Dear Test Administrator,

Please read this entire manual before administering any ETS® Test(i.e., TOEIC®, TOEIC Bridge™, TFI™ (Test de français international), or TOEFL® ITP.

This manual provides specific information about the general procedures and security responsibilities of the testadministrator including procedures that administrators must follow before, during, and after a TOEIC® programtest administration. You can help ensure that the test administration is efficient, fair, and secure by taking care tofollow these directions exactly. Test scores will be meaningful only if all administrators follow the same testingprocedures and give the same instructions to all examinees. It is extremely important that examineesunderstand the general test directions. If the test administrator feels it is appropriate, the general test directionsmay be translated into the language of the test takers, and the test administrator may read these at the time ofadministration.

As test administrator, you must be primarily concerned with safeguarding all aspects of test security,conducting the test efficiently and quietly, protecting the examinees from disturbance, and returning alltest materials promptly.

The test administrator is responsible for the security of all tests from the time they are received until they arereturned. This means that no one is to have the opportunity to examine any test booklet at any time except theexaminee when taking the test. Also, it is strictly prohibited to copy or retain copies of the examination questions.Please inform your assistants of the importance of security and see that they enforce all security rules withoutexception.

To ensure a smooth process for your test session, please use the following steps:

2 to 3 Months before the Test DateYou plan to administer a test.Online at www.toeic.eu and www.language-testing-service.de, you are able to download all availabledocuments both for the test center and for your test-takers.

At Least 6 Work Days before the Test DateAs soon as you have planned your test session, sign up for it using your account information on ourwebsite, www.language-testing-service.de/partner.Please refer every test-taker to the “Examinee Handbook”, available for every test via the link on our website.

Immediately Upon Receiving the Test MaterialsYou will receive the test materials around 3 work days before your test date. If you do not receive your testmaterials punctually, please contact our shipping department immediately.Verify the contents of the package using the “Lieferkontrollschein” (DeliveryNote). Organize a seating arrangement if necessary.

1 Day before the Test DateRead through the test-administration manual one more time.

On the Day of the TestFollow the instructions in the test-administration manual.Fill out the “Lieferkontrollschein” (Delivery Note). Send all test materials back to us as soon as possiblefollowing the test. Please note: the answer sheets will not be graded until all test materials have beenreturned.Report any exceptional occurrences.

Ordering Test DocumentsYou can order test documents for an internal test session by logging on to our website atwww.language-testing-service.de/partner and entering your log-in information. Please remember tocommunicate to us by name any test-takers who may have taken the test before.

Registration of Test-Takers with DisabilitiesPlease inform yourself regarding the specific nature of the disabilities of your client(s). Is your locationdisability friendly?We ask for your utmost attention when receiving a test-registration from someone with a disability. Pleaserequest the administration requirements for test-takers with disabilities from LTS.

Welcoming the Test-TakersPlease invite the test-takers into your establishment and inform them about the testing procedure as explained inthe “Examinee Handbook” (available as a download).Every test-taker should have read this document or visited the official website before taking the test tofamiliarize him- or herself with the tested subjects, testing process, question categories, and interpretation ofthe results, etc.Please inform the test-takers about the testing location, the time the test will take place, the necessity ofproper photo-identification (i.e. personal ID, passport, or driver’s license), as well as any further requiredevidence qualifying the test-taker for a reduced price for the test.

Test-Taker Seating PlanFollowing the test-taker registration process, please determine a seating arrangement to be hung up in thetesting room shortly before the test session.

Selecting the Test Room

The success of every test session depends largely on the suitability of the testing room. It is difficult for the test-taker to concentrate if they are distracted by noise, bad lighting, an inappropriate writing surface, extremetemperatures, or an unsuitable level of humidity. Although some conditions on the test day may be beyond thecontrol of the test administrator, potential disruptions can be minimized through careful planning.

Reserving the Test RoomPlease reserve the test room early. The test will last between 1.5 and 2.5 hours. It is therefore suggestedthat the testing room be reserved for at least 3 hours.

