Short Description

Jidvei Group consists of 20 companies and their main

In the sale area, the performance of sales agents, their targets, planned quantities versus completed and bonuses depending on the target de�ned for each agent, can be de�ned and followed. Reporting is done using two units. SocrateCloud also allows multiple analyses for the sales area: sales volume per customer, per agent, per region or business units, enabling comparative analysis on various time frames. SocrateCloud also keeps track of excise duty on wine and brandy.

SocrateCloud manages and streamlines the entire supply-chain from requisition, to order supplier, receipt and invoice. Jidvei now has a much better visibility into supplier orders, stocks, movements and purchase prices. Having seasonal activities, there are cases when bills do not come on time, but now products can be received, consumed and delivered while having visibility into the acquisition costs.

SocrateCloud also tracks the production and bottling of wine, sparkling wine and brandy. SocrateCloud does the reception of the grapes and their varieties and also registers all expenses related to the completed operations (plowing, digging, cleaning the land, spraying, etc.) prior to receiving the grapes. The information from the Production department is inserted through delivery notes and requisition forms, for each stage of the production process. In the �eld of wine production, operations are audited both internally and externally, requiring strict observance of the relevant legislation. In this regard, SocrateCloud provides transparency of the production stages, the quantities of wine produced, quality and grades. For the bottling stage, work orders are inserted in SocrateCloud mentioning what quantity of the end product (the wine bottle) must be produced and the necessary materials needed to produce the bottle of wine, champagne or brandy. The number of bottles of wine produced are

recorded as receptions, �nally resulting into a production report comparing work orders and receptions, highlighting deviations related to consumption. These production reports are also used in the auditing process.

Besides the wine production, SocrateCloud tracks the farms and bakery production.

SocrateCloud also keeps a record of the resources and their related costs: cost of equipment and �eet maintenance. SocrateCloud collects the costs the �eet generates, mainly spare parts and fuel. Fuel costs are imported in SocrateCloud based on an estimate made by the fuel supplier, followed by a breakdown on each car. Monitoring of costs broken down comes as a response to the need to highlight them by cost centers excluding intercompany expenses.

All accounting and �nancial activities now occur in a consistent and standardized manner for all 20 companies in the group. With the help of SocrateCloud aging reports can be generated, suppliers are de�ned only once, bank statements can be imported by using integration with banks, allowing real-time access to customer or supplier balances. It also keeps track of checks, but also leases and credits.

The SocrateBI reporting system is used speci�cally for sales-related reports (target versus actual), customs reports, �nancial reporting (pro�tability, expenditure), pro�t and loss analysis. The Business Intelligence module is also used in relation to banks for various situations and credit balances.

The Results

The implementation of the initial requirements took 6 months, followed by an assistance and post-implementation phase to

follow-up on the initial objectives. As users started to use the application, new requirements have emerged, which led to a continuous implementation until the end of 2013.

Our solution had a signi�cant contribution with immediate results in optimizing processes and communication between the departments and companies in the group, reducing operating time and processing, operational costs, helping them making quick decisions based on accurate and in real time information.

The sales module of SocrateCloud manages all the orders by automatically placing them, avoiding manual data entry by operators and thereby obtaining a much faster process.

The SocrateBI solution also helped the management by making macro-level analysis reports in real time, enabling faster decision making and giving the opportunity to create long-term strategies.

The procurement processes obtained optimal purchase planning, a much better control over inventory, storage space optimization, supply and inventory costs reduction, but also a continuous improvement of the supply procedures.

The treasury and accounting departments obtained the following advantages: planning and rigorous control of operations, optimized cash-�ow, automating redundant processes, process control and analysis of operational and managerial decision support. SocrateCloud has reduced the time required for completing reports such as balances, journals and declarations with a small accounting sta�.

Brief company description

The company was founded in 1949 by State Agricultural Enterprise Jidvei and in 1968 the wine complex of Balcaciu was built. Between 1972-1974, the SEA Jidvei has built a new wine complex called "Jidvei". In 1991 it has been reorganized and privatized in 1999, under the current name of SC Jidvei SRL. Recognized for its quality and wide range of wines, the group of companies is headquartered in Târnava region, more precisely in the Tarnava Valley, between Tarnaveni and Blaj at the borders of Mures and Alba.

Jidvei portfolio includes over 30 products: still wine, sparkling wine and brandy. The Jidvei wines have their roots in the Târnave Vineyard, a place full of history and stories, real or imaginary, which give Transylvania its charm, a place with a generous climate allowing grapes to gather �avorings and at the same time to keep the level of acidity within a harmonious balance. The oenologists competence and the pedo-climatic conditions have been complemented by an investment program pursuing technology upgrade in viticulture and winemaking. The group owns four wineries: Jidvei, Blaj, Bălcaciu and Tăuni having the best equipment.

The main activities consist of wine and brandy production, viniculture, animal breeding, cereal growing and sale, pro- duction of ecological building materials, bakery, catering and services.

One of the challenges the management was facing, was making decisions that positively a�ect the whole group, not just one line of business. Before using SocrateCloud, the 20 companies within the group were using standalone and customized applications, without a standardized and uni�ed system, making it impossible to the decision makers to access consolidated information.

The starting point was the need to enter data in a uniform way and to have a consolidated cash�ow for the 20 companies within the group and more than 100 pro�t centers.

SocrateCloud manages all the processes: procurement, inventory, production, bottling, direct sales, distribution, assets, �eet management, receipts, payments and all �nancial and accounting management.

SocrateCloud interferes throughout the sales process, fully automating the orders. Orders come from two sources (distribution network and Key Accounts) and are automatically added to the SocrateCloud platform. The Key Accounts orders are automatically taken and synchronized, thereby reducing operating and processing time. Distributors can introduce order into the system themselves through access to a dedicated web store. Orders are then delivered, invoiced, following their status: open orders, shipped orders, invoiced orders, pending orders, lost orders and their reasons.
