Register an account

Registering for an account enables you to upload records. You will also be able to access a personal

user menu with your stats and data.

For Monitors

Please register as soon as you have attended a training workshop and are ready to start monitoring.

Go to www.riverflies.org and select ‘Register Account’

Create your username with your full name in lower case, and the name of your ARMI group, or your

river in capitals. If using your group, you may abbreviate it.

E.g alexjonesTHAMES or alexjonesTAC

For Coordinators

Please register for an account as soon as you are ready to establish a new ARMI group, or start

coordinating an existing group. Coordinator accounts allow you to check all new records that come in

and allows us to coordinate nationally.

Go to www.riverflies.org and select ‘Register Account’

Please create your username by using your full name, and then adding ARMI.

Change Your password

The first time you log in, please change your password. Go to ‘My Account’ at the top right.

Select ‘edit’ and type in your new password.

Request a new password

You can request a new password by going to www.riverflies.org and clicking ‘request a new password’.

A new password is sent instantly.

User Menu

The User Menu is only available once you are logged in. It contains options to upload records, view

your data, and track any feedback for trigger level breaches you have reported.

The User Menu is on the left of the website in a grey sidebar.

Add a New Record

1. Click ‘User Menu’ on the left of the website. Select ‘New record’ from the sidebar, or ‘Submit

a Record’ from the page.

2. Input the location, date, time, and the other monitor(s) present.

3. On the next page enter the taxa quantities. Enter ‘0’ for any unrecorded taxa. The record score

is calculated as you go along.

NB: In case you need to leave the record creation process without submitting, please press ‘cancel record’ at the bottom of the

page. This prevents a blank record from being created.

In case you get stuck there are instructions available at the bottom of the page.

Sample Not Possible

In case you were unable to take a sample please select tick the box at the bottom of the second page.

Add explanatory comments to the ‘additional comments’ section. E.g. river was dry.

4. Once you are happy your record has been inputted correctly, click ‘Submit’.

Submitted Records and Feedback

Submitted records go to your coordinator’s home page for verification. Once verified they will enter

the database proper. Pending records are viewable in the ‘Record Feedback’ section. They are

indicated by a blue ‘i’ icon, and the record score and threshold fields will be blank. You may view

record details by clicking the ‘i’ icon.

Data and Charts

In ‘Records and charts’ you can view your records and personal stats. In Taxon Charts you can view

taxon abundance of your records over time. Hover on a data point for details.

Coordinator Menu

Confirm Records

If you are a Coordinator you can view any new records that come in for sites registered to your ARMI

Group.

All new records need to be verified by yourself before they enter the database proper. To do this, go

to ‘coordinator menu’. Click ‘Edit’ to the right of any pending record, then scroll to the bottom of the

page and click ‘submit’.

Alerts Awaiting Feedback

If you have records that are trigger level alerts, they will appear in the second table on your

coordinator homepage, under ‘alerts awaiting feedback’.

Monitors should contact you as soon as a trigger level breach has been confirmed, so you should be

aware of any trigger level alerts before you view them in your coordinator homepage.

The database allows you to record feedback for them. Once you open the record there is a dropdown

at the top with four different options.

Trigger breach NOT confirmed statutory body

This is when the local statutory body (EA/NRW/SEPA/NIEA/EPA) investigated and pollution was not

confirmed.

Trigger breach confirmed statutory body

The local statutory body (EA/NRW/SEPA/NIEA/EPA) investigated and pollution was confirmed.

2nd sample on or above trigger level

This record was below the trigger level, but the following was not so a trigger level breach alert was

not raised.

Historic record

This record was uploaded much later than initial collection, and alert feedback is not available or

known.

Non-pollution trigger breach

The trigger level was breached but not due to pollution, e.g., due to drought conditions or recently

completed/ongoing in channel project work.

Editing Records

If you need to edit a record, we are only able to edit the taxa quantities. Please contact Alex Domenge

at [email protected] in this case.

Otherwise, please create the record again, and we can delete the erroneous one.

Deleting Records

If you are a monitor and you need one of your records deleted, please contact your coordinator with

the record details.

If you are a coordinator, you will be able to delete any unverified records from your coordinator

homepage.

For verified records that need deleting, please contact Alex Domenge at [email protected] with the

record details.

Setting Up Sites

Site location is usually determined with the assistance of your local statutory body officer. It is very

important that your sites are safe, accessible, and you have land-owners permission.

A copy of the site registration form is available in the coordinator menu. The following site details

should be sent to [email protected] or [email protected] to be registered on the database; Site

Name, 10 digit NGR, River/ waterway name, Catchment, ARMI Group, Trigger level if set.

Trigger Levels

Trigger levels are set by your local statutory body. Depending on location and available data they may

be able to set it straight away, or they may require a period of monitoring. Sites can be registered

without trigger levels, in which case it will be ‘0’ until updated.

Data Available in the top menu.

Data Explorer Allows you to explore and download the data in a variety of angles and formats.

Downloading and Viewing Data Within the data explorer tool is the ‘Download and View’ button. It enables you to view data in full.

You can search within datasets using the search bar on the top left, you can also filter via the search

box at the bottom of each column.

Select ‘copy’ ‘CSV’ ‘excel’ ‘PDF’ or ‘print’ for your preferred version of the data.

Maps

Interactive Map The Interactive map has layers so you can explore Riverfly sites, EA sites, CaBA boundaries and UK

Rivers Trusts.

Clicking an information point on the map will bring up a blue box, clicking the right arrow on the box

will bring up further information. A summary of the available information is given below.

Layer Information Available

Riverfly Sites River, ARMI Group, Authority Area, Easting, Northing,

EA Sites Survey programme type, National Site ID, Easting, Northing,

UK Rivers Trusts Name, Year established, Website, Email, Phone, Facebook

CaBA Boundaries CaBA Website, CaBA Catchment, EA and NE Area, WFD River Basin

District, EA Water Management Area

Maps The Maps feature is a great way to visualise site locations, taxa densities and occurrence. The

information displayed is based on the last samples taken for each site.

Toggle the layers using the layers icon in the top right. You can search by ARMI Group or river and the

sites will be displayed as red stars. Zoom using the options in the top left. Click on a data point for

further information. Toggle taxa layers to view occurrence and densities.

Open Data The open data tool is a fast and easy way to view raw data. You can click on the coloured ‘i’ to the

right of each record to view the record in full.

Please note, we are unable to give trigger level, or trigger breach information for historic records as it cannot be guaranteed.

You can search by Catchment, river, site or ARMI Group.

Once your search has been returned, you can filter your results by searching in the boxes available at

the bottom of each column. You are also able to search for general terms using the box on the top

right.

There is an option to print or copy the data or download as a CSV, PDF, Excel document.

To view a record in full, press the coloured ‘I’ icon to the right of each record.

Latest Stats The latest stats for the database via this page. It includes information such as the number of users,

sites, records and alerts.

Forums

You can create posts on a variety of topics related to river health, monitoring and entomology. We

also have a Website Help forum.
