WELCOME
This year we celebrate the Tournament’s “40th” year at its Mason, Ohio home. It’s
incredible the changes and growth that have taken place over the years. The one
thing that has always stayed constant is the strength and support of our volunteer
team!
As a tournament built upon a rich history of volunteerism, you are an integral part of
what makes the Western & Southern Open special. The passion you bring to your
job, whether it is serving patrons or players, is unmatched. Because of you, the
tournament continues its support of local charities, with just over 10 million dollars
being donated to Cincinnati Children’s Hospital, Barrett Cancer Center, and Tennis
for City Youth.
This year is sure to be an exciting one with all the top players of both tours
committed to playing in Cincinnati. Together, volunteers and staff, we have built
something to be proud of. So, bring your energy, your smiles and let’s have some
fun! If we work together as one team towards one goal, we will experience amazing
results.

Volunteer Kick-Off & Meetings Saturday, July
27 at 9:00 am
Please mark your calendars! This year’s Volunteer Kick-Off is set for Saturday, July 27 at the Lindner Family Tennis Center
(LFTC). Breakfast will be served from 9-10:15 am in the Grandstand Tent. Committee meetings will follow. (Note: Some
committees have different meeting times listed below.)
Parking for the Volunteer Kick-Off will be in the lot across from the South Entrance (see the map on the last page). Once
parked, you should proceed past the Volunteer Office, VIP Entrance and enter the grounds thru the gate located directly across
from the Credentials Office.
We will have multiple lines set up in the breezeway in front of the Player Building for distribution of volunteer items (credential,
uniform, parking pass and goodie bag). Please note there will be one line devoted exclusively for the Marshal team. The other
four lines in the breezeway will be divided alphabetically by Volunteers last name. Ballperson and Ballperson Monitors should
follow the signs into the Player Lounge (side door) to pick up their volunteer items.
Only volunteers who have been approved a few days before the Volunteer Kick-off and those who we have requested to have a new picture taken for their credential will need to visit the Credentials Office to obtain their badge.
All volunteers should be sure to bring a photo ID to pick up your credential (Driver’s License, School Photo ID, or passport are
acceptable).
Directions: The South Access Road from Western Row will not be open for the Volunteer Kick-off Please use Exit # 25, Kings
Mills Road. Turn WEST off the highway onto Kings Mills Road, then LEFT on Courseview Drive, Left at the Tournament sign
(Paul Flory Way) into our property. Follow the signs that will lead you to the Parking Attendants who will direct you to a parking
spot. There will be handicap parking available for those who have a state issued HC placard. Please do not park in the lot
across from the Player Entrance. These are reserved for the golfers!

Volunteer Opportunities
Returning volunteers are our best recruiters for the tournament. Several committees are still in need of additional volunteers!
• Access Scanning need volunteers to scan tickets and credentials at all entrances.
• Transportation Drivers are needed to shuttle players, coaches, and VIPs between the tournament site, local hotels, and the airport.
• Ushers are needed to check patrons’ tickets and help them locate their seats, restrict access to certain areas, and control Center Court entrances during play.
• Marshals need volunteers to maintain security around the venue, ensuring patrons and players have a trouble free and safe tournament. They provide access to secure areas and provide security to players on-court.
• Volunteer Lounge need volunteers to help replenish snacks and drinks for all our volunteers.
• Suite Hospitality needs volunteers to greet patrons and provide access to the various suite areas.

Be INSPIRED at the Volunteer Kick-Off Party …
This year we'll welcome a member of the Cincinnati Children's Hospital Champion's program.
The brunch is a great time to remember why so many of us volunteer -- to continue to make it
possible for the tournament to make monetary donations annually to the hospital. To date, the
event has donated just over $10 million to local charities, with the majority going to Children's.
Volunteer Code of Conduct
It is important that all volunteers understand that while you are in uniform and performing your volunteer duties you are NOT
to seek autographs or ask for pictures of players. While working in a volunteer capacity we agree to respect the privacy
of the players. Volunteers that do not observe this code may be subject to dismissal.
Volunteer Earned Complimentary Ticket Options
All volunteers that work a minimum of 5 shifts for the tournament are entitled to 2 complimentary tickets to one of the
following sessions (these are the only available sessions):
These tickets are available for pickup at the Volunteer Kick-Off or in the Volunteer Office during the tournament.
New this year any volunteers who work 40 hours or more earn 2 tickets to Monday, August 12th evening session. These
tickets can be picked up and signed for at the volunteer office during the tournament.
Help The Tournament Protect Box Seats
Box Seats are the property of the purchaser. Unless you own the box seat or have possession of a box seat ticket, we
ask that you do not sit in those seats. If you are a volunteer who owns box seats, make sure you have your tickets with
you. For sessions that you are not scheduled to work, you will need a ticket to gain access to Center Court.
Site wide Wi-Fi available at the WS Open!
Powernet returns to the WS Open and will provide site wide public Wi-Fi. Be sure to look for the
Powernet card in your volunteer bag when you pick up your uniform. This card provides step by
step instructions on how to access the tournament Wi-Fi. Familiarize yourself with this information
so that you can help patrons that might need assistance.

