Oracle’s Strategic Reporting Solution

The Legend of Bellevue

“We chose EPRCS because several people can be in the document at once, to help with formatting issues, to create an automatic table of contents and for the future use of it to create the Budget document.

Why Bellevue Chose EPRCS

1 Promotes Collaboration

The Good

• Users can be in the Report Center and work on

doclets at the same time.

• Instant visibility to the progress and status of

the reporting lifecycle.

• Efficiently bring SMEs in and

out of the process based on their role.

• Secure at all levels to handle sensitive

content, from network to storage.

• Content access based on role.

The Good: Promotes Collaboration

2 Variables

The Good

Two types of variables in EPRCS:

❖ Static

– Uses static input that is defined by the user, such as dates, common text or a set value,

which can be used throughout the report package. These static variables can be easily

updated, and all doclet instances of the variable value

❖ Reference

– These variables are created by referencing another doclet or reference file within the

report package as the source and selecting the value for the variable, such as text in a

Word paragraph or an Excel cell value. If the source document is subsequently updated,

those changes are automatically updated in the inserted instances of the variable in the

report package.

The Good: Variables

• Able to shorten development time for next year’s

CAFR by utilizing variables.

• Able to maintain centrally

• Can use directional

text with reference

variables and Excel

functionality

The Good: Variables

3 Utilizing reference doclets and embedding

The Good

❖Reference doclets contain commonly used report content where

certain types of reporting content is created.

❖Authors can then embed that content in their assigned areas of

the report package.

❖Embedded content can be reused as required throughout the

report package, and is refreshable, so the content will always

reflect the latest data.

The Good: Reference Doclets and Embedding

❖ Reusable content from a

single source.

❖ Tedious and time

consuming process for

first year only. Easy

maintenance on-going.

❖ Content is refreshed

automatically.

❖ Embedded content is

protected.

The Good: Reference Doclets and Embedding

4 Aggressive timeline

The Bad

Contrary to popular belief, EPRCS does not speed up your report

building time on the first try!

The Bad: Aggressive Timeline

Recommendations

❖ Keep deadlines in mind when purchasing EPRCS.

❖Work in parallel.

❖ Ensure you have the proper resources, i.e. IT Support.

❖ Know how to escalate issues with Oracle Support.

The Bad: Aggressive Timeline

5 Formatting and creating the initial report

The Bad

Some of the formatting issues that Bellevue experienced:❖ Auto table of contents not producing exact replica of past TOCs.

❖ Updated named ranges reverting back to original.

❖ Rendering changing format appearance from Word/Excel.

The Bad: Formatting and Creating the Initial Report

Style Sample❖ The report package style sample document contains the page attributes (for Word-based report packages) or

slide masters and layouts (for PowerPoint-based report packages) for the report. ❖ When individual doclets are uploaded to the report package, the style sample is applied to each of them so

that the final report is uniform and consistent.

Font❖ This will ensure the most accurate rendering of the documents when viewing on the web.❖ Without these uploaded fonts, EPRCS uses a font mapping utility that attempts to properly render the report

on the web. However, this mapping may introduce variances in the report layout when displayed on the web.

6 Failure to manage Expectations

The Ugly

1. Do not expect to rebuild your CAFR the exact same way as you have before.• You’ll have to change your content to be supportive of EPRCS usage. –Al Marciante

2. Use Oracle Support and use them wisely.

3. Make sure that IT is looped in in case of issues pertaining to firewall, network,

servers, etc.

4. Identify other customers via Customer Connect.

5. Ensure that someone has technical aptitude to help troubleshoot problems.

6. It’s OK to use workarounds, especially if there is no fix.
