Installation Notes

This database application can be Installed on a stand alone PC’s or on a network server. The supplied CD contains a single directory named “AssetData”. In this directory are the files:

1:Assetcon.mdb.A Microsoft Access database 2: User1.doc. A Microsoft Word document. 3: User2.doc. A Microsoft Word document. 4: User3.doc A Microsoft Word document. 5: Park.bmp A bitmap image

1. PC installation. At the Windows Start/ Run command type “Copy D:\AssetData C:\” (where D:\ is

the CD drive). This will copy the entire “AssetData” directory and all its contents from the supplied CD to the root directory of the PC that will be used. The “AssetCon.mdb” database can be used only if it resides on a PC or Network hard drive. It can not be used directly from the CD.

2. Network installation. Copy the entire “AssetData” directory and all its contents from the supplied CD on to a network drive. This drive should be accessible to all those users who may wish to input data into the database. As long as all the users belong to the same Microsoft access workgroup there should be no problem with multiple users inputting data at the same time.

3. Further copies of this user guide can be obtained by going to the application directory and printing

out the 3 User?.Doc files. If you have any enquiry’s regarding the operation of this database application they should be made 9:00 am. to 5:00 pm to Maurice Smith 0113 2335918

The Asset Cataloging Utility main screen has on its right hand side four control buttons. 1. Flag Redundant Asset Items. 2. Add New Asset Items. 3. Reports. 4. Exit Application To identify Assets that have been removed during the project, follow these steps. 1. Click on the Flag Redundant Aset Items Button Clicking on the Flag Redundant Asset Items Button will open up the application as below. The Application Has four pages or Tabs ( Indicated by the Red Arrows ). Each of these Tabs represents one level or Tier in the Asset hierarchy. These Tiers are as follows. 1. System. There are 22 Systems of interest to Estates Services. Not every Building contains all 22

Systems. 2. Plant Type. There are 104 major plant types associated with the systems. Again not all Systems

will contain all the plant types. 3. Asset Type. There are 277 Asset types associated with the plant types. 4. Assets. There are many many thousands of Assets associated with the Asset Types

Start by scrolling to the relevant System and click on the record selector on the left of the form.( Indicated by the Red Circle ) The selector is Grey when not selected and turns Black when clicked. This will cause a code ( Blue text ) to appear on the right hand side of the form.

If you are sure you have the required System selected and you are sure that all assets associated with that system are to be removed, clicking on the “Tag All Selected System Items” button will flag all assets for removal. If You wish to select specific equipment assets for removal then click on the second Tab. Clicking on the next Tab will give you the following Screen.

From on this screen you will be presented with a list of the major plant types associated with the System that you selected previously. Again clicking on the record selector will cause a code (Blue text) to appear on the right of the screen. If you are sure you have selected the desired Plant Type and wish to select all equipment associated with this Plant Type, click on the “Tag All Selected Plant Type Items” button and all assets will be tagged for removal. If you wish to select specific equipment assets for removal then click on Tab number three to select Asset Type and you will be presented with the screen below.

Again clicking on the record selector will cause a code (Blue text) to appear on the right of the screen, and again if you wish to select all assets of a specific Asset Type clicking on the “Tag All Selected Asset Types Items” will tag all associated equipment for removal. If you wish to select specific equipment assets for removal then click on Tab number four to select individual Assets and you will be presented with the screen below.

The above screen is where you select actual asset items that are to be removed during the refurbishment project, and flag them for deletion from the main Maximo System. On this Tab clicking on the record selector causes the Delete flag to be set to Yes (a Tick ) or No (a blank ). Clicking the record selector once sets delete to Yes clicking on the same selector a second time sets delete to No. If you wish to select all the assets for removal click on the “Tag All Assets In List” button. This will set all the tick boxes. This can be used to flag all or just some of the assets. When you have finished selecting assets either return to the Systems tab to select another set of data Or click on the stop button to return to the main menu screen.

Adding New Asset Items to the Database

At the main menu screen clicking on the Add New Asset Item button will take you to the following application.

As you can see this application consists of only one input form. We are starting with an empty record and will step through until completion. At the top of the form you will see the building number and name for the location where the refurbishment project is to take place. This location data is hard coded into the form and can not be altered by the user. Ensure that the contractors application you about to use is the right one for your project. There may be times when several of these applications are in use at the same time on different projects.

1: The first detail you will have to enter is the Barcode number (Red Arrow) for the item of equipment you wish to record Information on. Once a barcode is entered into the screen the application will generate a unique EQ Number for this record. This number is locked and not intended to be change by the user. 2: From the Floor Code dropdown (Red Arrow) select the relevant floor details.

3: Into Room Number (Red Arrow) enter the number of the room where the equipment is located. 4: Into Location Details (Red Arrow) add a free text description of the room and/or the equipments postion in the room e.g. “Chapman library. In riser, behind pannel to right of main door” This information will appear on future work orders raised for this piece of equipment. Relevant and accurate details here can save much time and effort.

5: Select from the System Code dropdown (Red Arrow) the relevent system e.g. “HTG & DHW SYSTEM”. 6: Select from the Plant Code drop down (Red Arrow) the major plant group you piece of equipment belongs to. Only plant types associated with the chosen system will be displayed. In our worked example we have chosen Pumps as the plant type.

7: Select from the Asset Type dropdown (Red Arrow) the type of equipment required. Only asset types associated with the chosen plant type will appear in the list. From these different types/functions of pumps we have chosen “Pump (Htg)”. 8: Enter into Asset Description (Red Arrow) a free text decription of the piece of equipment e.g. “Heating Pump No1. Multi-stage”.Accurate and relevant description of the equipment and/or its function are important, as this detail will be added to all workorders that may be raised for this piece of equipment.

9: Enter into Manufacturer (Red Arrow) the maker of this equipment. e.g. “Ingersol Rand” 10: Enter into Model/Type (Red Arrow) any manufacturers type or model codes or usages.

11: Enter into Serial Number (Red Arrow) any manufacturers ID or reference numbers or codes. 12: Select from the Instalation Date dropdown (Red Arrow) the date the equipment was installed.

13: From the Condition Code drop down (Red Arrow) select the most relevant of the condition codes. In the case of a refurbishment project the majority of equipment would be New. 14: The Comments box (Red Arrow) is a free text area for the addition of equipment specific Instructions, Warnings, or othe relevant information. Should the default box prove to be too small for the amount of detail you wish to enter double clicking anywhere in the box will expand it to full page size.

15: Control Buttons 1: The group of four small buttons on the bottom left of the input screen are the record navigation controls. They operate only on the records in the current session as follows. Bar & Left Arrow Head. Go to first record. Left Arrow Head. Go to previous record. Right Arrow Head. Go to next Record. Right Arrow Head & Bar. Go to last record. 2: The New Entry No Data button creates a new record with all input boxes empty apart from the preset building details. 3: The New Entry With Duplicated Data button creates a partialy populated record. This type of record is useful when inputting similar items of equipment. E.g. A bank of circulating pumps. Which are all going to have the same make, type and location details. 4: The Delete Current Record button will completely remove the current record. 5: The List All Asset Data button will display all new equipment items currently held in the data base. This functionality was added after this user guide had been drafted. 6: The Export all Data button creates an Excel spreadsheet containing all new equipment record currently held in the database. This functionality was added after this user guide had been drafted. 7: The Stop button will return the user to the main menu screen.
