When writing a letter, first of all we should know the following:

In the English business letter, the language used is not difficult.

It should not be flowery* or elaborate. The most important point is that it should

be clear, accurate and concise. Moreover, the letter paper and the envelope

must be clean. The letter should be neatly printed without

any errors.

It is quite necessary to become familiar with general letter styles used by the business, industry, and government organizations. These styles change over time, but the following three styles are prevalent today.

The letter of application or the cover letter is very important. Companies often receive hundreds of applications for good or well paid jobs. Unless your letter of application is good, the company may not even look at your resume or invite you to the interview stage.

After the salutation, state the job title and/or reference number for the post you are applying for.

This helps in the processing of your application.

Generally, the letter is organized and presented in three parts:

the opening paragraph the body of the letter (there might be

more than one paragraph) the closing paragraph

In a letter of application, the opening paragraph tells specifically which job interests you.

If the job opening was advertised, mention where you saw it.

The body of the letter, one paragraph or two, describes your qualifications for the job. State your present position if you are currently employed.

In addition, mention your previous experience and educational background and your personal attributes and qualities.
