that are supported by the Time Managers Workplace.

Term/ConceptDescription

Show/hideClick on the Expand button to expand or collapse a days view.

WeekdayAbbreviation of the day of the week.

DateRelevant date.

IDTime data ID code.

ID TextText relating to the ID code.

StartStarting time.

EndEnding time.

DurationNumber of hours.

ConfirmAll normal working times which display from the employees Planned Working Time Infotype (IT0007) will default in as unconfirmed (the box will be unchecked)

Time Data Maintenance optionsThe following maintenance options are used:

Display the details of a Time Record

Create a new Time Record

Delete an incorrect Time Record

Cut a selected Time Record

Copy a selected Time Record

ConsolidationYou are now able to: Access and navigate in the Time Managers Workplace

Create an Absence Record for an Employee

OverviewThe purpose of this transaction is to maintain a selected Employees Absence Time Data.

Use Absences to record the following situations, for example:

Leave

Doctors appointments

Illness

Menu Path

Ensure that the SAP Easy Access screen is displayed.

Select Human Resources ( Time Management ( Administration ( PTMW Time Managers WorkplaceOR

Enter transaction code PTMW in the Command field and click on the Enter button.

Time Data MaintenanceThe Time Data Maintenance Multi-day view (Employee) screen is displayed.

InstructionComplete the following instructions:

Button/FieldDescription

Employee Selection AreaDouble click to select the relevant Employee.

Time Data Maintenance AreaHighlight the row with the relevant Date or click on the date on the Calendar.

Click on the Create button.

Time Data MaintenanceThe Time Data Maintenance Multi-day view (Selected Employee) screen is displayed.

Take NoteThe Detail screen area opens for the selected date.

IDClick on the Possible Entries button to display a list of possible entries.

ID dialog boxThe ID dialog box is displayed.

Time Data MaintenanceThe Time Data Maintenance Multi day view screen is displayed.

Take NoteThe defaulted date for the selected absence is one day. The end date can be changed if the selected absence is longer than one day.

DateChange the Second Date if the relevant absence is longer than one day.

Click on the Enter button to check and verify the entries.

The Absence Times tab displays the Absence Type The Comment tab where comments with regards to the relevant absence, can be entered

Change an Absence Record

OverviewThe purpose of this transaction is to change an existing time record. The following changes can be made to an absence record:

Select another time ID

Change the date of the record

Changes made to the record must be saved.

Enter transaction code PTMW in the Command field and click on the Enter button.

Delete an Absence Record

OverviewThe purpose of this transaction is to delete a Time record that was created in error. This transaction must be used with caution and only when a record is created in error. When a record is deleted, all history is lost.

Enter transaction code PTMW in the Command field and click on the Enter button.

CalendarClick to select the relevant Date where the incorrect Time Record is located.

Click on the Select button to select the relevant record.

Create an Attendance Record for an Employee - Overtime

OverviewThe purpose of this transaction is to maintain a selected Employees Attendance Time Data where there is an exception, that is, there is a variation from the employees planned working time.

Create Attendances to record the following situations, for example:

Enter transaction code PTMW in the Command field and click on the Enter button.
