What’s New in Version 4.1?1. Visitor Log In. Allow users not already in the Patron Data to log in using a 10-digit number (such as a cell

phone number) and “register” for in Patron Data for future visits.2. Counselor Time Clock. Set up specifically for counselors’ office use. Students and visitors log in, select

name of the counselor they need to see, select the primary purpose of their visit, and log out (option to print 3x5 Student Admit Slip to return to class).

3. Administrator Time Clock. Set up specifically for three primary uses: Student Tardies - Tracks students who are late to school or class and prints a 3x5 Student Admit Slip to return to class; Clock Out/In - Tracks students who need to leave school for doctors’ appointments, etc. or for early dismissal. Optional log back in and print 3x5 Student Admit Slip; Office Visits - Tracks students and visitors coming to see an administrator.

4. Password protected Log In mode. When Log In mode is activated, scroll down to find the “Cancel” button at the bottom of the layout. Once clicked, you will be prompted to enter your password in order to exit the Log In mode. An incorrect entry will simply return you to the Log In layout. This prevents unauthorized persons from deactivating the Log In mode.

5. Track class visits. Enter students and teachers into the Patron Data layout. Distinguish staff from students by entering “Teacher” in the “Class” field. When a teacher logs in, he/she will be prompted for a Primary Purpose of Visit (optional) and then asked to indicate the number of students they are bringing as a class (requires use of a keyboard or numeric keypad). The number will be tracked (without logging specific students) and will be added to the activity totals in reports.

6. Additional pre-loaded reports. Summary reports can now be generated with or without student ID numbers. From the Patron Activity layout, click the “Create Report” button to access the pre-loaded reports. Enter a date or date range and select the desired report. Filter the report even further by clicking the “Find” button in the Status Bar, enter your parameters (such as, a time range), and click the “Perform Find” to complete the search.

7. Improved Purpose of Visit Menu. The Purpose of Visit menu now automatically opens when a patron has logged in, further prompting a response.

8. All features are now self-contained in one master program. Select the version with the features you want. Switch between versions/features when desired, including whether to allow Log In for ID numbers not in Patron Data.

9. Fire Drill Report. Click one button to print an “emergency” report of students currently logged in (does not work with Basic Log In or Standard Log In versions).

10.Kiosk Mode. Log in with Account Name: Kiosk and all menu bars are eliminated, keeping unauthorized persons from shutting down the program.

General DescriptionThis database solution has been designed for use as a “Runtime” program, or as a template for FileMaker Pro software (version 12 or newer). It is a simple log-in/log-out program for monitoring student traffic and includes information to track the general reasons for that use. This program works successfully with hardware for scanning a student ID, if the hardware is properly installed and working.

Student activity can be manipulated to provide a variety of reports through the use of “find” and “sort” searches, including the following examples:

1. Verify whether a student was in the library and the exact time of entry/departure.2. Track the total number of student visits during a given time period (hour, day, week, month, etc.)3. Track the total number of visits of a specific student.4. Track the most common purposes for student visits.5. Track the number of students coming with a teacher for a class visit.

Getting StartedInsert the CD Rom into computer drive. Drag the appropriate folder to the hard drive or desktop. Note: you need to copy/drag the entire folder for your operating system (Windows or MacOS) to your hard drive. Double-click or Open the application: “Student Time Clock” (data is stored in the Student Time Clock v4.1.5.fmpur file). Tip: You may want to create a shortcut to the “Student Time Clock” icon. Caution: To insure proper

interchange of data, do not change the names of these files and make sure they are stored together in the same folder.

Access LevelsWhen the file is opened, you will be prompted for an Account Name and Password. Demo (Account Name: Demo; Password: Demo) - This account allows for running the program’s features except adding or deleting students to the Student Data. This is helpful for evaluating the program’s features prior to actual use.

Trial: (Account Name: Trial; Password: Trial) - This account allows for full access to the program, including adding, deleting, and importing students to the Student Data, for a period of 30 days following the initial installation.

Administrator (Account Name: Admin; Password: provided in separate documentation upon purchase) - This account allows for full access to the program, including adding, deleting, and importing students to the Student Data. Users should periodically change the password for greater security. To insure proper operation, use only alpha-numeric characters. Passwords are case sensitive. Be sure to write down the password in a secure location, in case you forget it. Note: If the Admin account is not coming up on the account log in screen by default, you can set it to do so in the “Preferences” menu.

Kiosk: (Account Name: Kiosk; Password: Kiosk) - This account has the same access privileges as Demo, but runs in “kiosk mode,” with all menu bars removed from the screen, preventing unauthorized people from exiting the program or accessing layouts without entering the password. Password can be changed.

