2Entering office visits Student Profile tab1. Go to the Student Tab2. Select Student Profile3. Select Health 4. Select Office Visit to enter the students office visit.5. Select the Add button to begin entering the office visit.

3Add Student Office VisitThis is what your screen will look like when you click add. ( The green face will not be there)Enter your visit reasonEnter your treatment Enter the dispositionIf you want to add more information you can do that in the note section. If you want to keep the student in the office click on that tab.I f you are ready to release the student then click the release student button.

4DefaultsClick on the box on the right hand side labeled defaults. This is the box that you will need to access in order to program your defaults. In this section you can select how you want the dates and times to default. It can either be use current or you can enter the date and time. Visit Reason I leave this one blankTreatment I use Assessment since I do one on everyone.RC I use this because I always have the student return to class unless they are going home then I change it.School will be your entityExamined by will be your nameClick save for your settings to be saved

5Entering Office Visits through Office Visit Master

Select your office tabGo to the Office Visit Section Select Entry by date

6Entering office visits in office visit master continuedOnce you have clicked on add this is what your screen will look like. Notice that it looks the same as it did when you were entering a visit in health profile. There is one difference, then student name is blank. You must enter the last name of the student and select your student to add the visit. If you release the student they will not show up on your list. If you keep the student then they will show up on your list.

7Students in office visit master You will notice that you have two students that have been entered and are in the office. These are the students in Green. The student in red is waiting to be seen and has not been seen by you. In order to see this student you will need to click on the Admit tab and that will let you start entering a visit on the student.

8Office Visit Master continuedThe student is now listed in green which means you have seen the student and just need to finish entering the visit to release them or you are waiting for a parent to pick them up and then you can release them and they will drop off your list. If you have the capability to have your students enter on a touch screen their id number then you can click on the refresh key and you can see if anymore students have signed into the clinic log and are waiting to be seen. This is a good way to check at then end of the day to make sure that you have released all the students for the day and that none have been left in your office visit master.

You can also print hall passes for your students to return back to class. You have print them before you release them. Hall pass tab.9Voiding an office visitWhen you want to void a record and you click on the void tab from health profile or office visit master a box will pop up with the following question: Do you want to void this record ? Yes NoIf you click yes then the box below will pop up and this is where you will enter the reason you are voiding the record. Once you have chosen to void the record and have made your entry it will show up on your list of visits but at the top ad there will be a box with an X in the column that says void.

10FiltersCreating a filter is going to depend on the information that you dont want to see. For example if you want to see just the visits for a certain day than you enter that information in your filter box that is very self explanatory. In this example the filter is set to show on the visits for September 8th regardless if they were voided or not. You do have the option to not view the voided visits. The example to the right shows you what it looks like once the filter has been applied.

11ReportsYou can print office visits by day or by student. For example if a parent wants a list of all the times the student has been seen in the office because they are going to the doctor for a chronic condition you can do that. All you have to do is create the report by what you want it to include. The example to the right shows that on the 8th of September there were two students seen in my office. If you recall there were actually three that I had entered but one visit was voided because the wrong information was entered on the wrong student.

12Some of you may experience 1 or all of these faces when you are learning to work with electronic documentation. There is light at the end of the tunnel The relationships you build with the people you meet here at the conference can help you when you go back to your district. We are all in this together, you are not alone. It may just take a phone call or an email to someone you meet here to help you with your report, filter or data entry.