Room Arrangement and Seating ChartThe testing rooms must be arranged so that all examinees face the same direction. There must be 1.5 metersbetween examinees (see examples below). It is imperative that the test-takers are neither able to see theirneighbors’ answers nor exchange information amongst themselves.In a large room with cascading steps, a lecture hall for example, the supervisor must be able to see all test-takers without difficulty. It is therefore best to seat the test-takers in every other row. No test-taker should havethe ability to view the test of another.

Please inform us should the above conditions be impossible for you to fulfill. The test-takers may NOT sitaround a single round- or square-shaped table.

Tables and ChairsA good writing surface is important. Enough space should be provided to the examinees so that they maycomfortably take their test. If tablet-arm chairs are to be used, they must have a minimum writing surface of 30cm x 40 cm. Tablet-arm chairs designed specifically for right-handed examinees provide an awkward writingsurface for left-handed examinees. Lapboards do not provide an acceptable writing surface and should not beused. Provide chairs with back support. Stools or benches without backs are not acceptable.

Room Temperature and VentilationThe temperature and ventilation in the testing room should be regulated to provide a comfortable test-takingenvironment. The test administrator should ensure that the temperature in the room can be regulated and thatthe room is adequately ventilated.

NoiseThe testing rooms should be located in a section of the building least likely to be affected by noise fromconstruction sites, parties, sports events, motorcycles, buses, or other traffic.

LightingLighting must be adequate for reading and for marking answer sheets. It should not produce shadows or astrong glare on the writing surface.

RestroomsRestrooms should be located nearby and should be easy to find for those examinees who are not familiarwith the testing area. If locating the rest rooms is likely to be a problem for some examinees, post signsdirecting the way. Before the examination, restrooms must be inspected for any materials examinees mayhave stored there such as books or papers. Examinees taking a restroom break must not be allowed touse the telephone.

Audio Playback EquipmentThe listening part of the TOEIC test requires highly reliable audio playback equipment. Be sure to check theplayback equipment before the day of the test administration to make sure it functions properly. You will need tocheck the tone, volume, and fidelity, as well as the acoustics of the room(s) in which the equipment will be used.In a large testing room, the speakers should be placed on either side of the test takers.Please keep in mind that playing the CDs on a Laptop or PC can lead to technical difficulties, as the CDs havenot been issued by ETS for this purpose. Alternatively, the Test Audio Distributor (TAD) software program isavailable for this purpose. With this inexpensive service, the test administrator is able to access the listeningsessions online, enabling test-takers to listen through headphones connected to a PC.

Chalkboard, Clipboard, or ProjectorWhen indicating the reference numbers, remaining time, or other useful information, a chalkboard, clipboard, orother method of displaying important information (e.g. a projector) should be available.

ClockEach testing room must have a clock, preferably at the front of the room, so that examinees can see it easilywithout turning their heads. At regular intervals you or your assistant must post the amount of test timeremaining, so examinees can pace themselves.

AssistanceThere should be nothing located in the testing room which may be related to the test, e.g. textbooks, Englishtapes, or the like. The test-takers are not allowed to use note paper. Dictionaries, rulers, calculators, mobilephones, PC accessories, recording devices, photo- or video cameras, PDAs, and pagers are all forbidden inthe testing room.

Direction SignsIt is the responsibility of the test administrator to provide direction signs showing the way to the testing room(s)or to lead the way in person.

Illegal Recordings and Media CoverageThe presence of unauthorized people, including reporters, journalists, photographers, or other members of theprint or electronic media, are not allowed in during the test session.You must also be alert for any attempt to record audio portions of the examination. People with recordingequipment, whatever their purpose, must not be allowed to remain near the testing area. A proctor mustperiodically check the hallways around the testing room to be certain no unauthorized persons are lingering inthe area. Because of the risk of examinees recording the examination, you should require all examinees toleave coats, backpacks, briefcases, pagers, cell phones, and other belongings in a designated area of thetesting room away from the examinee seats. Be on the lookout for electronic devices of any kind.

VisitorsExcept for observers authorized by LTS, visitors may not be permitted to enter the room while testing is inprogress. If a member of the facility staff or maintenance worker requires access during testing, you mustcheck any identification and have a proctor accompany the person the entire time he or she is in the testingroom.