USER WARNING: This database solution contains password(s) that can only be provided by the Developer named below. This file is not customizable. Contact the Developer for information on customizing this database solution. Information regarding technical support, copyright, etc. is provided on the “About” screen. Additional help is available in the “Help” menu.

Setting Up Your Data1. Open the program using the Admin account and password.2. Change the password to your own custom password, if this has not already been done.3. In the “About” screen, click “Continue”.

4. In the “Main Menu”, click “Change Version/Features”, select the version with the features you want (see p.11), then return to the “Main Menu.”

5. In the “Main Menu”, click “View Student Data”.6. Delete the demo records by clicking the

“Delete ALL” button or using the menu command, Records => Delete All Records.

7. Enter your new student data using either method:

a. Click “Add Student” icon (or “New Record” icon from toolbar or menu command, Records => New Record) and type in student’s ID number, Last Name, First Name, Middle Initial, and Class.

i. This is the easiest method of entering individual students who enroll after your database is set up and operating.

ii. The Class field is set up to use text or numbers. You can use the grade level (i.e. 9, 10, 11, 12; freshman, sophomore, junior, senior) or the class year (2010, 2011, etc.). Enter “Teacher” in the Class field for all faculty members entered in Library/Student Time Clock. Enter “Counselor” in the Class field for Counselor Time Clock and “Administrator” in the Class field for Administrator Time Clock.

b. Click “Import Students” icon (or menu command, File => Import Records => File).i. This is the preferred method of adding a large number of records. Records can be imported from

many existing databases (Filemaker Pro, Pinnacle, First Class, etc.), as long as you have access to the data. It can also be imported from a comma or tab delimited file or from a spreadsheet file (Excel, Numbers, etc.) if data has been exported to that format.

1. To import from Destiny (method one): a. Go to Back Office; then to Export Patrons; choose "Patrons whose patron type is

student" (unless you want your teachers, too -- then you would export All patrons); then Export.

b. Go to your Job Manager; choose View (it will view the report) c. Click on the link to Export File; then Save (it should save as ".out" file in the downloads folder

of your computer). d. Open (double-click) the .out file (should open in Excel). ALL of the data will show up in one cell

per row (the column A cell). e. Click/select column A (the entire column should highlight). On the top of the screen, find the

Edit Menu and select Edit => Text to Columns. You should see a message that the text wizard determined that the data is delimited. Click Next.

f. Click the box to indicate that the delimiter is a comma. Click Next. Next dialogue box will show that the Column Data Format is set to General.

g. Click Finish. This should separate the data into individual cells. There will likely be several cells with data that you won't use (School identifiers, etc.). You may delete those rows now or delete those after the import. If you delete now, just delete all rows that do not contain student/patron data (should be the first several rows, but may vary on how many rows).

h. Select "Save As" and save the file in Excel Workbook format. Take note of the name and location. Once imported, you may need to delete records that imported with random data, but you should easily be able to tell which ones those are.

2. To Import from Destiny (method two): a. Go to Report Builder and build a Patron Report with District ID, Last name, First name, Middle

Name and Graduation Year.b. Once the job runs, you'll be able to view it. At this point, you'll get a choice of formats. Choose

XML and save it to your desktop.�5

c. Then open EXCEL. (Don't open the XML file yet!)d. With Excel open, click the "Office Button," and select Open.e. Open the XML file. (It will open in Excel, with each piece of data in its own cell.)f. Click on "Save As" and save the same file as an Excel file. You may get a warning about losing

some XML formatting but ignore it. ii. Locate the file containing the student information (Make sure to select “All Available” in the “Show”

drop down menu, then click the import button.iii. Match the field names from the import file to the Student Data file in the Import Field Mapping window

by dragging field names up or down.iv. Click the arrows for the fields you want to import to make them active.v. Select “Add new records” button.vi. Deselect “Don’t import first record

(contains field names)”, if you are not importing from a tab delimited file or a spreadsheet file (Excel, Numbers, etc.) and the first row does not contain the field names.

vii.Click “Import”. Note: Be sure to import teacher data (use Teacher in the “Class” field to allow teachers to sign in classes and for use with the Plus version/features.

viii.You can also use this method to update records at a later time (such as the beginning of a new semester or year) by indicating the ID as the “match” field, update matching records in found set, and Add remaining data as new records.

ix. To import data for use in the Deluxe version, use the Excel template provided to ensure that the students’ teachers are formatted correctly.

