CABOOLTURE REGIONAL CAR CLUB MINUTES OF THE GENERAL MEETING HELD AT STANMORE HALL CABOOLTURE HISTORICAL VILLAGE, BEERBURRUM ROAD, CABOOLTURE ON WEDNESDAY October, 5th. 2016 OPENING 1. The President, Dennis Seidel, declared the meeting open at 7:30pm and welcomed those present. The Pres-ident read the Meeting Statement.

ATTENDANCE 2. As per attendance book.

APOLOGIES 3. Carol and Glen Ramsay, Narelle Farmer, Vince Blanchard, Johrik Chalvatzis, Brett Smith, John Dickson, Lizzie Harris, David Varady, Daniel Williams, John Hogg, Darryl and Liz Harris, Richard and Sue Droughton, Steve Jones, Jan and Rob Blake.

DONATIONS 5. Shane and Nicola visited from the SES. The President, Dennis Seidel, presented a cheque to the SES for their continued support during or Show & Shine /Swap meet.

CHRISTMAS COORDINATOR POSITION 6. The previous Christmas Coordinators Sue and Richard Droughton have formally resigned from their posi-ton. Donna and Richard Christsen have nominated to fill the position. Carried.

MINUTES OF THE PREVIOUS MEETING 6. The Secretary, Claire Strickfuss, moved that the minutes be accepted, Seconded by Donna Christsen, Car-ried.

BUSINESS FROM THE PREVIOUS MINUTES 7. Nil.

CORRESPONDENCE IN 8. Resignation letters from Sue and Richard Droughton, Sooty’s Shirt order and Membership list update from Lance Haselwood, Financial Report from Doug Appleton, FX FJ September Newsletter, MBRC - Recreation update acknowledgement, NMRM- Newsletter and Retraction, Special Invitation by FX FJ club. AUDIT re-view letter from ATO. The Secretary, Claire Strickfuss, moved that the Inwards Correspondence be received, Seconded by Naosha Chalvatzis. Carried.

CORRESPONDENCE OUT 9. MBRC - Caboolture community information update, Bathurst Council- email to accept newsletters. The Secretary, Claire Strickfuss, moved that the Outwards Correspondence be adopted, Seconded by Naosha Chal-vatzis. Carried.

PRESIDENTS REPORT 10. The President, Dennis Seidel, talked about Lakeside Breakfast and Happy Laps coming up on the 6th No-vember. Dennis thanked all members and Committee members for coming along to the AGM last month and helping to fill all Committee positions successfully.

VICE PRESIDENTS REPORT 11. The Vice President, Ken Richards, talked about the next DIY Garage day which will be held at the shed in

Paisley Drive on the 26th of November, 8.30am to 11.30am . Ken will be showing members how to use a TIG

welder and also how to Lead wipe. Ken mentioned that the 15th of October DIY about Carburettors has been

cancelled until further notice.

TREASURERS REPORT 12. The Treasurer, Doug Appleton, gave a very detailed financial report for the previous month. Seconded Na-osha Chalvatzis, Carried. Doug Appleton moved that the club open another term deposit in the amount of $10,000, seconded by David Varady, Carried.

RUN COORDINATOR’S REPORT 13. The Run Coordinator, Vince Blanchard was absent so the Assistant run Coordinator, Naosha Chavaltis mentioned the run to Eagle Rock café at Laidley was a good run once they got going and the meals were very gen-erous. A run to Ricks Diner on Friday night 7th October for dinner will be lead by Vince, please meet at BP North at 5.45pm. Breaky run on 16th of October to Bongaree, Meet BP North at 7am. Final run for the year will be a Breaky run on November 27th to Mill creek at Dayboro.

14. Janelle Steensen talked about a Melbourne Cup luncheon to Beerwah Hotel. Kevin Lewis is leading the run. Meet at BP North at 9.30am on Nov, 1st.

GENERAL BUSINESS 15. Shane Tittor asked about the ATO review. Doug explained that the ATO are completing regular checks to ensure we are able to remain a not for profit organisation.

16. Lloyd Theis asked about donations. The Secretary, Claire Strickfuss asked members if they could please come up with some suggestions to be presented to the next General meeting.

17. Kenworth Stanbury asked about the age limit restrictions on memberships.

18. The membership officer, Lance Haselwood talked in detail about the age limits and also about the associate membership which is available to non-members for $10.00.

19. Cathy Khurt asked about age limits and if there were any clauses in our Insurance policy in regards to the older aged drivers. The Secretary read the clause in the Insurance policy in regards to the ages of voluntary work-ers which stated that the policy did not apply to club members ages.

