Dashboard

Dashboard lets user see all his/her clients and projects on one screen. Each project name links to that project’s extranet site. User can work with an unlimited number of clients and projects, and clients with multiple projects are grouped together. • For each project, user can quickly spot the next upcoming milestone and posts that have been added since his/her last visit. • Projects that haven’t had a new post or comment in 30 days are automatically moved to the Inactive Projects section.• “What’s fresh?” sidebar gives user a meta-look at recent activity from all the user active projects. Today’s activity is always called out with a blue dart for easy scanning.• In case a milestone is missed or is past due is highlighted with the red dart to ensurethat no missed milestone goes unnoticed.

Projects have the following properties:• Name of the project• Project overview briefly describes the project• Project can be active, paused, completed or canceled. Paused, completed and canceledprojects are displayed only in archive• Project leader is a person who is responsible for the project. This person has full controlover the project. Project leader can be a member of Client Company.• Project can be the part of a Project group. This relation is optional.• Project can be associated with a company. This relation is optional.

Click on the Projects items in the main menu to access Projects. There you can browse and manage all the projects and project groups. The projects will have three options expanded view and list view and post a new project.

In expanded view the user(s) can view the project name and the message/threads under them but by clicking on the list view, the user(s) can view only the project name and the date on which created and the name of the person who posted the project. When a user (client) clicks on the Post a new project, he creates a new project and assigns people to that project.

ProofHub lets you track important project milestones and note who is responsible for each one. ProofHub automatically categorizes your milestones into either upcoming (shown in red) or completed (shown in green). Checkboxes let you move items from “Upcoming” to “Completed” with one click. Also, relevant posts can be attached to any milestone. This way you can keep track of conversations related to a specific milestone. Further, ProofHub plots and color-codes milestones on a calendar for easy scanning. Yellow is today, red is upcoming, and green is completed. For example, today is April 28, the last completed milestone was on March 30, and the next milestone is due on May 10. You can edit a milestone in place and shift subsequent dates proportionally-even limit them to business days.

Files

Unlimited number of files can be attached to the Projects, Tickets and Comments. When a comment is created, only one file can be attached, but more of them can be added later by using Manage Attachments tool at the bottom of the comment window.

ProofHub can handle all file types (documents, images, video, audio, source code files etc) and all file sizes that your web server can process.

File Versioning: User can upload multiple versions of the same file and keep them grouped together on the Files tab. To upload new versions of an existing file just click the “Upload a new version” link below the latest version. When you upload a new version the newest version will appear at the top with a large icon and the previous versions will be listed below with small icons.

If user uploads a new version with the exact same name, ProofHub will append the actual file name with an extra character so you don’t overwrite the original file.

Messages/thread is a tool intended for content production and collaborative writing. A thread is a document with title and body that people write and discuss.Every thread/message has the following properties:• Name - thread/message name• Content - thread/message content• Parent thread/message - using parent thread/message, users can organize pages into tree - like structures• Visibility - using visibility property you can set whether the thread/message is visible to everyone involved with the project or to members of owner company only• Milestone (optional) - optional relation to one of the project milestone

Design Review: ProofHub allows user(s) to upload designs for review/approval/comments based on the client’s request and project documentation. ProofHub design review is designed to help printers, advertising agencies, outsourcing companies, web development teams and corporate marketing departments offer an easy-to-use but feature-rich interactive editing experience to its users doing online document customization.

Designer can upload the design on the ProofHub in any particular message/thread and the client/other user(s) can view the image uploaded on the browser but with the added advantage of marking the changes with highlighted darts or drawing a box where a change in the design is required. Clients/user(s) can then post a comment about the change required or they can also record an audio for the same.

Once the changes are requested, the designer can then view the highlighted darts/boxes along with the corresponding comments/audio for the changes and can make the changes to the design accordingly and upload the design again for approval.

