Letter of Proposal for Workshop

Thank you for your interest in my art business workshops.

I would love to visit and help your artists create a personalized plan for promoting their art in one of my new half-day workshops.

I want all of my workshops to be whole experiences for the attendees, the organizers, and the community. I am not interested in only delivering information and leaving. It should be a special experience for everyone throughout the process.

The Artist’s 1-Page Marketing Plan workshop is for artists who are serious about promoting their work. It is not for hobbyists, but for artists who are willing to invest in their professional careers.

Those who will be best served by this workshop are artists who are already doing some marketing. They are likely exhibiting, posting to social media, and using email to stay in touch with prospects.

The information included in these seven pages should answer most of the details. Please note that I need to have at least 20 people at the workshop so please keep that in mind before proceeding. We could probably hold up to 60. Please let me know if I can provide you with any further information.

• Have an online presence.

• Are serious about making money and/or gaining recognition for their art.

Participating artists probably have the following in place.• Email list

• Email marketing software, such as MailChimp or Constant Contact

• Organized inventory system

• Community connections

• At least one active social media channel

This workshop is not for artists who … • Haven’t developed their work. The work has to be there before they have anything to

promote.

• Are looking for shortcuts.

• Want to talk only about the latest social media hacks.

• Are continually making excuses about why they shouldn’t have to or can’t promote their art.

• Aren’t ready to promote their art (emotionally, physically, or energetically).

What You Need to host a Marketing Plan Workshop

Contact Person The most important thing I need before I agree to come to a location is a single contact—one individual who is enthusiastic and dedicated. He or she should have good connections in the community and be willing to do some work to bring at least 20 people to the event.

Time Most organizations need at least six months lead time to generate interest. Getting the word out early=more buzz=more participants.

Enthusiastic Members & Connections While I will share the workshop with my list (unless this is only for your members), I rely on the connections you have in the area to help fill up the room.

A Promotional Plan Before I book my travel, I must be assured that there will be enough artists in the room. We can help you create a series of correspondence with artists and track it with our user-friendly project management platform.

A Clean, Comfortable Room We can talk about the size later, but let’s think big and comfortable! If we are using slides (under Nice Extras), it’s important that the room can be darkened, although it doesn’t have to be completely dark. People get cranky when they can’t see the slides.

Tables and Chairs This is a workshop. People will be actively working and sharing, so it’s nice for them to get comfortable—to have a place to rest their arms.

Sturdy Easel with Giant Sticky Post-Its I like to capture ideas in the room, and participants like to see them recorded. If I’m driving, I’m happy to supply the Post-Its.

Extra Tables

• 1 small table for the projector, if we use one

• 1 high-top cocktail table for the front of the room with a bar stool or chair

• 1 6-8’ table for participants to share their business cards, brochures, catalogs

• Registration table for your team

Nice Extras • Coffee, tea, and water

• Small snacks

• Name badges

• A projector and screen This is not necessary, but I can go more into depth and provide examples with a projector. I just need to know well in advance that you’ll have it available. The screen should be large enough for the group. A 6’ screen might not be sufficient, nor is a sheet (ever). A plain, untextured white wall is great!

We Provide

We make it easy for all of us to stay organized and for you to promote the workshop to your artist group or organization.

Registration Portal Art Biz Success will process all payments for registrations.

Travel Expenses and Workshop Fees All Art Biz Success fees will be paid for through the participants’ registration fees.

Communication Art Biz Success will communicate with participants from the time they sign up, through the workshop, and afterward. We will also communicate with you throughout the process (see Project Manager below).

Promotional Text and Images Why reinvent the wheel? We promote our offerings every day, so you might as well use what we’ve created. If you use your own text, it must be approved in advance. The workshop must use graphics approved by Art Biz Success. To make it easier, we will provide these.

Project Manager We will provide a detailed project management system to help you track the tasks for the workshop.

Marketing Plan Worksheets We will email 1 worksheet to help your artists prepare, and bring two additional hard copy worksheets for each artist at the workshop.

Bonus! All workshop participants receive a copy of I’d Rather Be in the Studio: The Artist’s No-Excuse Guide to Self-Promotion. The e-book will be delivered soon after registration. The hard copies will be distributed at the workshop.

Registration Fees for Art Biz Workshops The half-day workshop is $57 per person when paid at least 40 days out. After that, registration is $69 per person.

A minimum of 20 people must be registered at least 40 days out in order to confirm the workshop.

I strongly encourage you to work 6 months out—paying special attention to an early registration process.

About Alyson Alyson B. Stanfield works with artists who want to use their art to engage with community and leave a legacy.
