The Shearing Shed is capable of seating 600 guests with Theatre Style and up to 350

To make your ceremony a memorable one, please note the following:-

BOOKINGS & PAYMENTS • A deposit must be paid within one month of your tentative booking to secure the date and venue you have chosen.

• The venue and time of your ceremony is to be confirmed at this time. • If using a Village vehicle/s to transport the bridal party, bookings for the vehicle/s also need to be confirmed at this time.

• Chairs and carpet need to be booked as soon as possible.

• Finalization of payment is to be made 2 weeks before ceremony

ENTRY – VEHICLES AND PEDESTRIANS (for security reasons, gates are kept locked on weekends). • Gates will be opened for the bridal cars when they arrive • Guests may park in the public car park, enter through reception and walk to the ceremony venue (unless the bridal party has arranged Village transport).

• Access for guests who are handicapped, ill, or frail, and who are unable to enter via reception, arrangements can be made with function staff, for their vehicles to access the Village. These arrangements must be made by the Friday before your wedding. This can be done by telephoning 4936 8684 or 0418 328 550. A vehicle displaying a handicapped sign will not gain access unless prior notification has been received by staff.

DELAYS • Arrival for your ceremony is not to be any later than 15 minutes. Failure to do this will incur extra charges and your wedding may have to wait if another is taking place. • The week of your wedding, please phone the function co-ordinator on 4936 8684, so that you can be given a contact number for staff on duty that weekend. Please telephone this staff member if you have been delayed for any reason.

Privacy Note Rockhampton Regional Council is collecting the personal information supplied on this form for the purpose of arranging your hire of a venue at the Rockhampton Heritage Village. Personal details will not be disclosed to any other person or agency external to Council without consent unless required or authorised by law.

Terms & ConditionsTerms & ConditionsTerms & ConditionsTerms & Conditions To ensure your special event at the Heritage Village is a success, please consider the following requirements. Note: The minimum number of guests required for a function is eighty adults.

1. Fees and Charges • All prices are correct at the time of print, however all costs are subject to review from

time to time. Council’s fees and charges are also increased on the 1st July every

year. • A cleaning charge of $300.00 is required for all functions held in the Shearing Shed.

2. Tentative Bookings • Unfortunately we can only hold tentative bookings open for two weeks after the

enquiry is made. Confirmation and Deposit. Cancellation of Venue

• Your signed Terms & Conditions along with your deposit of $500.00 is required for confirmation of your booking

• Your deposit can only be refunded when another booking is taken for that date. • A cancellation must be in writing or by email. • All attempts will be made to reschedule your event if an emergency arises.

3. Menu/Bar Tab • Finalisation of all details including menu needs to be done by appointment six weeks

prior to the event. You will need to make an appointment. At this stage prices will be confirmed. Prior to this every effort will be made to maintain prices and availability however we cannot guarantee this. Patrons are not permitted to bring food or drinks onto the premises with the exception of celebration cake.

• You are not permitted to bring Alcohol into the premises as this breaches licensing conditions. All bookings must have a minimum Bar Tab of $500 paid ten days prior to the event.

4. Confirmation of Numbers • Final guest numbers must be given ten days prior to the event.

5. Payment • Full payment for catering and sundries must be made ten days prior to the event.

Cash by prior arrangement only. Bank cheque or credit card is preferred. ¾ of the Bar Tab must be paid at this time also. Eftpos is available in the Shearing Shed to pay the remainder of the bar tab which must be paid on the function night.

6. Entertainment • Management of the entertainment for noise, and quality is at the discretion of Senior

Staff at the venue. Failure to comply may end in the cessation of the entertainment. Entertainment must cease at 11.40pm.

7. Decorations/Musicians • Nothing is to be nailed, bolted, screwed or stapled to any surface. • Confetti, glitter and rice are not permitted to be used in this venue. • Table decorations including candles are allowed at the discretion, and within the

guidelines set by the venue manager. • An appointment is necessary to gain access on a Saturday to the Shearing

Shed please phone Trevor 0418328550 • No additional lights or extensions from the existing electric light fittings shall be used

without the prior consent of the venue manager. • All electrical equipment brought onto the site must have a current electrical test tag –

IF NO TAG IT WILL NOT BE ALLOWED TO BE USED.

8. Order of Service

• Staff will wait on the Bridal Table only when the bride and groom are seated so it is important to adhere to your schedule.

• We work hard to ensure your meal is to the highest standard but delays in proceedings can affect this. Please consider this during the event.

• Delays can incur extra charges.

9. Smoking

• The Shearing Shed is a designated smoke free zone. Designated external smoking areas are clearly marked.

10. Guest Conduct

• Management reserves the right to remove any guests that are deemed to be behaving inappropriately.

11. Damage

• Any damage to venue or venue property must be paid for by the hirer.

12. Property Loss

• The Heritage Village does not accept responsibility for damage or loss of items before, during or after a function.

13. Security

• A security deposit of $1000.00 will be required for all birthday parties. • Security guards will be engaged and the cost of this is to be passed directly to the

organiser. • ID bracelets will be issued to those people who have proof of age should the service

of alcohol be required. • The party will be registered with the North Rockhampton Police.

14. Service of Alcohol

• Staff that sell or supply liquor are required to conduct the business in a responsible manner. Service will be refused to unduly intoxicated patrons and minors.

• Minors must be accompanied by an adult when buying a soft drink at the bar. Any adult found supplying an alcoholic drink to a minor will be refused service.

• Organizers should be involved in any refusal of service as a matter of courtesy and to assist staff.

• If persons entering the premises are intoxicated they will be refused entry as per “Responsible Service of Alcohol”.

• Disorderly patrons will not be sold or supplied liquor. • As our venue is licensed it is illegal to bring your own alcohol into these premises. If

guests do not abide by this condition, we reserve the right to confiscate this alcohol.

15. Last drinks

• Vacation of the premises is required by 12 midnight therefore last drinks will be at 11.40pm whence music must cease. If it is considered that insufficient people remain this may be called earlier.