Subscribe: Users can subscribe to the tickets, discussions; pages, comments etc. and receive an email notification each time when a change has been made to these objects. Changes include notifications when task is completed or reopened, new comment has been posted etc. When creating a thread, user can select an initial list of subscribers for most tasks and comments. In case of projects, milestones and subtasks, users will be added as subscribers if “Subscribe to this Thread” option is selected. In case of discussions and files, people selected in “Subscribe People” field will be set as initial group of subscribers.

List of subscribers can be managed after thread has been created. If thread supports subscribers and user has a permission to update them, then you will have Manage Subscribers. Under the manage subscriber page you can user can manage the people already subscribed to the object and form that lets you add more subscribers to the project. Same way a user can unsubscribe as well. In case someone who is subscribed to the thread can opt out of the thread by clicking on the “Unsubscribe”. This user won’t get any email notifications in the future.

The To-Do section: ProofHub’s To-Do Section is for getting all the little things done. To-Do lists are mostly free-form — user just makes a list, give it some checkable items, and move them around as user please. Each To-Do list contains unfinished items in the upper portion, and completed (checked) items below. New To-Do items are added inline, right below each list’s unfinished items. When a user creates a new list he can add items one-by-one. Moving lists and items is simple. The move controls can be toggled on and off, and allows user to move items within a lists or entire lists. From left to right, the first icon moves the item to the top, the second moves it up a notch, the third down a notch, and the last icon moves it to the bottom.

Whiteboard: Whiteboard is a shareable, web based text document that lets you save every edit, roll back to any version, and easily compare changes. User(s) can get to their whiteboards from any computer in the world with an internet connection and a web browser. Also user/client can share whiteboards, simply by entering someone's email address and they'll get an invitation with a link to view and edit the whiteboard. So when users/clients are collaborating with multiple people on a whiteboard they can see/compare what others have changed or added to their versions of the whiteboard.

Notifications: Email notifications let people stay up to date on message threads via email. Anyone who posts a new message or comments on a message will automatically be "subscribed" to that message. When you are subscribed to the message, you'll get an email notification each time someone else posts a new comment on that message.

It’s easy to notify people about one of your messages. When you post a message you’ll see a section that says, “Notify people of this message via email.” Select whomever you want to be notified. Selected people will receive a copy of the message via email and will also receive any comments posted to that message via email too (they can unsubscribe at any time).

Subscriptions are established on a message-by-message basis (there's no "always notify me" option). This way you won't get notifications for messages you aren't interested in (unless you choose to).

People who aren't part of a thread can also subscribe to a message by clicking on the message and then selecting "Yes, email me" in the right sidebar.

You can now post comments to a message via email: user(s) doesn’t have to post a comment on a message by login to the ProofHub. ProofHub sends user(s) an email notification, but replying to the message doesn’t require a log in. User(s) can just reply to a message or comment notification by email and his/her comment will be posted to the project. At the top of new message and comment notification emails he/she will see this:

Anything user(s) types above that line will be posted back to the project as a comment on the Print Screen/Projects: the following screens can be printed:1. To-do lists and a single to-do list2. Search: In ProofHub you can search messages, comments, file names, to-dos and milestones. You can also download files directly from the search results screen. You can search across all your projects at the same time. You can do this by clicking the "Search" tab on the Dashboard, or via a link inside any project's "Search" tab.

RSS: RSS lets user(s) subscribe to specific content feeds and aggregate this information in one place to be read when you're ready. ProofHub lets you subscribe to a project's RSS feed or your global (all projects) RSS feed. User(s) will then be notified any time someone posts a message, comment, or file, or adds or completes a to-do item or milestone to a project.

To subscribe to a project's RSS feed, go to the project's "Overview" tab and click the link that says "Subscribe to your project RSS feed" in the right sidebar. To subscribe to your global (all projects) RSS feed, go to your Dashboard and click the link that says "Subscribe to your project RSS feed" at the top of the page.