Receiving and Storing the Test Materials

Receiving the Test MaterialsThe person whose name was given at the time the order was made will receive the test materials around threework-days before the test. Please inform your reception staff or the mail room that you are expecting apackage which is to be delivered to you as soon as possible upon reception. Immediately after receiving thepackage, check the contents to ensure that the order is complete using the “Lieferkontrollschein” (DeliveryNote). Please inform LTS as soon as possible, at least 24 hours before the test date, of any packagingmistakes.

You receive with every order:- Test booklets and answer sheets. The amount will match your order.- 2 CDs per test room (for every test session, the test administrator will have two CDs at his or her

disposal in case one should be defective).- When using TAD (Test Audio Distributor), the Listening Comprehension portion is heard using an internet capable

PC and headset and thus no CDs will be sent.- Test Administrator Manual (Testleiterhandbuch)- “Lieferkontrollschein” (Delivery Note)

Checking and Storing the Test MaterialsPlease check to make sure that the version number printed on the CD matcheswith the test booklet, (e.g. 3RIC3).Please listen to the beginning of the listening comprehension portion to ensure that the CD was not damagedduring the shipping process. Count the number of test booklets. Inform LTS immediately, should there be anydiscrepancies when filling out the “Lieferkontrollschein” (Delivery Note).SYou are responsible for checking the materials immediately upon reception so that any problems may besolved in a timely manner. The test administrator should receive the test administrator’s manual(Testleiterhandbuch) for preparation purposes. After checking that all materials are in order, the test materialsmust be held in a secure, lockable location. Thetest materials are not to be accessible to unauthorized persons.

Copyright and Unauthorized Use of Test Materials

Any inappropriate use of test materials, answer sheets, and/or audio material before, during, or after the testsession (in the event that they are photocopied for example) will be prosecuted.

By signing the form below, you oblige all trained test-administrators to neither open, copy, nor make anytest materials available to a third party. You have also obligated yourself to return all test materialsincluding unused test booklets and answer sheets.

The test booklets, answer sheets, and audio-materials (CDs/Cassettes) used for the administrationof the test are protected by copyright law and belong to ETS, the Educational Testing Service.Please note the following points:

- The test materials may only be used for the test session authorized by LTS.

- Any unauthorized usage may be lawfully prosecuted.

Any reproduction of the test materials such as test booklets and audio materials, whether fully or inpart, without the explicit permission of ETS may be lawfully prosecuted. Supervising the Test Session

The training of approved test administrators is conducted solely by LTS, the “ETS Country Master Distributor".It is absolutely essential that the test administrators have been trained to supervise the various test formats.Each person who supervises a test session without having been trained to do so is liable to prosecution. Thisis also valid for trained test administrators who would like to train others themselves.

Test Administrator DutiesThe test administrator must be reliable and able to keep the test administration in all of its particulars inthe proper sequence.The test administrator is required to fulfill their supervising responsibility completely. They should be engaged inno other activity during the test. The room in which the test takes place should not, under any circumstances, beleft unattended.Except in the case of a possible printing mistake, the test administrator is not to read the test booklets. The testadministrators are under no circumstances allowed to do the test themselves while supervising.

Number of Test AdministratorsDepending on the number of examinees expected for a particular administration, you may require thehelp of assistants. The assistants can be helpful in carrying out accumulating tasks but have no leading function.They may be selected by the authorized test administrator who will be in the room. The assistants shouldpreferably be employees of the establishment where the test session is taking place, for example people fromthe personnel or administration department. Due to obvious neutrality and safety reasons, cases where ateacher supervises the test for their own students are to be avoided.The number of required test administrators depends on the number of test-takers. For up to 25 test-takers, oneauthorized test administrator must be in the room. It is recommended that from 20-25 test-takers, a secondperson is also present who may aid in the case of unforeseen occurrences, accidents, etc.

Contact with Test-TakersThe successful administration of a test session also depends on the quality of interpersonal relations.The test administrators are compelled to conduct the test session in a professional, but relaxedatmosphere. Don’t forget that many test-takers are adult professionals.

Useful Tips- Every test administrator should be located in an assigned location in the test room to ensure effective

supervision and an orderly test procedure. This also serves to hinder those wishing to tear out pages ortranscribe from the test booklets.

