BMS Dealer Monthly Reporting Process
Routine Data Submission and Reporting Process (after training)
Step 1
Dealer to submit Financial Data
•Method: (1) Via Automatic DMS Interface or (2) Manual Data Key-in
•Dealer to get automatic e-mail that data has been received
•Note: After you submit your data you can access your pre-reports, like the Trend Report with No averages, with your submitted data with a “Pre-Released” status
Step 2
Data Validation & Update in BMS
•After data submission BMS system to automatically generate and e-mail potential Data Validation Issues
•Dealership is encouraged to log-in to BMS to review and update Data Validation alerts
•pOrbis Service team to contact dealer ref potential data issues based on above alerts
Step 3
Final Data “Release” in BMS
•Dealership to “Release” Data in BMS. Note: pOrbis Service team may release
•Note: Once Data has been Released, it will be locked due to security purposes. However, dealer may contact service team to request unlock.
Step 4
Downloading Reports via BMS
•After all data has been validated and released for all dealer, BMS/pOrbis Service team to generate all final reports/averages to BMS
•Dealer to receive e-mail once all reports are available for the new period in BMS for download purposes

Definitions:
1. BMS Data Validation Alert – ”ERROR”:
• Data which is not correct, such as the balance sheet
is not balancing
• Note: Errors must be corrected! Otherwise, your
BMS submission can not be processed!
2. BMS Data Validation Alert – “WARNING”:
• Data which can be correct, however, which is out-of-
range in comparison to other dealer
• Dealer may review this and still Release financial
statement “as is”
Step 3 – How to Validate & Release financial data in BMS
Definition of Data Errors and Warnings
After you submit your data, the BMS system will automatically generate a list of
potential Data Validation Errors/Warnings (see sample below screenshot) and you
will receive an e-mail for this purpose. Afterwards, kindly log-in into BMS to
review/update any potential Data Errors in BMS, which will not allow that your
data can be processed/accepted; or call the pOrbis Service Team.