8. Click “Go to Patron Activity” button9. Delete the demo records by clicking the “Delete ALL” button or using the menu command, Records => Delete

All Records.10.Perform a test run.

Note: Users of Time Clock Deluxe will also import each student’s teachers/schedule. For proper importing, use the pre-formatted Excel spreadsheet provided in the folder on the program CD.

Running Time Clock1. In the Main Menu, click the “Activate Log In” button.2. Enter a student ID number. This can be done using a

keyboard, numeric key pad, or a scannable ID and reader, such as a barcode reader.

3. Use a mouse to make a selection from the pull down menu on the “Purpose of Visit” screen and click “Continue”. (This step is omitted on the “Basic” versions of the program. Students using Time Clock Deluxe will also select the teacher’s name for the class they are missing.)

4. If teachers have been entered into the Patron Data layout with “Teacher” in the “Class” field, then when a teacher logs in, he/she will be directed to indicate a Purpose of Visit and also to enter the number of

students they are bringing, if they are bringing a class.5.A confirmation screen will appear for two seconds, verifying that the log-in was successful.6.The next time the same student ID number is entered, the student will be logged out and a confirmation screen will appear, verifying that the log-out was successful. (This step is omitted in “Log-In Only” versions of the program.)7.To exit the log in mode, scroll down the window and click the “Cancel Log In Mode” button. (This button is hidden from view to prevent students from accessing it.) You will be prompted to enter your Account and Password in order to exit the Log In mode. An incorrect entry will simply return you to the Log

In screen. Once you exit the Log In mode, you will be returned to the Main Menu. From the Main Menu, you can view the Student Activity, view the Student Data, go to the About screen, access the Help Menu, access the Customize Menu, or quit the program.

8. For the most efficient daily operation, use barcoded student IDs. Students will only need access to a barcode reader and a mouse (the mouse is only needed if students will be selecting their “Purpose of Visit”). In lieu of scanning student IDs, students may manually enter ID numbers on a keyboard or numeric keypad. A separate numeric keypad only is more desirable than a full computer keyboard, although either can be used. Important: The highest level of security is obtained by running the program in Kiosk mode. In this mode, all menu and tool bars are removed from the screen, preventing unauthorized persons from disrupting program operation.

Working with Patron InformationThe Patron Activity screen displays all activity in a list format. The ID number, name, class, date and time in, time out, and purpose of visit are all visible and printable.

Manual Log Out - If a patron does not have a “time out” following his/her name, they missed logging in or out at some point. This should be monitored regularly (i.e. at the end of each class period, at the end of the morning and afternoon, or at the end of the day). If this shows to be a pattern with a particular student, the System Administrator can address that with the individual. To manually log out those students and reset the system for the next time they enter, click the “Manual log out” button. The time will be recorded and a message placed in the record that they were logged out manually, for tracking purposes.

Sorting Records - To sort records by ID, name, or date/time in, click on the column header. To create a custom sort order, click the sort icon in the toolbar or use the menu command Records => Sort Records.

Finding Records - To enter the find mode, click the “Find” icon on the top of the screen or use the menu command View => Find Mode. You may then set up your search parameters. Click in the field(s) you want to search to enter the information. By using the “Insert: Operators” in the Status Bar on the top of the screen, you

can expand your search criteria to provide you with a wide range of data. At the bottom of the screen is a Count of Entries, which will automatically update to indicate the number of records found in your search. Some commonly useful searches might include:

1. Patron name - to verify a student came to the library and the times of entry and departure.

2. Today’s Date - to count the number of patrons served.

3. Range of Dates - to count the number of patrons served during a given week, month, etc.

4. Class - to track the usage of patrons in a given class.

5. Purpose of visit - to track the most common reasons patrons visited the library.

A report based on find and sort criteria can be printed by clicking the “Print” icon at the top of the screen or by using the menu command File => Print.

When you are finished with your find requests, click the “Show All” button at the top of the screen, click the “Show All” icon in the toolbar, or use the menu command Records => Show All Records.

Using Pre-Formatted ReportsTo use the pre-formatted reports, click the “Create Report” button at the top of the Patron Activity screen.

On the Report Set-Up screen, enter the date (ex. 8/1/11) or date range (ex. 8/1/11...8/31/11) for the data you want to include in the report. (Three different types of report are available - with data, with data but no ID numbers, or

summary only.) Click the button for the report you wish to view.

The “Date Summary with Data” will sort the activity by date, display a subtotal by date, and display a grand total for the period of time requested. The report can also be printed, or can be saved as a .pdf file to be emailed or

stored electronically. To return to the Report Set-Up screen, click the “New Report Request” button.