you, the volunteer, and all that you do to make this tournament happen. They have been busy

Coming and Going
Tournament Security
In an attempt to provide a safe and secure environment for our patrons, players, and volunteers, all tournament entrances will
continue to be staffed with metal detectors. All volunteers are required to go through the metal detectors and have your bags
thoroughly checked.
The grounds are now secured by RFID technology, and we continue to expand coverage to various areas to ensure extensive
security.
Credential badges will use the RFID chip to verify access around the grounds. As a badge holder approaches a secured
entrance, their photo will appear on a screen. A green box around the photo indicates access, a red box around the photo
indicates no access.
Volunteer Entrance
The Volunteer Entrance opens each day at 7:45 am. If you need to access the grounds prior to 7:45 am you must use the TV
Compound entrance located on the south side of the tournament site. Note: You must be in full uniform when entering.
For volunteers working the week before the tournament starts come by Credentials to have your badge scanned so that you
receive credit for your shifts. The Credentials office is open 8:30 am - 7 pm daily the week prior to the tournament.
Ballperson volunteers may enter through the South Entrance, which is located near the ballperson drop off zone. Ballperson ’ s
will enter through the metal detector and have their bags checked upon entry.
South Vehicle Entrance
The south gate off Western Row Road (South entrance at Tournament Road to the parking areas) will be open from Friday,
August 9th through Sunday, August 18th from 7 am to Midnight.
Parking, Lights, and More
Volunteers are provided parking passes for Lot V, located at the south end of the of the tournament site (most easily accessed
by Western Row Entrance). We’ve added additional zone markings and lighting to the lot. There will be three tented pick up
areas in Lot V where volunteers can receive a shuttle ride up to the volunteer entrance. Volunteers should display their parking
pass in their vehicle when on the tournament grounds. Parking passes are not transferable.
New Evening Exit Process
To more quickly empty the parking lots, at the conclusion of the last match of the evening session, ALL driving lanes leading to
Western Row Road will become EXIT ONLY lanes. The left lane provides left turn access at Western Row to I-71 North and
South, the right lane provides right turn access at Western Row to I-71 South and I-75.
Ballperson Parking Passes (and Drop off Location)
Ballpersons will receive two parking passes; a Lot V parking pass and a Drop Off Pass. The Lot V Pass should be displayed if
you plan to park your car. The Drop Off Pass should be used when planning to drop your ballperson off at the Ballperson Drop
off Zone. Displaying the BK Drop Off pass will prevent you from having to stop and inform the parking attendants of your
intentions to drop them off. Hopefully this will keep traffic moving. The drop off location has a turnaround that provides the driver
with a safe way to re-enter traffic after dropping their child off. We suggest keeping both Parking decals (Lot V and BK Drop Off)
in your car throughout the tournament. Note: Please review the above end of evening exit policy!
The Inside Story on Credentials
One credential photo badge will be issued to each volunteer. Each badge has an RFID chip which is used to validate access to
the grounds. Badges must be worn at all times while onsite. You will receive your badge at the Volunteer Kick Off or can pick it
up during business hours (after July 31) at the Credentials Office any time prior to the start of your first shift. To pick up your
credential, ALL volunteers will be required to present a government issued photo ID (drivers License or passport) which will be
scanned and validated. Anyone under 16 years of age, a school photo ID (or parent ID) may be presented. Please guard your
badge carefully. Giving your badge to anyone else could lead to your dismissal as a volunteer. Badges may only be worn while
you are working your shift or attending the Volunteer Celebration or the Volunteer Sales in the Retail Tent, August 17 &