- Greet the test-takers in a friendly manner. A warm reception and pleasant manner show the test-takers thatthey are welcome and that everything is being done to help them. Explain to your assistants howimportant such behavior is. Treat all of the test-takers equally.

- Some commotion due to the nervousness of the test-takers before the test starts is tolerable. For some, itis relaxing to talk and to move. The test-takers should be able to behave in a relaxed manner when theyarrive, while

the are seated, and begin to work to prepare themselves so long as the noise-level remains acceptable.When the test begins however, the test-takers must be completely silent.

- Patiently answer any questions before the test begins. So long as the questions have to do with the testprocedure, please do your best to answer as quickly and concisely as possible. Allow the test-takersenough time to correctly fill out the biographical questions which make up the beginning of the answersheet. Many test-takers are not familiar with multiple choice tests and answer sheets made for opticalreading machines. Please pay especially close attention to these test-takers.

- Remain fair and level-headed if test-takers wish to leave the room. Only allow one at a time to go to therestroom during the test except during the listening comprehension portions, at which time it is unadvisablethat any leave the room.

- Ask those who would cause noise in front of the test room to leave or be quieter.

Final ChecksPlease read this manual before the test date one more time in order to visualize the test procedure. One sessionlasts 1 ½ to 2 ½ hours. You should therefore plan to be preoccupied with the test without a break for 3 hours.

Before Entering the Test RoomCheck to make sure whether all necessary materials for the test are available:- The Lieferkontrollschein (Delivery Note),- This manual for the test process (the country and language codes are absolutely necessary, so too is

the “Irregularity Report”),- The test booklets,- The answer sheets,- The CDs which match with the correct test version so long as TAD is not being used,- Any special instructions from your customer (e.g. group lists or the like),- Pencils (2B or HB), erasers, and sharpeners (not included in the package).

In the Testing RoomCheck to make sure the following conditions are acceptable:- The lighting,- The temperature,- Power outlets,- The audio play-back equipment (CD-player) or PC headset for TAD,- The arrangement of the desks in the room,- The availability of chalkboard, clipboard, or the like,- The availability of a visible clock,- That the telephone located in the room, as well as all mobile phones have been shut off.If required, make any necessary changes.Ensure that the volume of the audio-playback device has been set at an appropriate level.

Problematic SituationsIn case noise or problems with the facilities should arise, first try to solve the problem. If absolutelynecessary, change the room. Changing the test date due to unacceptable test conditions should be the lastresort.

Overview of the Test Procedure TOEIC® L & R, TFI™ (Test de français international), TOEIC Bridge™,TOEFL® ITP

TOEIC® L & RThe entire test session lasts approx. 2 ½ hours and is broken down as such:- ½ hour for the introduction of the test and administrative formalities (preparing the answer sheet)- 2 hours for the test itself

The TOEIC-Test consists of two parts, each with 100 questions.Part I: Listening Comprehension, ca. 45 minutes (Part I, II, III, IV)Part II: Reading Comprehension, ca. 75 minutes (Part V, VI, VII)

TFI™ (Test de français international)The entire test session lasts approx. 2 hours and 20 minutes and is broken down as such:- ½ hour for the introduction of the test and administrative formalities (preparing the answer sheet)- 1 hour and 50 minutes for the test itself

The TFI-Test consists of two parts, each with 90 questions:Part I: Compréhension orale, ca. 42 minutes (Section I, II, III)Part II: Compréhension écrite, ca. 68 minutes (Section IV, V, VI)

TOEIC Bridge™The entire test session lasts approx. 1 ½ hours and is broken down as such:- ½ Stunde für die Vorstellung des Tests und die administrativen Formalitäten (Vorbereitung des Antwortblattes)- 1 Stunde für den Test selbst

Greeting and Seating the Test-TakersIt is the task of the test administrators to help test-takers find their seats. An acceptable method for doing somust be chosen for every test session. The following tips may be helpful. (Recommendation: numberedseating, drawing numbers, or posting an excel list with test taker names randomly assigned to various seats)Under no circumstances should the test-takers know where they are to sit beforehand. Nor should theybe allowed to find their own seat.