The “Purpose Summary with Data” will sort the activity by Purpose of visit, giving a count of patrons for each purpose. Valuable in tracking the usage of the library.

The “Patron Summary with Data” will sort the activity by student and display each student’s visits, total of each student’s visits, the total elapsed time spent by each student, and the grand total of student visits for the time period requested.

A “summary only” report, will display the subtotals and grand totals for each day, purpose of visit, or student without displaying each individual entry.

Backing Up and Recovering FilesYou should periodically back up your data. Use the menu command File => Save a Copy As. You can use the default name and overwrite any previous back ups or you can add a numeric stamp (1, 2, 3, etc.) or date stamp (i.e. Aug. 15, 2009 = 081509) to save copies sequentially. If your data is lost or damaged, you can follow the import steps previously described to import the records into your database.

If your file is damaged, you can also try the following steps:

To recover a damaged file:On Windows machines, press Ctrl+Shift while double-clicking the runtime application icon. Hold the keys down until you see the Open Damaged File dialog box.

On Mac OS X machines, press ⌘(Command)-Option while double-clicking the runtime application icon. Hold the keys down until you see the Open Damaged File dialog box.

If you experience unusual behavior in the recovered files, you should revert to a backup copy that was made before the file became corrupt, or contact the Developer for technical assistance.

CustomizingOn the “Customize” screen, you may change the Greeting, the Organization Name, the Logo/Mascot, and the list of Purposes of Visit.

To change the “Greeting”:Highlight the existing text (ex. “Welcome to”) and retype your own message. Highlight and reformat the font, text color, etc. using the Format Menu above. Caution: Using a font larger than 10 point may cause overlap on the organization name.

To change the “Organization Name”:Highlight the text and retype your own name (e.g. “Wilson H.S. Library”, “Johnson Nurse’s Office”, etc.). Highlight and reformat the font, text color, etc. using the Format Menu above. Caution: Using a font larger than 24 point may cause overlap on the items below.

To use your own mascot or logo:Click in the logo box and use the Insert Menu => Picture to locate your file; or “Copy” your picture from another source and “Paste” it into the logo box. Caution: Your logo should be formatted into “square image proportions” to avoid distortion. If it is not already proportioned that way, one method of achieving this is to layer your image on top of a square in another program, the “Group” them

together before inserting.

To change the “Purpose of Visit” menu selections:Retype over existing “purposes” and/or use the add or delete buttons. The program will always alphabetize the list as it displays them in a pull-down window. If you want them to be in a different order, include a number or letter in field with the purpose (e.g. 1. Study; 2. Test; 3. Read; 4. Other; or A. Study; B. Test; 3. Read; 4. Other; etc.).

Starting a New YearTo begin a new year (or semester), save a back up copy of the previous year’s file, then follow the instructions in the “Setting Up Your Data” section to purge the Student Activity records and the Student Data records import the new student data.

Selecting/Changing Your Version/Features

You may select the version of the program that you want to use based on the features you want. You may also switch between versions. However, the Deluxe version requires import of each student’s teachers, based on their schedules, into the Patron Data layout.

To select a layout, click on the “Change Version/Features” button at the bottom of the Main Menu. You will be required to enter your password to proceed, as a security device against unauthorized persons changing the version. Note that the version that is currently in use will be displayed at the top of the Main Menu. The chart

below indicates the features used in each version. Simply click the “radio button” to the left of the version you want.

Definitions: Purpose of Visit - Customizable drop down menu indicating primary reason for patron’s visit. Teacher Field - A blank field for students to type in the name of the teacher that sent them. Requires access to a keyboard. Teacher Menu - A drop down menu of all the teachers on the faculty. Teacher names must be entered in the Patron Data with the word “Teacher” in the “Class” field. Schedule Menu - A drop down menu of the teachers each student has according to their schedule (maximum of 11). Requires import/entry of each student’s teachers. Use Excel template provided with the program for proper formatting. Select whether or not to allow users to Log In if their ID is not in the Patron Data.

Importing Data from Prior Time Clock Versions Important: Student Time Clock v4.1.5 is not directly compatible with earlier versions of Library/Student Time Clock programs. To import Student/Patron Data and/or Student/Patron Activity, follow these instructions:

Open the earlier Time Clock version with the data you want to use. Go to the Student Data layout, then select File => Export Records

from the menu bar on the top of the window. Choose one of the file formats listed (Tab-separated Text or Excel

format recommended)

In the “Specify Field Order for Export” window, “move” the fields you want to export. Be sure to include Student ID number.