Medical Mutual—Volunteer Lounge
The Volunteer Lounge will be for the exclusive use of our tournament volunteers while working. The Volunteer
Lounge area, providing snacks and drinks, will be open daily beginning Friday August 9th. Hours are 8:30 am to
9 pm, except for Friday and Saturday (August 9th & 10th ) when it will close early evening. You must be in full
uniform (including credential badge) and WORKING to enter the Volunteer Lounge. The Volunteer Lounge is
for tournament volunteers only.
Cincinnati Children’s—Ballperson Lounge
The Ballperson Lounge is for the exclusive use of our ballperson team. The Ballperson Lounge is
located just inside the South Entrance. It will be open throughout the event and will provide fresh fruit,
light snacks, and drinks for the ballperson team. Knowing that many of our ballpersons will be back in
school, an area has been set aside for those team members that need to get school work done.
Volunteer Dining Options (New Value)
The Meal Allowance Card (MACard) continues as a volunteer benefit for 2019. Volunteers have two meal options:
1. Volunteers working 5 shifts or more may purchase one (1) MACard worth $60 at a cost of $30. The MACard can be
used at all food establishments that accept credit cards. MACard can be purchased at the Volunteer Kick-Off in the
Grandstand Tent. After the Volunteer Kick-Off, MACards will be sold in the Volunteer Office from 9am – 8pm during
the tournament. Cash or Credit will be accepted for the purchase of MACard.
Those volunteers working 50 hours or more have the option of receiving a free $20 MACard or the ability to purchase
a 2nd $60 MACard for $30. Cards will be available in the Volunteer Office.
2. Bringing a brown bag meal from home remains an option. Both the Volunteer and Ballperson Lounge will have a
cooler available to store your meal. We strongly suggest marking your meal with your name. Brown bag meals must
be eaten in the Volunteer or Ballperson Lounge as this is an exclusive tournament volunteer benefit. Please respect
your fellow volunteers and only eat what you bring. NO FAST FOOD ALLOWED.

UC Health First Aid Location
First Aid is located by courts 3 & 4. Please direct any
patron needing assistance to this location. Moms in need
of a cool, quiet place to feed their future Grand Slam
champion should also be sent to First Aid.
Main Information Center & Lost and Found
It’s important for all Volunteers to know where the Main
Information Center/Lost and Found booth is located. All
found items should be turned in to the Lost & Found booth
during tournament hours and the Admin Office after hours.
Persons looking for lost items should be directed to the
Lost & Found booth. Please become familiar with the
location of the Information booth (seen on the attached
tournament map).
ADA Seating
Accessible seating is available to disabled ticket buyers on
the entry and upper levels of Center Court and on all side
courts. There is assigned seating on Center Court. All
disabled seating is numbered and the ticket is good only
for the location purchased. Patrons have contacted the
ticket office directly to purchase accessible seating. If a
patron and companion (s) possess tickets for these
spaces, they are entitled to the location without
questioning. Only folding chairs and/or wheelchairs are
allowed in the entry-level section. Any questions regarding
seating for the disabled should be referred to the Usher
Committee.
Wheelchair Policy (as noted in FAQ’s on website)
We do not have wheelchairs, scooters or walkers available
for rent. There is elevator access to the upper levels of
both Center Court and Grandstand. We do not have a
wheelchair concierge service to physically assist guests
around the grounds. If you need assistance, we strongly
recommend bringing your own assistive device as well as
a companion to accompany you.
ADA Parking
The WS Open strives to be very accommodating for
patrons with special needs.
The tournament has handicapped accessible parking in all
Lots. Patrons with a state issued handicap tag should
park in the handicap parking section in the lot where they
have a tournament tag.
Exceptions to this policy are made at the tournament’s
discretion for patrons using wheelchairs, scooters or
walkers and thus have a hard time riding the tournament
handicap shuttle carts. These patrons will be able to use
North and South Lot handicap parking areas. Please let
the parking attendants know that you use a wheelchair,
scooter or walker when you enter the parking areas.
Smoking Policy (including E- Cigarettes)
Smoking is not permitted in the Lindner Family Tennis Center.
Patrons will be allowed to exit thru the gates to smoke in the
designated areas, (next to the urns) outside of the ticketed grounds.
An Access Scanning volunteer will stamp the hand of exiting
patrons to monitor those going in and out; patrons can only re-enter
with their ticket if accompanied by a hand stamp given to them by
the Access-Scanning committee.
More Racquet—Volunteer Daily Communication
Volunteers will receive a daily email blast each evening that contains
a 1 page sheet filled with information about the next day’s
tournament activities. As soon as the schedule of play is released
(usually around 8pm) the staff will update the daily sheet and email it
to all volunteers. This sheet includes a listing of events taking place
around the grounds, any special activities occurring in the Volunteer
Lounge as well as the schedule of play for the following day.
Be sure to check your email first thing in the morning before heading
to the site. A more informed volunteer can provide our patrons with
continued exceptional service!
Volunteer Information Board
The Volunteer Lounge features an Information board to notify
volunteers of any updates, raffle winners, years of service, and
announcements specific to the volunteers. Please take time to stop
by and see what’s new!
New Rain Policy
Volunteers should always report for duty, rain or shine, unless
contacted by your chairperson.
The NEW single session ticket rain policy is printed on the back of every ticket. The tournament will make every effort to keep the tournament on schedule. If a Center Court match is completed OR 90 total minutes of play has taken place on Center Court during any one session, no exchanges or refunds will be made*. If a session is cancelled without the completion of one full match on Center Court OR 90 total minutes of play on Center Court, owner is entitled to a ticket at the same price level for the same session the following year. Only the original purchaser (purchased directly from the tournament office, Ticketmaster or Ticketmaster verified resale) of the ticket may apply, within 15 days of the cancelled session. Complimentary, series, boxes, suites, hospitality/tent, all inclusive, sponsor and third party resale tickets WILL NOT be exchanged. *If a weather delay or other acts beyond tournament control causes matches to be rescheduled to start after 7PM on Center Court, the day session will be deemed complete and matches starting at 7PM or later will be considered night session matches.