20. The Treasurer, Doug Appleton explained the new club rules and that a special meeting notice would be re-quired to vote on a change to the current Constitution.

21. The Membership officer, Lance Haselwood explained that the Bi-laws list the different types of member-ships which are now in force as the members had voted on them at the AGM.

22. The Secretary, Claire Strickfuss informed members that a Special meeting notice would be posted in the October newsletter and on the website to vote on the age of associate members and club members and whether the age limit should be removed or reduced.

23. Cathy Khurt suggested that if any under 18 year olds wanted to join that they could have their parents signa-tures on the membership form.

24. Shane Tittor asked about life membership and asked why life members needed to complete a membership form each year. The President and Vice President explained the reason was so that all details and percentages for active and non-active life members were kept up to date and in accordance with the club rules.

25. Carl Talboys moved a motion to reduce the Club membership age to 16 and to remove the age limit of As-sociate members. Seconded Ken Richards. Special notice to be listed in the October Newsletter.

26. The Secretary, Claire Strickfuss asked members to please nominate some local charities to receive a dona-tion in December. The charities will be voted upon at the November meeting. 27. RAFFLE DRAWS 28. Several minor prizes and the two major prizes of Christmas party vouchers were raffled. Congratulations to the lucky winners.

SWAP/SHOW N SHINE COORDINATORS REPORT

29. Brandt King talked about the progress so far in regards to the event which will be held on Saturday 17th of June at Caboolture Show grounds. Brandt talked about sponsors and some possible new vendors. The first Sub committee meeting is to be held on the third Wednesday of October at the Centenary lakes sports club at 6.45pm. All those who are interested in attending please contact Brandt.

MEMBERSHIP OFFICER / WEBMASTER’S REPORT

30. Lance Haselwood mentioned we now have approximately 172 members.

31. Lance mentioned that we have a few ill club members at the moment. Best wishes to all those who are under the weather and here’s hoping for a speedy recovery for everyone.

33. Tim Howe mentioned that all items are now back in the container.

34. Cathy Khurt explained to Brandt that her container keys were handed to him with all of the Swap Meet pa-pers.

CHRISTMAS COORDINATOR’S REPORT

35. Donna Christsen informed members that the function location is all sorted. Donner talked about the meal. Donna mentioned that she will be doing some home baking for raffles.

36. Donna also talked about barefoot bowls. The $5.00 needs to be paid in advance if anyone is wanting to play.

37. Secret Santa will be held again and so will the money raffle.

38. All Xmas lunch money will need to be paid by the 19th of December at the latest. Money can be paid in cash at the November general meeting or by direct deposit to the club bank account.

39. Claire Strickfuss asked if there has been a limit set on nibbles. Doug Appleton said that there should be no limit. Members agreed that Donna be able to purchase items to the value of $500.00 for table nibbles and Xmas bon bons ect.

CATERING CONVENOR

40. The new Catering convenor, Bob Farmer asked members if they would like any variety for supper. Every-one was happy with Tea, Coffee and biscuits.

Notice of Special General Meeting

Notice is given that a Special General Meeting of the members of Caboolture Regional Car Club Inc will be held on 2

nd November 2016, commencing at 7:00pm at Stanmore Hall, Caboolture Historical Village, Beerburrum Road, Ca-

boolture.

The meeting is called to consider and, if thought fit, to pass the following resolution as a special resolution:

“That the Association’s Rule 5.3(a) be amended to reduce the minimum age requirement for an Ordinary Member from 18 years to 16 years of age and also to remove totally from Rule 5.4(a) the minimum age requirement for an Associate Member.”

Note: This resolution is proposed as a special resolution and must be passed by three quarters of the members who are present at the meeting and entitled to vote (in person or by proxy) on the resolution, and who do vote, in accord-ance with section 3 of the Associations Incorporation Act 1981 (Qld).

Comment by Management Committee: The 18 year minimum age requirement for an Ordinary Member was voted into place by members on the recommendation of a past President who had concerns about the committee requiring Blue Card certification to administrate juvenile members. This direction was carried through into the revised Rules and included as a requirement for the new membership category of Associate Membership by the review committee. This age requirement has since been further discussed at committee level and found to be unnecessary, and also restricted access to club membership by younger licensed drivers and motoring enthusiasts.

The matter was brought before members at the October General Meeting where it was discussed at length and a proposal was agreed to put a special motion to change the revised Rules to reduce the age for Ordinary Members to 16 years of age and to have no minimum age limit for Associate Members.

Your committee considers that this change is in the best interests of members, and recommends that you vote in favour of the resolution.

If approved by members, the revised Rules will be amended and submitted to the Office of Fair Trading for lodge-ment and approval.
