Administrative Officer (Projects), THINK Education, March – April 2015 Think: Education Group includes eight of Australia’s leading colleges, comprising of 3 faculties Business & Hospitality, Health & Wellness and Design. As an administrative officer for projects, I am responsible for quality management and ensuring accurate data has been updated in central systems or marked with feedback/suggestions to be passed by Program Managers and thereafter approved at Faculty Learning and Teaching Committee (L&T). Administrative Officer (Projects) liaises with Academic Service Manager, Academic Service Officers, and Program Managers on obtaining data and amendments to have all information accurate for THINK future. Responsibilities: Current Subject Outline Maintenance in HERMES, Blackboard and shared drive Subject outline project: Tracking down the current version of subject online in shared drive (R:/) for each subject and saving them under newly formatted folder within each course. Check for the latest version of subject outline in HERMES. Check for the latest version of subject outline in Blackboard. Compare all three subject outlines from shared drive, HERMES and Blackboard for the latest version. Finally compare the latest version obtained with the course data document which contains all amendments approved at L&T and then note if any further require approval from Program Managers and L&T. Upload the amended and updated version in shared drive, HERMES and Blackboard. L&T approved changes and template project: Obtain all changes through agenda’s and minutes from L&T and information provided by the program managers. Collate information and use the current template to create subject outline based on the existing subject outlines from the older templates. Send amended subject outlines for each subject to its relevant program managers for approval. After final amendments, create two documents one with track changes and other with clean documents.

Responsibilities:

Current Subject Outline Maintenance in HERMES, Blackboard and shared drive

Subject outline project:

Tracking down the current version of subject online in shared drive (R:/) for each subject and saving them under newly formatted folder within each course.

Check for the latest version of subject outline in HERMES. Check for the latest version of subject outline in Blackboard. Compare all three subject outlines from shared drive, HERMES and Blackboard for

the latest version. Finally compare the latest version obtained with the course data document which

contains all amendments approved at L&T and then note if any further require approval from Program Managers and L&T.

Upload the amended and updated version in shared drive, HERMES and Blackboard.

L&T approved changes and template project:

Separate subject outlines in two groups, one group which doesn’t require changes and can be uploaded to HERMES and the other group to be sent to the next L&T for approval before uploading in HERMES.

Faculty documents amendments and approval project:

Bachelor of Applied Science and Diploma of Applied Science checked for Program Manager’s approval against the historical versions stored in shared drive, HERMES and Blackboard.

Mismatches found between versions were identified and amended for approvals. Assessments created in HERMES Subject outlines finalized and saved at one location for everyone’s access within

the organization and upload the same in HERMES for consistency.

Final report created providing information with the total courses and subjects worked on during the course of the project and each amendment were reported for future action and reference.

Certification IV and Diploma for Massage SO and TAS project:

Subject Outlines for both courses were created with the new template with information gathered from different sources and was sent for final approval to Program Manager before sending to L&T.

Each subject outline were checked and amended for correct URL’s. Training and Assessment Strategy documents for each course was worked on to

reflect accurate information which was approved till date at L&T.

Achievements:

Leadership qualities proven by delegating tasks to Academic Manager, ASO’s and Program Managers and have them returned on time in order meet deadlines.

Successfully attended all meetings in relation to the project and have the data transcribed into meaningful information.

Providing input to Program Managers in all the amendments for each subject code and its course architecture which is structured according to the new template and thereafter approved at L&T.

Emails responded at regular intervals with requested amendments.