Cooler Policy
No bottles, cans, coolers, ice chests, thermoses or picnic baskets
are permitted onto the grounds. Empty individual containers or
insulated mugs and bottled water up to 33.5 oz. (1L) are permitted.
Anyone requesting an exception (for medical reasons, for example)
should be referred to the chairperson of the Access Scanning
committee to obtain a pass.

Ticket Gate Hours
WS Open day session ticket holders may enter the grounds until 5 pm. Only evening session ticket holders may enter after
5 pm. Patrons with tickets good for only the day session will be asked to clear the grounds, and Center Court will be
completely cleared after the conclusion of day session matches.
The ticket gates open at the following times:
Sat & Sun August 10-11 8 am Mon - Sat August 12-17 9 am Sun August 18 11 am
Ticket Requirements for Children
Children under the age of one year (12 months) do not need a
ticket, but are not issued a separate seat. Children that are one
year old or older are required to have a ticket. Discounted
tickets are available for children 12 years and under for both
sessions Saturday & Sunday August 10th - 11th .
Midwest Sports – Volunteer Benefits
Our partnership with Midwest Sports provides multiple benefits for Volunteers! A coupon good for use at Midwest Sports
from Saturday July 27th though Friday August 9th will be available. See coupon in your volunteer package for details.
Midwest Sports has partnered with the Tournament to expand opportunities for volunteers to purchase items in the Retail
Tent at a discount. We heard you indicate that sometimes the hours are not conducive for you to attend the Volunteer
Sale. To enhance access, Midwest Sports will have 3 separate Volunteer Sale times. The Retail tent will be open for volun-
teers as follows:
• 1 hour for volunteers, before the gates open Saturday (8am-9am) and Sunday (10am-11am) August 17th and 18th.
• The 3rd Sale for volunteers will occur during the women's singles final Sunday August 18th. The time will be announced
by email at a later date.

share your ideas with your committee chairperson or
the Volunteer Director at [email protected].
If you discover an issue that can be immediately
corrected please bring it to the attention of a staff
member. If you are unable to locate a staff member,
call the Administrative office at extension 2206.
Volunteer Service Awards
We would like to recognize those volunteers who have
served with us and have reached key milestones of
5,10,15, 20, 25, 30, 35 and 40 years of service! All
pins for 5, 10, and 15 years of service will be
distributed by your chairperson during your committee
meeting at the Volunteer Kick-off those volunteers who
have reached 20, 25, 30, 35, and 40 years of service
will be recognized on Center Court in between evening
matches on Sunday, August 11th. Make sure you stop
by the Volunteer Lounge to see a listing of all
volunteers receiving pins this year!
Celebrate with Us
Celebrate the success of the tournament with your
fellow Volunteers. Plan on Saturday, August 17. Watch
for an email with exact details of the celebration to be
held in the Volunteer Lounge.

In the Heat of the Summer
With the recent high temperatures, we want to remind you and
the patrons to stay hydrated. Since the volunteers are the first
line of contact with our patrons, we want to remind you where the
drinking fountains are located. We have 12 fountains on the
grounds, found in the following locations:
• Center Court gates 3A, 4A, 5A, 7A, & 8 - near the rest
rooms or under the stairs.
• Rest Room building near the Grandstand Tent.

purchase is $2 for a tournament souvenir cup of ice; subsequent
refills of ice IN THE TOURNAMENT CUP are 0.50¢.