Left-Handed Test-TakersDue to the required space between individual test-takers, left-handed test-takers must be seated either in aspecial row or take the seat furthest left in each row with right-handed test-takers. If using chairs withintegrated writing surfaces for right-handed test-takers cannot be avoided, place an empty chair on the righthand side of one of these desks so that left-handed participants may use the tablet as a writing surface.

Test Takers with DisabilitiesPersons with disabilities should sit in the front row or somewhere, which is easily reachable. Those withhearing problems should sit near the speakers. In special cases, please do not hesitate to contact LTS so thatwe may find a solution.

Distributing the Test MaterialsCounting the returned test materials is easier when they are collected in the same order in which they weredistributed. This also enables the seating arrangement to be reconstructed if you should need to check forpossible cheating.In a large session, especially in lecture halls, place the answer sheets, pencils, and erasers on the desksbeforehand to save time. The test-takers must wait however, before beginning to fill out the answer sheet.We recommend that you distribute the test materials in the following way:- Start with only the answer sheet and pencils, the test booklets should be handed out only immediately

before the test begins. (Should the test-takers wish to take a break, it is possible now, after preparing theanswer sheet, and shortly before handing out the test booklets).

- The test materials should be distributed individually by the test administrator and his or her assistants andthen in the same method collected back again at the end of the session. The test-takers may not distributethe test booklets themselves.

Count the number of unused tests and the number of test-takers immediately after the test begins.ATTENTION: Your institution will be charged for every opened test booklet.

Admitting Test-Takers into the Test-Room

Verifying IdentityWhen in a public test session: require photo-identification at the entrance into the room. Keep the list ofparticipants with you, once they have been identified, cross them off the list. For public test sessions, pleaseask to be shown student-IDs or the like should the participant claim to qualify for a reduced test price.If a test is being conducted internally by a business or other establishment, check IDs as necessary. You canminimize the possibility of impersonation by allowing an employee of the business or other establishment toassist you in checking IDs.To avoid fraud attempts, you may ask the test-takers to place their ID cards visibly on their desks, or you maycheck their IDs once again when collecting the test booklets at the end of the session.

LatenessAfter the listening comprehension section of the test begins, no one is allowed into the testing room. Shouldsomeone arrive while still in the preparation phase, it is left to the test administrator to decide whether or notthey may stay to take the test.

GreetingDo not underestimate the importance of a short welcoming address, which is meant to introduce the test and putthe test-takers at ease. Be friendly, encouraging, and relaxed while remaining serious and professional. Try toadapt your welcoming message to the kind of environment in which the test is taking place.

Do not allow the test-takers to collect the test booklets but rather collect each one separatelyyourself. Returning the Test Materials

Please make copies of both sides of the answer sheets and store the copies until you have received theresults. Before returning the test materials, fill in the “Lieferkontrollschein” (Delivery Note) with the exactnumber of:- used and unused test booklets,- CDs,- used answer sheets.

Please note on the “Lieferkontrollschein“ (Delivery Note) which, if any, test candidates would like an optional‘Certificate of Achievement’ in addition to their score reports. If necessary, include a separate list of names.Sign your name as the test administor on the “Lieferkontrollschein” after reading the passage entitled,“QUALITÄTSKONTROLLE”.If needed, include the ‘irregularity report’ and the ‘candidate comment form’ (see master copies in the appendix).Please pack the test materials in sturdy envelopes or boxes and cushion the CDs. Finally, send all of thetest materials to LTS using the return address from the package that was sent to you.

In order to receive the test results as quickly as possible and to ensure security, we recommend that yousend the package with a courier service (i.e. UPS, DHL, TNT, or the like). This guarantees that LTS willreceive the test materials within 48 hours after the test session and enables you to track the packageshould it be delayed.The tests will be graded and sent back to you within 10 work days after arriving at the LTS office.

Transmission and Form of the ResultsWhen receiving the results, please ensure you have received the correct amount, and then destroy the copiedanswer sheets.Should you have further questions regarding the test results, the LTS team will be happy to answer them.

The form of the test results for TOEIC® L & R, TFI™ (Test de français international), and TOEIC Bridge™The person whose name has been given as the contact or test administrator will receive:- an overview of the test results (score roster),- one score report for every test-taker,- one correlation table for every test-taker, and- one certicate (if ordered).

