10 new vendors have been added to our list for a total of 39 providers
10 District/Leas have been added for a total of 88
11 new SES coordinators have joined along with the new district/leas for a total of 21
SES program has grown from 1000 students in 2004 to over 5500 in 2009

Teachers may now be hired by vendors to work in their own school
1-You may want to have criteria that enables teachers to be hired such as “ be in good standing” or has “satisfactory rating.” Since many 21 C programs require teachers to have these criteria, it should follow that other after school programs do as well.
2-Issues with teacher contracts or regular work day hours must be handled prior to being hired. A teacher may not be on school time and tutor at the same time
3-Teachers should not however be assigned to students they specifically teach during the regular school day
4-Personnel of authority in the school may not work for the vendor companies, for example, principals, vice principals, Title I Directors, etc

Advertise their programs in accordance with ADE policy

Remember you cannot assume the provider will provide this service since this is your responsibility.
If district enters goals, provider must have opportunity to add input after testing
Testing should be done during the first session of tutoring, unless other arrangements have been made with the district. In that way students aren’t being tested and waiting for a teacher and money isn’t wasted on students who will not be tutored.

Agreement may be completed and turned into the district by the first pay period
The object here is to begin tutoring as soon as possible. Providers need an opportunity to add to the district created goals, so waiting until all agreements are completed and turned in delays the program. You could request the provider to contact the parent with the final goals before submitting the agreement to you. Remember the parent doesn’t need to sign the agreement so can give verbal assent .

Dismiss companies who do not follow your protocol and assign students to next choice
Districts must take responsibility for the operations of this program. If companies do not follow procedures then they should not be working with your students. Please do not accept applications, agreements or reports that do not meet with the standards. Set quality standards and you will get quality results.

Sais numbers are used to connect student results with AIMS results.

Data Collection
While this is very time consuming, it is extremely important we have exact information from all those who participate in the program. This will include to
> input info into SAIS > complete District, Coordinator, Parent Surveys > complete final report on Providers
> keep account of all student information > keep account of all financial information
MONITORINGMONITORING
As with any program, success builds upon the amount of planning and organization. The SES program needs a great deal of this as well as oversight of the implementation, the tutors and the students. If you are operating a large program, engage others in your schools to assist in helping to run the program smoothly.
We at the Department value your ability to monitor the providers and program and have come to depend on your good judgment in running school programs effectively.
INVOICESINVOICESAnother issue that needs great attention is the billing
process starting with obtaining Purchase Orders for services, checking invoices with attendance and finally paying the vendor in a timely manner. Again, paying attention to organizing this phase of the program, should pay off with fewer problems and the need to delay payment.
Payments need to be sent regularly so as to avoid having large payouts at the end of the program.

To make sure you put onto your District website the information required by Federal law regarding Choice options, SES amounts and the Providers serving your district.