FILA the Apparel Sponsor of the WS Open
FILA is the official apparel sponsor of the WS Open.
This year’s Volunteer apparel consists of:
• Volunteers— 2 collared FILA polo’s in green with navy accents and the tournament logo.
Chairpersons— 2 collared FILA polo’s in ceramic with navy accents and the tournament logo. Volunteers can wear
Khaki, Navy, or White shorts, slacks, or skirts. Bottoms and tennis shoes are the responsibility of each volunteer. A FILA
hat will also be provided. A limited number of visors will be available for volunteers to swap for their hat.
• Marshals— 2 FILA polo's in Orange with the tournament logo and a hat. Black shorts, slacks, or skirts and tennis shoes
are the responsibility of each Marshal.
• Ballpersons – 2 each shorts & crews (boys/men's) or 2 tennis dresses (girls/women’s), hat, wristbands, 2 pairs of
socks, and shoes by Fila in bonnie blue with navy accents.
Volunteers Watching Tennis
Many volunteers have asked what the tournament policy is on volunteers watching tennis. In order to provide some clarity,
here are the details:
• Volunteers can watch tennis on any outside courts before and after their scheduled volunteer shift.
• Volunteers may enter the upper single session ticket area of Center Court (300 level) when not busy to watch tennis. If a ticket holding patron arrives or an usher requests you to move, the volunteer must move immediately.
• Volunteers are not to sit in a full series holder seat unless they are in possession of the ticket for that seat.
• Volunteers are not to stand in the gate area in center court to watch matches. Standing in the gate area interferes with the usher committee’s ability to take care of patrons.
• Volunteers are only to use their credentials to gain access to the tournament grounds on days they are scheduled to volunteer.
• Volunteers may enter the tournament grounds using their credential on August 17th for the Volunteer Celebration (Saturday) in the Volunteer Lounge and on August 18th to attend the Volunteer Sale in the Retail Tent, and the Volunteer Plant Sale.
Play Tennis Cincinnati
The Western & Southern Open, in partnership with the
USTA Midwest section, will host the clinics, powered by Net
Generation, at the tournament facility from Aug. 5-8. This
session is already sold out!
The Play Tennis Cincinnati clinic was open to 275 local
children entering grades 1-6. In addition to the week of
clinics prior to the Western & Southern Open, participants
will receive a tennis racquet, a t-shirt and two tickets to
Saturday’s Kids Day presented by First Watch. Additional
Play Tennis Cincinnati programs will soon be
announced, with free clinics taking place at multiple indoor
facilities throughout the Cincinnati region.

Charities
The WS Open continues to be an event steeped in
community giving. Tennis For Charity has contributed just
over $10 million to our three key beneficiaries:
• Cincinnati Children’s Hospital Medical Center
• The Barrett Cancer Center
• Tennis for City Youth
Backpack Policy
Volunteers are encouraged to bring in cinch bags or other
easily searchable single compartment bags (12”x18”x15”
sizes are preferred). Credentialed volunteers bringing in
backpacks will be subject to a full search of the
backpack—allow extra time.
Ballpersons needing to bring their school work in a
backpack are permitted. The backpack will be searched
and must be kept in the ballperson lounge at all times.
Plant Sale – Opportunities to Purchase
As a Tournament Volunteer you have the first opportunity
to purchase plants used on the grounds at the tournament
site. All ferns, tropical plants and window box planters, as
well as other plants seen around the tournament grounds,
will be sold at a large discount. The window box planters
are timed to peak in late August, when the rest of our
flowers are looking tired from the hot summer sun.
Presale opportunities (like last year) exist for volunteers to
order and prepay for various plant material. Order forms
(available in the Volunteer Office and Volunteer Lounge)
must be completed and received with payment by noon on
Saturday, August 17th to the Volunteer Office.

Cincinnati, Ohio is where I
have been born and raised,
so I am very excited to be a
part of an event in my hometown! I will be a senior at the
University of Dayton this fall where I study Marketing and
Psychology—I absolutely love my school and every
opportunity it has given me. In my free time, my favorite
thing to do is hike or do some sort of art. I look forward to
getting to know you all and am more than willing to help

Hi! My name is Robert Nowe
and I am one of the
Volunteer and Special
Events Interns this summer
at the Western and Southern
Open.
I am from Powell, Ohio, a
suburb outside of Columbus.
I attend Miami University and will be graduating in
December. My life has been, and continues to revolve
around sports every day, and I absolutely love it. My goal is
to one day work for a professional sports organization and
be successful in all I do. Throughout the tournament, I will
be readily available to assist in anything that needs done
around the grounds. Don’t hesitate to reach out to me and