The form of test results for TOEFL® ITPThe person whose name has been given as the contact person will receive:- an overview of the test results (score roster),- two ‘score records’ per test-test taker, one for the test-taker and one for the institution.

Exceptional Situations

The following tips should help you in the event of an exceptional situation.

A Disorderly Conduct from the Test-TakersThe use of books, dictionaries, notes, or other any means of aid during the test is not allowed. Make sure thatthe test-takers have followed your instructions right from the beginning.If you suspect that one examinee is copying from another or that two or more examinees are exchanginginformation, change their seats, record their names and registration numbers, and explain the circumstances onthe Irregularity Report (master copy in the appendix). Check the misconduct box. If you wish, LTS can check theanswer sheets of any suspicious candidates.If the test-takers should disrupt others from doing their best because of their behavior, warn them and make itclear that they may be removed from the test session (see the next paragraph).

B Expulsion of Test-Takers Due to Disruptive BehaviorYou are authorized to remove a test participant from the test session if they are disrupting or threatening thesecurity of the other test-takers. As the removal of a test-taker may have difficult consequences however, youshould only do so when absolutely necessary.In some cases it may be better to avoid removal, in the instance that it should disturb the other test takers forexample, or if the test-taker should react aggressively or violently.You should intervene only in the case that:- the test-takers are giving help to or receiving help from others,- forbidden resources are being used,- the other test-takers were purposefully disturbed or- the official test time has been purposefully been exceeded, despite being previously warned.If you are sure of one of the above conditions, collect all of the test materials from the test-taker and ask himor her to leave the room.If it appears that the test-taker has not fully understood why he or she is being removed from the test, tell themthat they will receive a written report in which the reasons will be clearly stated.All irregularities are examined by LTS. This also applies to questionable test-scores. It will then berequested of the test-takers that they also share their version of the incident with LTS.

C Unforeseen Situations/Cancellations or Termination of a Test SessionDespite being well organized, on the day of the test, unforeseen situations may arise. Due to situations beyondyour control (e.g. a storm or a strike etc…) some test-takers may not be able to reach the testing center. Or dueto a power outage, the lighting or heating in the building may fail, or the test-takers may feel they cannotconcentrate due to the noise of a construction site or political protest. In such cases, it is left to your discretionwhether or not the test session should be cancelled, postponed, or moved to a different room. It is important toremember however that the test should only be cancelled in the most extreme of situations and if so doing, itshould also be promtly rescheduled.In the event of an emergency evacuation, first ensure the safety of the participants and the administrators. Ifpossible follow the following steps:- Note the time that the test was interrupted and ask the test-takers to place the answer sheets in the test

booklets and to close them.- Allow the test participants to vacate the room.- Collect the test booklets and take them, if possible, to safe place.- Please notify LTS of the incident as soon as possible.

In rare cases, there may be an incident in the testing room. It may happen that a test-taker suddenlybecomes ill, causing the other participants to stop working on their tests to help the person in need. In such asituation, try to remain as pragmatic as possible. Ask the participants to close their test booklets if necessarywhile two of them help to take the inflicted person out of the room. Note how much time has been lost, andgrant a time extension at the end of the test. Remain calm. If it is necessary to change to another room, alsomake a note of the time lost in order for it to be added on at the end of the test session.Here you should inquire again as to the health of the test-takers, asking whether or not they feel they feelhealthy enough to continue with the test.

D ComplaintsMost complaints can be avoided by strictly adhering to the directions in this handbook, and if the test sessionhas been thoroughly prepared for and organized by the test administrator and the establishment.Most complaints center around the physical conditions of the test session. Examples of conditions whichcommonly draw complaints include poor acusitic conditions of the room, having a high number of participants,inadequate writing surfaces, insufficient lighting, or extreme temperatures.If a participant is of the opinion that a test question is flawed, ask them to continue with the test and inform themthat the TOEIC representative will be notified. After the test-taker has finished his or her test, give them the formentitled, ‘Candidate Comment Form’ (template in appendix) and ask them to fill out the form regarding what theyhad noticed. When returning the test materials, include the report.