You can rearrange the data in the order you want it now, or you will be able match up the fields when you import. Once you have all fields selected, click the Export button. Close the Time Clock and open Student Time Clock v4.1 Navigate to the Patron Data layout, then delete the Sample

Records using the Delete ALL button in the title area. Click the Import Patrons button, or select File => Import

Records => File from the menu bar on the top of the window.

Locate the file that was exported (make sure to select “All Available” in the “Show:” drop down menu, then click the Import button.

The Import Field Mapping window will open. Match up the fields by highlighting and dragging the Target Fields up or down.

Make sure the button between each Source Field and each Target Field is showing an arrow. If not, click on the button to toggle to the arrow.

Once each Source Field and each Target Field are aligned correctly, make sure the Import Action is set to Add new records.

Click the Import button. All data should be imported into its proper field.

If you want to keep the Student Activity records from the earlier version (so you have record of all previous visits), repeat the above steps exporting the Student Activity from the earlier version and importing into the Student Time Clock v4.1

Allowing Visitors/New UsersSetting this option to “No” will only allow log in/out of patrons whose ID number is already entered into the Patron Data layout. Any attempt to log in with an improper ID number will result in an alert, then reset to the Log In screen.Setting this option to “Yes” will allow a new ID number to be entered. New students will be prompted to enter their

ID numbers and visitors will be prompted to enter a “unique” 10-digit number (such as a cell phone number). Note: Duplicate numbers will cause the program to be inaccurate in future log in/out. Once a new ID number has been entered, the patron will be taken to a screen to enter their full name before continuing the process. They will then be entered into the Patron Data for future use. Note: The user will NOT make an entry in the “Class” field. This must be done by the system administrator in the Patron Data layout for all new student entries. For visitors, either enter “Visitor” in the “Class” field or leave it blank. A blank “Class” field will not affect program operation.

Printing Student Admit SlipsWhen this option is set to “Yes,” a 3x5 Student Admit slip will be printed for every student showing the Student ID

Number, Student Name, and Date & Time. When the option is set to “Optional,” students will be taken to a screen where they will choose whether or not to print a Student Admit slip. When versions are selected that do not require logging out (Standard Log In and Basic Log In), the slip will print each time an entry is made by a student. When versions are selected that do require logging out, the slip will print only upon the second entry of the student ID number.

The program should work with any printer that properly works with the host computer. A regular laser or ink jet printer will work if loaded with 3x5 paper.

If it becomes necessary to reprint a Student Admit slip, cancel the Log-In Mode, go to the Patron Activity layout, and click the Reprint Admit button for the student(s) in question.

In “Administrator Time Clock, if the features are set for using a “Purpose of Visit” (also used for “Reasons for Tardy/Absence), then that will also display.

Selecting Administrator VersionsRefer to the “Select Version/Features” layout of the program. Select the desired settings re: allowing users not in Patron Data to log in and printing a Student Admit slip. The program can currently be used for only one purpose at a time: Student Tardies, Student Check Out/In, or Visits with Administrators. To use more than one feature, install and set up separate computer stations for each use and select the appropriate settings.

In the “Customize” layout, change the “Purpose of Visit/Reason for Checking Out” as desired. This can be reasons for tardies, reasons for checking out early, or reasons for visiting an administrator. You can also change the “Admit Header,” “Logo,” “Welcome,” and “Greeting” to be specific for your school.

For Student Tardies, use Basic Log In or Standard Log In features and set “Print StudentAdmit form” to “Yes.” When using Standard Log In, customize the “Reasons for Tardy” in the“Purposes of Visit” customize layout.

To log Students Checking Out for doctor’s appointments or for early dismissals, use Basic orStandard features. When using Standard features, customize the “Reasons for Check Out” inthe “Purposes of Visit” customize layout. Option to print student admit forms upon return. Ifstudents do not return by the end of the day, be sure to manually log them in at the end ofeach day on Patron Activity layout.

To log Visits with Administrators, use Extra or Plus features. Customize the “Purpose of Visit”in the customize layout. Option to print admit forms when students return to class.

Definitions:Purpose of Visit - Customizable drop down menu indicating primary reason for patron’s visit. Also

used for reasons for Student Sign Out.Administrator Field - A blank field for students to type in the name of the Administrator they want

to see. Requires access to a keyboard.Administrator Menu - A drop down menu of all Administrators. Administrator names must be

entered in the Patron Data with the word “Administrator” in the “Class” field.Student Admit Form - A 3x5 form printed with student name, ID number, and date/time stamp.

These do not print out for “visitors” who are not preloaded into Patron Data with an entry in the“class” field.