E Mistakes while Filling Out the Answer SheetIf the test-taker has recorded their answers in the test booklet, instead of on the answer sheet, request thatthey continue with the test, but from that point on, to fill in the answers directly onto the answer sheet. Askthe test-taker to fill in the answers on the answer sheet after the test has ended. Make sure to monitorthem while they do this.

F MistimingTests administered with errors in timing often require a makeup administration with consequent inconvenienceand expense.If possible, correct undertiming while the examinees are still in the testing room. If, while examinees are still present,you discover that you have not allowed enough time, give them the additional time before dismissing them. In thecase of overtiming, inform LTS whether or not the tests should still be evaluated.Make sure to inform the participants that the testing time is calculated according to the clock on the wall in thetest room only.

G Reporting IrregularitiesWhen returning the test materials to LTS, report any irregularities that occurred during the test session. Place acheck in the corresponding box on the ‘Lieferkontrollschein’ (Delivery Note) and complete the Irregularity andCompliance Reports (Please copy the correct form from the appendix and use the copy to write the report).Please describe in writing how you dealt with the situation and give the names of all the participantsinvolved. Attach a copy of the seating arrangement with the names of each of the test-takers showingwhere each of them sat.

TOEIC® S &W – INTERNET-BASED TEST FORMAT

The Speaking & Writing Module of the TOEIC is internet-based and therefore requires different administrationprocedures. TOEIC® S & W may only be conducted in authorized TOEIC test centers equipped with computerlabs.

The ordering and sign-up process takes place only online at: www.language-testing-service.de/partner/

Every ordered access code will be invoiced.

When signing up with at least 5 test candidates, the test date may be freely selected. If signing up withless than 5 however, test sessions may only take place every third Wednesday of every month (thetime the test takes place may always be freely selected).

There is also an option to combine TOEIC Listening & Reading AND TOEIC Speaking & Writing in order to receivethe 4 Skills TOEIC. Each module must however be conducted independently of the other.

1 Day before the testThe test center/test administrator receives the form entitled “Authorization Number Form” attached in an email.This form contains the authorization codes for the test candidates registered.

On the Day of the TestThe presence of the test administrator is required at least one hour before the test in order to preparethe room and PCs.The test administrator must also print out the “Authorization Number Form” for each test candidate.

Admitting the Participants into the Testing Room and Checking their IdentityCheck the identity of every participant on the sign-up list by requesting to be shown a photo-ID (passport orpersonal ID card) and checking them off the list.After checking the identification of each candidate, give each of them their “Authorization Number Form” so thatthey may check for errors and sign. This form should stay with the candidate at their work station for the entireduration of the test.It is the task of the test administrator to show each test-taker to their seats.

GreetingDo not underestimate the importance of a short welcome speech, which serves to introduce the test andlighten the mood in the room. Be friendly, encouraging, and sociable, but serious and professional. Try to matchyour welcome speech to the environment the test is being given in. Remember that the test-takers may not takenotes during the welcome speech.

Here is one suggestion as to how you may greet the test-takers:

SAY:“Welcome to the TOEIC® Speaking & Writing Test. My name is ... and I am responsible for the administration ofthis test. This is an internet based test, which means that very soon everyone will need to log on at an assignedPC. The entire test lasts around 1 ½ hours. It begins with the Speaking Part, which lasts around 20 minutes.During the Speaking Part, you will be wearing a headset and will receive all your instructions and activities overthe internet-based program. Afterwards, you will have around 1 hour for the Writing Part, in which you willanswer questions in writing. All of your written responses will be typed. 30 minutes of this section are devoted towriting a 300 word essay in response to a prompt.Please monitor your progress in relation to the time left. After you have completed all of the activities, thetest will end automatically. When the test has ended, I will collect all of the forms.Grading your responses takes around 15 work-days (three weeks). You will receive your Score Report directlyafter that. You will receive a score between 0 and 200 for both the Speaking section, and the Writing section.So let’s begin: Type your authorization code into the blank space provided. SupervisionThe function of the test administrator requires the unimpeeded supervision of the test-takers. Throughout theentire duration of the test, the test administrator should not be occupied with any other activity. The room inwhich the test is taking place may not be left unsupervised.

After the Test

Collect the signed “Authorization Number Forms” directly after the test is over.Remember to say goodbye to the test-takers.
